Thesaurus Construction: INTEGRIS Print Advertising


Description of the collection: This is a collection of newspaper and magazine ads prepared by Ackerman McQueen (AM) for their clients, INTEGRIS Health and the INTEGRIS Heart Hospital. In the field, this is commonly called print advertising. These ads are written, built, and output at AM; for each ad there is commonly a text file, working files, and several final PDF files in different stages of production. The PDF files in this collection represent the final version of the ad. The files are stored on servers within the agency and all except the working files are available to anyone in AM to reference, although organization by job number has limitations for use. Materials are most often provided to the client and media in digital form. AM has been INTEGRIS advertising agency for almost 10 years. For most of those years INTEGRIS has had a very strong print advertising program, with several unique ads per week. These ads are prepared primarily for a general public audience, although a secondary audience is business and community leaders as seen by the advertising message content and media placement. The entire collection of print advertising from the last 10 years would provide the reader with a highly exhaustive portrait of the products, services, interests, achievements, and people of INTEGRIS. The print program is supplemented with television, radio, web, and outdoor advertising. The collection represents a small sample of the ads produced by AM, including of the major entities, physicians, and initiatives from the last couple of years. INTEGRIS is a complex health care system with multiple needs; they must promote the services, locations, and physicians using language that is accurate and easy to understand. Proper representation of the INTEGRIS entities is very important to this client and can create business difficulties if not handled properly. INTEGRIS operates 12 hospitals throughout Oklahoma, but the system of centers, institutes, and affiliations among INTEGRIS and outside entities is very large and can quickly become confusing even to individuals familiar with the organization. INTEGRIS brand identification standards are fairly strict, although some liberties are taken occasionally. Similarly, advertising featuring physicians reflects on them personally and they are very cautious about any ad in which they appear, from name spelling/punctuation to the photo image and all personal and professional or domain information.

Oden / LIS5413 / p. 3 Users: The primary users for this collection are Ackerman McQueen employees: writers, designers, photographers, project managers, content managers, broadcast editors and producers, account executives, media planners, traffic managers, proofreaders, and occasionally accounting managers. Secondary users for this collection are, indirectly, the INTEGRIS clients via queries to the agency when their own records are unable to provide relevant information. Information needs: The INTEGRIS print ads are the primary source of reference because of the care taken when creating them; terms and relationships are very carefully constructed in these ads and they effectively comprise an authority file. The types of questions are diverse, with varying levels of specificity and a high degree of exhaustivity. An indexing system applied to this collection would be expected to have a high degree of precision and recall in order to insure accuracy, save time, and reflect good stewardship of INTEGRIS investment as multiple departments and offices are working simultaneously. Which ads has Dr. (name) been in? Where was he practicing in that ad? He/she has moved to another facility and we need to ensure the next ad is correct. When we advertised X previously, what did we say about it? Would it need to be updated for future use? How have we referred to an entity, individual, or service in the past? How was that formatted? Do we have a photo of (person), (entity), (technology), (location), or (concept)? Is there one that would work in this new application? (Person) did not like their photo and have asked INTEGRIS to never use it again in any advertising; please select an alternate. What are the promotions we have done for (entity)? What are the latest ads weve done for the Centers of Excellence? Which entities include the website in their ads? How is it formatted? How have we treated the type and visual elements for (entity), and can they be used for video? (Entity) has changed their services and/or affiliations; we need to revise the ad accordingly. (Person) would like a copy of the ad for their personal records. Do we have releases on file for (persons) in (certain) ads?

Depth of indexing required: The domain of this collection is print ads for the INTEGRIS Health healthcare system. The scope includes INTEGRIS Health facilities and all

For this collection, a high level of exhaustivity will be required as most users will search for information in all these areas of the collection. A moderate level of specificity will suffice if attributes are indexed for key areas such as discipline, location/entity, condition, treatment, and broad concepts. Inclusion of a few attributes specific to each ad will aid precision and recall related to the types of questions noted above. Most users will not have a high degree of medical domain knowledge and will search for content based on the subjects as reflected in the ad text. When indexing the wider collection, however, additional translation may be necessary and the thesaurus would also be more exhaustive with respect to the domain. Appropriate controlled vocabularies: There are advertising and medicine thesauri available that could be used for indexing this collection. The University of Texas (UT) at Austins Advertising and Public Relations discipline has created a non-hierarchical Glossary of terms that can be helpful to understand and determine whether a term is unique to AM or INTEGRIS, or is generally understood within the field The U.S. National Library of Medicine, under the National Institutes of Health, has the very large and current hierarchical controlled vocabulary Medical Subject Headings, or MeSH. Both the UT and MeSH CVs are available online for free. Gale Advertising Thesaurus is paid, and neither it nor the broader volume, Gale Business Thesaurus, is found in OU Libraries. Gale Advertising Thesaurus is downloadable and contains relationships, but only 103 terms. The EBSCO, FirstSearch, and Ovid MEDLINE database at OU Libraries have good thesauri that would certainly work for this collection, but would be unavailable to AM for ongoing use. Overall, the MeSH thesaurus is a strong solution with a good provenance. See References. Decisions and Rationale: For this collection, the UT and MeSH were evaluated to be most useful for this collection. UTs terminology was reviewed against domain knowledge and experience, and it is highly accurate but not relational; this would be a good resource for new or experienced AM indexers to confirm terminology as needed but lack of term relationships makes it unhelpful in constructing the thesaurus. Also, the few advertising terms needed in the thesaurus for this collection are very standard within the industry. MeSH is a very strong CV option, but will be used primarily for reference and occasional inclusion in the thesaurus. The reason it is not needed as a primary source is that, through the creation of these ads, AM and INTEGRIS have already created an informal CV of terms that have been judged to fulfill both literary and user warrant, and represent most

Oden / LIS5413 / p. 5 relationships as the client wishes. Standardizing this informal CV would, however, aid both indexer and user confusion for terms that vary and change. Another reason why MeSH is not ideal as a primary driver for this thesaurus is because INTEGRIS is a complex health care system and it is difficult to know what services are provided at which locations, and which locations are affiliated with which entities. Additionally, the advertising weaves these messages together to maximize information linking for the reader. This is all extremely important to the client, and the ads must accurately represent these relationships. This results in the following set of decisions made while constructing this thesaurus and are shown below: 1. Although INTEGRIS Health is the metatopic and might not normally be indexed, the complex relationship of entity associations and partnerships makes this a useful element although it creates many BT/NT/RT relationships. 2. Ad content focuses primarily on five main elements: concept, condition, discipline, or then condition, then location. Therefore, hierarchical and associative relationships are structured similarly, shown as follows. All can vary somewhat but generally fit this outline. 3. Discipline is represented by USE (type of doctor) and UF (field of practice), since this is the primary means of reference in the text. Physician names are provided exactly as should be reproduced; Lastname, Firstname order would create an additional comma that has been carefully weeded out of usage and could create confusion. It is assumed that a Lastname search would recall the correct term.
