Abstract The Online Information and ordering System for Pacla Hydraulic House is primarily designed to lessen the consumption of time and effort spent on the part of the customers and employees. This will increase the number of customers improve order accuracy and have a lucrative business. But before the development and design of the proposed system, the proponents had chosen a methodology as a basis in developing the proposed system. The proponents used 4th Generation Technique or 4GT. During the first stage, the proponents used different methods in generating data such as interview, observation and survey. During the next stage - On design strategy, the proponents created Context Flow Diagram (CFD), Data Flow Diagram (DFD), Entity Relationship Diagram (ERD) and Hierarchical Input Process Output Chart (HIPO Chart) to show the flow and process of the transaction in Pacla Hydraulic House and to illustrate how the database is being normalized as well as the relationship of the tables to each other through the use of the graphical design. On the third stage, the proponents had implemented the technical specification of the proposed system using 4GL. Lastly, the testing phase focuses more on testing the overall performance of the proposed on-line system to Pacla Hydraulic House to identify if the system meets the requirements in terms of inputs and outputs. The host company will benefit a lot in the completion of the system. In line with this, an employee would not be preparing reports manually or even retrieving it anymore. Customers can freely inquire about the products and services offered by Pacla Hydraulic House. Through this, Pacla Hydraulic House will no longer use a manual system but a computerize one. In addition, it will expand its market globally at reach a large number of people.

Preface Pacla Hydraulic House specializes in all kinds of hydraulic and industrial hose, hydraulic fittings, fluid power piping system and components, power steering, quick coupler, o-rings and hydraulic oil and greases. With the wide range of experience on marine and industrial companies and engineering projects, Pacla Hydraulic House was established to facilitate the present demand in technological works. However, the hydraulic company is having difficulties in entertaining all their customers due to the slow-processing transaction caused by the manual system. To avoid this problem in the near future, the system developers had designed and developed an on-line information and ordering system for Pacla Hydraulic House. This five-chapter documentation contains various explanations and discussion of the proposed system. Chapter 1 Introduces the general problem that the proposed system addresses as well as the importance of accomplishing the on-line system. This also states the current state of technology, the specific ends or objectives of the proposed system, the scope and the limitation. Chapter 2 It contains the correlation of the different theories applied by the proponents. Chapter 3 Contains an explanation on how the system is put together, through the use of graphical design tools like Context Flow Diagram, Data Flow Diagram (DFD), Entity Relationship Diagram (ERD) and Hierarchical Input Process Output Chart (HIPO). Chapter 4 The performance Analysis, describes the experiment conducted in analyzing the performance of the proposed system base from the parameter indicated on the survey forms. Chapter 5 Concludes the overall on-line system, the output of the performance analysis and recommendations.

The proponents developed an on-line information and ordering system for Pacla Hydraulic House. In addition to this, the system will offer on-line ordering of items. An on-line ordering catalog will be likewise provided to display the products and it will have a request for quotation. The system will also feature a search engine module for easy browsing and locating specific products. Shopping cart software will be added in the system to assist customers in making on-line purchases and an inventory management will as well be implemented for easy and fast monitoring and updating of Pacla Hydraulic Houses items. With the use of the system, customers will no longer consume a lot of time and effort take in placing orders than the usual way of ordering. The system will help the employees prepare required reports for the management as well. The firm will expand its sales, marketing and will provide a faster and more accurate processing of transaction, such as advertising the products and ordering in an organized manner.

Chapter 1

INTRODUCTION

The World Wide Web (commonly shortened as web) is a system of interlinked hypertext documents accessed via the Internet. With a web browser, user views web pages that may contain text, images, videos, and other multimedia and navigates between them using hyperlinks [WIKI2008]. The Internet, sometimes called the Information Superhighway, is a worldwide, publicly accessible series of interconnected computer networks that transmit data by packet switching using the standard Internet Protocol (IP). It is network of networks that consists of millions of smaller domestic, academic, business, and government networks, which carries various information and services together, such as electronic mail, on-line chat, file transfer, and the interlinked web pages and other resources of the World Wide Web (WWW) [WIKI2008]. An Information System (IS) is the system of persons, data records and activities which process the data and information in a given organization, including manual processes or automated processes. Usually the term is used erroneously as a synonym for computer-based information systems, which is only the Information technologies component of an Information System [WIKI2008]. Electronic commerce is the paperless exchange of business information using electronic data interchange (EDI), e-mail, electronic bulletin boards, fax transmissions, and electronic funds transfer. It refers to Internet shopping, on-line stock and bond transactions, the downloading and selling of soft merchandise (software, documents, graphics, music, etc.), and business-to-business transactions [BUSI2008].

