0 INTRODUCTION TO THE ORGANIZATION

1.1 COMPANY BACKGROUND

Since Freight mark founded 31 years ago, the company started by providing small scale logistic services. FM haulage service started form a subsidiaries company as SINGA GEMINI where it was the freight mark own haulage. SG had started with only 5 prime movers and provided haulage services only; within this past 5 year the company had seen their great development where SG has 89 prime movers along 325 trailers. As time goes, with the solid commitment team that had lead and work for the company growth until it become a total logistic services company by the year of 1989. Generally Freight mark run as a family business that been lead by Mr.Carlie the CEO of the company that take responsibility of the entire management. Freight mark has a strong foundation in Malaysia by having few branches around Malaysia e.g Johor Bahru, Peneng, Bukit Kayu Hitam, Miri, Kuching, Thailand, Singapore and etc. Out of this, Freight Mark owning the largest warehouse in Shah Alam with the length of 250,000 square feet and earn the title state of the art national warehouse in Malaysia. FM has variety size as 20, 40, and 40 sight curtain container. Besides that, FM also providing the refer container services that put them a stage higher among remaining competitors in the market and keep move forward by providing efficient services.

WAREHOUSE SERVICES

Freight Mark provides various warehouse services from dry types to wet product. The high technology coding system in the warehouse makes the storage and clearance of the goods goes very efficiently. Dry type warehouse normally stores the general products like consignment goods like Panasonic, nestle, coffee been and etc. Meanwhile wet types warehouse that store the Coca-Cola, Soya bean, and etc. Freight Mark warehouse not only deals specified customer goods then receive any goods from variety types customer either for be import and also export goods.

2) Container services.

Freight mark providing both dry and refer types of container services such as 40 footer, 20 footer, sight curtain 40 footer, and also 20 footer refer. Maximus system monitors all the container movement and it able to detect the status of all the container movement until the cargo reach to the consignee premise. All the trucks in Freight Mark been equipped with the GPS enable FM to observe all the drivers movement and detect them if they diversify from the route. Besides that, Freight Mark has their own workshop to repair their trucks that way ahead from other competitors that relies on the private foreman. With the foreman and efficient system, all the trucks movement flow very well. FM trucks been equipped with Walkie Talkie where during the container movement to consignee place any congestion in specific place will be communicate among the driver to divert to other route so they able to reach the consignee place as soon as possible and breakdown will be communicated by the Walkie Talkie by the driver to the Controller in the yard, where from here the substitute trucks will be send to the scene to complete the work in order to built a good reputation from the customer. Freight Mark using their sight curtain container for Coke project in general besides other pallet storage goods. Coke product movement occurs from FM warehouse and then to yard to be stored until the opening date at port valid. The reason why side carton assign for the Coca-Cola container are ease for loading and unloading, at warehouse the forklift will move the pallet out of the container easily to store and bringing down the risk of damaging the goods.

1.9 MAXIMAS SYSTEM

Maximus has established in Malaysia in 1998. The company software solutions focused only on CONTAINER SHIPPING DISTRIBUTION LOGISTICS. Currently, Maximas has 55 people in Malaysia , 65 in the Region and over 100 installations in the ASEAN region. Maximas became Market leader (in terms of number of most modules sold) in Malaysia by 2002 and remain as of 2007 and operating in, Malaysia, Thailand, and in Melbourne. Maximas Products Solutions. Freight mark becomes the ford haulier to use the system in Malaysia as below;

2.0 Global Positioning System(GPS) Freight Mark has a efficient monitoring devise to that is GPS to monitor all the trucks movement. Al l the Freight Mark truck will fixed with the GPS device that can be identify even by the driver itself. This because dont want the driver mis s use the business for other purposes such as smuggling all since Freight Mark also providing cross country haulage services. GPS device been track by using the satellite connection from the movement of the container from the manufacturing premise until the container reach the consignee place as the time that been agree. Issue that recently take place in FM where the container been high jack using the own FM prime mover that been send to workshop to be repair, when the investigation took place the GPS become the prime evidence to detect the trucks movement to caught the thief. GPS also have certain safety criteria such as sending sort massage or email to the Freight Mark Operation team to notify that the trucks in depress situation such as fire or accident while the truck on the way to the consignee premise or port. Besides that, the other safety measurement that been notify base on the GPS device are by detecting the speed, when the trucks speeding up the operation team will notify them walkie-talkie to reduce the speed to avoid unnecessary incident to truck and the goods it carries.

