WELCOME to the Annual June Rittenhouse Square Fine Art Show now in its 89th year. Participating with you are some of
the best artists in the country and several talented art students from area universities and schools. All of us on the Board
congratulate you and hope you have a fantastic show.
The following is information you will need to know to help us keep the show running smoothly and make your show
experience an enjoyable one. Please read it carefully.
SHOW DATES: Friday, June 3 through Sunday, June 5, 2016
SHOW HOURS: Friday hours are 11:00 AM to 7:00 PM. Saturday hours are 11:00 AM to 7:00 PM and Sunday hours will be
11:00 AM to 5:00 PM. Early breakdown of booths will be unacceptable and could lead to expulsion from the show. For the
purpose of this show, bringing your vehicle to the curb early is considered breaking down early. If you have
extenuating circumstances, please make the Director, Steve Oliver, aware of your situation before you consider breaking
down your booth early.
EARLY SET UP: We will have early set up on Thursday night, June 2, after 6:30 PM. It must be stressed that you should
not arrive earlier than 6:30. Arriving before 6:30 is in violation with our permit and agreement with the City of Philadelphia
and Fairmount Park, and is considered a parking violation.
REGULAR HOURS OF SET UP: Friday, Saturday and Sunday hours of set up are between 7:30 AM and 11:00 AM each
day. Although some artists do set up earlier, Parking tickets may result if you set up before 7:30 AM. Should you get a
ticket, there will be nothing the RSFAA or anyone else can do about it, as our agreement with the city states specific set up
times.
FIRST DAY: Friday morning - Check in and pick up your information packet at the RSFAA table in the center of the
Square, between the hours of 9:00 AM and 11:00 AM.
BOOTH SPACE DESCRIPTION: All booth spaces are on a concrete sidewalk which surrounds the perimeter of the park,
with each booth space measuring no less than 10 x 10. Most spaces will share an additional 5 space, located between
every other space. This 5 space is to be shared by you and your neighbor and used as exhibit space or storage during the
show. Some end booths may not have this extra 5. Double booths are not available. All tents, canopies, display panels,
etc. must be free standing. Nothing can be tied off to the fences, trees, posts, etc. around the Square and no stakes can be
put in the ground. All booths and displays should be secured in place by weights. Expect medium to strong winds.
LOADING & UNLOADING: Loading and unloading are done by parking near your booth, next to the curb of the perimeter
sidewalk, which goes around the Square. No vehicles are permitted inside the Square at any time. Artists who are assigned
spaces at the corners of the park are required to pull up on the sidewalk for safety reasons. All others are forbidden to do so.
You are asked to unload and remove your vehicle prior to setting up your display. Being allowed to park on the street to
unload and load is a courtesy given by the Philadelphia Parking Authority and is only available from 7:30 to 10:45 AM. In the
evening, break down your display and then bring your vehicle to the curb for loading. No one should have a vehicle at the

curb before closing time each day. However, you should be packed up and ready to leave as soon as possible.
PARKING PLACARD: Parking placard are required and should be used while loading and unloading. This is available on
our website. Please print it out, write your name on it and be sure to display it on your dashboard, signifying to local police
and RSFAA staff you are with the show. Also, please use the provided orange traffic cones while loading and unloading.
They are for your safety.
SECURITY: RSFAA has contracted with the Philadelphia Police to provide off-duty police officers during the show. Each
night there will be 5 officers patrolling the park in addition to the regular on-duty officers assigned to the area. In addition, we
will have 4 more officers patrolling the park during the day. Display panels and canopies may remain up overnight. It is
suggested and advisable to remove your artwork from your booth each night to eliminate the risk of damage or theft. In all
cases, exhibitors will be responsible for their own space and property. Leaving anything in your space is done at the artists
discretion. RSFAA claims no responsibility. Security should be considered a deterrent and provides no guarantee that
damage, theft or vandalism will be prevented
WEATHER: The show will open rain or shine, and all artists are expected to have their booths open during all show hours.
Therefore, you should be prepared to protect yourself and your work in the event of rain or wind. We take this seriously and
non-compliance can result in exclusion from our shows for a minimum of 2 years. If the weather turns severe, the Board
reserves the right to close the show for safety reasons.
GENERAL RULES AND REGULATIONS: Below are rules and regulations to follow during the show. Please read each of
them carefully. Although they may seem insignificant, they must be taken seriously.
1. Artists MUST be present all three days of the Show from the opening to the closing. No commercial dealers, agents,
friends or relatives are permitted to represent the artist. The Show reserves the right to close down or remove any booth in
which the artist is not present.
2. Artists may NOT set-up their booth before 6:30 PM on Thursday evening.
3. All work must be the artists original work and all artwork must be available for sale.
4. Items can NOT be priced for less than $35.
5. Items or boxes can NOT be stored inside the park over the perimeter fence throughout the show.
6. No sticks, spikes or tent stakes can be driven into the ground.
7. There is no tying off to the fence.
8. All artists are responsible for picking up trash around their display area.
9. Electricity is not provided.
10. All booths must face the street, except booths in the corners of the park.
11. Displays must be professional in appearance.
12. Keep all extra boxes, supplies, extra work, etc. out of sight.
13. Booths must be set up and ready for business by 11:00 AM.
14. Artists are expected to be punctual and open for business on time.
15. Exhibitors may not display ribbons, awards or prizes received at previous shows.
16. Artists who misrepresent their work will be dismissed from the show and forfeit all fees.
17. Artists will be responsible for obtaining their own insurance if desired.
18. No artwork from molds, kits, or other commercial methods is allowed. Ready-made objects (i.e., clothing, furniture)
which have been embellished, painted, decorated, dyed, or batiked will not be accepted.
19. No offset reproductions of paintings, drawing, prints, photographs or any other media may be exhibited or sold
(including hand-colored offset reproductions).
20. No posters, postcards, t-shirts, books or personal merchandise can be sold at the show.
21. Artists who break down displays or depart before closing time on any day of the show will not be allowed to return the
following day or to future shows.
22. All artists are responsible for collecting and paying the State of Pennsylvania and City of Philadelphia Sales & Use Tax.
23. All artists are responsible for collecting and paying all pertinent taxes, including the City of Philadelphia Business
Income & Receipt Tax.
24. Artists are responsible for obtaining any permits needed to conduct business in Philadelphia.
25. No commission is paid to the Rittenhouse Square Fine Arts Association.
Any breach of the rules forfeits all rights of the artist and will result in immediate removal from the show without a refund.

