Abstract

The rise of technology is spreading in the recent years. In the field of education where students and teachers are involved, they are now finding information through the Internet. However, they still do not forget what the essence of a library is: a collection of books and non-books for researching and retrieval needs. Furthermore, the library is now coping up with the technology today, and this includes creating a computerized library system for the easiness of the operations of the library. In line with this, the proposed study sought to answer the questions: 1. What are the problems and difficulties do encounter by the user in managing their present system? 2. What are the problems do the personnel encountered by handling records and files? 3. What are the advantages of the proposed Computerized Library System compared to the present Library System? 4. How comparable the present system to proposed system in terms of the following: a. File Transaction b. Manage Data c. Produce Report d. Time and Effort 5. How would a computerized library system be beneficial to Colegio de San Francisco Javiers Library? 6. How to operate the system when it is already computerized? The systematic research method was implemented. The methods include the designing of the data flow, the existing and proposed systems; and most of all, the creation of an actual system using Microsoft Visual Basic 6.0 and Microsoft Access. The proposal argues that it would greatly save time and effort about recording of the daily transactions in the library such as searching, borrowing and returning of books, managing data, saving records, producing reports and computing of fines. Thus, reducing the errors to the filling of books, and most of all, reducing cost of having bulky information since all of the general functions of a library is in the scope of the proposed study. This paper describes design and implementation of the system which has characteristics of enhanced functions of computerized library system that helps the librarian, students, professional, other personnel in the institution.

Introduction
Books are a mans best friends. They give him company equally in times of happiness and in times of distress. They are one of the main sources of knowledge. The best place for easy access to books is a library. According to Wikipedia 2012, A library is a bunch of sources, resources, and services, and the structure in which it is housed; it is organized for use and maintained by a public body, an institution, or a private individual. In the more traditional sense, a library is a collection of books. It can mean the collection, the building or room that houses such a collection, or both. The term Library has itself acquired a secondary meaning; A collection of useful material for Library informs their users of what materials are available in their collections and how to access that information. It is a place where not only books but also magazines, journals and newspapers are well-stocked for the benefits of the readers. Besides this one can also get the entire atlas, encyclopedia, etc. to know even the minute detail of a thing, its a treasure-house of knowledge. It helps the spread of education. A reader can either read in the library or borrow the book of his choice and take it home. But it may contain thousands of books, and thus, management is a very tough job. The care should be taken for proper distribution of the resources. It should be managed in a manner so that its resources are used efficiently and conveniently. For this rules and rights should be provided to each user. Before the computer age, this was accomplished by the card catalog. A cabinet containing many drawers filled with index cards that identified the books and other materials. In a large library, the card catalog often filled a large room. The emergence of the Internet, however, has led to the adoption of electronic catalog databases (often referred to as web cats or as online public access catalogs, OPACs), which allow users to search the librarys holdings from any location with Internet access. This style of catalog maintenance is compatible with new types of libraries, such as digital libraries and distributed libraries. But nowadays technologies are grown faster for each reason, that is why mostly of the fields in community is adopting technology system for each purpose. Library system is one of the systems that we need in order to give a good service not just for students but for all the readers. A library become crowded to each population in the area, the more people there are a lot of readers, the more students there are a lot of research to be done. As a result, library is one of the schools priorities in terms of education and information. Developing this computerized library system will help take some of the work load off of the librarian and other staff members in the areas of acquisitions, cataloging and circulation, which in turn allows them to better in serving their patrons. This extra time can lead to more programs being facilitated in the library staff available to answer reference questions and help people who are having trouble researching or finding the right information. This proposed system is an offline access of library system or it doesnt need to have an internet or web connection to run the program. Here we have provided a full-fledged library system, which will change the conventional manual management with a computerized library management system. We have tried our best to provide efficient and convenient operations for librarian and users.

Definition of Terms
This will help you for better understanding: Librarian is the one who has the care or charge of a library. Computerized to enter, process, or store(data) in a computer or system of computers. Proposal is a suggestion of terms or things to be dealt with Manually is done with the hands by human labor, not automatic.

Library a considerable collection of books kept for use, and not as merchandise System is a group of elements that are integrated with the common purpose of achieving an object. Transaction is an agreement, communication or movement carried out between separate entities or objects, often involving the exchange of items of values, such as information, goods, services, and money. It is still a transaction if you exchange the goods at one time, and the money at another. Data is information in a form suitable for use with a computer. Report is a piece of information describing or an account of certain events given or presented to someone. Student ID card number is also the students library card number, and is needed to access most student services. Faculty ID card number is also the facultys library card number, and is needed to access most faculty services.