CHAPTER 2

1.1 JOB SPECIFICATION Entire internship training with Freight Mark, trainee been placed at the operation department. 1.2 JOB SCOPE AND ACTIVITY The assignment that been given by the supervisor during this six month duration in Freight Mark divided to... a) Consignee notes update b) Container status update in Maximas c) Empty and laden booking in port system d) Assign the consignment notes for the next delivery e) Handle the walkie-talkie f) Issue gate pass for drivers

1.2.1 Consignee notes (CN) update In this part normally all those pick-up containers CN will be hand over to the controller by the driver once their job complete. Further procedures by key in the Maximas system upon the job competed and will attach with the other CN from the customer that request the container to be sent for the next work plan. The important point in attaching the CN is by fill in the prefix (container number on the CN and attach it with the OEFM number. Once completed the second stage, the CN will be placed at the tray that had arranged base on the customer title such as Nestle, Panasonic, n etc.

1.2.2

Container status update in Maximas

Those CN that been hand over by the driver will be updated in Maximas so the action can be view by all the management team on progress of the container movement. The difficult task here was on remembering the driver name and their id to be key in Maximas pre for port booking and other records purpose, besides on salary record for daily trip a driver do per day. Normally there are two types of trips for driver, 1st the single where he will work alone completing the trips singularly meanwhile double are normally been carry out by the new driver that join senior driver to get the confident and learn all the route to make the delivery until he have the confident to deliver single trip. Normally the trailer register plate will be different in the updates since the driver will rotate the trailer to different consignee places.

c) Empty/ Laden booking in port system

i.

Port Klang quite easy on the booking formality else the controller will do the booking for the driver before the truck enter the port to deliver the export container. The important information that shall be included in the booking system are;

-Driver particulars -Truck head number -Trailer Id -Seal number

In north port for the empty drop we no need to book with the port system.

West port booking system are different from port klang where they are more strict with all the particulars that should be attached by the haulier CN and when they deliver the container or make the pick empty pick up. West port has depot from ODD5-11 but for ODD 9 the booking system are different. Such as;

-Driver name /Ic -Seal number -Operator -Required date

d) Assign the consignment notes for the next delivery When a driver making their laden trip to port, the controller shall arrange a empty pick up or trip from any place nearby to avoid empty trip for the container. Normally controller once done with booking for laden and will attach the pick up for the driver either from north or west port. Once assign the job to the driver, the controller need to DD the Truck operator particulas base on the job number in the Maximas system to know who proceeding the job. CN has four copy; -Yellow form for operation copy -Pink for the delivery completeness and attach for next job -Green copy for the driver copy -White copy for security copy

e) Handle the walkie-talkie(wk) Kalmar driver will contact the controller in the yard on clarifying which truck should be loaded with which container. Besides that, Kalmar driver will use the wk to identifying either the container that going to be load opening date in the port are valid or not before store on the trailer. Shunting driver also will have wk set, this because the controller will ensure they are in the yard to pick up loaded container from the warehouse and send the empty laden to be loaded. -Shunting driver the one will make the container movement from warehouse to yard and vice versa. -Shuttling drivers are those who make the container movement from yard to port and vice versa.

f) Issue gate pass Before the truck driver want to bring out the laden or empty container from the yard, they must get the gate pass from the yard operation people. As the first step yard people will issue the gate pass and follow by the controller who will do the booking for the export container to be send at the specific port. Controller will key in the container number in the Maximas system to know which port the container need to be discharge. The job number will be stated in the gate pass in the required port. Gate pass has three copy; -Yellow for the operation copy -Green for the driver copy -White for the security copy

INTERNSHIP RESULT

Practical duration with the Freight Mark Company gave a great bench to face and learn new challenges. Supervisor had leaded me well by motivating base on the given task with all the working methods and technique. Those work that been completed are;

Maximas System -Maximas system been handle by the controller in the yard to key in all the C/N that been assign for the trip base on the driver ID -Container status also been trace by using the Maximas system upon those container that need be give priority base closing date. -Container progress from the depot to yard, yard to warehouse, yard to customer premise, yard to depot back and all this progress will be arrange base on the Maximas system.

West Port Booking System -Screen above shows the booking system for the west port system. -The booking system in west port system also will be arrange by the controller after key in all the particulars in the Maximas system. -Basically there are seven depot in west port for empty pick up and laden drop, those are OOD5-OOD11. But for OOD 9 it has the different booking system to compare with the rest of the depot.

North Port Booking System

-Meanwhile, above image representing the north port booking system. -For nort port the booking system are ease then west port since they only has one booking for all the container booking. -The important particulars that need to added in the booking system are container number, haulier id, and also the seal number.

