Setting up Resources
3 types of resources Work resources include the people and equipment needed to complete the tasks in a project. Cost resources represent a financial cost associated with a task that you need to account for. Examples include categories of expenses like travel, entertainment, and so on. Material resources are consumables that you use up as the project proceeds. For example, a construction project might need to track steel or concrete as it is used throughout the project.

Other type of categorization


Enterprise resources . An enterprise resource is a part of the list of resources for the whole organization; therefore, each of these resources can be shared across multiple projects. Typically, the list of enterprise resources is managed by an administrator and each project manager adds these resources to their projects as needed. Non-enterprise resources A non-enterprise resource, or local resource, is not a part of the list of resources for the whole organization. No other project manager can use your non-enterprise resources in their projects. Generic resources Generic resources are used to specify the staffing requirements for a project, such as carpenters and developers, or a team of resources.

From the View tab. In the Resource Views group, click Resource Sheet Add following data per resource

Right-click the resource name, and click Information. In the Resource Information dialog box, click the General tab, and then select the Generic check box Later, when you are ready to replace a generic resource with an enterprise resource who has the right skill set, you can use either the Resource Substitution Wizard.

Entering Cost Resource


A Cost Resources is a resources that don't depend on the amount of work on a task or the duration of a task, such as airfare or lodging A cost resource lets you apply a cost to a task by assigning a cost item like a capital expenditure on equipment, or variable costs such as airfare or lodging to that task. From the Resource Sheet - Select the Resource Type as Cost After the cost resource is assigned to a task, you can enter costs for the resource assignment by using the Task Usage view. Unlike work (Humans or Equipment) resources, cost resources cannot have a calendar applied to them

Entering Material Resource
Select the Type of the intended resource as Material on the Resource Sheet. Type a measurement-unit name in the Material field, such as lit (for liters), cu. m (for cubic meters), or ea (for each). Costs for Regular Material Resource
In the Std. Rate field, type a rate. From Costs tab on the Resource Information dialog You can enter more than one rate per material resource.

Fixed Price
A set cost for a task that remains constant regardless of the task duration or the work performed by a resource is known as fixed cost Fixed costs are assigned to a task and are useful for planning and capturing task cost that arise in addition to those arising from the assigned resources. Fixed costs are applied to a task, and not to a resource. Use Gantt Chart view, and Cost table In the Task Name field, select the task for which you want to enter a fixed cost. In the Fixed Cost field, type a cost value. You can also enter fixed costs for the entire project, which you might choose to do if you are interested only in overall project costs (and not in task-level costs), or if you want to add project overhead costs (such as the cost of utilities).
On the Format tab, in the Show/Hide group, select Project Summary Task. In the Task Name field, select the project summary task In the Fixed Cost field, type a cost for the project.

You can also fixed costs at milestone level or at summary task level

Assign Cost Resource to the Task
Work resource costs, such as a persons standard pay rate times the amount of work they perform on the task. Cost resource costs, which are a set dollar amount that you enter when assigning the cost resource to a task. The amount is not affected by changes in duration or any other schedule changes to the task, although you can edit the amount at any time. You can also see cumulative costs resulting from assigning the same cost resource to multiple tasks. Select the Task to which Cost resource needs to be assigned In the Assign Resources dialog box, select the Cost field for the certain cost resource you want to assign, and type desired dollar amount, and then click Assign.

Assign Material Resource to the Task


Material Resources can be Assigned in two varieties
Assign a fixed-unit quantity of the material resource to the task. Project will multiply the unit cost of this resource by the number of units assigned to determine the total cost. (Youll use this method in the following exercise.) Assign a variable-rate quantity of the material resource to the task. Project will adjust the quantity and cost of the resource as the tasks duration changes.

Setting Baseline

What is a baseline
To judge project performance properly, it is helpful to compare it with your original plan. This original plan is called the baseline plan, or just the baseline. A baseline is a collection of important values in a project plan such as the planned start dates, finish dates, and costs of the tasks, resources, and assignments.