On-line ordering services are websites that features interactive menus allowing customers to place orders with local host. Much like ordering consumer goods on-line, any of these allow customers to keep accounts with them in order to make frequent ordering convenient. On-line ordering system will give the customers the availability to place orders on-line, as well as view and print your entire menu 24 hours a day, 365 days a year [WIKI2008]. A Transaction Processing System (TPS) is a type of information system. Which collects, stores, modifies, and retrieves the transactions of an organization. A transaction is an event that generates or modifies data that is eventually stored in an information system [WIKI2008]. A website with an on-line ordering system includes the distributing, buying, selling, marketing, and servicing of items. Through the use of on-line ordering, the company may expand its market, sales and services to their customer and will also make the transactions faster and more accurate. The Pacla Hydraulic House (PHH), a sole proprietorship owned and managed by Capt. Conrado T. Pacla, was organized and began its operation on December 1995. With a wide array of experience on Marine and Industrial Companies and Engineering Projects, PHH was established to support the present demand in technological works. The present technology in the fields of hydraulic system, as well as in the range of industrial plants and other machineries, uses hoses.

1.1 Statement of the Problem How will the proponents design, develop and implement an On-line Information and Ordering System for Pacla Hydraulic House in order to computerized its current business system? The Pacla Hydraulic House offers their customers a network of six (6) commercial offices located in the City of San Fernando, which serves as its main office. The other offices include Balanga City, Guiguinto Bulacan, Angeles City, Tarlac City, and Olongapo City. An efficient logistic and technical service is also assured through the brand hoses and the fittings which are used. These hoses and fittings are imported with brands made in U.S.A, Japan, Italy and Germany which are certified with either International Standard Organization (ISO) 9001 or ISO 9002, giving further evidence of the hydraulic group attention to quality. In addition, the high performance level of these products is also confirmed by certifications received from some of the most important original equipment manufacturers and type approvals for mining, naval and military applications (Germanischer Lloyd, Det Norske Veritas, Bureau Veritas, etc.) Currently, the company depends only on walk in customers and phone calls orders, sometimes the sales representative goes to their clients to get orders and introduce to them the new items the company sells. They use MS Excel for the template of invoice and receipt. They monitor the orders and the product sold by using a piece of paper or a log book in listing products. An on-line ordering system for Pacla Hydraulic House will be designed in order to expand its marketing. This system can be used to purchase fabrication of all

kinds of high pressure hydraulic assembly hoses, industrial hoses, fluid power piping system and components, hydraulic fittings and make frequent ordering convenient. User friendly index and search functions are provided to locate products quickly. Orders can be placed anytime twenty four hours a day, seven days a week. Sales representatives are responsible for promoting or introducing their products to different clients. The sales representative personally goes to clients, like corporations and constructions corporation firms, to be able to introduce or discuss the products. This system consumes a lot of time and effort for the company especially on the part of sales representative because they need to discuss every product and its information and sometimes there are clients who are not interested with the product being offered. The use of the current system takes a lot of time and effort in terms of ordering. Some customers personally visit the company or they place orders over the phone. An employee lists down orders and products sold by using a piece of paper or a log book. The company has various items. Because of this, there would be lots of records to manage. An employee consumes a lot of time and effort because they need to count the stock manually then store the records in a file cabinet. There is a possibility to commit and encounter errors using manual counting. It takes a lot of time and effort to search for specific products that are stored in the file cabinets. If a customer wants to look for a particular product, he must personally ask an employee of the company. The current system does not have an efficient database to store all information about the products.