Container Despatch Order -Container despatch order also know as consignee notes where this are the copy that been receive from the ROT department to the yard operation team on all the particulars on from which point to which the container need to be pick and to which consignee it need to be deliver. -Here the main information are as the shipper, customer, haulier, depot, types of goods, size of container(specification), and the closing date as required. -Five types colour functions are; -White/Yellow copy for operation team -Pink copy for accounts -Blue copy for customer -Green copy for the depot

Gate Pass -Gate pass been issue by both controller and also the yard planner when there are any movement of container out of the yard. -1st the yard planner will sign issue the gate by identify which container that going to be bring out this action will be further by the controller on putting the information of which port or consignee destination it need be send and verify the gate pass by signing it. -Three copies functions; White colour as the warehouse copy Green as the security copy Yellow as the operation copy 23

Laden /Empty Pick Up

-Above racks are the place where those consignee notes for both Laden and Empty been stored for the next work progress. -Besides that those fumigate container C/N also will be placed here to be monitor by the controller upon the date it shall be ventilated. -Basically there are three types of customer that been deal by team three as SA1(such as Milo product), BT3(Maggie products), and NDC(Nestle product). -When the driver completed their pick and staged at the yard, the C/N will be attached with the next work plan and staged base on the customer racks.

Consignee Notes Pick-Up -Image above are racks where C/N that placed base on the urgency and the nearest closing date. -Controller play the role here by dividing the C/N to drivers base on the trip they going to complete and carry extra C/N as pick-up from depot to avoid empty trip at the same time finish the target that been gave.

3.1

EXPERIANCE AND KNOWLEDGE THAT BEEN GAINED

3.1.1 OPERATION DEPARTMENT

The knowledge that been gained along undergo the practical in Freight Mark Sdn .Bhd under operation department are regarding how the haulage team will plan their plan with the driver they having and clearing it. As the yard function more on planning the staging the inbound and outbound of the container in the yard. Follow by the fumigation process for the required container that been staged in the yard and wait to be exported. Identified the container flow in general, normally there are there flow in the container movement; i. ii. iii. Depot to yard Yard to customer Customer to port

Besides that, learn how to update the daily plan report base on the driver attendance and how many trip that can be done for the to compare with the given target, if the target cant be reach the team will ask help from other team to back up them from the trucking wise. In addition, adopt the booking process in the port system and Maximas system.

3.2 RELATED TEORIES THAT BEEN LEARN

I)

Human resource subject have a close relation with the work task in the Freight Mark where filling works on the drivers worksheet arrangement base on their leave and the claims.

How to manage the drivers using the claws when they Misbehaving with the instruction that been given. HR also told us how to work with different background people by having a good reputation with them to make the work flow become more efficient.

Multi-model paper that we took at UMT had thought howthe Container been specified base on the physical look, how the flow of the trucking will be manage from the movement from the port to the consignee place.

Strategic Logistic Management had a close relation with the t heory of exposing us not only on the marines transportation but also with the warehousing management, when in the Freight Mark warehouse the system that we seen are just like what we learn in class and help on grapping the working flow more ease.

STUDENT CONTRIBUTION TO ORGANIZATION

The contribution that been given by the trainee in Freight Mark are by solving all the given task of as long in furthered practical with the company. The trainee been allocated to assist the executive base several operation department where the schedule been draw in advance for the entire intern. The entire lesson that been gain during university had help the trainee to perform well in all department since the studies there more majoring on logistic line. The lesson that learned and with the great assist from the supervisor not only helped me to grow my knowledge and experience but also able contribute my work and suggestion for company.

3.4 INDUSRTY CONTRIBUTION FOR THE COMPANY All the while with Freight Mark company, all the stuff there had shared lot of experience they been through because this industry has lot of new challenges and scope of task that will keep change. X-cell usage been learned in more detail ways especially when deal with the real figure make the understanding clearer. Add on the walkie-talkie communicating methods between yard trucks.

Furthermore, adopted the ways to operate the haulage system and updating/checking the total operation activity. Booking system that been very though at first, with the great assist from the supervisor had manage to grap all the procedures. Freight Mark Sdn Bhd not only expose the trainee with the real working experience then train a student to become more frim and confident before they enter the real working environment in the future. Besides that, the working ethics and discipline that make us better in what we doing and behave as a real professional.

3.5 INDUSTRIAL RELATION The entire internship training program had taught me lot of new things and information that been very helpful for my future carrier field. After the five semester with the theoretical knowledge in University, trainee been send to industry to explore further the practical training in the logistic field to let us fill the real working environment besides having the chances to communicate with different level people in the company to gain as much experience we can gain. All the while with the Freight Mark, trainee had built a good relation with all the stuff that had taught and share their knowledge and experience.

