EXTERNAL PARTNER SPACE AGREEMENT (EPSA)


PURPOSE AND BACKGROUND
Any time space is provided or shared with an outside organization, it is in Teach For
Americas (TFAs) best interest to execute an External Partner Space Agreement (EPSA).
Providing this framework for organizations to use our space ensures that we are in full
compliance with legal and financial regulations.
BENEFITS OF SPACE SHARING
Provide partner organizations with the space and/or amenities needed to fuel
their program.
Enhance collaboration and knowledge-share between like-minded organizations.
REQUEST POLICY
We will respond to requests within two business days. If you are requesting space within
fewer than two days we cannot guarantee an immediate response or space availability.
GOOD NEIGHBOR AND CANCELLATION POLICY
In the spirit of good partnership, adherence to all external partner space agreement
policies is expected. This includes, but is not limited to, returning the room to its original
condition (i.e. removal of trash) and returning technology equipment promptly. Partners
must notify TFA staff of cancellation or change of plans 48 hours in advance of the
scheduled event. Failure to do so will influence future decisions for space requests.

Use of conference room reserved during business hours (M-F: 9:00AM-5:00PM)

Keurig machine (external partner must supply their own K-Cups), coffee cups,
creamer & sugar
Projector (pending availability)
Maternity room (please provide advance notice)
Parking (first come, first served)

Checklist of External Partners Responsibilities


Pre-Event
Communicate equipment and technical needs to Teach For America at least (3)
business days prior to event to determine what Teach For America -- Greater
Philadelphia can and cannot supply.
Arrange to visit the Teach For America--Greater Philadelphia office, at least (1)
business day prior to the event, if a) you have not previously used the space or b)
have more than 10 people attending your event.
During the visit, please note: location of restrooms and trash room, room
setup (number of tables and chairs), and whiteboards.
TFA staff person is notified of any issues in the room
For catered events, Teach For America requires advance notice answering the
following questions:
Who is the point person? What is their cell phone number?
What time will the food be arriving?
Can we interrupt the meeting/event to allow caterer to set up?
Notify caterers that elevator access is not available for 4th floor events.
Provide guest list to Teach For America -- Greater Philadelphia at least (1)
business day prior to event, including organization affiliation.
For late arrivals, please assign a member of your staff to direct your
visitors to the reserved space.
Organization required to have point of contact present in lobby of building or at
reception desk to manage guest arrival and access to the space.
Inform your visitors that require parking of the following parking lots,
conveniently located close to Teach For America -- Greater Philadelphia:
South Parking Lot, adjacent to the building, located on Front St. & Jefferson
St., with entry on Jefferson St.
A secondary parking lot is located behind the building off of Howard St should
the South lot be full.
DO NOT use our street address (100 W. Oxford St.) in your GPS if you wish to
park in our lot. (It will take you a few blocks away.) For GPS purposes, the
closest street address to our lot is 115 W. Jefferson Street.
Post-Event
Food and drink breakdown and removal (includes removal of all leftover food
and/or beverage)
For all events, garbage must be removed from space and disposed of in the trash
bins. If there is an overflow of trash, please place the trash bags in the trash room
on the first floor.
Removal of all event items out of the space
Ensure the room is returned to its original condition:
Tables are wiped down with Clorox wipes (located in conference room)
Whiteboards are wiped clean
Chairs are pushed under tables
TFA staff person is notified of any issues in the room

Indemnification Form
Teach For America shall not be liable for, and Partner Organization,
______________________ (Partner Organization Name), waives all right of recovery
against Teach For America for any damage or claim with respect to any injury to
person or damage to or loss or destruction of any property of Partner Organization
due to any act, omission or occurrence in or about the Premises or the Building
during event on ___________ (Date). Without limitation of any other provision hereof,
Partner Organization agrees to indemnify, defend, protect and save Teach For
America harmless from and against all liability to third parties arising out of Partner
Organizations use of the Space or actions or omissions of Partner Organization, its
guests and invitees. Partner Organization further agrees that all property of Partner
Organization within or about the Space, the Premises or the Building shall be at the
sole risk of Partner Organization, and Teach For America shall not be responsible for
loss or theft.
Partner Organization hereby indemnifies and holds Teach For America and
Main Landlord harmless from any property damage or personal injury caused by
Partner Organization, its agents, employees, invitees or guests, including the costs
of defense from any claims arising therefrom.
