PHASE I Introduction Modernization is an inevitable phase of the development of the world.

Numerous business processes has started to adapt the benefits brought by the wide applications of information systems. An Information System is a business application in the computer. It is made up of the database, application programs and manual and machine procedures. It also encompasses the computer systems that do the processing. The fundamental back-end of information systems are centralized databases. The database stores the subjects of the business (master files) and its activities (transaction files). The application programs provide the data entry, updating, query and report processing. One of the organizations which need the development of a database system is the records section of STI College Global City. 1.1 Background of the Study It all started when four visionaries conceptualized setting up a training center to fill very specific manpower needs. It was in the early 80s when Augusto C. Lagman, Herman T. Gamboa, Benjamin A. Santos, and Edgar H. Sarte four entrepreneurs came together to set up Systems Technology Institute (STI), a training center that delivers basic programming education to professionals and students who want to learn this new skill.

Systems Technology Institutes name came from countless brainstorming sessions among the founders, perhaps from Sartes penchant for three-letter acronyms from the companies he managed at the time. The first two schools were inaugurated in August 21, 1983 in Buendia, Makati and in Espaa, Manila, and offered basic computer programming courses. With a unique and superior product on their hands, it was not difficult to expand the franchise through the founders business contacts. A year after the first two schools opened, the franchise grew to include STI Binondo, Cubao, and Taft. A unique value proposition spelled the difference for the STI brand then: First Well Teach You, Then Well Hire You. Through its unique Guaranteed Hire Program (GHP), all qualified graduates were offered jobs by one of the founders companies, or through their contacts in the industry. The schools 1st batch of graduates, all 11 of them, were hired by Systems Resources Incorporated. And through GHP, more qualified STI graduates found themselves working in their field of interest straight out of school. No one among the four founders imagined that the Systems Technology Institute would become a college, or would grow to have over 100 schools across the country. But it did, all because of its unique value proposition, the synergy between the founders and their personnel, and the managements faithfulness to quality. A long way since its birth, STIs thrust has permeated right into the core of the globally competitive market it has transcended beyond ICT and beyond education, addressing the need for job-ready graduates. Record section is one of the departments of the institutions which experiences difficulties with their manual process. Thus, automation of the process is indeed a necessity. Record section is responsible in maintaining the academic records of the students. Individual student records are

compiled in a student jacket. Moreover, it caters request of credentials of both students and alumni of the institution.

1.2 Project Business Rules The Record Section runs from 9 oclock in the morning until 6 oclock in the evening. This department is administrated by 6 employees that consist of one Head Registrar, three Associate Registrars, one Liason Officer and a Record Officer. There is different process that is being done inside the Record Section. One of it is handling the transcript of records and form 137(for new enrollees) depending upon process if the TOR was about to be given by a new enrollee or a transferee student for enrollment requirements or a student requesting for dismissal (transferring purposes). For a student whos about to pass the given requirements requested by STI for enrollment, Records Section will check if the TOR given by a student is valid or not. A valid TOR is being identified by its seal from previous school and a remark that certifies that it was a copy for STI. There are different types of remarks being use for TOR, three of the most are Copy for (School that request TOR), For employment, and For Evaluation. If the purpose of TOR is for enrollment then a Copy for (School requesting TOR) remarked TOR is valid for this purpose.

For a student requesting their TOR for dismissal, an Associate register will ask what the purpose of requesting their TOR is, then the student was about to pay 200 PHP for the acquisition of transcript of record that consist of three pages only. Then 100 PHP was added for the succeeding pages (if necessary). Upon payment, the process and releasing of TOR will last about 15 working Days for the preparation of the TOR due to the abundant number of students requesting for their records etc. Another is maintenance and keeping of scholastic records. This process contains the updating of record information, checking and keeping of recent documents stored inside the department. For example, if the student migrates from other house, the record of his address in the record section will be updated. The other process being held inside the Record section is the Confirmation, Verification and authentication of credentials from previous school of the students. This includes the sealing of documents that certifies the validity of the credentials.
