Welcome to the seventh edition of our Research Student Handbook. Together with the academic program rules for your research degree, this publication will provide the foundation for your studies at the University of Adelaide. In revising this edition we have again sought to produce a document that is student friendly and which follows the logical steps of candidature from admission to graduation. The Adelaide Graduate Centre employs a Continuous Quality Improvement Cycle in relationship to Research Training. As a consequence we have included changes that reflect the considerable feedback we have received from Higher Degree by Research (HDR) students and staff. Apart from minor changes to enhance the clarity of the Handbook, there have been some changes to policy for 2012. Where applicable, the relevant sections of the Handbook are highlighted with updated next to the sections. In broad terms, practices relating to research training and research supervision at the University of Adelaide follow the guidelines set down by Universities Australia and the Committee of the Deans and Directors of Graduate Studies (DDOGS). As a research student, you will have the opportunity to contribute to the character of our University through the research you undertake, the networks you form (both within and external to the Institution) and by the feedback you provide to us, during your candidature and on completion, about your student experience. It is my sincere hope that you will take these responsibilities seriously and assist us to further promote the reputation of our University as an exciting and challenging research environment. Writing and producing a handbook of this type requires a great deal of planning and work. As a consequence I would like to acknowledge the work of Ms Donna Frost, Deputy Director of the Adelaide Graduate Centre, who took the responsibility for transforming an idea into a reality and subsequently for revising this seventh edition. Glossary of Terms
AHEGS refers to the Australian Higher Education Graduation Statement. The AHEGS describes higher education qualifications in an easily understandable way, by including descriptions of the nature, level, context and status of the studies undertaken. Candidate means a person enrolled for a higher degree by research of the University of Adelaide. The terms candidate and student are used interchangeably in this document. Committee refers to the Research Education Development Committee (REDC) established by the Academic Board. Co-supervisor refers to a member of the supervisory panel who is a University staff member or titleholder and who is not the principal supervisor. DEEWR refers to the Commonwealth Department of Education, Employment and Workplace Relations. Domestic Applicant/Candidate refers to an applicant/candidate who is an Australian or New Zealand citizen, or who holds Permanent Residency status in Australia. DIAC refers to the Department of Immigration and Citizenship. DIISR refers to the Department of Innovation, Industry, Science and Research. ESOS refers to the Commonwealth Education Services for Overseas Students Act 2000 which provides consumer protection to international students and requires the University to advise DIAC if students breach their visa conditions. External supervisor refers to a member of the supervisory panel who is not a staff member or titleholder of the University and who is not the principal supervisor. Graduate Centre refers to the Adelaide Graduate Centre, namely the area responsible for the management and administration of research education at the University. The terms Graduate Centre and Adelaide Graduate Centre are used interchangeably in this document. Head of School refers to the person who has overall responsibility, including the responsibility to certify theses for examination, for higher degree by research students within the School. Half-time Candidature refers to a half-time (0.5 time) study load. Higher Degree by Research refers to any Masters or doctoral degree (PhD/professional doctorate) that comprises a minimum of two thirds of its assessable content by research. International Applicant/Candidate refers to an applicant/candidate who is not a citizen of Australia or New Zealand and who does not hold Permanent Residency status in Australia. Milestone refers to any task, course or review of progress, which a candidate is required to complete during their candidature. Major Scholarship refers to Australian Postgraduate Awards, Postgraduate Researcher Awards (formerly known as Australian Postgraduate Awards (Industry)), Divisional Scholarships, University of Adelaide Scholarships, International Postgraduate Research Scholarships, Adelaide International Scholarships and Adelaide Graduate Research Scholarships. Master of Philosophy refers to a Masters degree that comprises a minimum of two thirds of its assessable content by research. Panel refers to the candidates supervisory panel: a panel comprises the principal supervisor and one or more co-supervisors. Parchment means the certificate of qualification awarded by the University following the conferral of a degree. The terms parchment and testamur are used interchangeably in this document. PhD refers to the 100% research degree of Doctor of Philosophy. Postgraduate Coordinator refers to the person who, under the direction of the Head of School, will oversee the work of all the higher degree by research students in the School.
HANDBOOK STRUCTURE
The content of this Handbook is intended to provide an introduction and a guide to studying for a higher degree by research at the University of Adelaide. It is hoped that supervisors, Postgraduate Coordinators and Heads of School will also find it a useful resource.
Principal Supervisor refers to a member of the supervisory panel who is a University staff member or titleholder and who has been appointed by the Head of School to have the primary responsibility for the supervision of a candidate. Professional doctorate refers to a doctoral degree that comprises a minimum of two thirds of its assessable content by research and which is specifically aimed at practitioners in the field. Provisional Candidate refers to a person who is enrolled in a higher degree by research and is within his/her first 12 months of a higher degree by research, or half-time equivalent, and who has not yet satisfactorily completed the major review of progress. Remote Candidate refers to a student who primarily undertakes his/her degree in an external mode of study. The Research Training Scheme or RTS is the program under which DIISR provides block grants, on a calendar-year basis, to support research training for domestic students undertaking Doctorate and Masters degrees by research. Students supported under the RTS are exempt from payment of student contribution amounts and tuition fees for a maximum of four years for a doctorate or two years for a Masters by Research or half-time equivalent. Review of progress refers to any programmed review of progress undertaken by a candidate, including the major review, annual review, minor review and such other reviews that may be instigated by the Head of School or the Committee. School refers to the academic organisation unit in which higher degree by research students are enrolled: this may be a School or Discipline, depending on the structure of the Faculty concerned. Student means a person enrolled for a higher degree by research of the University of Adelaide. The terms student and candidate are used interchangeably in this document. Testamur means the certificate of qualification awarded by the University following the conferral of a degree. The terms testamur and parchment are used interchangeably in this document. Thesis means such materials and activities as are presented for examination by a candidate. Timely completion means the satisfactory completion of all the examination requirements of a higher degree by research within two (Masters) or four years (PhD) from the commencement of candidature or half-time equivalent.
Some policies and procedures differ for domestic and international students, for Doctoral and Masters students and for scholarship and non-scholarship holders; however, the majority of information is applicable to all research candidates. If you are an international or a Masters candidate or a scholarship holder, look out for the headings, International students, Masters students, and Scholarship holders, after reading each main section of text. The information provided in these sections is specific to you and will normally supplement the general information provided in the preceding main section of text. In the event of any conflict, the specific information always takes precedence. Location of forms The Graduate Centre maintains a list of all the forms that you are likely to need prior to and during candidature (e.g. applications for admission, leave of absence, change of attendance status). Each research student at the University of Adelaide has a principal supervisor and at least one co- or external supervisor. Your principal supervisor has the primary responsibility for coordinating your supervision. In addition, the Head of School and your local Postgraduate Coordinator have significant responsibilities for research higher degree students. Your role and responsibilities, and those of the Head of School, Postgraduate Coordinator and your supervisors are discussed later in this guide and summarised in Appendix 2. Hub Central

Hub Central covers 10,500sqm over three levels and facilities include: 11 project rooms, 11 project booths, student lounges with moveable furniture, two information service areas, a student kitchen, two Skype booths and a news bench, two training rooms, over 200 new computers, total wireless connectivity, print stations, lockers, the Maths Learning Centre and the Writing Centre. It blends these facilities with food and service retail outlets, merges seamlessly with the Barr Smith Library and provides new connections through to lecture theatres and across campus. Situated in the heart of the Universitys North Terrace Campus, Hub Central is the front door to the University, it provides: an initial point of contact and first port of call for all University of Adelaide students; a wide range of informal learning spaces that foster social learning; a central area on the North Terrace Campus for ongoing student-focused technology and support services; and the best on-campus experience for students in Australia
Card Services are located within the Student Centre; they have responsibility for the production of student identity cards and can provide advice and assistance regarding eligibility for an identity card, how and where cardholders may use cards, the issue of concession stickers, activation of building access and the verification of print and Internet quotas. The RED Unit of the Graduate Centre provides a range of face-to-face workshop programs, online modules, individual consultations and resource materials that value-add to the research experience and deliver skills and knowledge essential to research success. Services include: the Integrated Bridging Program Research
The AUU provides students with essential, non-academic services on campus, for the effective representation of all students, and for the creation of a campus community and culture.
Higher Degrees
The AUU provide a range of services including a casual employment service, advocacy, a resource centre, national events, emergency loans, special interest clubs and free tax and legal advice. Further information about all of the services the AUU provides and information on the savings that can be made by joining the AUU, is available at www.auu.org.au Research Education & Development Committee (REDC)/ Dean of Graduate Studies The Research Education & Development Committee (REDC) at the University of Adelaide has responsibility for overseeing all research higher degree policy development, including the legal responsibility for the award of Doctoral degrees and Masters by research. The Committee is convened by the Dean of Graduate Studies and includes a senior representative from each of the Faculties, the Pro Vice-Chancellor (International), the Director, Adelaide Graduate Centre and the Director, Research Branch. A postgraduate student elected by the AUU is an ex-officio member of the Committee. Faculty Higher Degrees Committee Each Faculty in the University has a Higher Degrees Committee. The Higher Degrees Committee has responsibility for all research and coursework higher degree matters within the Faculty. However, applications for admission to higher degree by research programs are submitted to and processed by the Graduate Centre and queries regarding admission and enrolment should be directed to the International Admissions Officer. Post-arrival, the Graduate Centre is also the primary academic and administrative contact for international students, while the International Student Centre provides additional practical and social support as highlighted below. The University recognises the additional challenges faced by many of our international students in relocating and adjusting to the Adelaide research and social environment. Tuition Fees

Postgraduate Awards (APAs), ARC PhD stipends, Divisional Scholarships, University of Adelaide Scholarships (UAS), Master of Philosophy (no Honours) Scholarships and Master of Philosophy (no Honours) upgrade to PhD scholarships. APAs are one of the primary sources of support for students undertaking research degrees at the University of Adelaide and are funded by the Australian Government through the Department of Innovation, Industry, Science and Research (DIISR). They are allocated according to the terms and conditions specified by DIISR, namely, on the basis of academic merit and in designated areas of research strength within the University. ARC PhD stipends are available to undertake a specific research project for which funding has been obtained from the Australian Research Council to support collaboration between the University and an industry partner. All major scholarships provide an annual living allowance, which is renewable for the tenure of the award, subject to satisfactory progress. The tenure for a PhD scholarship is three years, with the possibility of extension for a maximum of six months and the tenure of a Masters by Research scholarship is two years, with no possibility of extension. In 2012, the base stipend for a full-time APA and Divisional scholarship holder is $23,728 and for a full-time ARC PhD stipend holder (who commenced from 2005 onwards) $28,715, tax-free per annum. The base stipend for a full-time ARC PhD stipend holder who commenced in 2004 or earlier is $25,627. Scholarships are indexed annually. The University of Adelaide has a range of scholarships available for outstanding international higher degree by research applicants including International Postgraduate Research Scholarships (IPRS), Adelaide Scholarships International (ASI) and Adelaide Graduate Research Scholarships (AGRS). The scholarships provide for tuition fees and a living allowance equivalent in value to an Australian Postgraduate Award ($23,728 in 2012). Postgraduate travel scholarships are available to assist students wishing to undertake postgraduate research at universities and institutions within South Australia, interstate and overseas. Note that closing dates for applications for most scholarships for overseas study available through Australian sources fall between June and October each year. Scholarship Holders
As a scholarship holder, the maximum amount of paid employment that you may undertake during normal working hours (Monday to Friday, 9:00am to 5:00pm) is 8 hours per week. There is no limit on the amount that you can earn for employment that is not directly related to the research that you are undertaking. However, if your employment is directly related to your research in any way, the maximum earnings allowed will be up to 75% of the value of your (major) scholarship award. Outside of normal working hours, there is no restriction on the number of hours of paid employment that may be undertaken, providing that your supervisor is satisfied that it will not interfere with your progress. Scholarship holders who are interested in undertaking employment (paid or voluntary) within the above time restriction need to advise the Senior Scholarships and Finance Officer in the Graduate Centre before commencing work.
If you enrol as a full-time candidate, you are expected to devote the majority of your time to your research program and to ensure that any work or activities you undertake that are unrelated, or peripherally related to your research project will not impede on the progress of your research; a maximum of eight hours per week is recommended for a full-time candidate. If you are a doctoral student, you will need to complete within 3 to 3.5 years to achieve a timely completion and if you are a Master by Research student, within 1.5 to 2 years. In order to achieve this goal and to maintain your work-life balance, you will need to carefully consider your commitment to activities outside of your research. Remember that these activities may be paid or unpaid and include those that could be considered professional development opportunities, for example: Avenues of research which, whilst interesting, are not necessary for you to complete in order to meet the required standard for your qualification; Laboratory tasks for the research group or supervisor, rather than your own research; Demonstrating, tutoring, lecturing and course coordination; Attending lectures to facilitate demonstrating, tutoring, lecturing and course coordination; and Paid employment.

Higher Degree Research (HDR) Candidates

International Students
Students granted visas on or after 26 April 2008 receive permission to work with their visa grant. As a result most student visa holders will no longer need to apply separately in Australia for permission to work and can therefore work on a paid or voluntary basis for a maximum of 20 hours per week during the academic year and unlimited hours when on vacation. Students granted visas before 26 April 2008 can still apply separately for permission to work. One of the planned changes is to give all Higher Degree by Research students unlimited work rights once their course has commenced. The Department of Immigration and Citizenship (DIAC) requires all international students on student visas and their families (on dependant visas) to have health insurance while in Australia. This insurance is called Overseas Student Health Cover (OSHC). OSHC helps you pay for medical and hospital care that you may need when you are studying in Australia. Joint Higher Degree by Research (HDR) Programs between Australian Higher Education Providers NEW
Under the provisions of an approved JointlyAwarded PhD agreement, a PhD student at the University of Adelaide, who is a citizen of Australia or New Zealand, or a permanent resident of Australia, may divide his/her candidature between the University of Adelaide and an approved Australian Higher Education Provider (HEP) and, following the successful completion of an agreed examination process, be awarded a single doctoral degree that is awarded jointly by two institutions. In order to provide students with the best possible research experience and to facilitate collaboration amongst the prestigious, research-intensive Group of Eight (Go8) universities, the University has signed a Memorandum of Understanding for a Go8 Joint PhD Program. A Jointly-Awarded PhD program provides a mechanism: to enhance two way international research collaboration to facilitate international study and experience for PhD students to work in two countries and have access to the latest research equipment to access new funding sources. International students wishing to apply for a Jointly-Awarded PhD with the University of Adelaide as their partner institution must demonstrate, prior to application, that: they are already enrolled in a PhD in an approved University; they can satisfy the normal admission requirements (including all language proficiency requirements) at the University of Adelaide; and arrangements exist for an approximately equal sharing of candidature between institutions. A Jointly-Awarded agreement between the University of Adelaide and a French university is also known as a Cotutelle Agreement. The Master of Clinical Science is available in Adelaide, to both domestic and international students by 100% research or, by mixed research and coursework. The aim of the degree is to train students in research methodologies and techniques associated with evidence-based healthcare and in the critical evaluation of evidence and research. The degree is for clinicians with at least two years experience and an interest in conducting high quality systematic reviews and in the translation of evidence into action in health policy and clinical practice. To be eligible for entry to the program, students must have a minimum of two years approved professional work experience, in addition to completing one of the degrees of the University of Adelaide listed below at a satisfactory standard; qualifications from other institutions will also be accepted where the program of study undertaken and the academic standard reached are accepted as equivalent by the Research Education and Development Committee: the degrees of Bachelor of Medicine and Bachelor of Surgery or a degree of Bachelor of Nursing or a degree of Bachelor of Dental Surgery or a Bachelor degree in an appropriate field of study or a relevant Master by Coursework degree or a relevant Master by Research degree.

Coursework degrees that do not contain a significant research component are not acceptable for the purposes of admission to a PhD. In some circumstances, the Research Education & Development Committee may deem that other educational and research backgrounds are equivalent to Honours for the purposes of admission. If you are seeking entry based on alternative qualifications, the key consideration will be that you have undertaken significant research training, leading to the production of a substantial written report such as a thesis or publication(s). In addition to the formal academic requirements for admission, it is advisable for you and your prospective School to consider a number of other criteria before a higher degree by research candidature is offered or accepted. For example: Is the School appropriate for your proposed research, and does it have the space, facilities and resources that your project is likely to require? Is the School able to provide quality, experienced panel supervision comprising a principal and at least one co- or external supervisor for the duration of the research program? The University of Adelaide offers seven higher doctorates: the Doctor of Dental Science; the Doctor of Health Sciences; the Doctor of Engineering; the Doctor of Science; the Doctor of Letters; the Doctor of Laws; and the Doctor of Music. Higher doctorates are typically awarded on the basis of a collection of works that have been published or accepted for publication. Candidates for a higher doctorate are required to have a substantial association with the University of Adelaide and at the time of application, to have made an original contribution of distinguished merit to their disciplines over the course of their careers. Typically, candidates are mid-career professionals who have held a doctorate such as a PhD for a minimum of five years prior to their application.
to be offered a choice of topic from a number of quite well defined projects, consistent with the interests of the Schools research groups. Candidates in non-experimental fields may have the freedom to choose their own topic within wider limits. In general terms, research projects undertaken in the Universitys areas of research strength have the advantage of having a concentration of resources and facilities and a lively research culture which stems from a critical mass of good students and research staff. In addition, it is important to remember that not all research topics have the necessary scope for a higher degree by research. Others are too big to be completed within the timeframe for the degree and some topics may not be able to be supervised or resourced within the University. Ensuring that you choose a research project that can be well supervised and resourced within your School of enrolment can prevent disappointment and wasted time later in candidature. If you do not have particular supervisor(s) in mind, contact the Schools Head or Postgraduate Coordinator and ask who is likely to be nominated to supervise you and then arrange to meet or talk to your proposed supervisors to ensure that you are comfortable with the Schools choice and that they will have the expertise, experience and time required to supervise you well. Where possible, it is a good idea to talk to other members of the research group or School about your proposed supervisors and their track record of supervision and to ask other research students who are supervised by these staff whether or not they are happy with the amount of support they have received.

