Lundi
Cérémonie d’ouverture et Fedstock - Nous avons quasiment fini notre line up pour Fedstock-
Translation
- TRC mercredi prochain (4 juin)
164 $ à Ottawa Student for Life pour leur session d’information pro-vie, 100 $ à La Patente
table.

1.2 Adoption of the agenda
Be it resolved that the agenda will be adopted with the following changes:
• 1.13 Amend all committees
• 1.15 Remuneration
VP Social:
101 Week
Naturally, most of our time nowadays is dedicated to organizing 101 Week. The Social Round
Table had two very productive meetings and there is already an apparent focus and drive
around campus. Here is what is planned by the Fed for 101 Week.
We came back to a seven-day week since our 101 Week will be starting early to ensure all
101ers in residence can participate. 101 Week will thus be from Sunday, August 31st to
Saturday, September 6th.
Sunday Night
Arts is running its Camp Fortune Cabin Party once again to break the ice for the week and get
everyone in a bumping mood. Alt 101 is also organizing their famous Spins and Needles party
at Café Nostalgica that night.
Monday
Opening ceremonies and Fedstock – We almost have a completed line up for Fedstock – we
hope to confirm all bands by the end of next week. Now we need to practice our tunes! This
year, we want to collaborate with the Ottawa Music Collective and other groups to diversify
the feel of the event.
Tuesday
PV Juin08-Minutes June08 - 22 -
ShineDay ! We aim to involve 2500 volunteers to cover the city and raise funds for the
Canadian Cystic Fibrosis Foundation. Due to complications caused by mandatory Faculty
information sessions, some groups will go in the streets during the afternoon instead of early
morning – a change from last year.
Wednesday
SFUO, together with Sports Service, will present the women’s soccer game against Carleton,
which is an ideal opportunity to promote our school spirit. If all goes well a large group from
Carleton will also attend, for an amazing ambience!
Thursday
We will be having a Clubs Carnaval on the pedestrian walkway between the university center
and the residence building. This event will combine many different groups on campus, clubs,
services, student associations and CLS, to welcome students on their first day of classes.
Friday
During lunch, we will have a similar event as Thursday during the day, although it will focus
on information rather than games.
We will also host a new event on Tabaret lawn, with a speaker named Sol Guy. This will be the
launch of a new collaboration initiative between our campaigns and philanthropic activities.
Saturday
We’ll be starting the last day with a quick rally to get our first years puuuumped up then we are
going to the first Gee-Gee’s Men’s Football game. After the match we will be heading to
closing ceremonies.
We are revamping the setup at Jacques Cartier Park to make it more effective to the feel we are
trying to throw. There will be two stages, one main stage and one local stage with non-stop
entertainment, alternating from one to the other. There will be lots to do during the event and a
big surprise at the end.
Guide Training
Many changes were made to our guide training to make it even more relevant for 101 week.
All guides will follow a “long” training session that was shortened to about five hours. We will
also introduce a test at the end of the session to ensure everyone is on the same page.
Promotion
101 Week is the perfect opportunity to reach out to our first years and students in general,
that’s why we are taking full advantage of those opportunities this year. With lots of great
ideas, like USB key distributions, new SFUO information tents and of course our 101 week
DVD we are looking to expand our promotional tools to better reach out to students during the
week. For the social side, we will have our first few events ready to go to promote them during
the week to ride the energy from the week onto the year!
Logistics
Bulk Order is going great- we almost have all the logos from everyone and should be ready to
fire out the order mid-month. We are dedicated to providing fair-trade materials this year and
PV Juin08-Minutes June08 - 23 -
we will also be providing water bottles to all our volunteers and first years and will ensure
access to water throughout the week.
We have also met with the u101 and everyone involved during the week across campus, such
as, housing, protection, Risk Management, faculty reps, CLS, SASS and everything is going as
smooth as a baby’s behind on that front. We also ensured that the VP Socials got to meet their
faculty reps to avoid any big problems with the mandatory info sessions.
Shinerama!
I had the opportunity to attend the Shinerama conference during the long weekend in May and
see for myself the impact that our university has in the rest of the country. This year, our
monetary goal is $95,000 but our real goal is to raise awareness among our students and the
broader community. This year we will work hard to reach as many media as possible and
promote our great ideas. We had a first sucker run last Friday and raised more than $2300 in a
few hours. Thanks to everyone who came out!
Social Programming
We have already starting planning and booking social programming for the academic year. For
our campus bar 1848, we will be collaborating with Alumni to throw their Wings+Beer pub
night for the Homecoming weekend. We will be hosting Football parties for our Home games
along with Sports Services, in September. We also have more than half of our shows booked
for our First Semester Concert Series! We have also gotten the ball rolling for two other
projects: bringing back winter challenge and the all-new Dance Series that gets excited just
thinking about it!
Future
This month, I’ll be working to finishing out the logistics for all of our events, and having a
more concrete idea of how our first semester will be looking.