Companys representatives consume a lot of time and effort in making different kinds of reports like Sales Reports, Inventory Reports, Order Reports, BackOrder Reports, Delivery Reports, Adjustments Reports, and Stock Reports. All of these reports could tell the status of the products and the transactions made by both the company to their supplier and the customers to the company, as well as the standing of the company. The current system does not have a security module to secure the important files stored in computer and file cabinet. Alteration and tampering of records without the consent of the management could happen, since those computers and filing cabinets are accessible to anyone. 1.2 Current State of the Technology Pacla Hydraulic House specializes and services all kinds of hydraulic and industrial hose, hydraulic fittings, fluid power piping system and components, power steering, quick coupler, o-ring and hydraulic oil. It promotes and advertises items by having their representatives visit different corporations and construction companies in their areas of concern, referrals, and/or word of mouth. They also visit or call the companies to take orders. The company accepts cash or checks only. Once the order is approved, it is then delivered to the customer or the customer personally picks up the ordered items. In the event that a customer wants to cancel, return or exchange his orders, he may do this either through phone call or via sales representative. Other customers personally visit the office of Pacla Hydraulic House to do those transactions. One of the three copies of the invoice receipt will be left to the customer, and then the two will remain to the company for record keeping purposes.

The inventory clerk manually counts the incoming and outgoing products daily. After counting the products, the representative will list down all the number of products sold and backed in a piece of paper. The company uses logbook or any paper of its form to record it. The cashier will input the data into the computer using MS Excel, make a hard copy of the inventory and store it into the file cabinet. The current trend of on-line ordering system gives complete details and records for the items; it provides good advertisement and marketing. With its convenient way of ordering with efficient inventory, it also shows item features. The proponents had searched for any existing system which is similar to what the proponents intend to design, develop, and implement. They had discussed the features of those existing system being used by various firms and the features the proponents intend to incorporate or even to improve on their proposed web application. Alfagomma has the usual Homepage which includes navigational menus like home, companys history, contact us, products and catalogues. Their product catalogue can be browsed on the web, wherein you can browse their whole product range, selecting the section you are interested in and visualizing the product datasheet. Part of the catalogue sections you will find the request for quotation wherein you can browse the product by clicking on the item code. Fill out the pop-up form that will appear with the information and they will be glad to answer it as soon as possible [PIXE2003]. M Tech Supply provides fabricating equipment for people who demand quality at an affordable price. It has this shopping cart to assist people making

Browse the part you need, search for the part and place the customer order on their website [TRUC2008]. The proponents intend to develop an on-line information and ordering system for Pacla Hydraulic House. The proposed system will offer on-line ordering of items. An on-line ordering catalog will be provided to display the products and it will have a request for quotation similar to what Alfagomma and Truck Trailer Parts and On-line Superstore have. The proposed system will also feature a search engine module for easy browsing and locating specific products. Shopping cart software, like on M Tech Supply, will be added in the proposed system to assist customers in making online purchases and an inventory management will as well be implemented for easy monitoring and updating the items of Pacla Hydraulic House. With the use of the proposed web application, customers will take lesser the time and effort in placing orders than the usual way of ordering. The system will help the employees prepare required reports for the management as well. The company will expand their sales, marketing and will provide a faster and more accurate processing of transaction, such as advertising the products and ordering in an organized manner.

1.3 Objectives 1.3.1 General Objective To design, develop and implement an On-line Information and Ordering system for Pacla Hydraulic House in order to computerized its current business system. The proponents aim to develop a website that allows on-line ordering of items and design an inventory management for monitoring and updating the inventory items of Pacla Hydraulic House to lessen the consumption of time and effort spent on the part of the customers, employees and owner in doing the said business processes. The company will increase the number of customers due to the on-line information and ordering of items. It will have a profitable business. Also, it will give the company and the customer an on-line advertisement which would attract more customers. The system will be convenient and efficient to the customers and employees who will use the system because there are some features which will provide the information automatically. It will provide an easier way of ordering, cancelling, and inquiring as well. 1.3.2 Specific Objectives To design, develop and implement an on-line catalog that will display the information of the products of Pacla Hydraulic House. The proponents will develop a system that will have an on-line catalog for advertising the products. The customers can view the list of items offered by the company. The said system also provides sufficient

