INTRODUCTION
Business Letters

When you write business letters, knowing your purpose and audience will help
determine what information to include. Writers need to consider both audience and
purpose in writing because the two elements affect writing significantly, and decisions
about one affect the other. For instance, the main purpose in advertising is to sell a
product. Advertisers seek the audience who is most likely to purchase a product. Once
they have identified this group [called the "target audience"], they can write their ads to
capture the attention of this audience. Hence, their purpose, which is to sell a product or
service, shapes what they write. Consider WHY you are writing.

As a business letter is a communication from one person to another, a letter must


convey a formal but courteous and positive tone. As you generally send business letters
to other professionals, always include a formal salutation and closing.

Generally, business letters follow a particular format, although your instructor or


company may require you to use alternative formats.

This manual has been compiled for intermediate students of English who wish to
maintain their skills in writing business letters. Students who want to use this manual
should have some basic knowledge of grammar and business vocabulary (e.g.
“Company to Company”).
The book has been designed to give practice of the main functional patterns used in
writing the most common forms of business letters, such as making enquiries and
replying to enquiries, placing orders, dealing with orders, making complaints, dealing
with complaints and writing letters of apology, and writing job applications.
