Bookkeeper/ Office Administrator Part-time

Job Summary

Working under the supervision of President and Finance Manager, the Office Administrator performs general accounting, and administrative duties, routine clerical, filing and documentation as needed. Specific responsibility for day-to-day operation and maintenance of financial records (general ledger).

Tasks, Duties and Responsibilities

Administrative and Business Management

Maintains office services by organizing operations and procedures; preparing payroll; monitoring and conducting correspondence with payroll services (Paychex) and employees; maintaining filing systems; reviewing and approving supply requisitions. Conducts all duties associated with accounts payable including: interacting with staff and vendors; processing invoices; expense coding; and data entry. Conducts all duties associated with accounts receivable including: documenting receivables from state agencies, foundations, corporations and private funders; preparing and submitting invoices (fee for services) for school districts (schools) and service providers; performing bank deposits; and tracking and following up on all accounts receivables. Perform monthly bank reconciliations for all bank accounts. Processes cash disbursements and assists in cash management. Assists in gathering and documentation all required documents for fee for services. Coordinate all documentation for new hires, including enrollment in any insurances for the employees. Serve as liaison between employees and insurance provider for any changes to coverage or announcements. Assist with yearly audit including preparing audit schedules and documentation. Gathers all necessary financial reporting to President and Finance Manager, as needed. Answer telephone and take messages as needed as a part of an office team. Performs special projects and duties as assigned.

Position Requirements

Associates or Bachelors in business or accounting. 3-5 years of financial management experience, including bookkeeping, daily accounting, pay roll management, expense coding. High level of competency in all areas of accounting Ability to operate and use standard office equipment, including computers, copiers, calculators and facsimile machines. Computer software proficiency in accounting software (Quickbooks), spreadsheets, word processing, and presentation software Ability to communicate effectively both orally and in writing with employees and vendors Ability to prioritize and meet deadlines Ability to work independently Ability to work with and support staff in team environment Ability to maintain system integrity and confidentiality