VP Communications:
The first week was mostly spent on networking, interviews and settling in the position
Marketing
- Everything is going fine
- The agenda is taking shape, I gathered a lot of content myself
- The website is being updated one section at a time
- I’m also looking into changing the look but not doing an entire revamp because the
structure is fine as it, we’re also looking to change the events calendar
- Gathered info for the events calendar of the year, week-long events, it looks pretty full

VP University Affairs:
Welcome to the first Board of Administrators’ meeting for the 2008-2009 academic year. With
the new BOA structure, I hope we will have a constructive and progressive year.
We have given all members of the BOA a reusable water bottle. This is in recognition of the
SFUO policy, passed by the executive last year, of all meetings including of the board and
round table to be “Bottled Water Free Zones”. We support the campaign for public drinking
water and maintain that bottled water is one of the first steps to the privatization of the human
right to clean drinking water.
Within the VP University Affairs mandate, a lot of work has been done in the last month.
PV Juin08-Minutes June08 - 25 -
Center for Equity and Human Rights:
- The CEHR has found a new home in the UCU terminus where the IHouse lounge is
currently. We will be doing minor renovations and moving down in the next couple of
weeks.
- I have negotiated and drafted a memorandum of understanding (MOU) between the
CEHR and Residence Life Services to ensure the annual continuation and terms of the
Positive Space program. Residence Life is looking it over with their lawyer and,
barring any complications, it should be signed by next week.
- We have made significant changes to the Positive Space presentation, including the
addition of several videos with student testaments and more engaging explanations of
human rights. We will be training (or re-training) the presenters over the next month.
- We have begun the work on a Symposium/Conference that will invite student unions
from Ontario and Québec to explore and discuss equity and human rights, to be held
early May 2009. We have confirmed our first major speaker, Senator Oliver, Canada’s
first black senator.
Collegial Governance :
- I have created the new Collegial Governance Coordinator position and am extremely
excited to have hired Julien de Bellefeuille to fill the post
- We have begun meeting all the Federated Bodies and the Deans of the faculties to
gather information on collegial governance and create a line of communication between
the SFUO, the Federated Bodies and the faculties. At this point we have meet with five
deans and the secretary, Pamela Herrod.
- We are doing extensive research that will all be made available on-line by the end of
the summer on all of the hundreds of committees at the University of Ottawa.
- Also, Julien and I have been appointed to the Senate Council on Undergraduate Studies.
Code of Conduct:
- We have sent the administration a letter concerning the proposed Senate committee
with the following principles:
- 1. The mandate of the working group must broadly outline issues to be approached
without including pre-conceived directives, mechanisms or policies to address them.
- 2. The working group must be composed of equal representation of students and
administration.
- 3. The student members of the working group must be nominated by the SFUO and
GSAED, to be ratified by the Senate.
- The GSEAD has sent a similar letter and over the next month, we will work with
Pamela Herrod and Bruce Feldthusan to create the terms of reference
PV Juin08-Minutes June08 - 26 -
Campaigns:
- The SFUO participated in the First Nations’ National Day of Action on Friday, May
29th.
- We started to prepare for the Provincial Day of Action against Tuition Fees, that will be
held on November 5th. We will meet with the Carleton students’ unions this week to
concretize our solidarity on this issue.
- We begun major changes to our website to include more information, interactivity, and
to include all the campaigns organized by SFUO services.
- Finally, we elected the University Affairs Round Table representatives on the
campaigns committee. They are:
1. Lindsay Short
2. Khadijah Kanji
3. Chaya Porter
4. Krystel Deschamps
VP Student Affairs:
Services
- Hired new staff, they are getting ready for 101 Week, where we are planning to have a more
significant presence. We will be doing the traditional promotion, but we will also be focusing
on giving them the experience of our service, so for example, for international house, instead
of doing a non-specific promo activity, they will do a mini international week, peer help will
have active listeners available for students at the fed events etc. The idea is for students to
learn about them through using their service right off the bat, instead of just giving information
about what the service is.
- The services’ retreat will be earlier this year; it will be held next weekend. The weekend will
include an anti-oppression training, a discussion on the services’ mandates and a self-
evaluation of our efficiency at responding to our community’s needs, etc.
- We are still working on the services’ five-year plans, we will receive assistance from the
Intersol group that works with organizations to help them achieve their goals and prepare for
future opportunities.
- The student we are subsidizing is still doing great, and the program’s committee has chosen
the next student who will arrive in mid-August.
Clubs
PV Juin08-Minutes June08 - 27 -
- We are discussing the parameters for the Bilingualism and Francophonie Fund, which will
give financial incentives for clubs to organize bilingual or francophone activities. This subsidy
will be available in September.
- We are presently working on moving the clubs room to its new location (on the other side of
the couches). There will be more room in this new location for storage and a couple new clubs
offices. The renovations are scheduled to be completed by the beginning of August.
- We have given subsidies to the Ace Card club for $500 for their Rockband fundraiser, 200 to
the biomedical science club for their lab dissection, 167 to the Catholic Christian Outreach for
their Q and A coffeehouse, 180 to the Canadian Council of the Blind for their charity bbq, 105

activity, 700 to Sigma Psi Alpha for their year end semi-formal, 243 to the Social Justice Club

VP Finance:
Human Resources
• The hiring process has been relatively long, but we almost completed the hiring of new
management positions.
