To: The Parents of Attendees to the 2013 Wilderness Formal After Party From: The Organising Parents, Darcy Jenner, Descenna Belperio WILDERNESS FORMAL AFTER PARTY FRIDAY 15TH FEBUARY 2013 Dear Parents, Introduction The Wilderness School after party will start at 12.00am and will finish at 3.00am. This information bulletin has been prepared to advise you about the arrangements that have been put in place for a private gathering to enable the Wilderness Year 12 girls and their guests to enjoy a party after the Wilderness Formal. Please note that this is not a school event. We would like all parents of the attendees to the After Party to know about the arrangements that have been put in place for the event and to be aware of the need for all Year 12 girls, their guests and their parents to share in the responsibility of providing a secure, supervised and enjoyable evening for the Year 12 Wilderness girls and their guests. It is a condition of entry that all parents of those wishing to attend the After Party are informed of the evenings arrangements, give their agreement to the arrangements and give their consent for their daughter or son to attend this event. Entry Fee There is a $40 per person entry fee for this event, payable by Monday the 11th of February to secure the booking. Venue & Transport The party is at a private location, the address of which will be released the night before the event. It is approximately 20 minutes from the CBD and guests are required to find their own way to and from the event. Parents and guardians are required to collect guests from the party, taxi from the event is not permitted unless authorisation is provided by a parent or guardian. Absolutely no attendees will be allowed to drive to or from this event. ***If there is a need to be picked up earlier by a parent or guardian for any reason, please make this known ahead of time so that arrangements may be put in place. *** Health, Safety & Security The safety and security of your daughters and their invited guests is of paramount concern. There will be a large parental presence throughout the event and professional employees of a recognised security firm have been engaged to assist parents with the care and control of all those attending.

Invitations Attendance at this event is limited to students attending Wilderness for Year 12 in 2013 and their nominated guest and by invitation only. This form is doubling as the invitation and by completing and returning the reply slip below along with payment; consent is being given for the student and their nominated guest to attend. Photo ID will need to be presented to the supervising parents and security stationed at the venue entrance. Each attendee must have his/her name checked off the official invitation list and they will then each receive a wristband indicating their acknowledged attendance at this event. If someone within the event is found not to be wearing their wristband at any stage a security representative may ask them to leave. Bags and belongings will be able to be stored securely within a cloakroom with tags to identify the owner. Organisers of the after party do not take responsibility for any belongings or possessions that may be lost, damaged or stolen. Food & Beverages The organising committee has arranged for food to be served to attendees throughout the night. There will also be water freely available at this event. Alcohol Alcohol will not be supplied, but it is of great importance that parents understand that there will be alcohol at the event. As the function is being held on private premises, invitees are permitted to bring their own alcohol to the event. There is a limit of FOUR (4) drinks that will be allowed upon entry per person. It is imperative that all drinks brought in are CANS ONLY. Drinks provided need to be a recognised drink and previously unopened. Any glass bottles will be confiscated. No straight spirits will be allowed and the offending guest may be refused entry. Alcohol brought by guests will be collected and identified by the supervising parents on entry and served at the parents discretion. Parents reserve the right to refuse to supply alcohol to any guest. The organising parents expressly reserve the right to ask security personnel to conduct reasonable enquiries and searches in relation to alcohol. Whilst it is not illegal for persons under the age of eighteen to consume alcohol on private property, it is important that all parents are made aware that alcohol will be available and will be consumed with parent or guardianship consent. With this information in mind you may each consider your daughters and sons attendance at the event and also help them to make informed choices.

Fitness to Enter & Removal of Attendees Important note: any Year 12 girl or guest may be refused entry to the party if in the opinion of the supervising parents they are unable to conduct themselves in an appropriate manner due to the suspected ingestion of alcohol and/or drugs. In the event that the conduct of a Year 12 girl or guest is deemed unacceptable, whether due to their condition, behaviour or sudden ill health, a supervising parent will telephone the contact number provided for that person and make arrangements with their parent/guardian for their safe retrieval by the parent/guardian. Taxis will not be an option in these situations and it is important that all parents take seriously the responsibility of nominating themselves or another appropriate adult driver to assist organisers to convey their daughter or guest home safely if the need arises. Co-operation In the interests of promoting a safe and harmonious environment for the event it is recommended that you make your children aware of the contents of this bulletin. Please encourage them to help the organising parents to make a success of the event by looking after their guests and acting responsibly. Responsibility All reasonable steps will be taken by the organising parents to ensure that all the participants in this event enjoy themselves within a safe and secure venue. Without the goodwill and generosity of the venue hosts and the organising parents, this event would not be possible. Your support and your commitment to encouraging your children to act responsibly is an essential part of this endeavour. Experience suggests that excessive consumption of alcohol prior to the commencement of the function causes most problems for organisers of such functions. It is the responsibility of parents/guardians to ensure that attendees arrive at the event in an appropriate state. Again, if the supervising parents and/or professional security personnel believe that they are already adversely affected by alcohol or drugs, entry WILL be refused. Conclusion Please do use this bulletin as the basis of providing an open and adequate explanation of arrangements to the parents of the guests that your daughters invite to this event. In order to help avoid unwanted attention (gate crashers) or notoriety about the event, please dont publicise these arrangements more widely than on a need to know basis. Posting the event on Facebook or other social media is expressly forbidden and the offending posters will be refused entry and denied a refund. By taking a firm and sensible approach to the facilitation of this event, the organising parents hope that all participants will be able to relax and enjoy themselves, free from intrusion by a minority of attendees who seem to thrive on upsetting those around them and spoiling the fun for others.
