EXECUTIVE SUMMERY
Through this project report an endeavor has been taken to emphasize on Management Information Systems (MIS). And the need of it in an organization as well as in Bangladesh. MIS can be the foundation of a business but it can also be expensive. It is important that the information system should be designed and organized to match the needs of the firm. Designing and creating effective information system is a complex task and several techniques have been developed to manage organizations and build information systems because here in our country lots of companies being established rapidly. In spite of this the importance and implementation of MIS also increasing rapidly. In this project we will focus on the role of MIS in Jamuna Fertilizer Company Limited (JFCL). The Jamuna Fertilizer Company Limited (JFCL) is the largest enterprise of Bangladesh Chemical Industries Corporation (BCIC). JFCL is implementing MIS in most of their sectors, such as: Manufacturing, HRD, RSD, Org. structure,

Data transformation etc. The Management Team members of JFCL have strong backgrounds in both computer hardware and software development. This report will also provide information and identify the potential areas wherein the MIS could be effectively used.

Management information system (MIS) or computer information system (CIS) consists of five related components: Hardware, Software, People, Procedure, and Collections of data. Information technologies (IT) represents the various types of hardware and software used in an information system including computers and networking equipments. The physical equipment used in computing is called hardware. The set of instruction that controls the hardware is known as software. MIS components work together to provide information and help managers run the firm, solve problem and make decision. There is some lacking in business solving networking system like MIS/CIS/IT in the JFCL. Main barriers are a lack of leadership, motivation and shortage of skill manpower to implement MIS in JFCL. This report will consist of 5 chapters. It will start with Introductory Analysis, such asobjectives, methodology and

limitation of study. Then the second chapter will focus on JFCLs profile, its total history, organizational structure, its basic product, business value etc. After that in chapter three the project will turn into JFCLs SWOT analysis and the findings. And chapter four the report will analyze the basic part where it will show IT infrastructure, trainings, documentation, and maintenance of the whole system. And the last chapter turns out the conclusion of the whole project. I hope the total procedure will be an effective report for this Project. And would useful for us.

1.Background of study

1.1

Introduction:A Management Information System (MIS) is a system that provides information needed to manage organizations effectively. Management information systems involve three primary resources: Technology Information and People. It's important to recognize that while all three resources are key components when studying management information systems, the most important resource is people. Management information systems are regarded as a subset of the overall internal controls procedures in a business, which cover the application of people, documents, technologies, and procedures used by management accountants to solve business problems such as costing a product, service or a business-wide strategy. Management information systems are distinct from regular information systems in that they are used to analyze other information systems applied in operational activities in the organization. Academically, the term is commonly used to refer to the group of information management methods tied to the automation or support of human decision making, such as- Decision Support Systems, Expert systems, and Executive information systems. Typically, in a corporation, MIS (Management Information Systems) is a general term for the computer systems in an organization that provide information about its business operations.

Types of Information Management Systems

There are many types of information management systems in the market that provide a wide range of benefits for companies. They are given below:-

Transaction processing systems (TPS) collect and record the routine transactions of an organization. Examples of such systems are sales order entry, hotel reservations, payroll, employee record keeping, and shipping.

Management information systems (MIS) produce fixed, regularly scheduled reports based on data extracted and summarized from the firms underlying transaction processing systems (TPS) to middle and operational level managers to provide answers to structured and semi-structured decision problems.

Decision-support systems (DSS) are computer program applications used by middle management to compile information from a wide range of sources to solve problems and make decisions.

Executive support systems (ESS) is a reporting tool that provides quick access to summarized reports coming from all company levels and departments such as accounting, human resources and operations.

Advantages of Information Management Systems

The following are some of the benefits that can be attained for different types of information management systems. (1) The company is able to highlight their strength and weaknesses due to the presence of revenue reports, employee performance records etc. The identification of these aspects can help the company to improve their business processes and operations.

(2) The availability of the customer data and feedback can help the company to align their business processes according to the needs of the customers. The effective management of customer data can help the company to perform direct marketing and promotion activities.

(3) Information is considered to be an important asset for any company in the modern competitive world. The consumer buying trends and behaviors can be predicted by the analysis of sales and revenue reports from each operating region of the company.

Now days there are lots of importance of MIS in an organization. Though it cant be expressed broadly, the above are some of its advantages.

