Using PowerPoint
And Open Office

Why create presentations?

To run a presentation like this.... doesn't have to


be a lecture how about a sing song?
To create a slide show such as the ones you
get from friends... maybe do one instead of
your Christmas letter, create an online wedding
album?
Keep up with the kids maybe know something
that the grandkids don't!

Getting Started

Launch your presentation software

Err where is it ??

You may have an icon


on your desktop which
you can just click (your
desktop is always in the
background note that it
doesn't have a title bar) but

if not it will be found in


your programs you
may not think you have
it because it could be
inside the Microsoft
Office folder

If you don't have PowerPoint ..

There are many other presentation programs


The trend at the moment is for on-line hosting
but these rely on having an internet
connection to present your 'show'
A reliable non-internet program is 'Impress'
part of the Oracle OpenOffice system.
This ''PowerPoint'' show is actually run on
'Impress'!

Go to Google
or any other
search engine
& type in
OpenOffice.
Click on the
link to go to the
OpenOffice

the product if you
want to - it's easy
enough to
understand, if you
decide you want it
click the download

This page opens up
depending on the way
your system works a
dialogue box will pop up
asking if you really want
the download you click
'save' if you do

What you initially download is an installation file,
the program isn't magically on your computer just
because you've clicked 'save', and it can take a few
minutes to download depending on the speed of
your internet connection
Once it has finished
downloading you
need to find it and
unpack it check in
your downloads!

Unpack the File
Either double click on the
icon, or, preferably 'right
click' & click 'Open'
Depending on your
security set up you
will probably get a
dialogue box asking
you if you really mean
it!
Click 'Run'

Opening OpenOffice programs


The OpenOffice
Icon will be sat
on your
desktop, double
click or Rt click
& click open

This Window will open allowing you to choose which type of program
you wish to run, recent OpenOffice documents irrespective of type
are accessible by clicking the arrowhead Clicking on Presentation
opens 'Impress'

Building a Presentation
Both PowerPoint (PP) & Impress (I) provide an easy to follow 'wizard' to build the most
common slide show or presentations which of course are business orientated - so
you can use these to start with but to do something different it helps to know how to do
it yourself.

The Impress
Wizard is very
easy to use

Doing it yourself!
If you cancel the wizard your program will open in it's default New Presentation layout

You'll have noticed that they all have very similar appearances. The
window is split into different areas. It is very useful to know what
these different areas are called because then the 'Help' function can
actually be helpful!

Controlling your environment!

Every tool-bar can


be selected by
looking in the
'View' drop down
menu

In almost every
program that
works in a
windows
environment there
are only two 'fixed'
bars. The blue
'title bar' that tells
you what program
you are running
and the file you
have open & the
menu bar all
other panes and
tool-bars can be
loaded &
unloaded, initially
from the View
Menu

By accessing the 'View'


Menu you can go from this

Most of the panes and


toolbars can be moved
around as well

Whenever you see a little column of


dots like this one, you'll know you
can move the bar around if you
hover your cursor over it a 4 headed
arrow will appear and you can drag
and drop the tool bar wherever you
want

A single small
arrow head
indicates that
there are more
choices linked
to that particular
icon

A solid bar & arrow


head indicates a
drop down menu
linked to that
particular tool-bar
this allows you to
select the icons
shown
Chevrons appear when
more choices on that
toolbar are hidden
because of it's position

If you hover with your


cursor over any of the
icons a little label pops
up to remind you what
it does these are
called 'Tool Tips'
Some of the Tool Tips have a keyboard shortcut in
brackets using the shortcuts can be a useful way to
speed up creating your presentation. Other short cuts
are indicated by the Underlined letter in a Menu
Initially use the 'Alt' key on the keyboard to select the
menu bar (in PP 2007 they are called Key Tips).

Getting Started .. (at last!)


In OpenOffice, go to
File
on the menu bar,
then New
then Presentation
In PowerPoint 2003
it's similar File
Then New

In PowerPoint 2007
you click the
'Office Button' to
access the same
choices

common place people build their
presentations

Pane where you can
more quickly access
Design choices for your
presentation

At this point I am going to come out of the


Slide Show and look at the Impress
window to demonstrate the different areas
these are similar to PowerPoint 2003
3 To the left is the panel showing
thumbnails of all the slides in the
slide show with scoll bar to whizz
up and down

The tabs above give you access to the different 'views'


these are equivalent to the areas seen in the Normal
view of PowerPoint below

The notes view isn't visible by


default in Impulse but is easy
to access by clicking the tab ....
Click the tab...

Click the Notes tab......

The Handout Tab is a way of printing the slide show to


hand out to your audience it just includes the slides
not the presenters notes...
Lets go to the handout tab... but not for
long... because all it's really doing is
saying that handouts are possible you
do everything about printing handouts in
the 'Print' dialogue box
i.e. File Print Page Layout

In PP....

There is no obvious indication that you can do


handouts... but it is actually even easier if you
know how..

Go to File Print Preview

In the Print What? Menu pick the hand out type


you want to try and it will show a preview
before you print

This is the Outline tab

People who prepare


many presentations
often use this pane
the most it only
shows the text on
the slide but you
can type directly
into the outline tab
and it is easier to
see the full
narrative

The Task Pane

In Impress 5 Task Menus , PP 2003 has 6, it


has disappeared from PP 2007 but their
'Ribbons' presumably take over
Each of the Task Menus contains design
choices for your presentation the easiest way
to demonstrate them is to create a
presentation from scratch ... (not forgetting
to show you how to print screen)

Some extra tips

If you are running a


presentation from a
laptop there is an
extra consideration
the screen saver and
the power saver
functions!
Right click anywhere
on your desktop

click the Screen

drop down list
choose 'None'

How to 'Print Screen'

With the screen showing what you want to


copy simultaneously press the 'Ctrl' and
'Print Screen' keys on your keyboard

Go to the appropriate slide, Rt Click on the


area where you want the image and click
'Paste' (or use 'Ctrl V' or 'Edit -> Paste' )

Some Extra Tips

Cropping and resizing the image

Paste the image onto the slide.


If you simply want to re-size the image, with
the image active, hover your curser over a
corner until it turns into a double headed
arrow
remembering to keep
'Shift' pressed on the
keyboard to maintain
proportions drag the
image to the required
size

As soon as an Image is selected the Picture


Toolbar becomes active
If you need to Crop an image then

Select the image

Click on Crop in the toolbar

Using the 'handles' at the corners of the image


drag until only the required portion of the
image remains.

Apple Keynote considered state of the art & relatively cheap but
only available for Macs whole iWorks program $79

Coral Presentations found in the WordPerfect Office suite

Free Presentation Programs


Open Office Impress free with the OpenOffice.org suite
of programs, all of which are free, fully compatible with PowerPoint so
you can even import presentations you have previously made in
PowerPoint

SlideRocket the full package isn't free but the lite version with
most common functions is. This it totally web based product, if you go
for the paid version it is $24 a month ($240 a year).

Prezi another online presentation package not slides but a


single canvas from which you tell a story by zooming into specific
areas the more complex version is $59 a year but the basic is free

Acrobat.com Presentations -Anyone with an internet


connection can sign up for a free account, just need flash player 10
