Executive summary

We, the representative of the employees of Maxis Berhad would like to propose for a

cafe which located inside Maxis’s office at Kuala Lumpur City Centre (KLCC).

We would like to propose for a cafe as the management of Maxis is experiencing

certain problems. The first problem is the employees of Maxis are break too long. The next

problem is the price of food is expensive in other restaurant at Suria KLCC. Besides that, the

interactions between employees are limited.

The objectives of the project are to manage the worker to be more punctual, to give

an incentive to the workers and customers and to provide a place for the employees to

communicate with each other.

The significance of the projects is to motivate employees, to give an extra profit to the

company and to strengthen the bond between workers.

The basic procedures taken to prepare this proposal are to select a team committee,

call for a meeting, determine place, work out the budget for the project and open the tender

to manage the cafe.

The total budgeted cost for the project is RM 22,000 while the monthly expenses

basis is RM 3,000. It is include of the cost of construct the kitchen, painting cost, fixture and

fitting while the monthly expenses is include of utility bills and astro bills.

1.0 A proposal to set up a café

1.1 Maxis Berhad is a company listed on Bursa Saham Malaysia (KLSE) since 19

November 2009. Its main goal is to achieve more profit. By providing a café, it

will bring many benefits to the company in terms of productivity, strengthening

the bonds among employees and consumers.

1.2 The set up for this café is basically in the Maxis Centre Kuala Lumpur City

Centre (KLCC). The café will use a minor space in the Maxis Centre and it will

not be disturbance against the costumer service counter.


2.0 Problems Statement

2.1 The employees of Maxis taking break for too long

Time is important to be more productive and make the employees be

responsible with their work. The café will provide more benefits for the

employees in manage their time. Since the café are providing all kind of food

that they can find in other restaurant or food court in the Suria KLCC, so they

can save their time by having a break in the café.

2.2 The price of food is expensive in other restaurant at Suria KLCC

Becauseof KLCC is one of place that is visited by tourists, the prices of food

are more expensive. In that case, the café will provide the food with price that

more cheaper than other place in the area.

2.3 The interaction between employees are limited

Maxis provided a service to their costumers and there are many departments

in Maxis. Either the employees are in one roof, they do not much interact with

others. So, the café will help them to interact and communicate each other.
3.0 Objective of the project

3.1 To manage the worker to be more punctual.

Since the cafe is in the Maxis Centre, the employee will not take too long of

time to have lunch. Therefore, the employees will be more punctual to back to

their work.

3.2 To give an incentive to the worker and customer.

By having its own cafe, it give an incentive for the worker having their lower

price of the food. Besides, it will reduce the amount that they spend for their

expenses especially for the food they buy.

3.3 To provide a place for the employees communicate and work out each others.

The cafe will be a place for the employees to interact and communicate each

other eventhough they are from different department. Besides, the customer

also can go to the cafe while waiting for the services.


4.0 Significance of the project

4.1 To motivate employees.

In order to make the employee become punctual , the company will motivate

the employee by having a good time management. The staff would be able to

manage their time, punctual and improve their productivity.

4.2 Can give extra profit to the company

The cafe can also give extra profit to the company by offering the tender to the

local catering to handle the cafe. The lower price provided will attract more

customers to buy at the cafe. This is because the cafe can be used for the

customers and it is not only for the Maxis’ staff..

4.3 Strengten the bond between workers.

When there have an interaction and communication among employees, it will

not be any difficulties for them to manage the work. They can share the

problem and discuss each other to settle it together. Therefore, it will

strengthen the bond between them.


5.0 Procedure.

5.1 Select committee.

A committee is selected to set up the cafe. They are selected to ensure the

smooth running of the proposal. Human Resource department is chosen to

build the cafe.

5.2 Call for meeting.

Do a meeting for all team committee at Maxis Berhad to inform them about the

plan to build a cafe and the names of those who will represent their respective

departments. The representatives from each department agreed to meet

weekly to discuss more about the related issue.

5.3 Determine place.

A specific place in the company has been choosing. Its location is nearby the

information centre.
5.4 Work out the budget for the project.

Do a research to determine the costs for the project. The cost is allocated

according to its nature such as capital expenditure, fixture and fittings and also

monthly running exposures.

5.5 Open tender to manage the cafe.

The tender is open to any catering who is interested to manage the cafe. They

will be in charge of the preparing the meals and also cleaning,

6.1 Construction of cafe

The area in the Maxis Centre in Kuala Lumpur City Centre (KLCC) would be

having the Maxis café. The estimated construction cost of kitchen is

approximately RM11,000. It will include the renovation cost, painting cost and

cost of kitchen’s cabinet. After an intense survey, Suria Holdings Berhad is

chosen to construct the café. They were chosen based on the lowest bid for

the project.

6.2 Others

The total fixture and fittings is approximately RM7,000.

6.3 Monthly expenses

The total monthly expenses are expected to be RM3,000. It is include of Astro

bills and utility bills.


7.0 Duration

7.1 The pre-period

The presentation of the proposal to the board of directors is expected to be in

May and expected to be approved within 1 week. After the approval, it will

take approximately 6 weeks to construct the café.

7.2 The construction period

The construction period is expected finished in 3 weeks. It will have two parts

which are kitchen area and eat area.

7.3 The post period

After the construction, it will take 1 week to installing the fixtures and fittings.

Other than that, the tender would be open to any catering in 2 weeks. The

good catering and lower of cost would be chosen and they will manage the

café such as provide the meals and cleaning the café. The café is

approximately complete in the end of July 2010 and it would be operate in

early of August 2010.

7.4 The operation period

The café is expected open daily from 10.00am to 8.00pm. This would give the

opportunity to the maxis’ staff to having the cheap price of food, relaxing and

do not need to go outside during break hour.


8.0 Limitations

8.1 Difficult to get the person to manage the tender.

It is quite difficult to get the person who can manage to open the tender to any

catering. That person must at least have experienced with any catering that

would be manage the café.

8.2 Difficulty in getting the proposal to be approved.

The proposal may not be approved due two factors. Firstly is that proposal is

incur a high cost. Secondly, the employees would be always chat each other

until forget about their work.