International students

Whilst half-time candidature is appropriate for some candidates who would otherwise not have the time or financial resources to undertake a research degree, it is advisable to enrol as a full-time candidate where possible. The pursuit of a higher degree by research is an engrossing, challenging and time consuming occupation and can be made more demanding where work and family commitments must also be juggled. Anyone carrying out research must, to a certain extent, live with his/her research questions and problems until they are solved and given that full-time students normally need three to four years to obtain a PhD, the difficulties of half-time study are obvious. It is also worth considering the hidden risk of undertaking a half-time degree: will the results of a research project conceived seven or eight years earlier still have currency at the time of submission? In fast moving, experimental fields, the answer is likely to be no. An added advantage of full-time candidature is that you can fully engage with the research culture of the School and the University and interact daily on an informal basis with peers and academic staff in your School. The availability of these support structures, together with the opportunity to gauge your progress against that of other students, can greatly assist you to keep your candidature on track for a timely completion. As an international remote student, you will be required to pay tuition fees at the full internal rate for any periods of time that you are studying within Australia. Fees are charged at 50% of the applicable full-time or half-time rate whilst you are studying remotely outside Australia.

Scholarship holders
Scholarship holders who are granted the permission to enrol concurrently in another academic program will be restricted to a maximum of 8 hours of study per week during normal working hours (Monday to Friday, 9.00am to 5.00 pm).
Can I appoint a principal supervisor from a different school than the one in which I am enrolled?
Enrolment in a different School than your principal supervisor is not recommended as it can make the coordination of your supervision and the management of your progress more difficult. Consequently, this course of action is only permitted under exceptional circumstances, on the grounds that your research interests and those of your prospective principal supervisor are closely matched and that the research to be undertaken is appropriately identified with your nominated School of enrolment. As an international applicant, in addition to satisfying the English proficiency and academic requirements for admission to the satisfaction of the University, you must also provide assurance to the Australian immigration authorities that you have adequate financial resources to undertake your studies. recipients awarded a scholarship in the major round are generally required to commence study by 31 March of the year for which the scholarship is awarded. However, under special circumstances, an award holder may be permitted to commence study after 31 March but not later than 30 June. International students

In 2011, The University of Adelaide implemented an online system for higher degree by research admission and scholarship applications for all Australian and New Zealand citizens and permanent residents of Australia. Further information, together with access to the online application system is available at www.adelaide.edu.au/graduatecentre/ admission/form.html Following receipt of advice from the Head of School about your suitability as an applicant and the availability of supervision and resources to support your candidature, a letter of offer (or refusal) will be forwarded to you. Generally, the time taken from application to the issue of a letter of offer (or refusal) is between two and four weeks.
Scholarship Applicants
The closing date for the major round of scholarship applications for domestic students (including Australian Postgraduate Awards and the majority of University scholarships) is 31 October each year. International applicants
Prospective international students apply for admission on the Postgraduate International Research Application form.
Enrolment
Applicants who have been made an offer of a place in a higher degree by research program at the University of Adelaide will be forwarded a personalised enrolment form, with instructions on how to complete it, by the Graduate Centre. The instructions are also available online at www.adelaide.edu.au/graduatecentre/ admission/enrolment_form.html After completing the required information on the front and back of the enrolment form, you will need to take the form to your School where the remaining details will be completed by your principal supervisor and Head of School or Postgraduate Coordinator. The form should then be returned to the Graduate Centre prior to the date nominated as the commencement date of candidature. Processing of the enrolment form is undertaken by the Graduate Centre and is normally completed within one week of receipt of the form. However, you should be aware that there may be a delay if enrolment is undertaken during the early part of the year when enrolment for many other students is also in progress. An incorrectly completed form or missing information can cause delays in the processing of enrolments, so it is important that you obtain all the required information and signatures before lodging your enrolment form with the Graduate Centre. Following processing of your enrolment form, the Graduate Centre will send you a letter confirming the details of your candidature and specifying the due dates of the various milestones you will be required to complete. An authority to collect a University identification card (purple slip), and a PIN number will also be included with your enrolment confirmation letter. The purple slip, when presented at the Card Centre, will authorise the issue of your Student card and the PIN number will enable you to access IT services including your student email and Access Adelaide.
Scholarship holders
If you have been offered a living allowance scholarship, it is important to complete, sign and lodge the Bank Credit Authority form with the Graduate Centre as soon as possible and, at the latest, at the time of lodging your enrolment form, in order to avoid any delays in scholarship payments. Payments commence 34 weeks after submission of your completed enrolment form to the Graduate Centre. Payments will be made fortnightly in arrears, directly into a nominated Australian bank account in your name.
Scholarship holders
Applications from DIISR funded scholarship holders to transfer their scholarship from another university to the University of Adelaide will be considered on a case-by-case basis. The University does not undertake to accept all incoming applications. Note that an application to transfer your scholarship will automatically be rejected if you have completed less than six months of candidature at your previous institution. Where a scholarship transfer is approved, the duration will be the normal tenure less the number of full-time equivalent (FTE) days for which you were enrolled at your former institution.
International students
On arrival in Australia international applicants who have been made an offer of a place will be provided with their enrolment form, Authority to collect a University identification card and PIN number, together with information about registering for the compulsory Integrated Bridging ProgramResearch (IBP-R), by the International Student Centre (ISC). Further information about the IBP-R is available later in this Handbook. Completed enrolment forms should be returned to the Graduate Centre, prior to the nominated start date of candidature.
International students
International students are only permitted to transfer their candidature to another university, under exceptional circumstances, within the first 12 months of study: the approval of both the home institution and DIAC are required. If you are considering a transfer, please contact the International Student Centre for advice.

Consequently, whilst you can normally expect to be able to have a confidential discussion about problems, issues and their solutions with your supervisor(s), Postgraduate Coordinator, Head of School, the Dean of Graduate Studies and others, it is important to be aware that in very limited circumstances, as highlighted above, absolute confidentiality cannot be guaranteed. Having said this, you can be assured that the Insurer is required to maintain the confidentiality of any information presented under the Insurance Act. In rare circumstances where there is disagreement about the composition of the supervisory panel, the Head of School, who has the responsibility for ensuring appropriate supervision arrangements are in place may, in the best interests of the student, overrule the wishes of any of the parties involved, provided that the new supervisory arrangement remains consistent with University policy.
stages of your candidature, your supervisors are likely to know more about your chosen field of study than you do and can therefore offer valuable advice on preparing a realistic research proposal, together with instruction in the methodology and (any) technical skills that are necessary for your project. As you progress in candidature and your expertise grows, your relationship with your supervisors will gradually change; their role will increasingly be to act as a sounding board for your ideas, to review and comment on your written work and to provide you with feedback on your progress towards completion. In addition to the academic guidance they provide, your supervisors can also help you with any personal difficulties you may be experiencing either directly or by referring you to support services provided by the University. Detailed information about the roles and responsibilities of your supervisors is available in Appendix 2. As each student and supervisor relationship is unique, it can be beneficial for students and supervisors to discuss their mutual expectations at an early stage of candidature to avoid future misunderstandings.To facilitate this discussion, you and your supervisor(s) may find it helpful to independently complete the Expectations in supervision scale and then to compare your answers. Supervision
From the time of commencing your candidature until your degree is awarded or your program discontinued, you will have a panel of supervisors comprising a principal and at least one co- or external supervisor, appointed by the Head of School. All supervisors will belong to the Universitys register of eligible research supervisors in accordance with the Policy for the Establishment of a Register of Eligible Research Supervisors: www.adelaide.edu.au policies/2063 To ensure that you have continuity of access to expert academic advice, instruction and assistance throughout your candidature, changes to the supervisory panel (particularly the principal supervisor) are discouraged. However, additional supervisors may be added to the panel at any time to reflect changes in the direction of your research. More rarely, the composition of your supervisory panel can be modified to accommodate staff departures, absences (exceeding one month) and irresolvable personality conflicts. Any changes to the supervisory panel must first be discussed with all parties involved in the supervision process to ensure that each is satisfied with the proposed arrangement and then, approved by the Head of School.
may request that a file copy of the notes of your supervisory meetings, signed by all participants, be kept in the School Office or by the Postgraduate Coordinator. Where this is not the case you ought to, as a minimum, maintain your own signed file copies of the notes for future reference. If you are studying remotely, half time or are on study leave, meeting with your supervisor(s) in person can be more difficult. However, it is still essential that you maintain frequent contact: phone calls, video conferencing and email discussions about your research are all regarded as interactive forms of communication and these can usefully supplement your less frequent faceto-face meeting times. It is normal for most students to meet more frequently with their principal supervisor than with their co- or external supervisor(s). However, it is expected that all members of the supervisory team will meet together with you at least twice per year to ensure that all parties have a common understanding of and approach to the development of the research. More regular meetings with the entire supervisory panel are recommended, particularly in the early stages of your research project when the research proposal is being shaped and, of course, in any situations where your supervisors have expressed differing opinions about your research. It is worth remembering that your supervisors are busy people who have many demands on their time and may not always be immediately available to advise you. Having said this, you are not expected to wait until you are approached by your supervisor(s) before you can raise a problem or have a discussion about your research. Dont be afraid to ask for help. Your supervisor(s) will make time for you as soon as they are able; its their job! Other members of the research group may also be able to assist you with technical or methodological problems and dont forget your Postgraduate Coordinator is there to help. A useful tool to ensure that regular meetings with your supervisor(s) proceed is to take the lead early on in your candidature for scheduling a regular timetable of meetings with your principal supervisor and with your whole supervisory panel.
Each year around October/November the University calls for Faculties to propose a nominee for the Universitys Award for Excellence in Higher Degree by Research Supervision. The award recognises and encourages sustained excellence in the supervision and support of Higher Degree by Research students and is accompanied by a grant of $10,000 to be used for professional development purposes. If you would like your supervisor to be considered for an award, please suggest his or her name to your Postgraduate Coordinator. The email will direct you to download a copy of the Completion of the Core Component of the Structured Program form from the Graduate Centre website (a form will be mailed to you on request) (ii) if you fail to lodge the core component documentation by the due date and if no application for extension has been received from your supervisor(s), your candidature will be suspended. Refer to the Suspension of Candidature section of this Handbook for further information.

Note that students who upgrade to doctoral candidature having already completed the major review during their prior Masters enrolment are exempted from undertaking the core component of the structured program in the doctoral program.
describing good practice, the Code promotes integrity in research for researchers and explains what is expected of researchers by the community. In providing advice on how to manage departures from best practice, the Code assists researchers, administrators and the community in this important matter. Compliance with the Code is a prerequisite for receipt of National Health and Medical Research Council and Australian Research Council funding.
In preparing your research proposal, there are several areas to which you should pay particular attention. These are: the Australian Code for the Responsible Practice of Research management of research data ethical clearance intellectual property authorship the importance of acknowledging the University of Adelaide in research publications resourcing your proposed research support, and whether the research is commercially, culturally, politically or criminally sensitive.
As elucidated in the Code, the responsible conduct of research includes the proper management and retention of the research data. Retaining the research data is important because it may be all that remains of the research work at the end of the project. While it may not be practical to keep all the primary material (such as ore, biological material, questionnaires or recordings), durable records derived from them (such as assays, test results, transcripts, and laboratory and field notes) must be retained and accessible. The central aim is that sufficient materials and data are retained to justify the outcomes of the research and to defend them if they are challenged. The potential value of the material for further research should also be considered, particularly where the research would be difficult or impossible to repeat.
If your School has concerns about your progress these will be discussed with you and documented during your core component review and a recommendation may be made for the termination of your candidature or, where applicable, transfer to a Master by Research.
All researchers are required to undertake training on the Australian Code for the Responsible Practice of Research. In

as from the committee at the place where the research is to be conducted. The use of animals is regulated by State legislation and must comply with the Australian Code of Practice for the Care and Use of Animals for Scientific Purposes 7th Edition, 2004 (available at the ethics website). If your research will involve the use of animals, you must obtain ethical approval from the Universitys Animal Ethics Committee and, if you are located at an institution outside the University of Adelaide, you will also require ethical clearance from the committee at the place where the research is to be conducted. A training course is conducted by the Animal Ethics Committee in early March each year to expose new animal users to the ethical questions they are obliged to consider and to provide advice regarding the responsibilities involved. If your research will involve the use of animals, completion of this course (or alternative on-line program), together with the online assessment in animal ethics, is mandatory. Further information is available at www.adelaide.edu.au/red/animal_ethics/. Students whose research will involve genetically modified organisms (GMOs) will need the appropriate approvals from the University of Adelaide Institutional Biosafety Committee and, where necessary, the Office of the Gene Technology Regulator, prior to commencing their research. All dealings with GMOs must comply with the Gene Technology Act 2000 and the associated Gene Technology Regulations 2001. Certain dealings with GMOs must be conducted within physical containment facilities that are certified by the OGTR and students working in these facilities must be trained in the OGTR requirements. Students should also be aware that if they are working in another organisations premises or facilities, there is the requirement to meet both the University and the other organisations compliance protocols. The Quarantine Act 1908 regulates the importation of certain material from overseas. Students wishing to import/receive material from overseas need to determine if they require an Import Permit from the Australian Quarantine and Inspection Service (AQIS). Other permits or approvals may also be required as a condition of an import permit and the student must ensure that the
appropriate approvals and/or permits are obtained prior to commencing the research work. The conditions listed on the import permit must be met at all times to ensure ongoing compliance with the legislation. In addition, some quarantine risk material must be stored or dealt with in a Quarantine Approved Premise (QAP). Students who work with material subject to quarantine in a QAP need to complete the AQIS required online training to become a QAP Accredited Person. Whilst it is ultimately your principal supervisors responsibility to obtain the required ethical clearance(s) for your higher degree project, you will be involved in preparing applications for approval which may involve interaction with the appropriate ethics officer. Ethical clearance

All students must be familiar with the relevant legislative and compliance requirements of the University and also of regulatory and advisory bodies in relation to their research or experimentation. As research projects and practices must conform to the accepted ethical standards and statutory requirements, you will not be permitted to commence research involving human or animal subjects, or genetically modified organisms until you have completed appropriate ethics training and obtained the required clearances. If your research involves human subjects, you must obtain ethical approval in advance from the University of Adelaides Human Research Ethics Committee. All human research participants must comply with the National Statement on Ethical Conduct in Research Involving Humans, 2007. The University accepts protocol approval granted by the Ethics Committees of the Royal Adelaide Hospital, the Queen Elizabeth Hospital or the Children, Youth and Womens Health Service. However, for candidates whose research is conducted (a) at these hospitals and is not supervised by a member of the Universitys clinical staff, or (b) at any other institution, ethical clearance must be obtained in advance from the University of Adelaides Human Research Ethics Committee, as well
Intellectual Property

In the absence of an employment relationship between yourself and the University, you own the intellectual property (IP) generated by your research. However, it is important to remember that any IP you generate will frequently be the product of a complex interaction between you, your supervisor(s)
and third parties as part of a research team. For the protection of the rights of all participants, the University requires that you sign a Student Project Participation Agreement (SPPA) to assign your IP rights to the University if you are engaged in research where: the IP is likely to have or has commercial potential the project builds upon pre-existing University IP or the project is being carried out for, or in conjunction with, a third party (e.g. a CRC, company, funding body). It is important to be aware that in most cases, if you choose not to assign your IP to the University, your research proposal will not be approved and you will be asked to choose another project in an area that is not commercially sensitive. Signing an SPPA ensures that you will share in any benefits arising from the research in the same way as a University staff member. It also means that the expertise within the organisation can be used to protect and service your interests; because of conflict of interest issues, the University is unable to act directly on your behalf until the SPPA has been signed. When you sign an SPPA, a two year embargo will be placed on both the paper and electronic versions of your thesis from the time of submission. Under exceptional circumstances, authorisation to extend the period of the embargo may be provided by the Research Education & Development Committee on the advice of Adelaide Research & Innovation (Pty Ltd). Intellectual property matters are complex and may take time to resolve. To ensure that the approval of your research project is not unduly delayed, you are encouraged to discuss IP with your supervisor(s)/ Postgraduate Coordinator at an early stage of candidature and, if necessary, to obtain independent legal advice. Free legal advice may be available from services listed in the National Pro Bono Resource Centre website at: www.nationalprobono.org.au Any required commercial and/or confidentiality agreements or contracts and/ or the student project participation agreement (SPPA) should be lodged, at the latest, with the Core Component of the Structured Program form.