information about the items of Pacla Hydraulic House. This is for the benefit of the representatives because they no longer need to go to the clients to promote and discuss the items. To design, develop and implement an on-line ordering module that will allow their customers to place their orders. The proponents will develop a system that includes an on-line ordering module. This will allow the users to perform the ordering process on-line that will lessen the time of the transaction. The process will also be convenient for the client because they could choose from the list of catalogues and make order anytime and anywhere using his computer. To implement an inventory management that will easily monitor and update products. The proponents will develop a database for different item files such as description and information of the items, customer information, orders and inventory references. This system will organize those records/files through the computer and would give more convenience for the said person. It would also monitor the availability of the products to avoid out-of-stock as well as over-stock items. To design, develop and implement a search module that will efficiently locate specific products. The system will provide a search module for easy searching of products without consuming a lot of time and effort for the clients. Both the back-end and the front-end have its own searching module.

To design, develop and implement a module that will generate faster, more reliable and timely reports. The generation of faster, more reliable and timely reports made by the company will be provided on this module. It will generate a report using the information on the transactions made by the company and customers that are stored in the database. To design, develop and implement a security module that will secure the file and prevent the access of the unauthorized personnel. The system will provide a security module by using different levels of access to prevent the access of the unauthorized personnel. Only authorized personnel can access confidential records. This is to ensure that all records will be secured. 1.3.3 Scope and Limitations The proposed system for Pacla Hydraulic House will cover the following for the front end and back end: Scope Front end o On-line Ordering Module This module will be used by the customer in placing an order. Now, even beyond normal working hours, a customer can place an order, or even outside the business firm, they can transact. This helps to speed up the transaction between the customer and the company and lessens errors of

orders details. Orders then will be more well-organized and well-detailed. This will save time, money, and effort in the part of the customer. o On-line Products Catalogues The website will provide two (2) catalogues, direct ordering and request for quotation, which contains the list of products price and its description. The direct ordering catalog contains products which has a fix price. The second catalog will contain products that are subject for quotation, such as hoses and fittings with service. o On-line Customer Registration It will have a registration form that the customers must fill out information about them. o Shopping Cart Shopping cart software is software used in e-commerce to assist people making purchases on-line. It allows on-line shopping customers to place items in the cart [WIKI2008]. o Approval/Disapproval of Orders Upon submission of the ordered items, a customer may know if his transaction is approve or disapprove based on the terms and conditions being implemented by the company. o Cancellation of orders This is where a customer can cancel his orders on the site or through on-line.

o Forms of payment The company accepts check or cash on delivery (COD) only. o E-consultation module This is where a customer can raise his/her questions which are not listed in Frequently Asked Questions (FAQs). This is also where a customer can post their suggestions or comments about the company and services it offers. o Frequently Asked Questions (FAQs) This refers to listed questions and answers. Customers can view answers on their questions here. o Company profile This contains the companys background, policies, terms and conditions and how to reach them. o Contact us This is where a customer can find the contact numbers of the company if they want to ask questions personally. Back-End o File maintenance Product Master List This contains information about the products, its description, price, manufacturer and other related information.

Customers This contains related and personal information about the customers such as the names, address, and company name, contact number. Suppliers This contains related information about the suppliers such as the company address, company name and contact number. Category and Product Brand Products are categorized. This is where updates about a particular category can be done. Frequently Asked Questions (FAQs) This lists down the frequently asked questions of the customers regarding the products and services being rendered by the company. o Inventory Management This system will provide this module to update and monitor the products availability as well as the incoming and outgoing products of the company. o Transactions Order Transaction Purchase Order Transaction Back Order Transaction Cancelled Order Transaction Return and Exchange Transaction

Archive This module is used in retrieving the deleted file in the file maintenance. Audit Trail This tracks down who had used the system and modules entered by the particular user.

