Characteristics of Custom Fields

Custom fields:
Can be used in reports, analyses, search,Auditing and managed lists Cannot be seen or used until they are explicitly added to a custom page layout Do not appear on related information sections below detail pages Cannot be deleted; however, they can be reused, or they can be omitted from any layout The field type cannot be changed. Must be manually translated into other languages
Note: You must edit an existing page layout or create a new one for each role that needs to view or use any custom field. Record Types: Note: Renamed record types appear with their original default names (not with the new display names) in reports, Email Integration On Demand, PIM Sync On Demand, Help Pages

Search Layouts
Each role can have a different search layout. Specifies up to seven fields to appear in the Search box in the Action bar

Specifies up to nine columns to appear on the Lookup window and the Search Layout list The total number of fields allowed with the fields listed in the Additional Search Results Fields list is 20

Products
Are linked to opportunity, account, or contact records in order to track the products and services your customers are considering

Assets
Are linked to account records to keep track of products and services that customers have already purchased

Products
Uncheck the Orderable check box in order to:
Prevent users from adding this product to new opportunities Prevent users from adding this product as assets to accounts
Note: You cannot delete products from the product list.

The Product Revenue page describes the relationship between a product and a specific opportunity Use the Product and Asset Field Setup pages to make changes to fields displayed on the Product Revenue and Account Asset pages.

Workflow?
Workflow is: A set of automated actions that are performed when certain conditions are met A process that helps companies consistently manage certain work actions Siebel CRM On Demand allows you to use workflow rules to automatically: Send email notifications Create tasks Assign records to books of business Create an integration event Update Records

Manager Visibility Do?


Gives managers access to: Records owned by their subordinates Access levels are specified by the managers owner access profile. Records shared to their subordinates Access levels are specified through team record-sharing.

Role Assignment and Manager Visibility


Roles and manager visibility work together to determine the level of access that managers have to records.
Default access level: Applies to all records not owned by the manager or his or her subordinates. Owner access level: Applies to all records owned by the manager or his or her subordinates.

What Is Book of Business?

A way to segment and share records across complex organizational units


A hierarchy of books is set up to: Allow segmentation of records based on business drivers such as territory, industry, and product Give individual users the appropriate levels of access to all or part of a book hierarchy Companies can define multiple book hierarchies (books of business). Users can have access to one book hierarchy or to several, all, or none of the book hierarchies.
To use the indexed fields: Relabel the fields Add picklist values ( for picklist fields ) Add the fields to appropriate page layouts

Customize Audit Trails


You can specify which fields are audited for the audit trail for opportunity, Service Request, and Funds and Fund Request Records The total number of fields that can be audited is listed on the Audit Field Setup Page. All fields for the record type can be audited, including custom fields.

When the value is changed in an audited field, the following information is recorded in the Audit Trail When the change was made. Who made the change. The old and the new value.

Add fields to the Audited Fields Box.

Custom Objects (Record Types)


Use up to three custom objects to track information that is very specific to your business

Are available to be linked to other record types, such as account Have their own tabs and homepages. Appear in the create box and search list in the action bar. Are available for custom lists.

Consider these limitations before using custom objects

Cannot be used in reports and analysis. Homepages cannot be customized. Cannot contain the country-specific address fields. Web Services are available for only the first two Custom Objects.