Authorship
It is advisable to discuss and agree upon the matter of authorship/co-authorship with your supervisors in the early stages of your research project and to revisit the issue as necessary throughout candidature to avoid any misunderstanding that may delay the completion of your research project or publication(s). In many research projects a number of participants are involved, each undertaking different tasks: it is acceptable in such circumstances for you to use the data/ information derived collectively for publication(s) provided that each persons contribution is duly acknowledged. In recognition of the fact that your supervisors contribute to the development of your research by providing direction and guidance and by contributing ideas, it is normally appropriate that they be named as co-authors in publications, providing that each has met all of the following conditions: (i) conception and design, or analysis and interpretation of data (ii) drafting the article or revising it critically for important intellectual content and (iii) final approval of the version to be published. Researchers must also acknowledge any funding that enabled the research which led to the publication. Research publications include: refereed journal articles refereed conference papers; research books or chapters; and all forms of publication and performance in the areas of creative practice, including exhibitions, concerts and recordings and their associated publications such as catalogues, programs and sleeve notes. In addition, a University by-line should be included in the notes of contributors (or equivalent) for all forms of publication (both print and digital). Notwithstanding the academic communitys general desire for complete openness about all aspects of research, in some cases material must be kept confidential. For example, if you are a health or social science researcher, you may have obtained data from individuals who only agreed to participate in your study provided that nothing was published that would enable them to be identified. To avoid any problems that may arise in association with the eventual examination, publication of, and access to, your thesis by the public, you are strongly advised to consider whether your research will involve research data or materials that are commercially, culturally or politically sensitive. A question may arise as to whether or not such information, and the sources of such information, should be disclosed to the general public. Additionally, the processes for storage of and access to your research data must be carefully considered to ensure that every effort has been taken to honour the undertaking of confidentiality. If an embargo on your thesis is likely to be required to protect confidentiality during the examination process and to restrict access to the final print and electronic copies and you have not signed a student project participation agreement, a written application, supported by your supervisors and Postgraduate Coordinator or Head of School should be lodged with the Graduate Centre as early as possible in your candidature. At the very latest, sufficient time must be allowed for applications to be lodged, considered and a decision reached, by the time of thesis submission. Should an application for embargo be lodged after submission of the thesis, the Graduate Centre may not be able to guarantee that information within the thesis has not been disclosed to the general public. Embargos for the purpose of restricting public access to a thesis are considered exceptional and are generally only allowed on grounds such as: pending the results of a patent application or publishing contract
where the thesis contains commercially, culturally, politically, or criminally sensitive data which the author, with prior approval of the University, had given an undertaking to the sources not to disclose or make public for a limited period of time. In most instances, the period of embargo approved by the Research Education & Development Committee will be two years from the time of submission.
serves to ensure that your Postgraduate Coordinator, the Head of School and the Dean of Graduate Studies are kept fully informed of your progress The process for the annual review is as follows: In the September before each annual review is due, the Graduate Centre will email to advise you that the annual review form and associated information is available for download from the web at www.adelaide.edu.au/graduatecentre/review After reading and completing the relevant sections of the form, make two appointments: one with your supervisors and a second, later appointment, with your Postgraduate Coordinator or Head of School. Note that if the Head of School is one of your supervisors, the second appointment should be made with the Postgraduate Coordinator. Similarly if the Postgraduate Coordinator is one of your supervisors, the second appointment should be made with the Head of School. On those rare occasions when both the Head of School and the Postgraduate Coordinator are your supervisor(s), the Head or Postgraduate Coordinator will nominate another senior academic staff member of the School to conduct the second interview. You should complete Section A of the Annual Review form before meeting with your supervisors. This information will form the basis of the discussion between you and your supervisors. The contents of the form may be refined at ensuing meetings with supervisors and the Head of School/Discipline or Postgraduate Coordinator. During the first appointment, discuss your work with your supervisors, who will complete their section(s) before returning the form to you. Next, pass your completed annual review form to your Postgraduate Coordinator or Head of School prior to your scheduled meeting; he or she may wish to interview you alone or together with your supervisor(s). The Postgraduate Coordinator or Head then signs the form before returning it to you. When you have sighted the comments of your supervisors and Postgraduate Coordinator or Head and checked that all sections have been completed and signed by the appropriate persons, sign the form yourself and make a photocopy for your records before lodging it with the Graduate Centre by no later than 31 October.
Your completed annual review form will be examined by staff in the Graduate Centre on behalf of the Research Education & Development Committee and any problems identified will be pursued at the appropriate level. Unresolved problems may be referred to the Committee for further consideration if required. The outcome of the review will be an assessment of your progress by your School as: (i) satisfactory (ii) a cceptable, but with some (specified) reservations or (iii) unsatisfactory. A period of conditional (re-)enrolment may be recommended in the event of assessments (ii) or (iii). Conditional (re-)enrolment is discussed in more detail later in this Guide (refer to the sections on unsatisfactory progress during provisional and confirmed candidature). If you disagree with any of your supervisors comments but are reluctant to contradict them or to raise and document any other sensitive matters that concern you, then you may submit a separate statement for the attention of the Dean of Graduate Studies. Subject to the Universitys privacy policy and insurance obligations, an issue raised in this way will remain strictly confidential unless you agree that it can be taken further. If it appears likely that you will not be able to have your review completed by 31 October, you should request that your principal supervisor arrange for an extension (prior
to the 31 October deadline) by contacting the Graduate Centre on 8313 5882 or by email to graduate.centre@adelaide.edu.au It is important to note that failure to lodge a completed Annual Review, or to arrange an extension, by the due date, will result in the suspension of your candidature and any scholarship payments. A word of warning: do not assume that your supervisor has requested an extension or that your supervisor/Postgraduate Coordinator or Head of School has forwarded your completed annual review form to the Graduate Centre. Make sure you check with them before the annual review deadlineit is your personal responsibility, not theirs, to ensure that you complete the annual review on time.
Identify, document and resolve any problems or issues which are beyond your control that are likely to affect your ability to complete within the required timeframe of the degree; Assess your relationships with your supervisor(s) to determine whether your professional compatibility is sufficient to facilitate completion of the degree within the required timeframe; Recommend confirmation of candidature, extension of provisional status, conversion to a Masters enrolment (where applicable) or termination; Where an extension of provisional candidature is recommended, set a series of tasks/milestones which enable you by completing them, to demonstrate your competence to finish the program within the required timeframe. Undertake a further review of progress following an extension of provisional candidature and recommend confirmation, termination or conversion to a Masters enrolment. To fulfil the requirements of the major review of progress, you must have: satisfactorily completed all the preceding milestones, including the Adelaide Graduate Centre induction program regularly attended the School seminar program (remote students are exempted); submitted a GANTT chart or completion plan with your major review documentation which details the timelines for your research from candidature commencement to thesis submission; and made satisfactory progress during your provisional candidature in terms of both the quality and quantity of work required for completion within the required timeframe for your degree. In determining whether or not your overall progress has been satisfactory, the Candidature Confirmation Committee may require additional tasks to be completed during a further period of provisional enrolment of three to six months in duration. Where this is the case, you will undertake an extended Major Review at the end of the extended provisional period. This review will confirm candidature, recommend conversion to the Master of Philosophy (if applicable) or recommend termination of
candidature. No further extensions of the provisional status will be permitted. The Graduate Centre will advise you and your principal supervisor approximately one month in advance that your major review is due and direct you to the website where you can download a copy of the form (a form will be mailed to you on request). The due date for return of your major review form is 12 months (or half-time equivalent) from the commencement of your candidature.
Re-Enrolment
provided to the Graduate Centre before your reenrolment will be processed. In the event that you were not re-enrolled because of your failure to submit your annual review by the due date, a satisfactorily completed annual review must be submitted to the Graduate Centre before your reenrolment will be processed. You may incur a late fee of $75 for an annual review form submitted after the due date.
Re-enrolment is an automatic process provided that you have satisfactorily completed and lodged the annual review of progress by the due date and have no outstanding financial obligations to the University. Clause 4 of Chapter 89 of the Statutes of the University states that a student may not re-enrol unless all outstanding fees and all other financial obligations due to the University have been discharged or arrangements for their discharge have been approved.
Consequently, it is important that you discharge any financial obligations with the appropriate areas as soon as possible after they are incurred and, at the latest, by 30 November to ensure that your re-enrolment for the following year is not jeopardised. Details of any outstanding financial obligations that you may have and information about where to discharge them are available on Access Adelaide. Log on to Access Adelaide via the Unified portal, which is available as a Quick Link from the Universitys home page or at https://unified.adelaide.edu.au/web/ mycampus/home The Graduate Centre will notify you in writing if you have not been re-enrolled. If the reason you have not been re-enrolled is your failure to discharge an outstanding financial obligation, documentary evidence demonstrating the discharge of the obligation, or suitably approved arrangements for the discharge must be
International Students
International students who are considering a major change to their field of study that is likely to result in a change of research program are advised to contact the International Student Centre to discuss the visa and any sponsorship implications of the proposed change.
Changing Supervisor(s)
To ensure that the supervisory panel comprises those staff members with the greatest expertise and experience in your research area, a change (or addition) of supervisors may be appropriate to reflect changes in the direction of your research. Where a supervisor is no longer available to supervise, your supervisory arrangements will also be amended. This can be necessary, for example, when a supervisor leaves the employment of the University. The supervisory arrangement may also be changed if the relationship between you and your supervisor(s) has broken down because of, for example, a personality conflict. Proposed changes to your supervisory arrangements should be discussed and preferably agreed with all members of your supervisory panel before the Change of Research Topic form is completed. Where all parties are in agreement, the proposed changes must be endorsed by either the Head of School or the Postgraduate Coordinator. Note that the proposed supervisor(s) must be a member of the Supervisor Register. If there are any disputes regarding the proposed changes, it is the responsibility of the Head of School to ensure that you are provided with a satisfactory supervisory arrangement and he or she may authorise changes to the supervisory panel in consultation with you.
Scholarship holders
If you are a scholarship holder, you are normally required to maintain a full-time attendance status. Applications to convert to a half-time enrolment can only be approved where there are exceptional circumstances that relate to significant caring commitments or a medical condition which limits your capacity to undertake fulltime study. If you are in receipt of a half-time award, the University may require you to convert to a full-time attendance status when the compelling reasons that were the basis of the approval no longer apply. Half-time awards are paid at a reduced stipend and are not exempt from taxation.
International students
International students are required to maintain a full-time attendance status whilst studying within Australia.
the Master of Philosophy, you can apply to transfer to the PhD after eighteen months of candidature or half-time equivalent, subject to satisfactory completion of the Major Review of Progress, evidence of research outcomes, such as publications, peer reviewed conference papers, scholarly works and creative arts and the submission of a revised research proposal which can reasonably be completed within 3-4 years (less the time already spent in your Masters candidature). For students in the mixed research and coursework stream of the MPhil, completion of a minimum of 12 units of coursework is also required.
International students
As an international student, approval to transfer to a PhD program is subject to the approval of your sponsor (where applicable) and to the granting of a new student visa from the Department of Immigration and Citizenship. Please contact the International Office for advice before lodging your application to transfer.

The process for applying to transfer to a PhD program is as follows: After discussing the proposed transfer with your supervisors: (i) complete an Upgrade Candidature from a Masters to a PhD application form and prepare your revised research proposal and evidence of outcomes where applicable (ii) provide these documents first to your supervisors for consideration and then to the Head of School or Postgraduate Coordinator (iii) a fter you have obtained the necessary endorsements and the supporting statement from your School (where applicable), return the completed documentation to the Graduate Centre, which will seek the endorsement of the Faculty Higher Degrees Committee and the Research Education and Development Committee (iv) the Graduate Centre will advise you in writing whether or not the transfer of your candidature has been approved (v) w here applicable, your maximum candidature duration and Research Training Scheme (RTS) entitlement will be reduced by the number of full-time equivalent (FTE) days for which you were enrolled in the Masters program.
Whilst you may start your research in a PhD program, you should be aware that life sometimes gets in the way of the intensive 3-4 year full time commitment required to complete a PhD. Some students may come to realise that a research career, or the particular research project they have commenced, is not for them and others may find that the time and focus required to complete a PhD is simply not achievable due to circumstances beyond their control. Whatever, the reason it is important to be honest with yourself and your supervisors about your commitment to your research project, so that you can ensure the best outcome for you. Where appropriate, completing your research as a Master of Philosophy is a good result and will ensure that the significant investment of time and energy that you have already made in your research will not go unrewarded. A Master of Philosophy will provide you with a postgraduate qualification which will be recognised and valued by a wide range of employers as well as providing you with an excellent basis to pursue further research study in the future, not to mention a strong competitive advantage for future research scholarship applications. It is important to note that examiners cannot recommend that a thesis which is below PhD standard be awarded a Master by Research qualification (with or without amendments). Accordingly, it is essential to ensure that the work submitted for examination reflects the required standard for the degree; a borderline thesis may result in no degree being awarded and no recourse for future submission as a Masters. If you or your supervisors consider that the product of your research is not going to achieve doctoral standard within the allowable timeframe for the PhD, candidature should be transferred

When your transfer to a doctoral program has been approved, your scholarship duration will be extended up to three years less the number of days of Masters candidature previously completed.
to a Master program as soon as possible. Typically, applications for transfer naturally follow from the Major Review of Progress and are processed within two years from commencement, however, subject to the necessary approvals; transfer may be permitted at any time prior to submission. If you wish to transfer from a PhD to a Master of Philosophy or other approved Master by Research program, you may apply to do so on the form Transfer Candidature from a PhD to a Masters Application. The application requires the approval of your supervisors and the Head of School or Postgraduate Coordinator. Steps (ii) (iv) of the process described above for upgrading from a Masters to a PhD above are identical. On approval of the transfer, your maximum candidature duration and Research Training Scheme entitlement will be two years (or halftime equivalent) less the number of days of Doctoral candidature previously completed. Note that if you have completed two or more years of candidature at the time of approved transfer, your candidature in the Masters program will lapse immediately. The lapse date may be extended by six months (or halftime equivalent) by lodging an Extension to candidature application, at the same time as your application to transfer.