Restore of the database This restores the database of the system used by the company. Levels of Access To prevent the unauthorized access and to secure the confidential files the system will provide levels of access. Administrator The administrator can access the entire proposed system. Sales Representative The sales representative can access the module for product inquiry, stock inquiry and back order reports. Inventory Clerk The inventory clerk can access the inventorys report module. Cashier The cashier can access the file maintenance, transaction and all the reports under the company. Limitations: o The system will not include the on-line payment. Pacla Hydraulic House still prefers to use cash or check payment. o The system will not cover out of the country orders. The company has no plans or intentions of expanding its business globally. In the process, it requires lots of documents in order to conduct business outside the country.

o Prices for hoses and fittings, fluid power piping system and components, power steering, quick coupler and O-rings are requested. These products or items are subject for quotation. As it means that prices for these items will not be posted on the front end and will only be given to customers who asked for it.

Chapter 3 An On-line Information and Ordering System for Pacla Hydraulic House 3.1 Introduction The proponents had conducted interviews, observations and surveys to Pacla Hydraulic House. Through this, the proponents knew the specific problems that the company experiences with the current manual system. This problems lead to the proposal of On-line information and ordering system for Pacla Hydraulic House. In order to provide solutions to the problems cited at statement of the problem, the proponents had maximized the use of internet technology and library for both on-line research and book reference. With the use of the proposed system, Pacla Hydraulic House will expand its marketing arm and increase its sales both locally and globally. This will as well make the work more organized and of less paper works. 3.2 System Design Specification The 4th Generation Techniques (4GT) methodology was used by the proponents as a guide in developing the proposed system and to start with. 3.8 Summary This chapter discusses how the proponents provided the solution to the statement of the problem, different techniques used in gathering information and the graphical design tools used in developing the system such as, 4th Generation Techniques (4GT), Context Flow Diagram (CFD), Data Flow Diagram (DFD), Entity Relationship Diagram (ERD) and Hierarchical Input Process Output Chart (HIPO Chart). The proponents used this to guide to their system and discussed the functionalities and detailed description of the different components of the system as well as the software and hardware components that were used in the system.

PERFORMANCE ANALYSIS

4.1 Introduction The On-line Information and Ordering System for Pacla Hydraulic House is mainly designed and developed to allow customers transact on-line and for the company to easily manage the inventory of the products, reducing the time, effort and cost spent in every business transaction. The web application comprises of two main modules, the front-end and the back-end. These two modules have different outputs. The first module is the front-end which contains different pages that contain various functionalities. On the other hand, the back-end contains the file maintenance, different transactions, stock adjustment form and generates different kinds of reports. In performance analysis, data and information of the current system were gathered and reviewed. The proponents had conducted survey and interviews on the employees and customers of Pacla Hydraulic House about the on-line information and ordering system. The objective of the analysis is to clearly understand the current system and identify the shortcomings or errors of both current and proposed systems which must be enhanced and modified. After the survey, the proponents will be able to determine if the system has met its targets as stated on the previous chapters of this documentation. At this stage, the proponents would encounter minimal problems and receive suggestions from the users that will serve as a basis in enhancing the system. 4.2 Experimental In designing, developing and implementing the proposed system, the proponents conducted experiments. In the front-end the proponents, used electronic commerce because

the system focuses on on-line transactions such as ordering and advertising of the products. On the side, the back-end of the on-line system uses the PHP Hypertext Preprocessor (PHP) and MySQL in developing the system. This is were all the transactions and maintaining of files coded and produced in all necessary outputs that will be used in the system. In the back-end of the system there were different modules that were used on maintaining the information and data. The file maintenance consists of different modules information relevant to the company are being maintained and updated by authorized users. The next menu is transaction module where transactions done with the system are place such as the purchase order, back order and the customer order transaction. Under of the transaction is the reports module where all kinds of reports by the company are generated, including the delivery report, purchase order report, order report, customer back order report and the back order report. The system also has utilities menu. Under this menu are the backup module, archive module, audit trail module, restore of the database and level of access contains the administrator, sales representative, inventory clerk and cashier. In the front-end of the website there are links that lead to other pages or contents of the website. These main navigational links includes home page, product page, order on-line page, on-line registration, shopping cart, company profile, and request for quotation and contact us. Written below are the list criteria and criterion related to the objectives of the proponents in designing, developing and implementing the on-line information and ordering system. These were based from the survey form that was given to the customers and employees of Pacla Hydraulic House. The proponents used the Slovans formula to identify the number of customers who will be part of the survey, That is:

