CHAPTER II REVIEW OF RELATED LITERATURE AND STUDIES

This chapter contains the researched review done by the proponents about the related ideas regarding the proposed system. It includes the differences and similarities found among other Computerized Enrollment System. This chapter constitutes more on the study of the System Literature Side. It also covers the related view and ideas presenting other enrollment system made possible by other proponents and programmers. To review encompasses the critical aspect of all enrollment system study. Foreign Studies The on-line student enrollment system by M.Smith (2005), enables students to enroll into their subjects prior to the commencement of their semesters. This enrollment system not only allows international students to enroll through internet without traveling tothe campus but also incorporate the business rules. These business rules cover a wide range of regulations and policy such as subject pre-requisite, students payment status, course coordinators decision and the correspondence of students seniority to the intended enrolling subjects. Besides business rules, the system also incorporates various notification mechanisms like Short Messaging Service (SMS) and E-mail. XML is used to store business rules and this allows the portability of the system interface to wider range of devices such as Personal Device Assistant (PDA). The interface auto-detects the users device either PC/laptop or much smaller screen device such as PDA. In short, the enrolment system backend engine runs based on the business rules and front-end engine runs to provide high satisfaction user experience. With the business and user interface, the system is able to run the workflow of the student enrolment from the online enrolment form to approval workflow cycle running in parallel with the notification capability. Edith Cowan University (ECU) is

currently enrolling more than 5, 000 new students, which has been made easier with its Oracle-based online enrolment system. This has allowed ECU to substantially re-design its business processes In the study Long Beach City College Switches On Enrollment System Kopf,by David. (2007), it was stated that Prior to installing the new system, LBCC, which has two main campuses and multiple satellites that support nine schools and 34 departments, handled its enrollment via manual spreadsheets. With no reporting, continuity, or standard practices, and with lengthy error corrections, the schools enrollment management budgeting and planning took up to three months to compile, consolidate, and implement. LBCC tapped e2e Analytic, which specializes in higher education, to design a web-based enrollment management system using Cognos Enterprise Planning software from Cognos Inc. (Ottawa, Ontario). They have a large number of part time courses and relatively few full times. KCC have had an online prospectus on their website linked into the student information system for some years now and were one of the first colleges to achieve this (initially using Dolphin and now UNIT-e). The system is called KIPS KCC Internet Prospectus System. All the course details are drawn directly from the student information system and displayed on the website. This minimizes work as the data only needs to be entered once and ensures that the course details advertised to students match the courses when they come to enroll.

In an online article entitled establishing an Electronic Enrollment System by Rothermel, et,al (2008) he stated that Electronic enrollment systems can provide employees with faster service and reduce the time that human resources managers spend on phone calls and billing issues. The system was designed to enhance the administration of health benefits, transmitting data more accurately, effectively and cost-efficiently through an electronic link between the plan and some employer clients.

It also gets the customers information into a nice nifty database for you to pull stats information and well as quick contact information from get into more advanced systems they include payment methods. On top of that with computerized enrollment systems you don't have to worry about not being able to read someones hand writing that alone mattering on the client base can be a blessing, And if your dealing with an older group of people systems can be built to quickly provide Large Text making it easier for them to read and fill out the enrollment forms. Thats just the upper edge. But any enrollment systems need to be review to make sure it will be an advantage to the businesses needs and not hinder it. One example is the enrollment process, from the traditional way to the computerized one. In our country today many universities and other educational institutions are using the one-step enrollment with the aid of computers or the so called computerized enrollment. Central Luzon State University for the first time adopts this kind of enrollment. Its first implementation was used for only three colleges; College of Agriculture, College of Engineering and the College of Business Administration and Accountancy. Through this implementation of hassle-free enrollment process, both the students and concerned employees are benefited because it is faster than the traditional process of enrollment. It is also more secured because it monitors all the fees that being collected. Bacala, Mariel Reano, et. al, in the study Online Enrollment System for Cavite Maritime Institute Dasmarias, Cavite,(2006) stated that the numerous transactions that the

manual system covers, such as updating and adding student records, generating the advising and assessment slips, and the like are commending the manual enrolment system to be inefficient for the needs of the institution. Edward Dela Pea, in the study of Computerize Enrollment System (2007), stated that to come up with the reality of this project, the proponents used some tools and techniques. RDBMS and Normalization are used to easily understand the relational model. The networking is used to transfer data from one computer to another. LAN (Local Area Network) as a networking topology for the successful connecting of the computers and transferring of data. The proponents also implement encryption/decryption for additional security of the system. The proponents use hardware, swiped card for fast retrieval of data or information of the students. Local Literature Ryan E. Gantalao, et. al, in their article Cadapan Proposes Departmental Enrollment System; Sojor Okays Implementation Next School Year,(2010) stated that to address the perennial problem in Negros Oriental State University (NORSU) during enrollment period, University Registrar Reymil Cadapan proposed to the university administration a departmental enrollment system wherein enrollment is done by college. Cadapan said that the departmental enrollment system will eliminate long queues of students during enrollment because they can go directly to their respective deans or course advisers for the advising of subjects. He said that the system will be decentralized to the different colleges and will make it faster for deans to evaluate students grades Local Enrolment Database system for the College of Nursing, Western Mindanao State University by Arnel Dizon (2006), looks at an enrollment database for college stores details of student, courses, year, and section. It may also be use as local assessment of the college of nursing for their college fees. The database is designed for use by staff and other authorized user in the college office to enable them to easily produce information required

by the different people in the college. This study will help the faculty and staffs of the College of Nursing of Western Mindanao State University make enrollment easy by help of the enrollment database system for the college of nursing the database system will make enrollment and collection of fees for the college of nursing easy and fast. Girly Ramos, in her study Automated Enrollment System(2009), stated that according to the chairperson of the department of information technology and systems, this enrollment system will push through on the 1stsemester of AY 2009-2010 according to source; the enrollment system will automatically get the students subject/section for hasslefree enrollment, this is for student without any pending back subject while for students with pending back subject, they still need to meet their department chairs/coordinator first for the advising of subjects before using the enrollment system.