When leave of absence is granted, the clock stops ticking, which means that precious candidature and scholarship time are not being eroded during a period when you are not able to work at full capacity. A maximum of 12 months of leave of absence over your candidature may be taken with the endorsement of your School. The Research Education & Development Committee will consider applications for leave beyond 12 months only where there are exceptional circumstances that are beyond your control. It is important to note that if you are granted exceptional leave, the University will endeavour to ensure, but cannot guarantee, that it will be possible for you to resume the project you were pursuing prior to taking leave. On your return from leave, several factors will need to be considered: for example, is your research still current, or, have advances in the field superseded the work that you were doing? Are the same supervisor(s) still available to supervise your research? Because of staff departures, study leave and/ or work load issues, it may not be possible for you to be placed with the same supervisor(s) on returning from leave and in extreme cases, particularly in very specialised fields, there may be no staff in the Discipline who are equipped to supervise your research. Regrettably, in these cases, you should be aware that continuation of your candidature may not be possible. If you wish to apply for leave of absence, first discuss your situation with your supervisors and then complete the form Application for leave of absence/study leave, attaching a medical certificate if you are applying for leave on medical grounds. Your supervisors and the Head of School or Postgraduate Coordinator must support your application. It is important to note that, except with the written approval of the Dean of Graduate Studies, if you are enrolled in both a higher degree by research and another program(s), you will only be granted leave of absence from your research higher degree if all other programs in which you are enrolled are also intermitted. When leave of absence is approved, your candidature will be extended by the period of time for which the leave was granted. Note that you are entitled to take four weeks of annual leave per year without submitting an application for leave of absence.
Scholarship holders
Continuation of a scholarship after a period of leave exceeding the maximum entitlement will be subject to the approval of your School and the Dean of Graduate Studies. Some scholarship holders may be entitled to receive additional paid sick leave of up to a total of 12 weeks during the term of their (major) scholarship for periods of illness lasting longer than ten days and for which a medical certificate has been provided. If you are unsure of your entitlements, please contact the Graduate Centre for advice. As your scholarship payments will be suspended whilst you are on leave (excepting paid medical leave), it is advisable to apply for leave of absence at least two weeks in advance of the commencement date of the leave, where possible, to ensure that your scholarship payment can be adjusted before an overpayment is incurred. You will be required to reimburse the University in the event of a scholarship overpayment.
International students
International students are normally expected to complete their studies without interruption. Leave can only be granted in exceptional medical or compassionate circumstances and for a maximum of six months. If you wish to apply for a leave of absence, it is advisable to check the visa and fee implications with the International Student Centre before lodging your application.
Scholarship holders
The maximum duration of a Master of Philosophy scholarship is two years. Therefore, if you intend to transfer to a Master of Philosophy, it is advisable to do so within two years from the commencement of your PhD candidature, as you may be required to repay any scholarship payments you receive beyond the maximum tenure of the award.
International students
International students who are considering transferring to a Master of Philosophy level program should contact the Graduate Centre for advice in the first instance.
Leave of absence
It is preferable to progress your research program without interruption as far as possible. However, in some circumstances, for example in the case of illness, financial or family difficulties, it may be sensible to take a leave of absence until the problems have been
Failure to comply with the conditions specified above will result in the suspension of your candidature.
International students
Under the provisions of the Education Services for Overseas Students (ESOS) Act 2000, the University must notify the Department of Immigration and Citizenship (DIAC) if a student breaches his/her visa conditions. Failure to return from leave of absence on the approved date constitutes such a breach and following notification of DIAC, is likely to result in the cancellation of your student visa.
Note that, irrespective of the proposed duration of your travel, you will need to complete a Student Travel Approval form, which may be downloaded from the web at: www.adelaide.edu.au/policies/83 It is your responsibility to ensure that your journey will not involve travel in, or to, regions or destinations that are subject to warnings against travel by the Department for Foreign Affairs and Trade, the World Health Organisation, or any similar agency or organisation.
Postgraduate Coordinator. Approval is normally granted for a maximum period of 12 months or for the remainder of your candidature, whichever is the shorter. After this time your candidature will lapse and no further extension of candidature will be permitted. Note that in some cases, writing up outside may have the effect of shortening your candidature.
Extension of Candidature
If you do not expect to be able to submit your thesis by the candidature expiry date you can apply, with the approval of your School, for an extension of candidature for a maximum of 12 months if you are a doctoral student or six months if you are a Master of Philosophy student. Note that the maximum period of extension is the same for both full and half-time candidates and is usually granted only for exceptional academic circumstances. Candidature extension should not be viewed as an alternative to the appropriate use of leave of absence. As an application to extend candidature cannot be processed after your candidature has lapsed, you are encouraged to submit an application well before your candidature expiry date. The Graduate Centre will remind you that your candidature is due to lapse approximately three months in advance. An application to extend your candidature can be made on the form Extension to Candidature Application, which is available on the web at: www.adelaide.edu.au/ graduatecentre/forms/#E
Study Leave
Study leave is intended for when you wish to undertake fieldwork, research or study towards your research degree whilst located outside the University for a limited period of time, not normally exceeding 12 months in total. In considering the approval of study leave, factors such as the availability of appropriate supervision, travel costs, subsistence arrangements and means of communication with your University supervisors are taken into account. An application for study leave before you have completed the core component of the structured program requires both a supporting statement from your principal supervisor and Head of School or Postgraduate Coordinator and the approval of the Dean of Graduate Studies. To apply for a period of study leave exceeding one week in duration, complete the form Application for Leave of Absence/ Study Leave which is available on the web at: www.adelaide.edu.au/graduatecentre/forms or on request from the Graduate Centre. To ensure that you are covered by insurance during the time you are absent from the University, your application for study leave must be lodged with the Graduate Centre well in advance of your expected departure date. The Graduate Centre will notify you in writing of the results of your application. Periods of study leave of less than one week do not require the completion of a study leave application form. However your School will keep a record of your trip to ensure that you remain covered by insurance whilst undertaking research external to the University.
International Students
Fee paying remote international students pay 50% of the internal international student fee. Note that student visa holders must maintain a fulltime attendance status whilst within Australia.
International students
If you are a sponsored international student, it is advisable to consult the International Student Centre regarding the possibility of an extension of your sponsorship before lodging an application for extension of candidature. Your sponsor may not permit you to extend your candidature by the maximum period. Where necessary, the International Student Centre can also provide advice about extending your student visa and Overseas Student Health Cover (OSHC).
Extension of scholarship
If you are a Doctoral student, you may apply to extend your scholarship for a maximum period of six months beyond the three year tenure of the award. In assessing your application,
the Graduate Centre will seek evidence, both in the information provided on the application form and in your previously submitted annual reviews of progress, that the extension is required as a consequence of delays in your research that were beyond your control. An application to extend your scholarship can be made (two months before the expected expiry of your award) on the form Application for extension to scholarship. The form is available on the web at: www.adelaide.edu.au/ graduatecentre/scholarships/postgrad/pdf/ scholextn.pdf The maximum tenure of a Master of Philosophy scholarship is two years with no possibility of extension.
your thesis within four weeks of your visa expiry date, the University is not required to notify DIAC as it is expected that you will be able to finalise all your arrangements and to leave Australia before your visa expires. If you submit your thesis on a date that is more than four weeks before the end of your current visa, then the University is legally obliged to inform DIAC that you are no longer an enrolled student. Generally, if you plan to leave Australia within four weeks of submission you will be able to remain on your student visa: however, you may need to provide DIAC with evidence of your departure date/flight details. If you wish to remain in Australia during the examination of your thesis, you can apply to do so if you are required to remain for valid academic reasons. The process in brief is to: (i) request that your principal supervisor write a letter detailing the academic reasons which require you to remain in Australia during the examination period (ii) t ake this information to the International Student Centre where the staff will provide you with a letter that you can take to DIAC to accompany your application to remain in Australia (iii) s ubmit the required documentation in person to DIAC. DIAC will advise you of any other information you may need to supply and whether or not you will need to undertake medical checks. If you are granted permission by DIAC to remain in Australia during the examination period, you will be allowed a maximum stay of three months, in the first instance. If the process of examination and correction is not completed within that time frame, then you may seek a further period of stay, up to a maximum of three months. If you have any questions regarding this process, please contact the International Student Centre on 8313 4828. For students who hold a student visa (subclass 574) issued after 5 November 2011 The Government has introduced an increase to the visa validity of all HDR visas (subclass 574) by six months for the purpose of interactive marking of a thesis. Consequently, students issued with a visa on or after 5 November 2011 will no longer need to make a specific application to remain in Australia during the period of thesis examination.
Lapsed Candidature
If you do not submit your thesis for examination (nor apply for an extension) before your candidature expiry date, your attendance status will be recorded as lapsed. The Graduate Centre will remind you of your approaching candidature expiry date, approximately two months in advance. Once your candidature has lapsed, you are no longer an enrolled student of the University and consequently, are not entitled to the rights and privileges, including access to University resources, facilities, supervision and insurance cover, associated with an active candidature. A lapsed candidature can normally only be reactivated for the purposes of submission and then only if the submission takes place within 12 months of the lapse date. Approval of the Research Education & Development Committee is required for submission of a thesis when a candidature has been lapsed for longer than 12 months.
International students
If you are an international Doctoral student you may, under very exceptional circumstances, apply for a further extension of your scholarship for a maximum of six months, on the Application for extension to scholarship form.
Submission

Withdrawal
If you are considering withdrawing from your degree program, you should first discuss the matter with your supervisors to discuss the options available to you. In some cases, it may be more appropriate to, for example: take a period of leave of absence; convert to a half- time attendance status; apply to study remotely or to transfer your candidature to a Master of Philosophy; rather than to withdraw completely. If you do decide to withdraw, you will need to formally notify the Graduate Centre by lodging the form Withdrawal from Candidature Notification, which is online at www.adelaide.edu.au/graduatecentre/ forms/#W Readmission after withdrawal may be possible in some circumstances provided that the application is supported by your Head of School and approved by the Research Education and Development Committee.
After submission of your thesis for examination, your candidature remains active (with a load of zero) and you should be able to access University services and facilities as normal for a period of time. If your Library access expires, you can apply for it to be reinstated, free of charge, by completing an Authorisation for University of Adelaide Library Borrowing Privileges form, which is available from the Library Services Desk, or, on the web at www.adelaide.edu.au/library/membership/ library_authform.pdf As your load is set to zero, you will cease to incur any tuition or student services fee liabilities.
Scholarship holders
If you are in receipt of a scholarship, payments will stop from the time you submit your thesis for examination or the expiry date of the scholarship (whichever falls first).
International students
For students who hold a student visa issued prior to 5 November 2011. Once you have submitted your thesis for examination, the Department of Immigration and Citizenship (DIAC) considers that you are no longer an enrolled student. If you submit

If you withdraw from your research program, the University is required to notify the Department of Immigration and Citizenship of the discontinuation of your study: this is likely to result in the cancellation of your student visa.
Suspension of Candidature
(iv) lodging a return from leave of absence form; or (v) discharging an outstanding financial obligation or entering into a payment plan with the relevant area. If you have been suspended and do not take action to reinstate your candidature within 12 months from the date of suspension, your candidature will be irrevocably terminated.
International students
If you are suspended from your research program, the University is required to notify the Department of Immigration and Citizenship and this is likely to result in the cancellation of your student visa.
Scholarship holders
If your candidature is reinstated following a period of suspension, any scholarship payments that would have been payable during the period of suspension are forfeited and the expiry date of your scholarship will not be adjusted.
Your candidature and any scholarship payments will be suspended if you do not comply with any formal requirement of your candidature, for example by: (i) failing to undertake a required review of progress by the due date or extended due date (ii) failing to respond to any University correspondence sent to your nominated mailing address or campus email address within two months of the requested date of response (iii) taking leave of absence without approval (suspension will be immediate on receipt of notification by the Graduate Centre) (iv) failing to return from leave of absence on the expected date (v) failing to notify the Graduate Centre of your return from leave of absence within two weeks of your return, or
(vi) non-payment of University fees and charges without making arrangements with the relevant area to discharge your obligation. In the event that your candidature is suspended, reinstatement will only be possible with the approval of your School or, in the case of (vi) above, with the approval of the relevant area, where the research undertaken prior to suspension remains current and appropriate supervision and resources are available to support your reinstated candidature and where the reason for the suspension has been addressed. The reason(s) for suspension may be addressed by, as applicable: (i) lodging a satisfactorily completed review of progress; (ii) r esponding to the University as requested, with a satisfactory explanation for the lateness of the response; (iii) l odging an application for retrospective leave of absence to cover the actual dates of absence from the University;
Termination of Candidature
Your candidature and any scholarship payments may be terminated if: (i) your progress is unsatisfactory as reported to the Graduate Centre following a review of progress, whether scheduled or unscheduled; or (ii) y our candidature has been suspended for a total of 12 months or more. If your candidature has been terminated for unsatisfactory academic progress, reinstatement is only possible following a successful appeal through the provisions of the Student Grievance Resolution Process. Please refer to the sections on Unsatisfactory progress during provisional candidature and Unsatisfactory progress during confirmed candidature for further information. review), but note that the School can also undertake a review of your progress outside of these programmed reviews. If, during the period of provisional candidature your School recommends termination of candidature following a review of progress and if this recommendation is upheld by the Faculty Higher Degrees Committee and the Research Education & Development Committee (REDC), your candidature and any scholarship payments will be discontinued. If your candidature has been terminated during the period of provisional enrolment, you may appeal the decision in accordance with the guidelines detailed in the Student Grievance Resolution Process (refer to the section on grievances, complaints and problems during candidature).
International students
If your research program is terminated, the University is required to notify the Department of Immigration and Multicultural Affairs and this is likely to result in the cancellation of your student visa.
(ii) If, however, the Head believes that a problem still exists, (s)he will write to the Dean of Graduate Studies: (a) outlining the Schools concerns; and (b) recommending that you be placed on a period of conditional enrolment, normally not exceeding 6 months in duration. During the period of conditional enrolment, you will be required to complete a series of requirements which will be set in consultation with you. The requirements will comprise tasks that a research student working at a satisfactory level can reasonably be expected to complete within the specified timeframes. (iii) The Dean will review the case and endorse the recommendation for conditional enrolment or refer it to the Research Education & Development Committee (REDC) for further consideration. In this event, REDC will consider each case on its merits and will either uphold the recommendation or determine an alternative outcome.
(iv) Where the recommendation for conditional enrolment is upheld, the Graduate Centre will advise you in writing of the start and end date of the conditional enrolment, detailing the required tasks and their timeframes for completion. (v) At the end of the period of conditional enrolment, the Head will call you and your supervisors to a meeting to review your progress. (vi) If the Head considers that your progress has been satisfactory, a report to this effect will be sent to the Dean of Graduate Studies and the matter will be considered closed. The Graduate Centre will notify you in writing that the conditional enrolment has been lifted. (vii) However, if the School considers that progress has been unsatisfactory, a recommendation for the termination of your candidature, (or an extension of the conditional enrolment will be made).
(viii) In the event of a termination recommendation, you will be invited to present your views in writing or in person to REDC which, after considering all the information provided, will recommend a further course of action or endorse the recommendation to terminate your candidature. Note that if you decide to present your views to REDC in person, you have the right to bring another student or staff member with you to act as a support person or representative. If your candidature has been terminated you may, if desired, appeal the decision through the provisions of the Student Grievance Resolution Process (refer to the section on grievances, complaints and problems during candidature).
Scholarship holders
Continuation of your scholarship is dependent on you undertaking your research degree with competence and diligence and on maintaining satisfactory academic progress.

Conduct of Research
The Universitys Responsible Conduct of Research Policy (Appendix 7) summarises the standards of conduct and performance required of all those engaged in research at the University. Please also refer to the Australian Code for the Responsible Conduct of Research 2007, which can be found at: www.adelaide.edu.au/rb/resources/ policies/respolicy.html The Australian Code provides additional information on how to manage breaches of the Code and allegations of research misconduct, how to manage the storage of research data and materials, how to publish and disseminate research findings, including proper attribution of authorship, how to conduct effective peer review and how to manage conflicts of interest. It also explains the responsibilities and rights of researchers if they witness research misconduct. Note that from January 2012, completion of training in regard to the Code is a prerequisite for the completion of the Core Component of the Structured Program for all research students. Similarly, training in animal and human ethics is a requirement for all students who need the appropriate ethical approval for their work. The Graduate Centre will provide training as a combination of face-to-face and online activities; further information will appear on the AGC website and in the AGC e-News early in 2012. For further information about the appropriate conduct of research in your discipline, you are encouraged to consult your supervisors, Postgraduate Coordinator or Head of School in the first instance. The Dean of Graduate Studies and the Deputy Vice-Chancellor and Vice-President (Research) are also available for consultation where required.

Students and staff members engaged in research are expected to be committed to exemplary standards of professional conduct and integrity. The broad elements that guide the conduct of research include: the maintenance of high ethical standards and intellectual honesty validity and accuracy in the collection and reporting of data appropriate storage and retention of data adherence to the Health, Safety & Wellbeing requirements of the Discipline abiding by the Universitys guidelines for the authorship of publications avoidance of real or apparent conflicts of interest the appropriate recognition and assignment of intellectual property, copyright and technical/editing assistance and adherence to any confidentiality agreements and contractual agreements.
Conflicts of interest
A conflict of interest occurs when you have a private or personal interest or other external commitment, which may appear to an independent observer to be sufficient to influence and therefore compromise the validity of the research process by influencing impartial judgement. Disclosure of any actual or potential conflict of interest is essential for the responsible conduct of research. The Universitys policy on close personal relationships sets out the Universitys position on staff-student relationships and staff-staff relationships in regard to potential conflict of interest. A close personal relationship is defined as one which gives rise to a real or potential conflict of interest and includes relatives and financial relationships.
If you are in a close personal relationship with a staff member, he or she is precluded from participating in any of the following with respect to you: selection for entry to the University selection for any undergraduate or postgraduate program offered by the University assessment procedures selection for any scholarship or prize honours or postgraduate supervision. Close personal relationships must be disclosed to the Head of School or, if the Head of School is involved, to the Dean of the Faculty. Several practical problems exist if you were to be accepted as the sole applicant and holder of a grant(s) from an external body, and they include the following: The work to be conducted solely in your name for an external body is not covered for any risk category under the Universitys insurance, as the grant is not awarded to a member of University staff. It is also questionable whether insurers would accept such a risk There can be problems in respect of Intellectual Property, notably where there are differences between the granting body and the University in this regard
There are also problems relating to financial administration and accountability, especially as most granting bodies will only accept applications from staff of institutions. For these reasons, the University does not permit students to undertake a grant-incontract in their own right. In the case of a grant-in-aid, it would be in your interest to apply for, and receive, external grant support jointly with your supervisors.
The Thesis

If approval is granted, an abstract in English will be required at the time of submission. by you and all other authors. The statement must be sufficiently detailed to describe accurately the contribution of each author. All authors are required to sign the statement and co-authors must give written permission for the paper to be included in the thesis. Original signatures are preferred but scanned signatures are acceptable.
It is recommended that you discuss the length, composition and format of the thesis with your supervisor at an early stage of candidature and that you take the time to review the document Specifications for Thesis, which describes in detail the current requirements for the preparation and presentation of a higher degree by research thesis. For your information the 2012 version of Specifications for Thesis has been reproduced in Appendix 8. However, as you will submit your thesis for examination post 2012, it is recommended that you consult the version of the Specifications for Thesis document that is valid for your year of submission. This will be available online at: www.adelaide.edu.au/graduatecentre/ program_rules and may also be found in the University Calendar of the relevant year. Note that if you are a scholarship student, you may be eligible for an allowance to assist you with the costs of producing your thesis. Please consult your scholarship Conditions of Award in Appendix 3, or contact the Graduate Centre for further information.
Publication format
An alternative to the conventional written thesis is a thesis that comprises a portfolio of publications that have been published and/ or submitted for publication and/or text in manuscripts. The publications/manuscripts must be closely related in terms of subject matter, form a cohesive research narrative and not have been accepted for any other University award. The main body of work should contain, in addition to the relevant publications/ manuscripts, a contextual statement which normally includes the aims underpinning the publications/manuscripts; a literature review or commentary which establishes the field of knowledge and provides a link between publications/manuscripts; and a conclusion showing the overall significance of the work and contribution to knowledge, problems encountered and future directions of the work. The discussion should not include a detailed re-working of the discussions from individual papers within the thesis. Where papers have joint or multiple authorship, they must be accompanied by a clear statement of the contribution (in terms of the conceptualisation of the work, its realisation and its documentation) made

Notice of intention to submit the thesis

You are required to give three months notice of your intention to submit your thesis for examination. This allows time for the examiners to be nominated by your School and their consent to examine the thesis obtained. Notice is provided on the form Notification of Intention to Submit and must be accompanied by a one page summary of your thesis. The summary will be provided to potential examiners, to assist them in deciding whether or not to accept the invitation to examine your thesis. On the Notification of Intention to Submit form, you will be asked to decide whether you wish to have your thesis examined under the academic program rules and specifications for thesis in place at the time of your enrolment or the rules in place at the time of your submission. Where possible, it is recommended that students elect to submit under the current rules and specifications for thesis for the following reasons: To ensure that the thesis delivered to examiners is consistent with current national and international expectations of a Doctoral or Master of Philosophy thesis; The University has, in general, moved to permit greater flexibility in the format of research theses e.g. PhDs may now be submitted in publication format (containing a mixture of published, submitted and unpublished papers), by creative work and exegesis or in the traditional narrative form; and The yearly revisions to the program rules and specifications for thesis document have resulted in greater clarity of doctoral and Master requirements to students, staff and examiners. The AHEGS is a Commonwealth initiative that has been introduced to assist in both national and international recognition of Australian qualifications and to promote international mobility and professional recognition of graduates. The AHEGS provides a description of the award, which includes your thesis title and a 100 word abstract, a description of the University of Adelaide, a list of the academic achievements relevant to your degree and details of the Australian Higher Education System. It is intended to provide potential employers and other institutions with a greater understanding of your achievements. Submission
Three printed copies of the thesis are required for examination purposes, together with an electronic copy in portable document format (PDF). The printed copies may be soft-bound or hard-bound (soft-bound is recommended). The submitted theses must comply with the conditions detailed in the document Specifications for Thesis (see Appendix 8). In particular, a statement signed and dated by you, should follow the title page of each thesis copy. Your signature MUST be original, not a photocopy. The purpose of the statement is to: declare that the work is original and has not been accepted for the award of any other degree or diploma except where due acknowledgment has been given; to give consent for the thesis to be made available for loan and photocopying after it has been examined and placed in the Library; and to declare the ownership of (any) copyright included in the thesis that is held by others. A completed Certification of Thesis for Examination is also required. If you have signed a Student Project Participation Agreement or received approval from the Research Education & Development Committee for an embargo to be placed on your thesis, you should still include the statement. Your thesis will be withheld from
Appointment of Examiners
The examination of a Higher Degree by Research thesis is complex. Examiners must judge your understanding of a body of existing knowledge, your approach to research, construction of hypotheses, arguments and analyses. Students have a special relationship with their examiners, who will become their peers if the degree is awarded, so the selection of examiners is therefore of critical importance. Doctoral theses are examined by at least two examiners, all of whom are external to the University of Adelaide. Masters theses are examined by at least two examiners, at least one of whom is external to the University of Adelaide. In nominating your prospective examiners, your supervisors will ensure that they are academic members or affiliate members of a tertiary institution or, where this is not the case, will provide information about the employment, research, supervisory and examination experience of each for the consideration of the Research Education & Development Committee. Examiners must: normally, be active in research/scholarship, to ensure that their knowledge of your field is current

On receipt of the examination copies of the thesis, the Graduate Centre will immediately issue you with a receipt and a CD on which to record the final electronic version of your thesis (following examination and the undertaking of any required amendments) for inclusion in the Adelaide Research & Scholarship Digital Repository (AR&S). If this is not possible, a receipt and CD will be forwarded to you by post.