1.5 Summery :-

There are 500 chemical industries corporations in Asia. BCIC is one of them. It is undoubtedly our nations pride. In this context, it may be noted that BCIC started its functioning from 1st July, 1976.At that time BCIC had 88 enterprises under its management, but at present BCIC has 13 enterprises under its control. It means that the BCIC has been becoming smaller and smaller day-by-day for the disinvestment policies of the government. Therefore the BCIC needs to take decision for the implementation of MIS in industries to increase productivity, performance and to survive for existence and JFCL as well.

2. COMPANY PROFILE

2.1 Introduction :Bangladesh is an agrarian economy. Bangladesh has not attained self-sufficiency in meeting a vital agriculture input; the country has attained the capability of producing high quality granular urea. In order to meet the increasing demand of food grain in the country. Fertilizer is one of the main inputs to agricultural sector. It is an essential prerequisite to increase food production. Bangladesh Chemical Industries Corporation (BCIC) is one of the biggest industrial organizations in the public sector under Ministry of Industries, Government of the Peoples Republic of Bangladesh. The Jamuna Fertilizer Company Limited (JFCL) is the largest enterprise of Bangladesh Chemical Industries Corporation (BCIC). It is situated on the bank of the river Jamuna in the district of Jamalpur.

2.2 History and Overview :JFCL has been established in 1991 to facilitate the agriculture growth of Bangladesh through producing granular urea. With the commissioning of the 6th urea fertilizer plant Jamuna fertilizer company ltd had been established. It is situated on the bank of the river Jamuna in the district of Jamalpur. Its urea production capacity is 1700 metric ton per day (mtpd) designed by SNAMPROGETTI and ammonia production capacity is 1078 mtpd designed by HALDORTOPSOE of Denmark. The total plant infrastructure was constructed by Mitsubishi heavy industries limited (MHI) of Japan. Bangladesh is an agrarian economy. In order to meet the increasing demand of food grain in the country. Fertilizer is one of the main inputs to agricultural sector. It is an essential prerequisite to increase food production. Bangladesh chemical industries corporation (BCIC) is one of the biggest industrial organizations in the public sector under ministry of industries, government of the peoples republic of Bangladesh.

BCIC is concerned with the setting of objectives, approval of budget, monitoring of actual performance and rendering expertise assistance for JFCL. The JFCL management has been executing required administrative, technical, commercial and financial authority to operate it efficiently and dynamically. In the plant data are continuously generating by reformers, boilers, heat exchangers, power generation units, ionexchangers, coolers, hp stripper, urea reactor, compressors, pumps, agitators, fans and blowers at every moment.

2.3 Organizational Structure of JFCL :In this project, Business unit is considered where information is generated. The Chief Executive Officer of JFCL is Managing Director (MD). Under MD there are nine General Managers (GM). There are about 50 (fifty) sections/subsections under nine GMs. The names of division and sections i.e. business units are following:

Office of the Managing Director. Office of the General Manager Administration: Personnel Administration, Labor Section, Labor Welfare, School and College, Estate section, Transport section, CBA, Requirement Section and Common Service Section. Office of the Chief Medical Officer: Medical Centre. Office of the General Manager (Accounts and Finance): General Accounts, Cost & Budget, Pay & Bill, Insurance, Tax and Audit, Cash &Bank, Store Accounts and Computer Section. Office of the General Manager Commercial: Local Purchase, Foreign Purchase and Sales. Office of the General Manager MPIC:

General/Chemical Stores, Spares Parts Store and Material Planning and Inventory Control (MPIC).

Office of the General Manager Technical: Quality Control, Fire & Safety, Process Engineering and Inspection, Research and Development, Technical documentation:-Technical Services & MIS, Technical Library, Photocopy and Cyclostyle, Book Binding, Training, Computer Lab. Office of the Chief Engineer MTS: Machinery Maintenance, Plant Maintenance, Electrical Maintenance, Instrument Maintenance, Central Workshop, Solid Handling System Maintenance. Office of the Chief Engineer Construction: Civil (housing) and Civil (Factory). Office of the General Manager Operation: Urea Plant, Ammonia Plant, Utility Plant and Bagging Plant.

2.4 Products & Services :JFCL is producing urea continuously. There are shifts in 24 hrs. There are four plants- urea plants, ammonia plant, utility plant and bagging plant. There are four individual groups of people to operate these four plants. After each 8 hrs, every shift-in-charge hands over his duty. In time of duty handover every shift in charge writes report about plants condition, performance, process parameter in shift report book. Daily Production and Plant Status are shown in Table 2-4.

