Fallwood Board of Directors Meeting Minutes September 8, 2015 Attendees: Troy, Grant, Yvonne & Andrew w/AIO Review Action Items from last meeting. June water bill: Andrew will call and see if we can get a credit due to having to refill the pool. ‘Common fence: Would still like to get a group of people together to replace boards and paint in future phases. Troy will send out Email Troy needs to update handbook regarding roof shingles. Pool-house Pest Control - Andrew has quote on pest control. Team Pest USA: $300 a year or $75 a quarter. Board will consider. Baby Changing Tables were installed in both bathrooms at the pool-house. July Financials - Reviewed and accepted by all. RGS no longer mowing area by retention pond; only maintaining the shrubs in cul-de- sac. Andrew will ask for reduction in contract amount. Andrew said he will contact First Fence to try and schedule repair of common area fence by Grant’s house. ‘August Financials - Reviewed and accepted by all. 2016 Budget * Discussed drafting budget * Discussed proposed Social Committee budget ~ Shari Viletto, Social Committee Chair, attended meeting and discussed budget for 2016. Board will discuss and get back to her. Annual Meeting * Discussed date and time - November 19» 7PM ‘+ Discussed obtaining Burnt Hickory Church of Christ venue - Yvonne will secure venue. + Discussed draft agenda; Troy will revise for next meeting, + Discussed proposed change to Bylaws regarding Board member term limits. Decided not to propose a change at this time, Pool Closing — Ask Splash not to put away furniture until late October due to October 11" Breast Cancer Awareness Market. Breast Cancer Awareness Market: Breast Cancer Society Donation - Andrew suggested each vendor make a donation on their own rather than it coming from the HOA. TheSocial Committee should ask each vendor to show they made the donation in order to participate in the Market. Board denied Shari’s request to invite surrounding neighborhoods due to traffic and liability concerns. Fall Flowers - Troy and Christiane will do Fall flowers at entrance.