Examiner recommendations
In addition to their written reports, examiners of doctoral theses are asked to nominate one of the following categories of recommendation: 1. Award of degree This recommendation indicates that the thesis presented is of the standard required for the degree and that no amendments are required. 2. Award of degree subject to the specified amendments This recommendation indicates that the thesis presented is of the standard required for the degree after the specified amendments have been made to the satisfaction of the University. Specified amendments may include the rewriting of paragraphs, clarification of results, minor additional explanations, the addition of tables and figures etc; minor amendments of spelling, grammar or referencing may additionally be required. 3. Not be awarded the degree but be permitted to resubmit the thesis in a revised form A recommendation of revise and resubmit indicates that the thesis is not acceptable for the award of the degree in its current form and that a major restructuring or rewriting, (possibly requiring additional research to first be undertaken) is required to raise the thesis to the required standard. 4. Not be awarded the degree This recommendation indicates that the thesis presented is not of the standard required for a doctorate.
To assist them in nominating an appropriate grade, examiners are provided with a set of grade descriptors (Appendix 10). The final grade for the thesis will be determined by the Research Education & Development Committee after consideration of all examiners reports and any other relevant documentation, (including coursework results if you are in the mixed research and coursework stream of the Master of Philosophy). The grade will only be used in the event that you apply to undertake a PhD at the University of Adelaide on conclusion of your Masters degree, in which case, it will assist the University to determine your position on the ranked scholarship order of merit list; the grade is for internal purposes only and will not appear on your University transcript or parchment.
Medals are presented at the relevant April Graduation Ceremony in the year following the one for which the medal was awarded, or privately by appointment. Recipients are eligible for V.I.P . seating for three guests.
b. the number of examiners who recommended that the students thesis was worthy of a Doctoral Medal (0, 1 or 2); c. the quality ratings provided by each examiner (from 1, exceptional to 6, flawed) for the following criteria: The thesis as a whole is a substantial and original contribution to knowledge of the subject with which it deals; The candidate shows familiarity with, and understanding of, the relevant literature; The thesis provides a sufficiently comprehensive study of the topic; The techniques adopted are appropriate to the subject matter and are properly applied; The results are suitably set out and are accompanied by adequate exposition; The quality of English and general presentation are of a standard for publication; and d. any comments made by the examiners in support of a doctoral medal recommendation.
3. The spreadsheets are sent to Executive Deans, together with copies of the examiners and supervisors reports for each short-listed candidate; 4. With reference to the materials provided, Executive Deans determine the order of merit list for short-listed candidates in their Faculty; 5. The Research Education and Development Committee determines a University order of merit list from the Faculty rankings provided and determines how many medals are to be awarded for the year.

on behalf of the supervisory panel. The Faculty Higher Degrees Committee will then consider all the documentation presented and recommend an examination outcome or (more typically) recommend that a third examiner be appointed. I n cases where a third examiner is appointed, the examiner will independently examine the thesis and recommend an examination outcome. REDC will consider all three examiners reports, together with the supervisors report and the Faculty Higher Degree Committees recommendation before determining the final outcome of the examination;
(iv) On rare occasions where there is a stalemate in the examination process; for example, the examiners recommendations are such that it is not possible for a consensus decision to be made, an arbitrator will normally be appointed. The arbitrator will be given copies of the reports from all the previous examiners, together with the supervisors report and will be asked to adjudicate. The recommendation of the arbitrator is generally accepted and treated as final. An arbitrator may be appointed instead of a third examiner if REDC considers that it is expedient to do so. This course of action is undertaken very rarely and is determined on a case-by-case basis. REDC may also elect to appoint an entirely new set of examiners. Again, such a course of action is rarely taken and is determined on a case-by-case basis.

Amended theses submitted after three months will not be accepted for the award of the degree. Applications for additional time in which to complete amendments will be considered only when exceptional circumstances exist. Such an application, in writing and detailing the reasons for your request, must be endorsed by your Principal supervisor and the Head of School or Postgraduate Coordinator. The endorsed application must be lodged with the Dean of Graduate Studies.
On submission of your revised thesis for examination, you are required to provide a comprehensive statement outlining the substantive changes made to the thesis prior to resubmission together with a concise defence against any of the examiner(s) recommendations for change that were not accepted. Under normal circumstances, the revised thesis will be examined by the original examiners. However, for valid academic reasons, the Research Education & Development Committee (REDC) may decide that the thesis be examined by different examiner(s). Such a decision is very rarely undertaken and will be made on a case-by-case basis. The examiners will be advised that your thesis has been revised and resubmitted and will be instructed to check whether or not the requirements for additional work specified by the original examiners and in your supervisor(s) report and outcome letter, have been addressed. Examiners will also be advised not to introduce new areas of substantive concern in the re-examination. Examiners will be asked not to recommend an outcome of revise and resubmit as the Universitys rules only permit a student to revise and resubmit his/her thesis for examination once. Following consideration by REDC, the outcome of the re-examination will be to award the degree (with or without amendments), or, to not award the degree. Where the examination outcome is to award the degree with amendments, you will be permitted a maximum of three months from the date of notification of the outcome in which to undertake the required amendments.

Following the completion of any required amendments to the thesis to the satisfaction of the University, you are required to lodge one hard bound copy and one electronic thesis copy on the disc provided, with the Graduate Centre, before the degree can be conferred. The final thesis copies will be used as follows: 1 x hard bound copy for inclusion in the University Librarys collections; and
1 x electronic copy for the Library to be made available on the web, via the Universitys digital research repository, the Library catalogue and also through web search engines. Researchers have a responsibility to their colleagues and the wider community to disseminate a full account of their research as broadly as possible. In keeping with the Universitys commitment to make research data available for the use and information of other researchers and the public, the electronic copy of your thesis will be made available on the web, via the Universitys digital research repository, Adelaide Research & Scholarship (AR&S) and the National Library of Australias Trove service, unless arrangements have been made to restrict access for a period of time e.g. where dissemination of the research is prevented by ethical, privacy or confidentiality matters and the thesis is under embargo. Provision of an electronic thesis copy is compulsory at the University of Adelaide, which means that until you have lodged both the final hard and e-copies of your thesis (post examination and the undertaking of any required amendments) with the Graduate Centre, you will not be eligible to qualify for your award. (i) If you are pursuing publication of material in the thesis you may apply to the Dean of Graduate Studies (in advance of submission for examination), for an embargo to be placed on the digital copy of your thesis for a period of two years. If your application is approved, only the citation of the thesis (comprising author, title, date the degree was awarded, physical description, name of the degree for which the thesis was accepted and the Faculty/School/Discipline of enrolment) will be available via the web. For creative works such as a novel or a musical performance you may apply for an embargo upon the work within the thesis but it will not normally be granted for the exegesis. Consequently, it is important to ensure that the electronic and print copies of your thesis and exegesis are separately saved and bound respectively. (ii) S hould your thesis contain culturally, politically, or other sensitive data which you have given an undertaking to the sources not to disclose or make public for a limited period of time, you may apply to the Dean of Graduate Studies (in advance of submission for examination) for an embargo to be placed on both the digital and printed copies of the thesis for a period of two years in the first instance. If approved, only the citation of the thesis will appear on the web during the approved period of embargo. Extensions to the period of embargo requested in writing by you or your supervisor will be considered by the Dean of Graduate Studies on a case-by-case basis and must be lodged with the Dean no later than two months before the expected embargo expiry date. If an application for extension is not lodged two months before the expected embargo expiry date, the embargo will be lifted and the thesis copies placed in the public domain. (iii) I f there are any intellectual property implications and/or you have signed a Student Project Participation Agreement (SPPA) or another approved agreement, both the digital and printed copies of your thesis will automatically be embargoed for a period of two years in the first instance. At the end of the two year period the Graduate Centre, after consultation with your supervisors, any interested
third party organisations and Adelaide Research & Innovation Pty Ltd, will lift the embargo, unless an extension has been approved by Adelaide Research and Innovation. Until the embargo is lifted only the citation of the thesis will be available on the web. The Library will ensure that the printed thesis will not be made available for public access. If you have signed an SPPA, you do not need to apply separately for an embargo on your thesis. (iv) In limited situations where a thesis contains research subjected to a security restriction, the Dean of Graduate Studies will authorise permanent restrictions to both the digital and printed versions of the thesis; you do not need to apply separately for access to your thesis to be restricted. Where permanent restriction is approved, only an approved title of the thesis will appear in the citation to be placed on the web and the printed thesis will not be made available for public access.
Copyright issues
You will need to check your thesis for any material that is subject to copyright. For example, if you have included any diagrams, illustrations, maps, tables, photographs, musical notation, images and/or audiovisual recordings (CD or DVD) that are not your own creation, you will need to obtain written permission from the copyright owners. Make sure you apply for the necessary permissions early (as you are preparing your thesis for examination) so that you allow sufficient time to receive an answer before your final (examined and amended) thesis is ready to be lodged with the Graduate Centre. If you cannot obtain written permission for any items, they should be clearly identified so that Library staff can remove them. An errata sheet containing a list of pages, sections and/or numbered figures that need to be deleted should be prepared and saved onto the CD together with the final thesis copy (see also the section on Steps for Depositing a Thesis below). Except where copyright is owned by others, copyright ownership of the thesis remains with you as the author. This will remain the case unless you choose to transfer it to another entity; the act of making a digital

Publishing issues
It is important for you to be aware that making your thesis available on the web is equivalent to publishing it. Some publishers (notably book publishers) may regard inclusion of a thesis on the web as a prior publication and consequently may not wish to publish the work themselves. Some major journal publishers accept electronic publication of theses and are happy to publish articles based on these theses. If you have a relevant pre-existing contract with a publisher (or some other third party who funded, or collaborated with your research) in regard to your thesis, you are advised to seek further advice on this matter from the publisher(s) concerned. If the form of the thesis is a collection of published papers, it is possible that copyright permission may have been transferred to the publisher(s), and explicit permission will be required to include the papers in the Universitys digital research repository. You do not require permission from the University to publish elsewhere.

Graduation
Degree conferral
Once you have met the academic requirements of your award and discharged any outstanding financial obligations to the University, a conferral statement will be placed on your academic transcript at the first available opportunity after your qualification date. Conferral statements will be entered three times per year: 1 March, 31 July, and 31 December. For doctoral graduates, the presence of a conferral statement on your transcript bestows upon you the right to use the title of Doctor. Further information is available on the Graduations website at: www.adelaide.edu.au/student/graduations At your Graduation Ceremony, Graduates will be presented in the order of their awards, with higher degrees such as PhDs and Masters awarded first, followed by Graduate Diplomas, Bachelor degrees etc. At an appropriate time, you will be signalled to stand and move to the correct position on or near the stage in preparation for your presentation to the Chancellor/Presider. When called, you will move forward to meet and shake hands with the Chancellor/Presider, before proceeding to the certificate table to receive your parchment and Australian Higher Education Graduation Statement (AHEGS). Generally the ceremony takes 1 hour. For larger ceremonies, or where special awards are being conferred, it may take up to 90 minutes. Guests, graduates and staff must remain in the Hall for the duration of the ceremony. The university holds graduation ceremonies in April and September, and March/April (Offshore) each year. Most students will not need to apply to graduate as the Graduations Office run an automated process which identifies potential graduands based on their thesis submission date and creates applications in Access Adelaide for those students who satisfy the criteria. Only those students who are not identified as part of the automated process will need to submit a manual application using Access Adelaide (available via the Unified Portal). Access Adelaide is also useful for checking your award details, choosing whether to graduate in person or in absentia, and if the latter, specifying how you wish to obtain your certificate e.g. (in person, by mail). As you will be ineligible to graduate if you have any outstanding obligations or debts with the University, it is important that you discharge all such obligations prior to the closing date of your nominated graduation ceremony.
All University of Adelaide students who are conferred from December 2011 will receive a complimentary copy of their AHEGS at graduation. Graduation statements will not be issued retrospectively. APPENDIX 1: ACCESS PRIVILEGES FOR HIGHER DEGREE BY RESEARCH STUDENTS OUTSIDE CANDIDATURE
This information is intended to provide Heads of School, Postgraduate Coordinators and Higher Degree by Research (HDR) students with information on what is considered appropriate practice for HDR students outside of their formal candidature. Students who are formally enrolled in a HDR program, and who abide by the associated rules and regulations, are entitled to the privileges associated with active candidature. These privileges include: access to IT services use of the University Library defined building access postgraduate insurance cover, and the issuance of a University Card. More information is available at: www.adelaide.edu.au/ its/accounts/new_accounts/visitors 2. Use of the University Library The University Library may grant borrowing privileges to those outside their candidature period. The Authorisation for University of Adelaide Library Borrowing Privileges form: www.adelaide.edu.au/library/ membership/library_authform.pdf must be signed by the Head of School and returned to the Library. If this privilege is granted, there is currently no fee applied. All users of the Library need to abide by the Library Rules: www.adelaide.edu.au/library/about/policies 3. Building Access Card Services processes all valid requests for building access. If you require building access to a particular area, see your School Office for assistance. Further information is available at: www.adelaide.edu.au/unicard/student/ including an Access Request Form for downloading. The form must be signed by an Access Control Delegate and forwarded to Card Services in person for processing. The Access Control Delegate may request that access privileges be removed by indicating as much on an Access Request Form, which should also be returned to Card Services. Visitors to the University may also be entitled to building access, if authorised by an Access Control Delegate. Visitors, or the authorising area, must purchase a Visitor Card for a fee onto which the access privileges can be encoded. Visitor Cards will remain active unless the Access Control Delegate has notified Card Services to de-activate the access. 4. Insurance Only students who are formally enrolled in an academic program are covered by general University insurance. This includes students who arrive at the University before the commencement of their candidature at the invitation of the relevant academic area, and who are eligible for a University Card. Note that Cards will not usually be issued more than 4 weeks before the commencement of candidature. As a condition of attaining a student visa, international students are required to have Overseas Student Health Cover: www.international.adelaide.edu.au/cost/health Students who arrive at the University before the commencement of their candidature without an invitation of the relevant academic area, or who are intermitted or have lapsed or suspended candidature are not covered by general University insurance. It is also important to note that visitors to the University are also not covered by general University insurance. Students who have been awarded their degree and are providing services whilst under the direction or control of the University (e.g. voluntarily contributing to University research and publications) are covered by the Universitys Personal Accident Insurance. This includes necessary direct travel between the volunteers normal place of residence or employment at the place of voluntary activities. Volunteers are provided with indemnity under the University Public Liability Policy for action or lack of action on their part during activities associated with their University volunteer role, which results in a loss, damage or injury to a third party, providing that there is no criminal intent. Note that this cover is specific to volunteers and differs from that available to formally enrolled students. University card Only students enrolled in academic programs or courses offered by the University of Adelaide are eligible for the University of Adelaide Identity Card. APPENDIX 2: RESPONSIBILITIES

