VACANCY AT FoNNaP ADMINISTRATIVE ASSISTANT Friends of Nairobi National Park (FoNNaP) is a non-profit making membership organization formed in 1995 and whose main objective is to influence opinions and decisions concerning activities and events which might have detrimental effects on the parks ecosystem, its biological diversity, its density of flora and fauna and its access routes for migration; and assist KWS in developing and implementing appropriate responses. FoNNaP is seeking to recruit a suitable person to fill the position of Administrative Assistant. TERMS OF REFERENCE Title of the Post: Duty Station: Duration of Assignment: FoNNaP Administrative Assistant Nairobi, Kenya 12 months (with a possibility of extension)

Duties and responsibilities The FoNNaP Administrative Assistant will be responsible for managing the FoNNaP office and providing administrative assistance in general for the FoNNaP Board, projects and operations. She/he will provide comprehensive secretarial and administrative support drafting correspondence, taking of minutes in Board and members meetings, and processing of government requirements,. The FoNNaP Administrative Assistant carries out his/her functions under the direct supervision of the Chair person of the Board and Chairs of any committees. Specifically, the incumbent will: Manage membership and keep up to date statistics, databases of memberships, process reminders, issue memberships; Maintain up to date website with relevant information, writing of blogs and coordinating content and contributions to the blog; Keep members informed through emails of any FoNNaP activities Maintain petty cash, receive cash, handle all accounting requirements including banking Be responsible for day-to-day project correspondence, information sharing and filing ensuring that appropriate follow-up actions are taken. Assist in preparing monthly reports, annual reports, and update projects or working group files. Prepare minutes of meetings. Prepare all documentation for contract issuance;

Organize monthly meetings ensuring that advertisements are ready on time; provide logistical support for speakers or for members on field trips. Collect and analyzes membership data, prepare and update the board with briefs, records and other documents as requested; Liaise with the Board and project counterparts on day-to-day implementation of project activities; Perform other duties as determined by the Chairman of the Board.

COMPETENCIES Professionalism - Knowledge of the FoNNaP. Demonstrated ability to manage a small office, maintain procedures, processes and maintain accurate records. Ability to work independently and to maintain flexibility in working hours. Planning and Organising Demonstrated effective organisational skills and ability to handle work in an efficient and timely manner. Demonstrated ability to coordinate tasks to meet deadlines. Teamwork Good interpersonal skills; ability to work in a multi-cultural, multi-ethnic environment with sensitivity and respect for diversity. Demonstrated ability to develop and maintain effective work relationships with counterparts. Communication Ability to write in a clear and concise manner and to communicate effectively orally. SKILLS AND QUALIFICATIONS Education Diploma or University degree in relevant field Work experience At least 2 years of administrative assistance experience, of which preferably; experience in providing assistance in project coordination and implementation. Language proficiency Fluency in written and spoken English, Kiswahili or Maa an advantage. Other skills Computer literacy (Microsoft Office, wordpress blogs, Internet) is essential; Familiarity with basic financial procedures.
