Activities Preformed during visit (Proceeding)

In GGPS Lower Bakot two days visit was paid for formation of PG and conduct meeting with PTC
members for follow up of PTC Training. PTC member were informed 3 days before for both activities. On
the first day of visit few PTC members came for meeting and reflect that they did inform all parents both
male and female but no came on the first day of MIED team visit. Base on situation MIED team conducted
meeting with PTC members and developed strategy how to mobilize community to come for formation of
Parents group and coming day was decided for both activities i.e. PG formation and PTC Follow up
meeting.

PG Formation
on the 2nd day of MIED EQUAL team due to PTC mobilization and invitation majority parents came to
school for formation of PG. The meeting was started with recitation of holy Quran. The meeting with father
was facilitated by Mr. Naveed Ullah and male PTC members and while with Mothers Miss Rashida and
female PTC members facilitated the session for formation of PG. before formation of PG participant were
briefly oriented about the need of PG formation, its structure and criteria of selection PGs members. Those
parents were given preference in selection process who showed their willingness, having at least primary
education and upon whom all participated parents and PTC members showed their confidence to be a
member of PG and that how selection process of PG group members was completed and successfully 10
father and 10 mother was selected as members of PG for said school.
PTC Meeting (Follow up)
After successful formation of PG meeting with all PTC were conducted in detail. All most all members
have participated in this follow up meeting. Base on their action plan discussion was started and PTC
members point out as their school Action plan is showing they have not conducted any meeting so far after
PTC Training conducted MIED and they will start activities for school improvement as it is in their action
plan in September 2009 so as PTC Meetings. But after thorough discussion on need of conducting PTC
meetings with PTC members they agreed to start conducting meeting on monthly basis on 14th of every
month.
Then all PTC members were oriented on documentation and how to utilize and PTC fund, how to keep
financial record, meeting minutes record, PTC resolution methodology utilization of PTC fund and how to
set agenda before for every PTC meeting in detail.

Actual Results/ achievements: (out come of visit)

PG was successfully formed

Weakness / Area of Improvement/ Challenges

Due to school summer vacations PTC members as well as MIED team is facing problem in mobilizing and inviting
Parents for meetings.

What Actions Taken

It was jointly decided that at least 4 or 5 days earlier MIED Team need to inform both PTC members as well as
Parent group for conducting meeting or training purpose.

Conclusion:
The visits for formation of PG and conducting PTC were very successful in getting the set objectives. PG
was formed, PTC Meeting was conducting and all PTC members were oriented on how to conduct PTC
meeting and keep their documentation such as minutes and resolution as well as all PTC were oriented on
utilization of PTC fund in detail.