Research training at the University involves the active participation of both staff and students. The responsibility for ensuring that it is conducted in the most efficient and effective manner is shared by all parties: the University, the Faculties, Schools, staff and students, all have obligations to each other. The responsibilities of the various participants are summarised in the following sections.
Glossary of Terms
The terms used in this Appendix are defined at the front of the Research Student Handbook. An extract of the key definitions is provided below for convenience. Candidate means a person enrolled for a higher degree by research of the University of Adelaide. The terms candidate and student are used interchangeably in this document. Co-supervisor refers to a member of the supervisory panel who is a University staff member or titleholder and who is not the principal supervisor. External supervisor refers to a member of the supervisory panel who is not a staff member or titleholder of the University and who is not the principal supervisor. Graduate Centre refers to the Adelaide Graduate Centre, namely the area responsible for the management and administration of research education at the University. The terms Graduate Centre and Adelaide Graduate Centre are used interchangeably in this document.
Responsibilities
It is the responsibility of the student to request access, utilising the appropriate forms, and the responsibility of Heads of School to consider such requests. 1. Technology Services Technology Services Visitor Access is used to provide access to University online services, desktop computers, files and printers for people who are not staff or students, but who have a defined relationship with the University. This includes visiting academics, contractors, researchers and volunteers. Visitor accounts are active for a maximum of 12 months.
Higher degree by research refers to any Masters or doctoral degree (PhD/professional doctorate/combined degree) that comprises a minimum of two thirds of its assessable content by research. Principal supervisor refers to a member of the supervisory panel who is a University staff member or titleholder of the School/Discipline in which the student is enrolled and who has been appointed by the Head of School to have the primary responsibility for the supervision of a candidate. School refers to the academic organisation unit in which higher degree by research students are enrolled; this may be a School or Discipline depending on the structure of the Faculty concerned.
1.12 assisting the Government to check that international students comply with their visa conditions, and advising the Department of Immigration and Citizenship (DIAC) if students breach their visa conditions 1.13 grievances, complaints and appeals 1.14 ensuring the quality of supervision 1.15 examination of higher degrees by research 1.16 the right of higher degree by research students to hold a research grant.
(ii) supervisory track record and existing teaching and administrative responsibilities are considered in determining whether the proposed supervisors will have the time, commitment and experience to offer quality supervision throughout the research period. Under normal circumstances it is expected that an individual member of academic staff will act as the principal supervisor for a maximum of six fulltime equivalent (FTE) higher degree by research students. Approval for a supervisor to supervise a load exceeding 6 FTE higher degree by research students should be sought from the Research Education & Development Committee by the Head of School. The application must provide evidence that the staff member in question will be able to manage the proposed supervisory workload e.g. by a compensatory reduction of his/her other teaching and administrative duties (iii) both new and existing supervisors undertake ongoing staff development in supervision and that attendance at Effective Supervisors workshops should be Included in staff performance and planning reviews (iv) under normal circumstances, contract employees or titleholders (including postdoctoral researchers) are not permitted to supervise in the capacity of principal supervisor where the tenure of their appointment is less than that of the students candidature (v) a register is kept of all external and affiliate supervisors within the School. These staff are to be fully informed of their responsibilities as outlined in this Handbook and are provided with the same opportunities as University of Adelaide employees to attend ongoing professional development in supervision (vi) a copy of the Curriculum Vitae of any new external supervisor appointed within the School, is forwarded to the Adelaide Graduate Centre together with the Supervisor Registration External supervision not an affiliate or titleholder form. 3.3 Before admitting a student to candidature (i) the student meets the requirements set down by the University for admission to candidature (ii) the proposed research project is appropriate for the degree (iii) the School is appropriate for the research to be undertaken, and has the space, facilities and resources that the work may require. 3.4 At the beginning of candidature (i) all commencing research students are provided with an adequate induction to the School (ii) each student has written guidelines (and where needed, training) concerning ethical and safety procedures appropriate to their field of research
(iii) students are made aware that the development component of the structured program offers the opportunity to acquire generic skills that may increase employability; certificates will be awarded for participation in workshops or courses (iv) by the time of candidature confirmation there is a sufficient pool of examiners available to examine the proposed thesis. 3.5 During candidature (i) a structured program of activities is provided for all higher degree by research students within the School (ii) all international higher degree by research students (who have not been granted an exemption), undertake and complete the Integrated Bridging ProgramResearch (IBP-R) in the first full semester following their enrolment as part of the core component of the structured program (iii) components of the Integrated Bridging Program Research, such as the research proposal and literature review, are assessed as part of the core component of the structured program where appropriate (iv) opportunities are provided for students and staff to interact and develop profitable intellectual relationships with one another (v) an appropriate procedure is established for dealing with unresolved conflicts between supervisor(s) and student(s), in line with University policy (vi) the Universitys policy on close personal relations between a student and a staff member is followed, the policy is available at: www.adelaide.edu.au/ policies/138/ 3.6 At the time of submission Certifying that: (i) the thesis is prima facie worthy of examination both in terms of its content and its presentation relative to the standards specified in the Academic Program Rules for the degree. (ii) the student has satisfactorily completed any coursework requirements (iii) the thesis is within the maximum allowable wordlength for the program (iv) the student has abided by the Universitys policies with regard to assistance and editing and the inclusion of appropriate acknowledgements within the thesis (v) the student has lodged all the original data or primary research materials associated with their research with the School, as required under the Australian Code for the Responsible Conduct of Research (Appendix 7).
(iii) ensuring that relevant information regarding higher degree by research matters (e.g. from the Adelaide Graduate Centre via the Postgraduate Coordinators mailing list) is distributed to all postgraduate research students and that any requests by the Graduate Centre are acted upon by students and staff where applicable (iv) assisting students to resolve any questions or problems they may be experiencing, either directly or by referral to the relevant areas (v) providing students with aggregated information on completion rates and completion times for recent higher degree by research graduates together, where possible, with information on employment destinations. 4.2 At the beginning of candidature (i) new higher degree by research students, assisting with the administration of their candidatures and ensuring that they are aware of the responsibilities of the Postgraduate Coordinator, Head of School and their supervisors (ii) ensuring that commencing higher degree by research students attend the compulsory postgraduate research induction program organised by the Adelaide Graduate Centre (iii) students in the mixed research and coursework stream of the Master of Philosophy know where, how and when to complete their coursework enrolment (iv) students are advised that attendance at the School seminar series is a compulsory part of both the core and development components of the structured program. 4.3 During candidature: (i) co-ordinating the delivery of the structured program (ii) ensuring that students in the mixed research and coursework stream of the Master of Philosophy enrol in and complete the required 15-16 units of relevant Honours or Masters by Coursework level courses prior to submitting their thesis for examination (and that any failed or approved alternate courses are repeated on a fee-paying basis) (iii) ensuring that students in the mixed research and coursework stream of the Master of Philosophy are advised, informally, of their coursework results as they are achieved (results will be withheld from students transcripts until thesis submission) (iv) helping to resolve problems that may arise between the students and their supervisors, or other members of the School (v) receiving complaints regarding higher degree by research matters in the School and recommending action as appropriate (vi) opportunities are provided for students to develop their presentation skills (vii) students are notified of any forthcoming conferences and seminars by prominent display of notices and are actively encouraged to attend and participate. 4.4 At the annual review: (i) Interviewing each higher degree by research student during the annual review of progress. Note that if the Postgraduate Coordinator is a supervisor, the Head of School, or senior academic staff member nominated by the Head of School, will undertake this responsibility. If the Head of School is also a supervisor, another senior academic within the School, should be asked to assume this responsibility (ii) Interviewing supervisors separately as part of the Annual Review of Progress where problems or issues have been identified during the review process that require resolution.
4.5 At the time of submission Certifying that: (i) the thesis is prima facie worthy of examination both in terms of its content and its presentation relative to the standards specified in the Academic Program Rules for the degree. (iii) providing academic guidance to students at all stages of candidature. 5.2 Communication (i) maintaining membership of the higher degree by research supervisors mailing list HDR Supervisors hdrsupervisors-v.agc@list.adelaide.edu.au for the entire term of the supervisory appointment to ensure that important information regarding higher degree by research student matters is received from the Graduate Centre (ii) assisting students to resolve any questions or problems they may be experiencing, either directly or by referral to the relevant areas. 5.3 At the beginning of candidature (i) arranging a meeting with the student at the commencement of candidature to clarify their respective roles, responsibilities and expectations throughout the candidature (completion of the Expectations in Supervision scale is recommended, refer to Appendix 6 of the Research Student Handbook) (ii) determining a program of research in consultation with the student that is capable of being completed by a competent and well-supervised Doctoral or Masters research student within three to four years or one and a half years to two years (of full-time equivalent candidature) respectively. The research topic should be agreed prior to enrolment where possible (iii) suggesting ways that the student can make the most effective use of his/her time. This will involve discussing the nature of research with the student, the standard and timeframe expected for particular degrees, the choice of the research topic, the Structured Program, planning of the research program, the availability of library resources in the field, bibliographical and technical assistance and applying for ethical clearance(s) where this is required
(iv) identifying at the outset if the proposed research topic is commercially sensitive, and, if this is the case, ensuring that the student is made aware of the implications and signs the Student Project Participation Agreement following liaison with Adelaide Research and Innovation where necessary (v) completing the minimum resources proforma in consultation with the student at the commencement of his or her candidature (vi) assessing the students proficiency in the English language within the first six months of candidature, taking into consideration the outcomes of the Integrated Bridging ProgramResearch, and where appropriate, working with the Research Education Programs group of the Graduate Centre to structure an ongoing support program. 5.4 During candidature (i) meeting with, or otherwise contacting the student at least once per fortnight and ensuring that the student takes notes at these scheduled meetings which are later circulated to all members of the supervisory panel (ii) providing appropriate academic support throughout the candidature to enable the student to achieve his/her highest standard (iii) carefully monitoring the performance of the student relative to the standard required for the degree, and ensuring that inadequate progress or work below the standard generally expected is brought to the students attention. Supervisors should assist with the development of solutions to problems as they are identified; these may include transfer to a lower level program or withdrawal. (iv) Counselling against and refraining from suggesting, any commitment to undertake work or activities that are unrelated, or peripherally related, to the students research project and are likely to impede the progress of their research or ability to complete within 3-3.5 years for a PhD or 1.5-2 years for a Master (v) a pplying to the Graduate Centre for an extension of the due date for a candidature milestone (e.g. the annual review or core component of the structured program), where the student is unable to complete the milestone in the expected timeframe for reasons beyond their control (vi) using the regular reporting procedures established by the University as the minimum means by which any difficulties and problems discussed with the student during the year are noted, indicating the action taken or advice given. If the problem is not resolved, the Postgraduate Coordinator, in the first instance, should be involved. Where the Postgraduate Coordinator is also the students supervisor, the Head of School should be contacted directly. Similarly, if the Head of School is also the students supervisor and/or the Postgraduate Coordinator, the Deputy Head of School or another senior academic staff member of the School should be involved. The Head of School (or Deputy Head) and the Dean of Graduate Studies should be notified, in writing, of continuing problems between reporting periods (vii) reporting at the annual reviews of progress whether the resources provided in the previous term (as detailed in the minimum resources proforma) were adequate AND re-negotiating the resource requirements for the year ahead, ensuring that any modifications are detailed on the annual review of progress form (viii) providing a constructive and critical assessment of the students written work. In each instance, an appropriate turnaround time should be established
for assessment (generally this would not exceed four weeks) (ix) supporting the students in relation to outside organisations and funding agencies; ensuring appropriate access to School facilities and reminding the students of the necessity to advise the Director, Adelaide Graduate Centre, of any proposed changes in their candidature (e.g. change of research topic, change of supervisor(s), request for leave of absence, request for study leave) (x) advising the Graduate Centre in the event that the student fails to maintain adequate attendance or to return from leave on the expected date so that candidature and any scholarship payments may be suspended and, in the case of an international student, the Department of Immigration and Citizenship notified. 5.5 During the later stages of candidature (i) commenting on the content and on drafts of the thesis in a timely manner (ii) advising the Head of School and the Dean of Graduate Studies, of the names, addresses and credentials of suitable examiners as soon as possible after the student has lodged his/her notification of intention to submit, and, at the latest, at the time of certifying the thesis for examination (iii) advising the Head of School and the Dean of Graduate Studies, of additional suitable examiners within two weeks of a request by the Adelaide Graduate Centre, in the event that they are required to complete the examination process (iv) providing career advice and assistance to the student as appropriate. 5.6 At the time of submission Certifying that: (i) the thesis is prima facie worthy of examination both in terms of its content and its presentation relative to the standards specified in the Academic Program Rules for the degree. (ii) the student has satisfactorily completed any coursework requirements (iii) the thesis is within the maximum allowable wordlength for the program (iv) the student has abided by the Universitys policies with regard to assistance and editing and the inclusion of appropriate acknowledgements within the thesis (v) the student has lodged all the original data or primary research materials associated with their research with the School, as required under the Australian Code for the Responsible Conduct of Research (Appendix 7); or recommending that the thesis is unacceptable for examination in its current form for the specified reasons and participating fully in any dispute resolution process subsequently initiated by the student.

(iii) where there is disagreement with the supervisor(s) regarding the readiness of the thesis for examination, and the student still wishes to submit that thesis for examination, instigating dispute resolution procedures in accordance with the section of the Handbook entitled Submission against the advice of your School.

