Minutes of the Meeting

26 April, 2013 I. Call to order Kristyl Bern Ponferrada, President, called to order a special meeting of the Xavier University Junior Philippine Institute of Accountants (XU-JPIA) at 1:25pm on April 26, 2013 at Loyola Conference Room. II. Attendance Officers Present: JPIA President- Kristyl Bern Ponferrada Vice-President for Academics- Francois Cabiladas Secretary General- Sheena Josel Abne Treasurer- Rhecin Glenale Bonalos Vice -President for Finance- Joan Grace Bual Vice -President for Audit- Marianne Delle Lagumbay Vice- President for Communications- Michael Andrew Sy Vice -President for Membership- Leah Angeli Odchigue 3rd Year Representative- Eman Cervantes 3rd Year Representative- Catherine Joy Tugap Officers Absent: Vice-President for Non-academics- Kevin James Umali (excused) III. IV. Matter Arising 1. JPIA President, Kristyl Bern Ponferrada, presented the XU-JPIA activities for AY 2013-2014 along with their individual description, project head, event partner, date/s of implementation and budget.

2. Ms. Ponferrada tasked all the officers to proofread the newly revised JPIA Charter before the end of summer classes. The assignment deadline is May 19, 2013. Ms. Ponferrada also gave reminders regarding the staff hiring for the Research, Multimedia and Audit Team. 3. VP-Academics, Francois Cabiladas, presented his report regarding the upcoming Comprehensive Review for seniors. Changes made were to the dates of the review sessions. The subjects for the mock board exams were decided and finalized by the officers. 4. Reminders were given by Ms. Ponferrada with regards to the iServe: Habitat for Humanity activity that will be held on May 1, 2013. She also reminded VP-Finance and activity facilitator, Joan Grace Bual, to distribute the parents consents and waivers to the volunteers on April 29, 2013. 5. The showing dates for the CINE JPIA entries will be during the moratorium week of Xavier University. Marianne Delle Lagumbay, VP-Audit, and Michael Andrew Sy, VPCommunications, also CCJPIA officers, were tasked to suggest to the CCJPIA board to move the showing dates to ensure fairness among all the CINE JPIA participants. There were also reminders regarding the dates-to-remember for the PICPA Week and the activities then under. 6. All the executive officers were tasked to make their 100 Days Report for their respective positions. The 100th day for office will be on July 9, 2013 but the deadline for submission of the reports will be on July 7, 2013. 7. Ms. Ponferrada also gave her suggestion for the iServe: I AM ACCOUNTABLE activity. To ensure its sustainability she suggested that the officers collaborate with the 1st and 2nd semester accounting teachers. The teachers are yet to be contacted. 8. In behalf of VP-Non-Academics, Kevin James Umali, Ms. Ponferrada asked for the updates from the JPIA Camp Committees. Ms. Lagumbay, VP-Audit and Programs Committee head, presented the program flow for the 3-day event. Ms. Lagumbay also presented the work to be done by each committee during the camp. The officers commented and made some revisions in the program flow. Ms. Bonalos, Treasurer and Sponsorship Committee head, gave an update of the companies who already received the sponsorship letters. She also reminded the officers to distribute the letters given to them. Ms. Ponferrada, Speaker Support head, mentioned the names of the speakers who already gave their confirmation. 9. Ms. Ponferrada also asked updates from the officers. Ms. Odchigue, VP-Membership, said there were only 237 students who paid for the membership fee, either for a partial down payment of Php 100.00 or in the full amount of Php 350.00. The number is 163 students short of the targeted 400 members. Ms. Bonalos, Treasurer, gave the exact figures of the money collected from the membership fee. The amount totaled Php 36, 000.00. 10. Ms. Ponferrada also suggested that the printing of the manual for the membership card be delegated to the JFINEX officers while the printing of the cards be delegated to the JPIA officers. Distribution of the said manual along with the membership card will be on June 1721, 2013. The card will be effective as of July 1, 2013. 11. Mr. Cabiladas, VP-Academics, suggested that free T-shirts should be provided for the Academic Guild members. The suggestion was overruled due to budget constraints. It was decided that instead of the free t-shirts, the JPIA shirts of the Academic Guild members will be customized to give them due recognition. Ms. Ponferrada also suggested contacting Jerikka Acua for the making of the Academic Varsity Certificates.

V. Adjournment Having covered all items for discussion, Kristyl Bern Ponferrada formally adjourned the meeting at 5:45 in the afternoon. Minutes submitted by: Sheena Josel Abne