PV Juin08-Minutes June08 - 28 -
• The Finance Director position will be filled by Moamar Tidjani, who has been very
much involved in his former students’ association and who has all the qualifications for
this position. Moamar has been studying business administration and just completed his
Master’s in Management Accounting at the HEC business school in Montréal. He will
start in this position on June 9th.
• The position of Business Director will be filled by Jason Collard, who will surely be a
great asset for our organization thanks to his background in business and his great
knowledge of the Federation. Having studied in administrative and commercial studies,
his background will be combined with his past year as manager of the 1848 to create a
great match for this position. Jason is currently transitioning from the position of bar
manager to his new position.
• We still have to conduct several interviews for the position of Executive Coordinator,
but we should be able to make a decision next week. Once hired, this person will take
on most responsibilities related to the Federation’s human resources and I am planning
to work with her/him to update our staff policy.
• We also organized a first employee training session. Despite the late timing and several
other improvements we need to make, this is a practice we want to establish more
permanently at the SFUO.
Businesses
Much work is underway at the businesses right now, especially with the arrival of a new
business director.
• At the Pivik, the main concern is to replace the Point of sale system, the one
which is in place now is old, broken and seems like it will not make it to the end
of the summer. A few other appliances need replacement before the school year
ends. We will also start brainstorming on different ways to increase the amount
and variety of food we offer at the Pivik. We’ll actually look at how we can
rearrange the space to allow for a bagel making counter, soups, and expand
sandwiches and coffee options.
• At the Agora, Megan is preparing for the rush period in September. A new
feature this year is the consignation shop, on the 2nd floor, where used books
will be sold at low prices.
• At 1848, we are exploring options for renovations and additions to the menu.
We need to either initiate large renovations to create a kitchen space, or find
other ways to continue in our current direction.
• And to finish off, we’re very excited to aim for September for the opening of
the Café Alternatif which will offer freshly made sandwiches in a deli style
counter café. At this point we’re finalizing details in order for renovations to
start as soon as possible. We’re also working with the students from Projet
Alternatif to coordinate the management of the café once it will open. Please
feel free to come see me if you have any questions on the Café Alt.
• Our work to update the Pivik’s point of sale system led us to consider a better
synergy between all our businesses concerning banking transactions. Each
PV Juin08-Minutes June08 - 29 -
business currently has its own banking contract. We are aiming at combining
the businesses’ needs to negotiate better prices from a single bank and simplify
our operations. We believe that we can save on banking fees through this effort
that should be completed next month.
Miscellaneous
• Our Health Plan Coordinator is preparing all the promotional and informational
materials for the new academic year. We will make the health plan more visible and
clarify the opt-out methods.
• I’ve started to meet with different services to elaborate the budget. They will each be
working at elaborating their previsions and I will then work with them to apply the
necessary modifications in order to prepare the final budget which will be presented in
at the next BOA meeting.
• I’m planning on holding the first Money round table in the first two weeks of June. We
will have a few modifications to bring to the audit manual in order for the process to be
as seamless and consistent for all VP finances.
• Our Comptroller General, Mike Moher, is in the process of revising the changes that
were submitted in April.
President:
I have been working to form the Executives’ Priorities Document for the year. This should be
presented to the board within the next two meetings.
I am still working with Roxanne to insure the restructuration of our management model is
successful.
The executive went to the Canadian Federation of Students’ four day semi-annual general
meeting, held at Carleton University, as observers in order to gain a first hand perspective of
the organization’s internal functioning. This AGM was also somewhat of a conference with
panels and discussions surrounding good policy making, bilingualism, and codes of conduct.
With speakers like the HRSDC Minister Solberg, Jack Layton, Neil Brooks and Clayton
Thomas-Muller it also gave us a perspective of government positions, information on the high
cost of tuition and the First Nations’ National Day of Action. There were also an abundance of
discussion groups and informal talks with dozens of Colleges and Universities, which gave us
an invaluable experience of being able to discuss projects and ideas with our colleagues from
around Canada.
PV Juin08-Minutes June08 - 30 -
and not delivered on his agreements with these students. We are presently looking at our
options with regard to how we will pursue this issue.
The University Centre Management Board met a couple weeks ago. We discussed the past and
future capitalization costs, as well as the percentage of usage and occupation by the Fed and
the students vs. those of the University. CLS and the University admitted that UC ancillary fees
should not be spent towards programming. We will later discuss how to make the transition.
The washrooms in the main concourse of the UCU are going to be renovated in the coming
weeks.
I am still in talks with the City of Ottawa to reach our price for the UPass. I am meeting with
Councilor Cullen, the chair of the Transporation Committee, in the next weeks.
Clubs’ offices and resource area are going to be created where our storage area is at present,
along the couch lounge. The Unicentre storage space will be relocated to the ping-pong room.
The annual sports and alumni contracts were signed with the Sports Services and the Alumni
Assoc. These contracts are for advertising contra and our volunteer gala scholarships.
The executive tour will happen from June 16 to 20. We will be visiting ten universities in
Ontario and Quebec.
I am organizing a meeting with the new University of Ottawa President, whose nomination will
be announced soon.