Coursework with a coursework scholarship are eligible to apply for a research scholarship for Masters or Doctoral studies. 2. Selection The selection and ranking of applicants within the University of Adelaide is undertaken by the Graduate Scholarships Committee, using the criteria of academic merit and research potential. Selection of applicants for Divisional Scholarships may also include consideration of their suitability to undertake a specified project. Consideration for UAS (Special Circumstances) is given to students who can demonstrate special circumstances that resulted in impaired academic performance at undergraduate level. 3. Tenure A new award offered in the Major Round may be taken up from 1 January in the year for which the award is granted. A student is normally required to commence research within the University by 31 March at the latest in the year for which the award is granted and not later than 31 August. A new award offered in the Mid-Year Round may be taken up from the commencement of Semester 2 in the year for which the award is granted. A student is required to commence research within the University by no later than 30 November in the year for which the award is granted. Continuation of an award is approved on an annual basis but is normally tenable, subject to satisfactory academic progress, for up to two years for studies for the degree of Master or up to three years for the degree of PhD. For PhD candidates an extension of up to an additional six months may be considered i.e. to a total of three and a half years. The maximum extension period of up to 6 months applies to both full-time and half-time students. Such an extension would only be granted where it can be demonstrated that inability to complete the degree within three years was caused by circumstances beyond the control of the student and related directly to his or her studies. Illness, publications, work commitments and carer responsibilities are not considered as reasons for extension and should be addressed by use of the leave of absence, sick leave or half-time study provisions (see sections 4 and 10 for further information). All extensions are subject to the consideration and approval of the Graduate Scholarships Committee. Application for Extension to Scholarship form must be lodged 8 weeks prior to the expiry of your award. Application for extensions submitted after expiry of award will not be considered. Where an award holder has enrolled for higher degree candidature prior to taking up the award, obtains credit for previous study towards the current degree or later suspends the award without intermitting the candidature, the maximum period for which the award is tenable will be reduced accordingly. (On a pro rata basis in the case of half-time candidature). The University may approve conversion of an award for Masters Degree study to a scholarship leading to a Doctorate. Similarly, an award for Doctoral studies can be converted to Masters as long as the conversion takes place within the first two years of candidature. A candidate may be required to reimburse the University any payments received in excess of the two year limit. The maximum duration of a converted award becomes that for the new candidature, either a maximum of two years for a Masters or three years for a PhD. An award holder completing a Masters degree may continue the award for PhD studies provided that there is no interval between Masters and Doctoral candidature, or that such an interval is covered by
University of Adelaide Scholarships (UAS) (excluding Master of Philosophy (no honours) Scholarships) Divisional Scholarships (In this appendix the word award includes scholarship when used generally. Except where indicated, the conditions apply to APA, UAS and Divisional scholarships.) 1. Eligibility In order to be eligible to hold an award a student must: have completed and been awarded an Australian Honours Degree or equivalent at the level of 2A or above (at the level of an Australian First Class Honours degree or equivalent for an APA) be eligible to enrol in a full-time postgraduate degree (for PhD or Masters by research) at the University of Adelaide in 2012 (Students who are interested in awards for half-time study should see Section 4) be an Australian citizen, a New Zealand citizen or an Australian Permanent Resident not have previously held an Australian Government Research Award or University of Adelaide funded scholarship for more than six months* not currently be in receipt of an IPRS not be in receipt of an equivalent award, scholarship or salary to undertake the proposed degree (equivalent being defined as greater than 75% of the base stipend) not be currently enrolled in a higher degree by research at the University of Adelaide (Divisional scholarship applicants only) satisfy the minimum English language proficiency requirement as set by the university not hold a Research Masters, Research Doctorate or equivalent research qualification when applying for a Research Masters (APA only) not hold a Research Doctorate or equivalent research qualification when applying for a Research Doctorate (APA only). *Applicants who have previously held an Australian Government Research Award towards completion of a Research Masters, a Research Doctorate or equivalent degree for more than 6 months are not eligible for an APA.*Applicants who have previously held a University of Adelaide scholarship towards completion of a Research Masters, a Research Doctorate or equivalent degree for more than 6 months are not eligible for a University of Adelaide Scholarship or Divisional Scholarship. *Applicants who have previously held a University of Adelaide Master of Philosophy (no honours) Scholarship towards completion of a Research Masters or equivalent degree for more than 6 months are not eligible for a University of Adelaide Master of Philosophy (no honours) Scholarship, University of Adelaide Scholarship or Divisional Scholarship. Guidelines for tenure relating to applicants who have previously held an APA, University of Adelaide Scholarship or Divisional Scholarship and either convert from a Research Masters to a Research Doctorate (or vice versa) or who complete a Masters and go on to Doctoral studies are available at section 3. Applicants for an APA who have commenced their Higher Degree by Research (HDR) must have at least 12 months full-time or half-time equivalent (half-time equivalent not permissible for International students) candidature remaining to be eligible for the award. Applicants who have completed a Masters by
suspension of the award. Because a scholarship normally expires on completion of a degree, the student must ensure that the progression to PhD or suspension of the award is arranged before the Masters studies are completed. Note that: the maximum period of the award for a student progressing from Masters to PhD study is three years (or three and a half years if an extension is approved) from the date the student took up the award as a Masters student; APA holders may undertake the PhD at a different institution from the Masters degree, provided the transfer of the award is arranged between the institutions before the Masters studies are completed (see transfer guidelines in section 13). Scholarships are renewable annually, subject to satisfactory progress, determined by the outcome of the Annual Review. Annual Review forms are forwarded to students at their semester address. 4. Awards for Half-Time Study A student holding a half-time award must be enrolled at the University as a half-time higher degree candidate. These awards are approved where an applicant is able to demonstrate heavy carer commitments or a medical condition and are subject to the approval of the Institution. Half-time awards are not available to applicants seeking to undertake paid employment. The University may require the holder of a half-time award to convert to full-time if the compelling reasons which were the basis of approval no longer apply. Holders of awards for half-time study may convert to awards for full-time study at any stage. Half-time awards are not exempt from taxation. 5. Benefits 2012 stipend rates and allowances are: Full-time students receive a tax free stipend of $23,728 pa Half-time students receive a taxable stipend of $12,898 pa The level of the stipend does not depend on the award holders personal circumstances. The stipend will not be reduced during the period of tenure unless a student converts from full-time to half-time candidature. 6. Thesis Allowance This is payable to assist with the costs associated with the submission of the thesis. The maximum allowance is currently $840 for a PhD thesis and $420 for a Masters thesis. Following the submission of the thesis a claim for payment may be made on the prescribed form, supported by receipts of expenditure. The allowance is a contribution to the costs of production and does not include such costs as purchase of computer equipment, books or reproduction of articles. Claims must be made within two years of the date of termination of the scholarship and within one year of the date of submission of the thesis. The amount paid will be up to the maximum rate applicable at the time of submission of the thesis. Thesis allowance claims are also payable for costs associated with the resubmission of a thesis, or the lodgement of bound copies of the thesis following examination, provided that the claim is made within one year of the resubmission or lodgement date. The combined total of the allowance for submission and re-submission must not exceed the maximum amounts specified above.
In exceptional circumstances, students may apply to their institution for a waiver of the relevant time limit on claiming the thesis allowance with any decision remaining at the discretion of the Institution. Any waiver of the time limit must be approved by the Graduate Scholarships Committee, subject to it being satisfied that the exceptional circumstances were beyond the students control and warrant an extension of the period in which a thesis allowance may be claimed. 7. Relocation Allowance An award holder who relocates to Adelaide to commence their scholarship is entitled to receive, upon the production of original tax receipts attached to Relocation Allowance Claim Form, relocation expenses of up to a maximum amount equivalent to: Economy class or student airfare for award holder, spouse and dependants for travel to Adelaide, up to a maximum of $530 per eligible person. Reimbursement will only be made for travel to Adelaide by scholarship holder, spouse and dependants and includes airfares to Adelaide from within Australia only, or Travel by car, for which a reimbursement of fuel costs can be claimed upon production of original tax receipts, to a maximum of $530. Accommodation and meal costs for the journey are not included. Removal expenses of up to $505 per adult and $255 per child up to a maximum of $1,455. Major Round: An award holder shall commence study within such time as the University shall allow but will normally be required to commence by 31 March. However, under special circumstances, an award holder may be permitted to commence study after 31 March but not later than 31 August. You must contact the Adelaide Graduate Centre if you wish to discuss late commencement. Mid-Year Round: An award holder shall commence study within such time as the University allow but will be required to commence no later than 30 November in the year for which the award is granted. Payment is made from the date on which full-time study/candidature commences in that year. The University may withdraw the offer of a scholarship and allocate it to another applicant if an applicant does not commence by the agreed date, fails to provide documentation required after a provisional offer or provides false or misleading documentation. 9. Deferment An award must be taken up in the year for which it was awarded and may not be deferred until a later year. In addition, the University will not approve transfers of APAs, suspensions or overseas research earlier than six months into the program. Scholarships other than APAs are not transferable. Periods of leave of absence applied for with the express purpose of deferral of the commencement date will not be approved unless permission is granted by the Adelaide Graduate Centre. Applications will only be considered under exceptional circumstances and the return from leave date must still be within the specified commencement period and in the year of award.
10. Leave Award holders are entitled to 20 days recreation leave per year, calculated on a pro-rata basis. Leave must be taken during the tenure of the award (leave of absence is not necessary but approval must be sought from the students supervisor). Recreation leave that is not taken is forfeited. An award holder may take up to 10 days paid sick leave a year (accruable) within the tenure of their award. These periods of leave are not in addition to the normal duration of the award. For medically substantiated periods of illness lasting longer than 10 working days, candidates may receive up to a total of twelve weeks paid sick leave that is additional to the normal duration of the award. This leave will only be utilised once the accruable sick leave within tenure has been exhausted. Periods of unpaid sick leave longer than three months may be accessed through the leave of absence provisions. Students must apply to the Graduate Centre for leave of absence when taking any type of paid or unpaid sick leave. Periods of sick leave not applied for as leave of absences will not be considered as applicable supporting reasons for extension to the scholarship. Official medical certificates stating specified dates must be provided for all periods of sick leave applied for. Award holders who have been enrolled for a period of over 12 months full-time (or equivalent half-time) are able to apply for up to 12 weeks of paid maternity leave or 2 weeks of paid paternity leave. Periods of paid maternity leave or paid paternity leave are additional to the normal duration of the award. Those enrolled for less than 12 months full-time (or equivalent half-time) are advised to utilise the recreation leave or unpaid leave of absence provisions. Please note, no paid maternity leave or paternity leave provisions will apply during a scholarship extension period. Award holders granted leave of absence are required, on the prescribed form, to inform the Adelaide Graduate Centre of resumption of candidature within fourteen days of the approved date of return. Failure to do so may result in termination of scholarship and/or candidature. 11. Employment An award holder is only permitted to undertake a limited amount of paid employment (unrelated to their study), and for International students, must be consistent with the conditions of their student visa. Employment may only be undertaken with the approval of the Head of Department and should not exceed 8 hours per week on a regular basis during normal working hours (Monday to Friday, 9.00am to 5.00pm). Outside of normal working hours there is no limit on the amount of time that a student can work, however the Head of the Department in which a student is enrolled will be responsible for ensuring that excessive halftime employment is not undertaken to the detriment of the award holders study program. Students will be expected to maintain an appropriate level of contact hours in accordance with a full-time enrolment. The University does not require an award-holder to undertake employment. Excessive employment will not be considered applicable grounds for extension to the scholarship or the IPRS in the case of an International Student. 12. Research Overseas The University may permit award-holders to undertake research outside Australia for a period or periods not exceeding 12 months in total during the tenure of an award, (up to 18 months for Anthropology
students and for students undertaking research in Antarctica). Interested students should consult the Adelaide Graduate Centre as soon as such a period of absence is proposed and should not leave Australia before approval for study leave is given. Approval for continued tenure of an award will only be given where the overseas study is essential for completion of the students degree at the University of Adelaide. The student must remain enrolled at the University of Adelaide and have arrangements for supervision approved. Students enrolled in remote candidature may hold their awards whilst studying elsewhere. By formal arrangement, the University may approve that an award-holder undertake research at organisations outside the higher education system. The University will satisfy itself as to arrangements for the students supervision, training, research freedom and support and will retain overall responsibility for the study program. The student must remain enrolled as a fulltime Higher Degree by Research candidate at the University of Adelaide. The award may be terminated if the scholar does not resume full-time studies at the University of Adelaide at the end of any period of approved absence. 13. Transfers of Award (APA only) Students who wish to transfer to another institution may continue to receive their APA only if their new institution agrees to its continuation and subject to the new institution having sufficient APA grant amounts available. The new institution must ensure that it has received information from the former institution on any APA payment the student has received and the duration of the APA already consumed. Students who wish to transfer their APA from another institution to the University of Adelaide should first apply for admission to the degree through the normal process, then contact the Adelaide Graduate Centre to ascertain whether the University is able to accept the transfer of their award. Scholarships other than APAs are not able to be transferred. 14. Suspension of an Award Leave of absence or discontinuation of award An award-holder who wishes to take leave of absence from his/her higher degree candidature or otherwise discontinue the approved program of full-time research must notify the Adelaide Graduate Centre at least two weeks in advance and the award will be suspended or terminated. This must be done by application for leave of absence. A student may apply for suspension for a period or periods not exceeding 12 months in total during the tenure of an award. If suspension is required because of circumstances beyond the students control the maximum period(s) of suspension may be extended to a total of 24 months with the permission of the Graduate Scholarships Committee. Requests for further periods of suspension will not be considered. A student will be required to repay allowances received to which he or she ceased to be entitled by reason of discontinuation or suspension of studies. Any overpayment will be automatically recovered in full upon the students return from leave. Periods of study during suspension of the award (e.g. half-time study) toward the degree will be deducted from the maximum period of tenure.
Suspension Award holders who do not meet required program milestones (e.g. CCSP , Major and Minor Reviews) will have their stipend payments suspended. No reimbursement for periods of suspension under these circumstances will be made. 15. Termination An award will be terminated upon submission of the thesis or when the award expires, whichever is the earlier. An award will be terminated before this time if the University concludes that a student has not fulfilled the obligations of the award, has not met or continued to meet eligibility criteria, has not completed all compulsory milestones by the due date or made satisfactory progress. An award may be terminated if the holder ceases to study or ceases to be enrolled and does not apply for or is not approved for suspension of the award. Any allowances received during this period will be required to be repaid to the University. 16. Supervision Candidates will be subject to the Universitys rules as outlined in the Research Student Handbook which can be found at: www.adelaide.edu.au/graduatecentre/ handbook/ 17. Grievance Procedures The appropriate appeal procedures for higher degree candidates are those defined in the Student Grievance Resolution Process. Student Obligations Award holders must abide by the NHMRC codes on human and animal experimentation, guidelines established by the Australian Governments Recombinant DNA Monitoring Committee and rulings of the safety and ethics committees of the University of Adelaide. Award holders are required to comply with the Regulations of the University of Adelaide. Award holders must provide progress reports as required by the University including an Annual Review of Progress submitted through the supervisor. The award may be terminated or the award-holder placed on probation if the University does not consider that progress is satisfactory and the situation cannot be favourably resolved after consultation with the student and the department concerned. Award holders are required to notify the Adelaide Graduate Centre in writing in the event they: discontinue their studies change their attendance status are unable to work at full-time capacity require sick leave intermit higher degree candidature propose to study overseas change from PhD to Masters candidature or vice versa change department change address or bank accounts take up employment at the rate of more than 8 hours per week, Monday to Friday submit their thesis
make any changes that in any way affect their candidature are in receipt of any scholarship monies they may not be entitled to. Except with the permission of the Dean of Graduate Studies, a candidate may not enrol concurrently in an academic program other than that for which they are in receipt of the scholarship. Failure to comply with this condition will result in immediate termination of the scholarship. Award holders are requested to give advice of any such change of circumstances at least ten working days in advance of the event in order to implement the necessary changes before the payroll is run. If a student receives benefits in excess of his or her entitlement as a result of a change in circumstances the University will take action to recover the amount overpaid. 19. University Fees Award holders will normally be exempt from liability under the Higher Education Contribution Scheme (HECS) charges through the allocation of a Research Training Scheme place for the duration of their award. 20. Externally-Funded Awards (Including scholarships and awards funded from grants and by Centres) All scholarships administered by the University are subject to the acceptance and approval of the Graduate Scholarship Committee. Benefits and allowances may vary at the discretion of the funding body and individuals should check the conditions with the Adelaide Graduate Centre. The University can accept no responsibility if funding ceases or if an external scholarship is terminated for any reason before the holder may be expected to complete his/her course. If an award-holder transfers from the University without approval the funds designated for the award revert to the grantee or Centre. These awards are generally not transferable. Conditions of award for externally funded scholarships are subject to the specifications of the funding body. Information contained in this document does not apply. 21. Supplementary Scholarships Scholarships or top up funding from industry sources may be accepted by scholarship holders as supplements to their main award. In most instances the total value of the supplementation must not exceed 75% of the value of the main award, however subject to conditions on the main award this rule may be relaxed. Students may also obtain funds for fieldwork, equipment, travel or other expenses not covered by the major award. The Adelaide Graduate Centre must be informed of any proposed supplementation of a major award via the scholarship establishment form. 22. The University of Adelaide Scholarships for Overseas Students A number of University of Adelaide Scholarships are made available to international students who have been awarded an International Postgraduate Research Scholarship (IPRS) offered by the Australian Government and for an Adelaide Scholarships International (ASI) award offered by the University of Adelaide. Support for students holding other fee-paying
scholarships will be considered on an ad hoc basis depending on available funds. University of Adelaide Scholarships make no contribution to the payment of tuition fees or the expenses of international travel. An additional payment may be made to a graduate of an overseas university upon arrival in Adelaide from overseas for the purpose of taking up an IPRS or ASI scholarship. This allowance is payable after the students arrival and subsequent enrolment at the University of Adelaide. It will be valued at $1000. It will not be paid where the recipient is continuing on from undergraduate to postgraduate study at the University of Adelaide. An award holder must not have applied for permanent residency status in Australia. 23. APPENDIX 5A: RULES FOR A JOINTLY AWARDED DOCTOR OF PHILOSOPHY (INCLUDING COTUTELLE)
Rules 1. Where there is sound academic reason, the University may, on advice from the Pro Vice-Chancellor (International) and the Dean of Graduate Studies, permit a student to enrol simultaneously in a PhD at The University of Adelaide and at a second overseas university under a Jointly-Award agreement. 2. Any approved agreement must clearly define the roles of the two member universities, either as the institution of primary enrolment or the institution of partner enrolment. 3. The primary institution should be responsible for the management of candidature and ensuring that deadlines and goals are met. 4. An agreement shall apply only to an individual student and must be compatible with the Rules for the Doctor of Philosophy at the University of Adelaide, and related Research Education and Development Committee guidelines. 5. The Nature of an agreement 5.1 The Research Education and Development Committee will be responsible for the detailed requirements of a jointly-awarded PhD Agreement. 5.2 Not withstanding rule 5.1, an agreement must specify the requirements pertaining to: 1) arrangements for fees; 2) scholarships and stipends; 3) the language in which the thesis will be written and defended; 4) details of the examination process and the selection of examiners; 5) arrangements for students to spend not less than 12 months full-time study at each of the two participating institutions; and Agreements must also comply with the requirements of Rule 8. 5.3 This agreement will supplement but not replace the need for formal admission to the University. 5.4 The agreement must be in place no later than the end of the first year of full-time equivalent study. 6. Withdrawal from Candidature 6.1 A Candidate may withdraw from a Jointly-Awarded PhD program at any time prior to thesis submission. 6.2 Where the Candidates primary institution is the University of Adelaide, he or she may transfer their enrolment into a relevant University of Adelaide Higher Degree by Research subject to the applicable academic program rules. 7. The thesis 7.1 The thesis will be written in English; unless approval to write in it a different language is acknowledged at the time the candidature agreement is accepted. 7.2 When permission is granted to produce a thesis in a language other than English, the thesis will include a substantial summary in English. Conversely if the thesis is written in English, a substantial summary will be written in the language of the other participating university. 8. Conduct of examinations 8.1 An agreement will not include an examination process less rigorous than that required under the Rules for the Doctor of Philosophy at the University of Adelaide.