REFUND POLICY: Artists who cancel 60 days prior to a show will receive a 75% refund of the booth fee. After this date,
refunds will only be considered if extenuating circumstances are presented in writing. These circumstances will be reviewed
by the Board of Directors and a decision will be made whether or not a refund will be given
ARTWORK: This is an originals only fine art show. Only original art created by the artist may be displayed and all work
must be for sale. All work must be the same quality as or better quality than the work accepted by the jury. No work may be
priced below $35.00.
No reproductions of any kind may be shown, displayed, sold or promoted at this event. Only original artwork is allowed.
Excluded work includes, but is not limited to: photography, calendars, note cards, digital or computer-generated art, posters,
books, or limited edition print reproductions.
No functional work of any kind may be shown, displayed or sold at this event. Excluded work includes, but is not limited to:
jewelry, t-shirts, clothing, hats, pottery, dishes, lamps or furniture.
REQUIRED TAXES & CITY LICENSE: As an exhibiting artist at the Rittenhouse, there are three major things you must do
to be compliant with Code of the City of Philadelphia and the Laws of the Commonwealth of Pennsylvania.
1. You must obtain a Business Privilege License. Anyone who engages in business activity for profit within the City of
Philadelphia must, before conducting such activity, register with the City through the Department of Revenue and obtain a
Business Privilege License. There is no charge for this. To register your business and obtain the license, you may visit the
Departments website at http://www.phila.gov/Revenue/businesses/Pages/RegisterBusiness.aspx. The link contains
instructions on how to register. The application is located under business account application. If you prefer, you may also
visit the Department in person Monday - Friday, 9 am to 4pm.
2. You must report all sales to the Department on its Trade Show Return within 30 days of the Show. A copy of the 2016
Trade Show Return can be obtained at https://alpha.phila.gov/media/20160122143257/2016-Business-Tax-Return-TradeShow-Vendors.pdf. All artists must pay a Net Profits Tax of 3.5% on all net profit (that is, sales of art minus all expenses
for travel, food, lodging etc.) earned during the show, unless you are formally incorporated as a business. If you do more
than one show in Philadelphia this year, figures from the second show must be combined with all prior shows from this year
on the Return; however, only the difference in tax between the current liability to the prior liability paid on the previous return
must be paid. If you make over $50,000 net profit during the year on total sales within the City limits, you will also be
required to pay a Business Income and Receipt Tax, and then only on net profit in excess of that amount.

Rittenhouse Square Fine Art Show.
3. All artists must collect and remit Sales Tax to the Commonwealth of Pennsylvania Department of Revenue at the
current rate of 8% (divided between State (6%) and city (2%)) To file a Sales Tax return with the Commonwealths
Department of Revenue, go online at http://www.etides.state.pa.us, or telephone at 717-787-1064
RESTROOM FACILITIES: There are a few businesses around the Square with facilities and many artists choose to take
advantage of these. Also, for your convenience, we suggest artists use the Art Alliance (off the southeast corner of the
Square) or the Ethical Society facilities (southwest corner of the Square). We have an arrangement with both of these
locations with specific times to be made available at a later date. Please be quiet and courteous when using these
facilities and wear your show name badge.
ACCOMMODATIONS - HOTELS: Hotels in the area around the Square are going to be fairly expensive by comparison to
motels outside the city. Some artists have been very successful acquiring good rates online through sites such as
Priceline.com, Orbitz.com, Expedia.com, Kayak.com, Trivago.com, Hotels.com, etc.. You may also look for rooms in
Essington, south of the city, off Route 95, just past the airport (15 minute drive). For the purpose of searching for a room
near the Square, use this location: 18th & Walnut Streets.

IN CASE OF AN EMERGENCY: If for any reason, something unexpected comes up and you will be delayed in your arrival,
either to set up or to exhibit any day of the show, please notify us by leaving a message at 610-299-1343. Also, if for any
reason, you are unable to exhibit this year, please let us know as soon as possible. There are artists waiting for an opening.

PARKING: For those artists new to the show who dont know where to park, the following website might be helpful. This site
shows all the parking lots and garages in the area around Rittenhouse Square.

Please Remember! This is a big city. If you have a large van, trailer or RV, you may have some difficulty finding a lot.
They are out there, but after you find one, you may have to walk several blocks back to the Square.