In addition, trainee get the opportunity to deal with variety types of people that being the Freight Mark company customer such as Than Chong Nissa, Nestle, Panasonic and ect. Out of those , trainee get the opportunity to know more on the Nissan car assembler on the upcoming car in the market and what are the spec, the marketing strategies that been use by them to get the market in Malaysia.

4.0

WORKING SYSTEMS

4.1

4.1.1 INTRODUCTION Container order was start from the forwarding agent who will deal straight with the customer on receiving their order on which destination to which location need be send. Before the orders were send to the operation department there are few procedures need to be completed. 4.1.2 SYSTEM EXPALINATION In this working system, the first stage of the procedures are where the forwarding agent will receive the orders from the customer through E-mail, Fax, Or call on the particulars of all the transportation information such as type of container, size, the required time, and the destination the container need be send once been stuff with the goods. The second procedures where once the forwarding agent receive the orders from the customer, the notice of the information will be forwarded to Request for transfer department to key in the information in the consignee notes. Before that, the information will be key in the Maximas system on all the particulars so this job number will be monitor by this three forwarding, customer service, and the operation team itself on monitoring the work flow until it completed. Third procedures, where the customer service department executive will prepare the daily trip roaster. This schedule contain the plan that the operation team and the warehouse sides on the time line and at which depot location the pick of the container shall be made, normally the allocation will be made base on the operation capacity of the yard and location.

Further, procedures took place where the consignee notes will be handover to the yard operation team to get the job done base on the required date and also the urgency of the work. Besides that, ROT department will call the yard operation executive on informing the plan and their target. 32

The last procedures that took place in the delivering process of container are by follow up the delivery been completed. This activity been done base several channel as first base on the GPS system tracking system, the driver will be identify that they are at the customer premise and off their engine to wait there to stuffing or unstuffing the goods. Driver will hand over the consignee notes to the customer to sign the acceptance. Once done the loading or unloading the drivers will bring back the other copy to be hand over to the freight mark as the evidence to show the activity been carrying out successfully.

4.1.3 FACED PROBLEM

Among the faced problem are;

1) Communication The comment problems that arise among the ROT department are

misunderstanding between customer services and the warehouse department on the warehouse capacity on stuffing/unstuffing. On the other hand, the channel as Email was use by the ROT department on informing amendment or urgent updates that didnt reach the operation team and cause added cost such as detention charges in port.

2) Internet down time Since all the booking and the transportation arrangement been made base online system, when there is a down time in the internet server, all the documentation upon booking that shall be move by the ROT department will froze. This cause a big lost for the Freight Mark company because delay in this business will make the customer fine alternative haulier.

4.1.4 PROBLEM SOLUTION

1) Advance Plan Customer service department prepare earlier trip plan to be hand over to the warehouse executive so he will send back the feedback on the target that they can sort per target base on their capacity. The goods movement normally been receive in advance by the ROT department but the loading plan will be only handout on the day itself. With the advance plan from the customer service upon the loading and unloading plan can ensure the warehouse operation flow without congestion. All the notification mail from ROT department towards operation team shall follow by a call to ensure the message been receive and noted by the operation team. This because some time the operation team main miss the contain because server down n etc. 2) Manual booking When the internet server down , the request for transportation booking shall be made manually then informing the drivers that we having down time and unable to serve you, this would lead us lost our potential customer. The alternative measure shall be taken as the orders been take manual procedures or through the fax. Further the action by completing work when the system recovers if the required dates are later; meanwhile use the other branches of Freight Mark to complete the booking. Nevertheless, Freight Mark shall hire technician to complete the weekly inspection on the server and upgrade the server base the latest needs to avoid inconvenience situation.

4.2.1 INTRODUCTION Once the forwarding department had sort their progress in the first booking stage, the work progress next will be further up by the operation team where the completed consignee notes will hand over to the controller. Controller will plan base on the capacity, proper plan, time line and other consideration to deliver the service. Those, progress also have several stages to be consider.

5.0 SUMMARY Internship play a great role in a graduate life in exposing them a real environment of working would be when they enter to the carrier field, at the same time the culture. The six month practical placed the trainer not to learn at one place then have a scale of training from different-different department to let the trainer absorbed as much as knowledge they can grape for their education growth.

The entire experience that been gained with the company either sweet out sour would become a great starting for them to fill one day when they face same problem in the different situation or same field to be solve it easily. Those experience of using port system and Haulage system had still become a dream to recall back with lot of excitements. To sum up, Internship program for university student are one of the effective measure that been taken by the university. Internship program shall be practice by all university rather then explore them more on examination since this afford gave a positive impact in their live
