Ottawa Synchro Volunteering Commitment for 2012-13

Volunteering is required for families of Competitive families and is optional for recreational families (Recreational & Masters programs). A tier system is being introduced for the 2012-13 season to simplify the amount of coordination required for volunteering and to ensure volunteers for the key positions and events are secured at the outset of the season. Parents can volunteer to serve on, or work with, the executive, filling such positions as Treasurer, Registrar, or Secretary. Other Opportunities for volunteering include fund raising and event coordinating or chaperoning out-of-town meets.

The tier system has been created based on the amount of responsibility and time commitment required. It is expected that each family with a competitive swimmer complete a total of 4 points by the end of the season. Selecting different roles between tiers is allowed to reach the 4 point requirement. Any family with more than one swimmer with Ottawa Synchro will be required to contribute 1 1/2 times the point requirements, or 6 points. Please note that volunteering for the Lisa A. East Figure Meet is mandatory. The Volunteer Coordinator maintains a current list of the various jobs in the club as outlined in the above Volunteer Tier System. The point values and jobs may change from time to time, as necessitated by the evolving needs of Ottawa Synchro and/or depending on the number of out-of-town meets and competitive family members.

We encourage families to assist by contributing time towards the numerous jobs that need to be filled, however, those families who are not inclined or not able for various reasons to contribute volunteer time will have the option of buying out their volunteer commitment for $400. These funds will then be used to hire outside help to perform the duties not covered by our parent volunteers.

Volunteer Points Explained:


Volunteer positions listed in the Volunteer Tier System will be filled at the Annual General Meeting (AGM) and positions will be available to choose from. The volunteer coordinator will be the keeper of all positions assigned and will keep track of family points. All families must also track their points, in order to reconcile with the Volunteer Coordinators records at the end of each season. The Volunteer Coordinator will contact you periodically to ensure that your points are recorded accurately. The Volunteer Coordinator will work with each coordinator to help with securing volunteers for events and fundraisers as needed. While the coordinator roles have points assigned to them, volunteers to work at an event or assist with a fund raiser will be the responsibility of the coordinator to fill and can include family members and friends or recreational families. The Volunteer coordinator can assist with securing these volunteers when needed. Members who are having difficulty accumulating the required number of points should contact the Volunteer Coordinator for suggestions. Every effort will be made to facilitate opportunities to earn points. Points cannot accumulate from year to year and there will be no reimbursement of fees for accumulating above the required number of points/

Mandatory volunteering:

Attending general meetings: To keep you in the loop, we have two general meetings each year, one in the spring and one in the fall. Attendance counts toward your volunteer points, and they're a great way to stay informed. Optional volunteering: A volunteer security deposit cheque of $400 is required at the time of registration. A deposit ensures equitable participation by all members, and it will be returned at the end of the year upon fulfillment of the volunteer commitments as outlined above.
