A simple database tool for technical documentation

What it actually does?

It is basically a database to document brief solutions of technical problems faced during O&M

The person handled the problem might be not reachable for reference The problem might be slightly different but relevant from previous case The person handled the problem might have forgotten the solution ..

To avoid such things?

MS Excel A dedicated file with solutions can be maintained with different sheets. The file should be available in a shared drive

MS Word file Similar to Excel, a common file can be maintained

Individuals handling the problem document the solution locally. It might be decentralized

Notepad files with solutions and proper naming can be stored in a Common folder

Problems with such solutions


At end of day, the whole database is single file or folder There is possibility of losing any file or folder accidentally Nomenclature and classification of the files will be difficult for increased number of systems Difficult to retrieve a solution or set of solutions. Need to make windows search or view individual files

KB could be better solution

It is basically a database but in more professional way.

Search for any item will be available based on multiple options.

Front end will be GUI with several fields supported by powerful backend DB like SQl/Oracle

To facilitate all users, the access method could be web-based. An IP or perma link will direct to the GUI/DB

1st level classification Systems like core/radio/roaming. 2nd level classification Possible problem type under each system 3rd level classification Optional and can be used for additional details Problem Description Like a long sentence similar to Google search input Tags For easy reference of problem. Eg. GT/HLR/roaming.etc Attended / Documented For easy contact and additional details.

Further Developments

First the tool can be applied in one system. Based on the performance it can be extended to others also.
Greatly reducing the problem solving time it will serve as powerful and extensive database in future.

Weekly/Monthly/Yearly data mining will reveal max occurring problem type.


Based on performance reports, further possible problems can be predicted and averted.

Solution that has higher hit can be given higher priority in search results.
While planning for activities, previous instance of similar activities and problems can be referred.

This tool could be almost similar to Dexpert but with all solutions in database