2.5 Summery :There are six sections in Maintenance and Technical Services (MTS) division in JFCL of BCIC. These are: Electrical maintenance,

Instrument maintenance, Plant maintenance,

Machinery maintenance, Central Workshop and

Solid Handling System maintenance. JFCL is the largest industry of BCIC. So, it cant be described broadly, though it has been descried as clear as possible.

3. SWOT ANALYSIS and FINDINGS


3.1 Introduction :Every Institute need to do their SWOT analysis. Because it helps to find its strengths and weakness.

SWOT Analysis :SWOT analysis is a strategic planning method used to evaluate the Strengths, Weaknesses, Opportunities, and Threats involved in a project or in a business venture. A SWOT analysis must first start with defining a desired end state or objective. A SWOT analysis may be incorporated into the strategic planning model. Strategic Planning has been the subject of much research.

Strengths: characteristics of the business or team that give it an advantage over others in the industry. Weaknesses: are characteristics that place the firm at a disadvantage relative to others. Opportunities: external chances to make greater sales or profits in the environment. Threats: external elements in the environment that could cause trouble for the business.

Identification of SWOTs is essential because subsequent steps in the process of planning for achievement of the selected objective may be derived from the SWOTs.

Strengths :A firm's strengths are its resources and capabilities that can be used as a basis for developing a competitive advantage. MIS focus as monitoring the most essential parts and functions of JFCL to make online monitoring affordable for every compressor, turbine, pump, equipment and each business unit. In JFCL, data entry works have been executing by using computer since 2000. Therefore, daily productions report, inspection report, technical minutes, different process data sheet of urea, ammonia & utility plant are preparing by computer.

Weaknesses:The absence of certain strengths may be viewed as a weakness. The following may be considered weaknesses: JFCL, detecting serious damage to prevent the machine from catastrophic, costly failures. JFCL has no strong brand identity in front of world.

Opportunities:The external environmental analysis may reveal certain new opportunities for profit and growth. Such opportunities include: MIS can apply for online monitoring systems as a valuable tool for machine maintenance. These systems can be recognized as a useful means of increasing availability and reducing operating costs of JFCL. JFCL has an excellent worker group to work in.

Threats:Changes in the external environmental also may present threats to the firm. Such threats include: In JFCL actually IT is not used, computers are used only for data entry. Though it should use MIS in its administrative department.

3.3 FINDINGS :-

Existing Management Information System of JFCL has been studied thoroughly the main findings are summarized below:

1. There are 21 computers for data entry & 18 programmable logic controllers (PLC) to control plant in the JFCL. 2. JFCL is now under planning to implement networking in each business unit. There is no distributed control system (DCS) even there is no planning to implement DCS in JFCL. 3. Every organization takes the decision at three decision levels: operations, tactics and strategy. In JFCL, around 327 officers work for management in these three decision levels, among those about 250 officers work in operation level. The operations level does of day-to-day operations and makes decisions. There is no plan of JFCL to computerize the operation level. 4. In JFCL, data entry works have been executing by using computer since 2000. Therefore, daily productions report, inspection report, technical minutes, different process data sheet of urea, ammonia & utility plant are preparing by computer

5. Manual MIS department of BCIC collects information from BCIC's enterprises monthly& offices. After compiling this data, BCIC prepares a report and circulates it to the concern ministries and all enterprises.

6. There is no MIS section and technical services section performs all kinds of reporting

So, these are the main findings and achievement.

3.4 Summery :MIS can apply for online monitoring systems as a valuable tool for machine maintenance. These systems can be recognized as a useful means of increasing availability and reducing operating costs of JFCL. In JFCL actually IT is not used, computers are used only for data entry. IT may be used in every business unit. JFCL may use IT for communicate with supplier, vendor, and licensor of process, foreign expert, foreign & local purchase, process optimization, internationalization & HRD.