With the e-commerce concept, ordering is now faster, more accurate and reduces paper works. Prices for oils and greases can be viewed on the front end. The front end of the system is user friendly and easy to navigate. Customers can ask for quotations about the services and products, which excludes oils and greases. Customers are notified by their unpaid bills. The system provides status of orders. Table 2.0 Survey Form for the Customers 4.3 Results and Analysis The system is capable of maintaining the data on the database given by the company and information about the customers orders. An audit trail is included in backend so that whoever are logs on in the system will be automatically traced as well as authorized users who do any action or changes in the system. The proponents conducted a testing of the system in order for the proponents to identify the different errors and to maintain data. The current result showed some errors that the proponents had checked. At this stage, all errors are corrected and all outputs are checked to meet accuracy. The proponents conducted a survey to know and identify the advantages and disadvantages of the existing system of the Pacla Hydraulic House. The proponents gave an idea on how to design the proposed system. In like manner the proponents used the Slovin Formula to determine the sample size of the population.

4.4 Summary The proposed on-line information and ordering system for Pacla Hydraulic House is basically composed of two major modules, one for the backend and the other one is for the front end. Both modules are accessible through on-line, however, the backend can only be accessed by authorized users. In the backend module, there are four main menu which links to other modules of the system. Similarly, the front end has also navigational links that leads to other pages of the system. After the survey, the proponents had identified the revisions needed on the system as suggested by the host company. Based from the figures presented, the proponents had satisfactorily achieved the objectives and purposes of the system in speeding up all business related transactions, eliminating paper works and reducing cost spent in business processing.

Chapter 5

CONCLUSION

Pacla Hydraulic House does not have an existing website. It uses a manual system in all of its transactions such as ordering inquiry and cancellation of orders, without mentioning or naming a few. The host company introduces their products to potential customers by presenting a book binder where the products are listed, and sometimes the sales representative goes to their clients to introduce to them the products as well as the new products. They monitor the orders and the product sold by using a piece of paper or a log book. Also, the inventory clerk manually counts the incoming and outgoing products daily. After counting the products, the representative will list down all the number of products sold and returned in a piece of paper. The company uses logbook or any paper of its form to record it. With the current system, the firm encounters problem in marketing and advertisement, accuracy of reports and order details and in inventory. The proponents aim to design, develop and implement a website that will provide two (2) on-line product catalogues. Direct ordering and request for quotation was provided to display the products as well as the information of the products. Through the on-line ordering module, customers can place an order even outside the business firm. The system automatically updates the availability of products as well as the incoming and outgoing products of the company with the inventory management implemented by the proponents in the system. This website will help the company to entertain customers in far location and promote their products. These will be accomplished by making sure that all the following requirements are met: To design, develop and implement an on-line catalog that will display the information of the products of Pacla Hydraulic House.

To design, develop and implement an on-line ordering module that will allow their customers to place their orders. To implement an inventory management that will easily monitor and update products. To design, develop and implement a search module that will efficiently locate specific products. To design, develop and implement a module that will generate faster, more reliable and timely reports. To design, develop and implement a security module that will secure the file and prevent the access of the unauthorized personnel. In order to meet all requirements, the proponents identified first the current problems of the company and provided solutions based on the problems that were encountered and accomplished all the scope of the system that was discussed on the first chapter of the documentation. Recommendations: This system will provide on-line product catalog to be able for the customer to view the list of products provided by the company. This system will provide on-line ordering. This will be used by a customer to place orders. The proponents will provide a system which will easily monitor the availability of the products as well as monitoring the products that are in critical level. This system will provide a database to organize the important files made and produced by the company.