8.2 Examiners reports (original) must be submitted in English irrespective of the language in which the thesis is written. 9. Outcome of examination 9.1 A candidate who meets all the examination criteria under an agreement shall be eligible for the award of the relevant jointly awarded doctoral degree from both participating institutions. 10. The nature of the degree certificate The degree certificate issued to graduates who have undertaken a PhD under a jointly awarded degree agreement including a Cotutelle agreement shall be endorsed to read: Conferred as a single degree under a joint PhD program between the University of Adelaide and the [University of XXX]. This requirement must be specified in all Jointly-Awarded degree agreements, including Cotutelle agreements. 11. General When, in the opinion of the Research Education and Development Committee, special circumstances exist, the Committee, on the recommendation of the relevant School/Discipline in each case, may vary any of the provisions in Rules 1-10 above.
Examples of research collaboration include: evidence of dialogue between respective academic scholars exchange of personnel to other institutions co-publication of research. Of course, not all collaboration needs to be at the level of a Jointly-Awarded PhD program. Study leave is another option for students who wish to undertake fieldwork, research or study towards their degree whilst located outside the University for a period of time, not exceeding 12 months in total. A Jointly-Awarded PhD program will be a more substantial association, a real collaboration in research supervision, which will raise an existing research collaboration to a higher level. It will provide the best PhD students with international experience and personal links at an early stage of their career. What financial support is available to students undertaking a Jointly-Awarded PhD degree? The funding opportunities depend on the location of the students Primary institution. The Primary institution is nominated by the candidate at the time of application and is normally the institution where the candidate will spend the majority of their time. The second institution is referred to as the Partner institution. All students enrolled in a Jointly-Awarded PhD program will only be required to pay course fees to their Primary institution. If the University of Adelaide is the Primary institution the student: will normally not be required to pay course fees to the Partner institution may be considered for the living allowances (i.e. stipends) offered as part of the Adelaide Scholarships Program. Examples include the Australian Postgraduate Award (APA) and the University of Adelaide Divisional Scholarships (domestic students only) and the International Postgraduate Research Scholarships and the Adelaide International Scholarships (international students only). Recipients of these scholarships will continue to receive payments while they are undertaking their studies at the Partner institution. may be considered for the travelling scholarships offered as part of the Adelaide Scholarships Program, such as the Research Abroad Scholarships. The Agreement for a Jointly-Awarded PhD Degree is available from the Adelaide Graduate Centre, email DDOG@adelaide.edu.au or, telephone: 8313 3506. This agreement must be submitted by the School either at the time of application or after the candidate has commenced, noting that the agreement must be finalised within the first 12 months of candidature. In the case of arrangements with universities in France, the completed agreement must be accompanied by the French institutions cotutelle contract. It is important to remember that the Agreement for a Jointly-Awarded PhD Degree is not an application form for PhD candidature. Before a Jointly-Awarded PhD program can be approved, an applicant must be approved as eligible for the PhD degree by both of the participating universities. The applicant must therefore be successfully selected for PhD candidature by each of the participating universities in line with their respective selection and other entry requirements. Applicants not currently enrolled at The University of Adelaide must submit a separate application for PhD candidature. A Jointly-Awarded PhD agreement must be drawn up between the two participating institutions in respect of each candidate, detailing the particular arrangements pertaining to that particular candidature. Normally such agreements take effect from the beginning of a candidature. 2. The agreement must list the supervisors who are to undertake the joint supervision. 3. The candidature is to be divided between the two institutions with alternate periods of attendance at each and a minimum of one year to be spent researching at each institution. 4. The agreement must set out the arrangements with regard to payment of fees. 5. There is to be one examination process agreed to by both institutions, and the initial agreement must detail the procedures that will be followed. Both Universities must agree to respect the outcome of the agreed examination process. Once enrolled in a Jointly-Awarded PhD program are tuition fees paid to both institutions? A PhD student undertaking a Jointly-Awarded PhD program will normally only be liable for tuition fees at the lead/home institution. Is there anything that needs to be submitted in addition to PhD thesis for examination? The thesis will be written in English; unless approval to write in it a different language is acknowledged at the time the candidature agreement is accepted. When permission is granted to produce a thesis in a language other than English, the thesis will include
a substantial summary of 5,000 to 10,000 words in English. Conversely in the thesis is written in English, a substantial summary will be written in the language of the other participating university. How is examination of the PhD thesis conducted in the Jointly-Awarded PhD Program? The examination will be carried out in a manner that meets the essential requirements of both institutions and is at least as rigorous as that required under the rules for the Doctor of Philosophy at the University of Adelaide. Examiners reports on the thesis, prepared in English, must be submitted to the University of Adelaide irrespective of the language in which the thesis is written. Students may be required to undertake an oral examination in defence of their thesis, if one of the participating institutions requires this. The successful outcome of the examination process would be the granting of a Jointly-Awarded PhD degree. Research Training Scheme funding The completion of a PhD student enrolled under a Jointly-Awarded degree arrangement will contribute to an Australian higher education institutions total completion count and will be included in the completions component of the formula for allocating Research Training Scheme funding. Where the student is undertaking a jointly awarded degree program at the University of Adelaide and another Australian university, the completion will be reported according to the proportions agreed and documented in the Memorandum of Understanding. What award do I receive once I have passed? The successful outcome of the examination would be the award of a single doctoral degree, with testamurs from both institutions each of which will contain the following expression Conferred as a single degree under a joint PhD program between the University of Adelaide and [name of partner institution]. Professional Doctorates and, if applicable, the Specific Academic Program Rules relative to the degree. 2 Thesis format and word length A Doctoral thesis may comprise a conventional written narrative presented as typescript, a combination of conventional written narrative presented as typescript and publications that have been published and/or submitted for publication and/or text in manuscripts, or a single major publication such as a book, or a portfolio of publications that have been published and/ or submitted for publication and/or text in manuscripts, or creative or visual work/s. A Masters by Research thesis may comprise a conventional written narrative presented as typescript, or a portfolio of creative or visual works and, where acceptable to the Faculty, a combination of conventional written narrative presented as typescript and publications that have been published and/or submitted for publication and/or text in manuscripts, or a single major publication such as a book, or a portfolio of publications that have been published and/or submitted for publication and/or text in manuscripts.
Any thesis submitted for examination must fulfil Rule 2.1 regarding word-length of thesis. 2.1 Irrespective of the nature of the thesis, the word length, including footnotes but excluding appendices, tables, diagrams, bibliography and references, shall not exceed 80,000 words in the case of a Doctoral thesis (see PhD rule 7.7) or 40,000 words in the case of a Masters thesis. See Rule 29.3 of the General Academic Program rules of the Professional Doctorates for the length of a professional doctorate thesis. 2.2 The thesis should incorporate in the following order: (a) a title page giving the title of the thesis in full, the name of the student, the name of the School/ Discipline(s) of the University associated with the work and the date (month and year) when submitted for the degree. Students should ensure that the thesis title is written in title case and does not exceed the character limit of 300 (including spaces). * Symbols and formatting (e.g. bold and italics) MUST NOT be included in the thesis title; these are not recognised by PeopleSoft (the Student Information System) and will print incorrectly on your transcript and Australian Higher Education Graduation Statement (AHEGS). (b) a table of contents. (c) a n abstract of the thesis in not more than five hundred words. (d) a statement signed and dated by the student declaring the originality of the work, consent for the thesis to be made available to the University library and the situation with respect to copyright where applicable. Note that an original signature is required; faxed or photocopied signatures are unacceptable. See Section 3 for examples of declarations to be included where: (i) thesis does not contain work already in the public domain. (ii) a thesis contains publications (i.e. where the work includes published papers). If the student has any objections to including this statement the student must apply in writing to the Adelaide Graduate Centre, preferably prior to submission, for a period of embargo to be placed on the thesis. (e) a n acknowledgment of any help given or work carried out by any other person or organisation. If a student has sought professional editorial advice, the name of the editor and a brief description of the service rendered should be included in the acknowledgements. Should the professional editors current or former area of academic specialisation be similar to that of the candidate this should be noted. See Section 4 for details of the Universitys policy on editing. (f) the main body of work (which may include either text or, as specified in clauses 2.2 and 2.3 respectively, a contextual statement and a portfolio of publications or creative works. (g) appendices (if any). (h) bibliography. (i) additional pages or other material not suitable for binding should normally be placed near the back of the thesis as an appendix and treated as indicated in 8.2(d)(h).
2.3 In the case of a thesis presented entirely or in part of published and/or accepted publications and/ or manuscripts, the following requirements apply, in addition to those outlined in 2.2: A title page, a table of contents and an abstract as per 2.2(a)(c), A declaration in accordance with 2.2(d), An acknowledgement of any help given as per 2.2(e), Statements of the contributions of jointly authored papers (see (b) below), The main body of work in accordance with 2.2(f) (see (c) below), and Appendices, bibliography and additional pages or material as per 2.2(g)(i). (a) The length of a major publication and the number and length of scholarly works included in a portfolio of publications shall be determined by Faculties in consultation with specific Discipline areas. Where the publication(s) are deemed to constitute a body of work worthy of the award, the candidate may include additional material submitted for publication. (b) Where papers have joint- or multiple-authorship, they must be accompanied by a clear statement of the contribution (in terms of the conceptualisation of the work, its realisation and its documentation) made by the candidate and all other authors. The statement must be sufficiently detailed to describe accurately the contribution of each author. All authors are required to sign the statement and co-authors must give written permission for the paper to be included in the thesis. Original signatures are preferred but scanned signatures are acceptable. (c) the main body of work should contain in addition to the relevant publications a contextual statement which normally includes the aims underpinning the publication(s); a literature review or commentary which establishes the field of knowledge and provides a link between publications; and a conclusion showing the overall significance of the work and contribution to knowledge, problems encountered and future directions of the work. The discussion should not include a detailed reworking of the discussions from individual papers within the thesis. 2.4 In the case of a doctoral thesis submitted in the areas of musical, artistic or visual practice the thesis should incorporate in the following order: A title page, a table of contents and an abstract as per 2.2(a)(c), A declaration in accordance with 2.2(d), An acknowledgement of any help given as per 2.2(e), The main body of work in accordance with 2.2(f) (see (a) below) and Appendices, bibliography and additional pages or material as per 2.2(g)(i), (a) The main body of work may be in one of three forms: (i) by a theoretical thesis which may include either text or a portfolio of publications, or (ii) by creative work(s) and exegesis. In the case of the PhD, the creative or visual work should be a substantial opus and the criteria for this work should be determined by the Faculty. Such substantial works would normally include a book length work appropriate to its genre or musical compositions that require more than 75 minutes for performance. In the case of the Masters degree, the musical compositions will normally require not less than
50 minutes and not more than 60 minutes for performance, or (iii) by recorded musical performances and exegesis. For the PhD, the recordings shall constitute a substantial body of work of up to four hours duration, for the Masters, the recordings shall constitute two sixty minute public recitals. The length and format of the exegesis should be determined by the Faculty but normally, for the PhD, should not exceed 20,000 words in the case of a creative or visual work, 10,00015,000 words in the case of music composition and 15,000 words in the case of music performance. For the Masters degree, the exegesis normally should not exceed 7,500 words. The exegesis should contain a description of the form and presentation of the artistic practice which constitutes the remainder of the thesis and inter alia, an analytical commentary and consideration of the work in the broader framework of the discipline and/ or repertory. It should demonstrate mastery of the conceptual and scholarly skills associated with higher degree candidature. In the case of a written exegesis or thesis and visual works both presented in the format of a compact disc, the written exegesis or textual portion of the thesis shall also be presented in hard copy and must be presented in accordance with the guidelines. 3 Examples of thesis declarations 3.1 For a thesis that does not contain work already in the public domain This work contains no material which has been accepted for the award of any other degree or diploma in any university or other tertiary institution to <name of student> and, to the best of my knowledge and belief, contains no material previously published or written by another person, except where due reference has been made in the text. The policy has been developed with close attention to the current Australian Standards for Editing Practice (ASEP) and it espouses the following principles: A professional editor may be used by students in preparing their theses for submission provided that the editing assistance is restricted to ASEP Standards for Language and Illustrations and for Completeness and Consistency. Where a professional editor provides advice on matters of Substance and Structure exemplars only should be given. Further information about the ASEP standards is available on line at: http://www.adelaide.edu.au/graduatecentre/ forms/ Students should discuss the procedures with their principal supervisor and before editing is commenced provide the editor with a copy of this section of the Specifications for Thesis and details of the ASEP standards. Material for editing or proof-reading should be submitted in hard copy. 5 Typing A thesis, which may be produced on both sides of the paper, should normally be printed on A4 paper in a clear and legible font (e.g. Arial Narrow 12 or Times 12). 5.1 Margins Margins for both text and figures should not be less than 35 mm on the inside edge and 15 mm on the other three sides to allow for binding and trimming. (See also Soft-binding of thesis for examination under 8: Binding, below.) 6 Copying 6.1 Archival Copy The archival copy should be marked accordingly and will become the Universitys copy following the award of the degree. The archival copy should be produced on archival quality (acid-free) paper to ensure its longterm preservation, preferably on 90 or 100gsm paper. 6.2 Additional Copies Additional copies of the thesis should be produced on acid free bond, or similar high-quality paper using a copying method that produces a good-quality copy. Chemically coated paper is acceptable for the production of a thesis only if it is known to provide a high quality reproduction and proven long-term stability. 6.3 Audio and audio-visual recordings Audio and audio-visual recordings should be produced on an internationally compatible medium using a copying method that creates a high quality audio and visual reproduction with proven longevity. Students should consult with their supervisors regarding the technical issues involved in the submission of digital media. 7 Diagrams and figures The following are general suggestions for normal practice, but they may be varied in special cases with the approval of the Librarian: 7.1 Diagrams and figures, etc, should preferably be drawn or photographed on A4 paper and bound in
the appropriate place in the text. If it is necessary to mount photographs, the mounting should be on paper somewhat heavier than that of the other pages, and great care should be taken to avoid wrinkling the paper or distorting the shape of the volume. 7.2 Figures should either be inserted at an appropriate place in the text, or form a separate page. For normal orientation with the top of the figure upwards, the legend should be at the bottom of the figure. If it is necessary to rotate the figure, it should be placed on a separate page with the top of the figure on the lefthand side of the page and the legend on the right-hand side of the page. This applies regardless of whether the figure forms a left-hand or a right-hand page, but if the thesis is produced with the text only on right-hand pages, then figures should also appear only on righthand pages. If there is insufficient space for the legend, it may be placed on the page facing the figure. 7.3 Tables should be inserted in the appropriate place in the text, except that lengthy or bulky tables should appear as an appendix. 7.4 Folded diagrams, maps, tables, etc, should read as right-hand pages when open. 7.5 Musical notation and similar forms of written notation should be inserted in the appropriate place in the text, except that lengthy examples should appear as an appendix. 8 Binding 8.1 For examination purposes Higher degree students will submit one digital copy of their thesis in Pdf format, together with three printed copies of their thesis for examination. The printed copies may be soft-bound or hard-bound. Students who wish to have their theses soft-bound should note that: (a) It is not possible to rebind a thesis that has been soft-covered using the currently available methods, such as Thermo-Bind or Wire-Spiral, without having first to trim the left hand margin by 10 to 15 mm. This means that the provision for the left hand margin of the thesis must be at least 45 mm. This may result in an increase in the number of pages of the thesis and the consequent increase in cost of production. (b) Most soft-binding processes will handle up to around 30 mm in thickness. Many theses are thicker than this and may have to be bound in more than one volume. (c) Students are responsible for all costs incurred in the soft-binding of their thesis as well as in the subsequent hard-binding. Some scholarships provide a thesis allowance and costs may be refunded to students on presentation of relevant receipts. (d) When the examination process (including the completion of any required amendments) is complete, students are obliged to submit one hard-bound copy and one digital copy of their thesis (see 9 Digital Theses at the University of Adelaide) before a degree can be conferred. Any supplementary material submitted with paper copies should be digitised, where possible, and submitted as an attachment to the digital copy. 8.2 Final printed thesis (a) The single required copy of the thesis accepted for the award of the degree must be sewn and bound with cloth on stiff covers. (A sprint-type or screw-type binder is unacceptable. Stapling and plastic or perfect binding without sewing are also unacceptable.)
(b) During binding the edges should be trimmed. (c) On the spine of the thesis should be printed, in gold lettering of suitable size, normally reading from the top to the bottom, the title of the thesis, shortened if necessary, followed by the students surname. Where the width of the spine allows, the lettering may be placed horizontally, with the title of the thesis near the top of the spine and students surname near the middle. (d) Supplementary material such as folding maps and other large folded sheets and primary data on sheets, and data on CD or DVD, may be placed in a pocket inside the back cover of the bound thesis. (e) In the case of published papers of unusual size it may be desirable to bind them in a separate volume. If they have been bound by a publisher it is desirable to keep them in a special case made and lettered to simulate a bound volume of a thesis. (f) Supplementary material which cannot readily be kept in a pocket should be placed in a special case made and lettered to simulate a bound volume of the thesis. (g) In some cases, it may be desirable to submit audio or audio-visual recordings in a separate volume made to simulate a bound volume of the thesis. (h) A supplementary case or additional volume of a thesis should be distinguished by a volume number but should otherwise be uniform with the first part of the thesis in respect to colour, lettering and, as far as possible, size. 9 Digital Theses at the University of Adelaide In addition to the single required printed copy, University of Adelaide postgraduate research students are required to deposit a digital copy of their thesis with the Adelaide Graduate Centre. The electronic copy will be made available on the web, via the Universitys digital research repository, Adelaide Research & Scholarships and the National Library of Australias Trove service, unless arrangements have been made to restrict access for a period of time e.g. where the thesis is under embargo or where commercial publication of the thesis is being sought*. The thesis will also be added to the Library catalogue and will be accessible through web search engines. The digital thesis copy must be provided on a CD, together with a completed and signed submission form. It is preferred that the digital version be in Portable Document Format (PDF). The digital version must be a direct copy of the thesis that has been approved by the University for the award of the degree. Any supplementary material submitted with paper copies should be digitised, where possible, and submitted as an attachment to the digital copy. Students must obtain permission for use of copyrighted material, such as diagrams, illustrations, maps, tables, photographs, musical notation, images and audio-visual recordings that are not the students own creation, or if written permission cannot be obtained, then such material will need to be identified so Library staff can remove them from the digital copy. Some minor problems may exist in the expression and/or cohesion of the text. Provides an adequate coverage of the literature, although it may at times tend to be more descriptive than evaluative, and arguments are sometimes disjointed. Reasonable insight and some evidence of original thought in dealing with the critical. A general understanding of the research methods. Adequate design of the research project, although possibly containing minor but retrievable errors. Data analysis is appropriate for the design, and results are generally clearly presented. Generally sound interpretation of results and their importance to the theoretical context. Overall: a C student may be capable of undertaking postgraduate research at Doctoral level with close supervision.
P (5064) Broad features The project is characterised by most of the following: Adequate evidence of logical argument and appropriate expression. Errors mostly do not impede understanding or the readers willingness to engage with the arguments presented. Adequate but superficial coverage of the relevant literature, which may lack detail in some areas. Occasional evidence of insight into the issues underlying the thesis or essay, but little evidence of original thinking. A basic but limited understanding of the research methods. The design of the research project is generally adequate but is marred by some errors and oversights. Acceptable data analysis, although other approaches may have been more appropriate. The presentation and interpretation of the results is adequate but limited, demonstrating a pedestrian understanding of the results and their relevance to the theoretical framework. Overall: The student showed difficulty in mastering the higher-order skills required at Masters level and would be unlikely to be able to undertake Doctoral research. Fail (050) Broad features The project is characterised by most of the following: The work is not well written and shows a serious inability to structure and present a logical argument. Coverage of the necessary literature is inadequate, with little information provided relevant to the claims made, or conclusions drawn, within the thesis. Little evidence of insight including serious misunderstanding of key concepts and issues. Knowledge of research methods is lacking. Serious flaws exist in the design of the research project making it difficult or impossible for the research to meet its aims. Data analysis techniques are arbitrary or inappropriate and the results are presented inadequately. An inability to show how the results of the research project relate to the theoretical framework. Serious misinterpretations of results. Overall: the candidate showed considerable difficulty in mastering the higher-order skills required at Masters level and would presently not be able to undertake further Doctoral research.