Literature Review
By exploitation of the computers in access and management of information, schools can now administer the librarys operational efficiencies and organizational effectiveness. The more informative system in libraries can efficiently aid the processing of knowledge by supplying the useful information. The computerized library system in schools is expected to lessen the burden on both librarian and students in searching for the appropriate books and information. Therefore, the new library system centers in the advantages in terms of accessing, retrieving, and sharing information most especially in a technologically oriented University environment (Shibanda, 2002). The integrated process of a computerized library system can keeps the track of all the books and periodicals and keeping the status updated. Apparently, there are user IDs and associated passwords to make an access in the system. This will keep all the information regarding the materials updated and monitored. The use of the computerized library system is a kind of technology that is popular in the developed countries. Perhaps, this is the right time for the developing countries to show any sign of development and progress even in the technological approach. A computerized library system among the universities is just a simple approach to change the approach of the schools in their one of most busy areas. Through the use of the necessary infrastructure and implementation of the process, the computerized library system can be effective. However, the country or the universities should answer the various challenges including the interactive connections (telephone and modem), the electricity problems, and the process of accessibility and privacy issues. In building the strengths among institutions, it is foremost important to address the issues that might affect the efficiency and effectiveness of the process. The idea of the computerized library system is supported with the interactive environment of the country. This will serve as an advantage of the country to implement and negotiate the movement towards the computerized library systems (David, 1996). In the Philippines, there are many schools that openly participated in the computerized library systems which add to their value of promoting the learning. However, it is obvious that most of the schools that managed this new system are private or semi-private institutions. The centralized reason that might contribute in this system is the large investments that the schools bound to provide. If all of the schools or universities in the country successfully provide the library computerization, there is a possibility to place the learning in a most accessible and easiest way.

Statements of the Problem


In this study, the proponents planned to propose a Computerized Library System to Colegio de San Francisco Javier. Specifically, it seeks to answers the following questions:

1. What are the problems and difficulties do encounter by the user in managing their present system? 2. What are the problems do the personnel encountered by handling records and files? 3. What are the advantages of the proposed Computerized Library System compared to the present Library System? 4. How comparable the present system to proposed system in terms of the following: e. File Transaction f. Manage Data g. Produce Report h. Time and Effort 5. How would a computerized library system be beneficial to Colegio de San Francisco Javiers Library? 6. How to operate the system when it is already computerized?

History of CSFJ Library


The municipality of Rizal was proud and so with the Rizalian residence with built of one private school in the municipality. The school was named as Colegio de san Francisco Javier formerly Xavier High School and was founded by Rev. Fr. Ubaldo Basoc on February 3, 1950. First course opened was only secondary course with first and secondary level. On April 1950 the permit was approved by the Bureau of Private Schools to start the operation on the following month July 1950. Xavier school was first managed by Nuns headed by Rev. Ma. Agatona Gomez with Sister Ma. Lorenza Abiliran, and Sister Ma. Margarita Quevada as requested by Rev. Fr. Basoc. The institution was an active catalyst in religious activities with Christian foundation to students and people from the community. After Rev. Fr. Basoc, it was followed by Msgr. Jose Maguiran who exerts effort for the expansion in its operation to include a higher education program to alleviate its income and access its services to the poor students in their tertiary and technical education. In the year 1988, new personality was imported to run the institution. He was Rev. Fr. Philip E. Alicayos as principal of the High School Department in addition to his job as parish priest. On the following year, 1989, through the effort of Dr. Jose G. Mante alumni of Xavier High School, received the permits from TESDA in the offering additional courses on tertiary level. Twelve years, 2001 new approval for the improvement of the institution, the CHED offering new courses. The progress was continued on the following years for it was added again with another courses offered. With the continued expansion of the school, also the facilities were empowered with the effort of selected personality. New building and program were built. One of the improvements of building facilities was the establishment of new Library with its latest facilities and instruction. The library before was located under CFCA Office, now a health care center. It was an old look type of library, having lightmaterials and old type books and tables. It was filled with deem light even day time, having small area which is not accessible with too many books and limited hall was for researchers. The library was managed by Mrs. Sheryl Bejec. In the year 2006, the old library was transferred at the upper building in registrar and accounting office along high school rooms. With the advent of latest facilities the library today was occupied by new textbooks and references that would help students to make their research fast and easier. New rules and regulations were promulgated to make the movements of students to flow smooth and organized. New wide tables and chairs were built that is needed for students. The ventilation is developed for comfortable used in the library. Also, the working student and staff member are empowered for them to render good services for the welfare of the library users. This was managed by the librarian Mrs. Elizabeth Caipang until present.
