Where is this spreadsheet used?


The spreadsheet is used by the head of
the ict department and potentially
other heads of department at trinity
high school.
What is the purpose of the
spreadsheet?

Describe tools and techniques used in


the spreadsheet.

The purpose it to organise and allocate


what teachers have what classes and
how many periods they teach. They do
it before the timetable is produced to
make sure the timetable will be
correct.

The spreadsheet uses conditional


formatting so if the difference equals 0
the cell will become green and if the
difference isnt 0 the cell stays white.
The Spreadsheet also uses a lot of
arithmetic formulas such a sum to
make the addition easy to write and
change. They also use subtraction
formulas to work out the difference.
The sum tool is used to workout out
how many lessons each class have
been assigned in the total column. In
the difference column the arithmetic
function is used to see if the amount of
assigned lessons in the total column
matches the column of the number of
lesson they are meant to have. If the
difference is not 0 the viewer will be
informed.

The functions such as sum allows the
head of department to input
information fast and precisely as the
formulas are easy to change as it
recalculates within a second and saves
time as you do not have to work it out
manually.

How can this feature improve accuracy


It improves accuracy as the formulas
do not permit mistakes .The formulas
constantly recalculate your result,
whenever the equation changes. This
makes the probability of a mistake
occurring less likely.

How can this feature improve usability

All the data is the same space making


it easier to locate but for a new user it
would be difficult but they would
understand it after some training. The
formulas are very easy to use and work
fast making the spreadsheet very
usable.

Education evaluation sheet

One of the strengths is that the spreadsheet uses a


variety of arithmetic formulas making it easier for users
to insert new information or existing information as it
recalculates within seconds. This makes the spreadsheet
more accurate. The spreadsheet is also presented in
bright colours and bold titles with all data in one section.
This helps the user allocate any data as it stands out to
them and is one place. The conditional formatting allows
people to see if there is any classes unattended for their
periods so they can allocate them a teacher.
One weakness is that it doesnt have a title for the
spreadsheet. This means it is hard to identify if you are
looking at the spreadsheet for the first time. Another
weakness is that the spreadsheet looks like it is only
designed for the head of the ict department as it is
organised to fit the purposes of the ict department .For
example what if another department such as maths is
assigned more lesson time the spreadsheet wouldnt be
suitable.