4. MIS IMPLEMENTATION
4.1 Introduction: The JFCL management has been executing required administrative, technical, commercial and financial authority to operate it efficiently and dynamically. In the plant data are continuously generating by reformers, boilers, heat exchangers, power generation units, ion-exchangers, coolers, HP stripper, urea reactor, compressors, pumps, agitators, fans and blowers at every moment. Besides sales; accounts and finance; production and maintenance; purchase and store; personnel and HRD; inspection and suppliers and customers also generate data. Now, there is no organized MIS to handle and processes for data take better decision. During this technological era it is very difficult to make profitable or running smooth such a large enterprise without MIS. Therefore, it is crucial to implement MIS in this factory. Industrial countries have increased their productivity by applying IT. The recommendations of this study may facilitate increasing productivity for the company.

4.2 IT Infrastructure:The Information Technology Infrastructure (ITI) is an Information Technology (IT) management framework that provides practices for Information Technology Services Management (ITSM), IT development and IT operations. ITIL gives detailed descriptions of a number of important IT practices and provides comprehensive checklists, tasks and procedures that any IT organization can tailor to its needs. ITIL is published in a series of books, each of which covers an IT management topic. The names ITIL and IT Infrastructure are registered trademarks of the United Kingdom's Office of Government Commerce (OGC). JFCL is facing significantly to implement computerization systems every business unit for proper maintenance, operation and quality control, all technical data safeguarding, all equipments and machineries and others inventory planning and information of process parameter [6]. Therefore, JFCL needs to study in every working area of JFCL; examined the demand of computer in various divisions& sections of JFCL. A guideline may be made purchase computer, printer & other necessary related spare parts. JFCL needs to communicate BCIC as well as the whole world through Internet. Thus, the communication system of JFCL will be speedy convenient & available for all Internet connection.

JFCL needs to communicate properly with process licensors & vendors. Inter sectional and divisional information, i.e. all business unit of the company is not sufficient to communicate instantaneously for proper decision. It is difficult to purchase spare parts or other necessary part of equipments through manual/traditional system. The spare parts are needed to procure properly and timely to meet the need of plants. In this circumstance, JFCL needs to plan computerization as well as MIS to face the need of factory in proper time.

4.2.1 Hardware Acquisition:IT strategy should define the generic type of hardware that your business needs, and a timetable for its acquisition. Consider upgrade costs, warranties, what level of support you want and the maintenance contract with your supplier. These will affect pricing and ongoing costs.

4.2.2 SOFTWARE ACQUISITION


Software acquisition - types of software There are several different types of software to consider when making acquisitions. System software provides the framework for you to use a computer, but does not directly deliver any business functionality. Application software is designed to support a particular business function - an application. There are three types of application software: Off-the-shelf package - designed to suit an extremely large customer base. This can be sold online or through retail outlets without any direct contact between the software developer and the customer. The business user has no input into the functionality of the package.

Bespoke software applications - designed to meet the needs of a single customer. The software developer builds

an application that meets the needs of the customer as defined in a specification. In this way the customer can obtain exactly the system that they need. This approach has no economies of scale and may be risky. Small businesses rarely commission bespoke software applications.

Tailored application software - has a standard base package, but you can commission changes to the functionality of the package to make it more suitable for your needs. Such changes will be carried out by the original software developer or a third party.

Accounting software:

Introduction :-

Maintaining accounts can be challenging for any business. Many businesses entrust everything to an accountant. Others aim to save time and money by using specialist accounting software. If you choose the right package, good accounting software can help your business manage accounts more efficiently. It can make the process quicker and more straightforward. The growing emphasis on e-filing - or submitting records electronically - means that the use of accounts software is even

more attractive because many packages can make this process very simple. However, not all businesses will benefit from accounting software. This guide will help you to decide whether your business needs an accounts package and, if so, help you select the right type of product. The guide will also help you plan your implementation effectively.

Electronic Inventory Systems:Inventory management is an extremely important part of a businesss operation. Maintaining and storing inventory can be extremely costly and companies that have learned to efficiently manage their inventory have gained a distinct advantage over competitors. While inventory was once managed in ledger books and kept track of by hand, modern techniques use electronics to direct, monitor and count inventory throughout the supply chain.

1.RFID:-

RFID stands for Radio Frequency Identification. RFID involves placing a small radio chip in inventory items. This can be either an individual unit for later sale or an entire pallet or truckload of items. The chips send out a weak radio signal that can be picked up by workers walking within a few feet of the chip. This allows an employee to scan potentially hundreds, thousands or more items with a quick walk through a warehouse. One criticism of RFID technology is the cost of the individual chips, which, when used on low-margin products, can be cost prohibitive.

