Job Description Post Title: Finance and Administrative Officer (part time) Salary: XXX pro rata. NJC pay scale XXX Contract duration: 3 years Hours: 22.5 hours per week (flexible) Annual leave: 28 days per year pro rata Place of work: XXX Art Studio Responsible to: Director Job Purpose: The Finance and Administrative Officer will work alongside and support the Director in all aspects of financial and related administrative tasks and assist with the smooth running of the Studio in line with the organisations objectives and Trustees vision. Key Duties Financial Regular tasks will include: Maintain day to day and monthly records for all financial transactions. Data entry on the Sage accountancy system and Excel. Credit control and bank reconciliation. Process cheques, invoices and petty cash. Liaise with Director to produce, monitor and maintain grant, project and management budgets. In liaison with the Director, monitor the Companys overall financial position, update cash flow forecasts, prepare management reports for the Board of Directors and submit financial reports to funders and others as required and annual accounts to the auditors. Administrative Develop and maintain office systems and procedures. Administer monitoring systems for all aspects of XXX work. Develop and maintain computerised and manual filing and record keeping systems. Word process a range of documents including reports, databases, letters, memos, tables, charts, spreadsheets and promotional materials Organise meeting dates and venues, prepare and distribute papers and record minutes Maintain returns to charity commission, companies house etc. Maintain office supplies and order materials General Support and promote organisational policies, procedures and activities Support the Director Undertake research and/or training as required Other reasonable duties commensurate with salary Some evening/weekend work Financial and Administrative Officer: Person Specification Knowledge and Experience Essential:

Knowledge and experience of Sage Line 50 computerised financial management system Working knowledge of Excel Experience of data input and extraction Broad financial and clerical experience.

Desirable: Knowledge of the voluntary sector Skills Essential: Ability to communicate in a clear, concise manner both in writing and verbally Ability to work as part of a team and under own initiative Ability to prioritise and meet deadlines whilst maintaining attention to detail Commitment to support the organisations structures, values and procedures Demonstrate proficiency in Word, Excel, Sage line 50 and Sage Payroll software Demonstrate an enthusiastic, flexible and patient approach to work A willingness to develop with the project and undertake further training and development as required.

Conditions of service: 3 year contract 21 hours / week, including some weekend and evening hours (time off in lieu) Annual leave 20 days + statutory holidays (pro rata) Probationary period 3 months Notice period 1 month in the first 3 months, 2 months thereafter.