You have developed the project plan as fully as possible You have not yet started entering actual values, such as a tasks percentage of completion

Different levels of tracking
1. Record project work as scheduled. This level works best if everything in the project occurs exactly as planned. 2. Record each tasks percentage of completion, either at precise values or at increments such as 25, 50, 75, or 100 percent. 3. Record the actual start, actual finish, actual work, and actual and remaining duration for each task or assignment. 4. Track assignment-level work by time period. This is the most detailed level of tracking. Here, you record actual work values per day, week, or other interval.

1. Tracking as Scheduled
The simplest approach to tracking progress is to report that the actual work is proceeding exactly as planned. When you record progress through a specific date, Project calculates actual duration, remaining duration, actual costs, and other values up to the date you entered On the Project tab, in the Status group, click Update Project

2. Entering a Tasks Completion %
After work has begun on a task, you can quickly record its progress as a percentage. Use the 0%, 25%, 50%, 75%, and 100% Complete buttons in the Schedule group of the Task tab. Enter any percentage value you want in the Update Tasks dialog box (on the Task tab, in the Schedule group, click the down arrow to the right of the Mark on Track, and then click Update Tasks)

Gantt Chart Formatting can be done in following 3 ways 1. Quickly apply predefined color combinations from the Gantt Chart Style group, which you can see on the Format tab when a Gantt Chart is displayed. 2. Apply highly customized formatting to Gantt bars in the Bar Styles dialog box, which you can open by clicking the Format tab when a Gantt chart is displayed, then, in the Bar Styles group, click Format, Bar Styles. In this case, the formatting changes you make to a particular type of Gantt bar (a summary task, for example) apply to all such Gantt bars in the Gantt chart. 3. Format individual Gantt bars directly. The direct formatting changes that you make have no effect on other bars in the Gantt chart. You can double-click a Gantt bar to view its formatting options, or, on the Format tab in the Bar Styles group, click Format, Bar.

1. On the Format tab, in the Gantt Chart Style group, click More to display the predefined color styles
The Gantt Chart styles are divided into two groups:
Scheduling Styles distinguish between manually and automatically scheduled tasks. Presentation Styles do not.

2. In the Task Name column, right-click the name of one task. On the mini-toolbar, click the arrow next to the Background Color button, and under Standard Colors, click yellow 3. Change Milestone list Symbol.
On the Format tab, in the Bar Styles group, click Format and then click Bar. In the Format Bar dialog box, under Start, click the Shape dropdown list.

4. On the Format tab, in the Format group, click Gridlines, and then click Gridlines. Under Lines to change, leave Gantt Rows selected, and in the Type box under Normal, select the small dashed line

Customize Timeline View
Timeline view is new in Project 2010. View Tab, Split View Group, Select Timeline. The Timeline view is best suited to display some tasks from the Gantt Chart view in a less complicated format. The Timeline view is especially well suited for conveying quick summaries of project plans Click anywhere in the Timeline view. Project shifts focus to the Timeline view, and displays the Timeline Tools on the Format tab. On the Format tab, in the Insert group, click Existing Tasks. The Add Tasks to Timeline dialog box appears
Select phase names and click OK.

Drawing on Gantt Chart

While Gantt Chart is selected view Format Tab / Drawing Group select a drawing tool. You can also link a drawn object to a
Gantt bar when the object is specific to the task that the Gantt bar represents. The object will move with the Gantt bar if the task is rescheduled. Date when the information the object refers to is datesensitive. The object will remain in the same position relative to the timescale no matter which part of the timescale is displayed. Examining Task Costs

On the View tab, in the Data group, click Tables and then click Cost. The Cost table appears in the Task Sheet view.
The current cost value is the sum of the actual (that is, completed) and remaining (uncompleted) cost values. The baseline cost value is the projects planned cost when its baseline was set. The actual cost is the cost thats been incurred so far. The remaining cost is the difference between the current cost and actual cost

On the View tab, in the Data group, click Outline and then click Outline Level 1 On the View tab, in the Data group, click the arrow next to Filter: and then click More Filters. In the More Filters dialog box, click Cost Over budget and then click Apply.