2.Bokode:-

One of the newest items in the world of inventory management technology is known as a bokode, a slight play on the word "barcode." Bokodes can read thousands of times the information as barcode readers and can be read by digital cameras, most interestingly cell phone cameras. Bokodes were developed by MIT and are made of an LED with a small lens. It is the light emanating from the LED that actually contains the information contained on the chip.

4.2.3 DATABASE ADMINISTRATION :Data administration or data resource management is an organizational function working in the areas of information systems and computer science that plans, organizes, describes and controls data resources. Data resources are usually as stored in databases under a database management system or other software such as electronic spreadsheets. In many

smaller organizations, data administration is performed occasionally, or is a small component of the database administrators work.

Each database requires at least one database administrator (DBA) to administer it. Because an Oracle database system can be large and can have many users, often this is not a one person job. In such cases, there is a group of DBAs who share responsibility. A database administrator's responsibilities can include the following tasks: Installing and upgrading the Oracle server and application tools Allocating system storage and planning future storage requirements for the database system Creating primary database storage structures (table spaces) after application developers have designed an application Creating primary objects (tables, views, indexes) once application developers have designed an application Modifying the database structure, as necessary, from information given by application developers Enrolling users and maintaining system security Ensuring compliance with your Oracle license agreement Controlling and monitoring user access to the database Monitoring and optimizing the performance of the database Planning for backup and recovery of database information

4.2.4 Telecommunication:Telecommunications, also called telecommunication, is the exchange of information over significant distances by electronic means. A complete, single telecommunications circuit consists of two stations, each equipped with a transmitter and a receiver.

Using LAN in JFCL :Desktop machines on a LAN also require special software, which breaks a file or other information into packet-sized chunks, adds information about where the packet should be sent (this is called an envelope), and tells the network card to send the packet. This software allows the machines on a LAN to make use of the various services available on the LAN. There are several logical protocols used for network traffic. An important point is that the same network card can handle many different software protocols and can do so simultaneously. In particular, your computer can be connected to the UIC campus network and to a departmental LAN through the same Ethernet card and cable. This situation already exists in the JFCL..

Using WAN in JFCL :JFCL doesnt use WAN widely. WAN has been used only for transferring data from JFCL to BCIC. So it cant use online solutions such as website design, web hosting, content management systems, website maintenance, search engine optimization, online marketing, ecommerce solutions and much more.

4.3 TRAINING:BCIC decided to start training dedicating its strength to JFCL as these are considered as very effective and fast growing accommodating the IT users needs without having the complexity of large and expensive already well established in the market. Training on IT is formed by a small but efficient group of people that made this adventure a reality. Training on IT will also deliver other strategy. At time due, JFCL will add installation and configuration of the products supported. In the future, there will be more vendor trainings added to the portfolio. But as everything that have to be done well, the additions will come gradually to maintain efficiency and quality of service.

Main Job:- Supply of needed elements and troubleshooting of disturbed machines is the key job of this unit.

Weakness Point : Sometimes they take a long time & failed to repair disturbed machine. Thats why workers have to pass an idle time.

Suggestion : This section should be make more powerful by developing the workers efficiency and with new sufficient machines.

5.CNCLUSION AND RECOMMONDATION

5.1 Preface:A management information system (MIS) is an organized method of providing past, present, and projected information related to internal operations and external intelligence. It supports the planning, control and operational function of an organization in the proper time frame to assist the decision-making process. A MIS can provide any organization with significant information at efficiently and effectively. It can provide the desired information in the proper form, to proper people and at a proper time. Thus, the management of JFCL may take proper initiative to implement MIS. The recommendations made in a study may facilitate better decision for increasing productivity of the company. This paper is an idea/motivation for implementation a management information system in Jamuna Fertilizer Company Limited. Therefore, JFCL needs rapid implementation MIS to meet national/global demand with the help of educated and skilled personnel.

5.2 Recommendation:-

The following recommends have been made to implement MIS in JFCL. It is important to provide computers in each business unit of JFCL for quality decision. All business unit are needed to connect with networking system . JFCL needs to provide training facility, for developed skilled people. The plant may make an effort to incorporate recent technological changes in respect of process, plant machinery and control strategy with the consultation with process licensors, vendors and engineering contractors. A common information bank may be created by BCIC for spares and components for all enterprises JFCL and other plants, thereby, ensuring speedy maintenance of the.
