Ivy Hawn PSO Roles and Responsibilities

Chair- The chair shall preside over meetings of the organization and executive board, serve as the primary contact for the principal, represent the organization at meetings outside the organization, serve as an ex officio member of all committees except the nominating committee, and coordinate the work of all the officers and committees so that the purpose of the organization is served. Vice chair Volunteers- The vice chair of volunteers shall assist the chair and carry out the chairs duties in his or her absence or inability to serve. Recruiting shall organize volunteers for all school events requiring the PSOs support. Driving membership and or organize a committee to drive membership for the new school year. Establish volunteer contact database. Establish contact with each room mom/dad to perform guidance on expectations from the school as well as initiatives from the PSO. Will organize all volunteers and donations for PSO and school events. Vice Chair of Fundraising- Shall plan all major fundraising activities and coordinate with the vice chair of volunteers since this chair holds the order over all volunteers and rooms parents. Promote all Fund raising activities in the school and can work with the secretary for emailing, flyers and mass distribution. Provide monthly update on standard fundraising activities. i.e. Coke rewards, Campbells, Tysons, Boxtops. The Chair should reach out to the volunteers to collect the up to da te information to report at the PSO General meeting. Provide monthly update on special fundraising events which occurred i.e. Spirit nights, bake sales, Fun nights, and major fundraising activities. Coordinate with Vice of Volunteers to have him/her gather volunteers for shopping i.e. candy, drinks. Secretary- The secretary shall keep all records of the organization, take and record minutes, prepare the agenda, handle correspondence, and send notices of meetings to the membership. The secretary also keeps a copy of the minutes book, bylaws, rules, membership list, and any other necessary supplies, and brings them to meetings. Shall also maintain the website, membership to the Facebook, and all communications which need to be sent from the PSO Board as it pertains to Board notices. Treasurer- The treasurer shall receive all funds of the organization, keep an accurate record of receipts and expenditures, and pay out funds in accordance with the approval of the executive board. He or she will present a financial statement at every meeting and at other times of the year when requested by the executive board, and make a full report at the end of the year.
