Follow-up Letter of Introduction

by Ingrid (Toms River, NJ) I would like to know what type of letter to send as a follow up to a company letter of introduction. I emailed letters introducing our company to other companies in the hopes that they would be interested in hiring our company to provide our services. How should I follow up? ________________________________________ Hi Ingrid, I would follow up with another letter saying that you have sent them a letter before and if they have somehow missed the letter, provide the same information again and give them a strong reason to contact you. A side note, it is not a good idea to send a letter of introduction via email. Most people would consider that spam and not even look at it.

If you were sending it via snail mail, then the chances are better that they have received it. In that case, depending on the situation, you can follow up with another letter as described above or give them a call. Regards, Dax Cheng

Resigning letters
Sample 1: With much reluctance I wish to inform you of my resignation as Personnel Director, effective as soon as arrangements can be made to hire a new director. Last week while inquiring about changes in my productivity, we discussed the fact that despite

adequate sleep and nutrition I had been feeling unusually tired. We concluded that a visit to the doctor was in order. Since then, my doctor has informed me that I have chronic fatigue syndrome. Unfortunately, the erratic hours and the fast pace of our work environment worsen the effects of my illness. For these reasons, my doctor has advised a cessation of all work activity and full bed rest for an indefinite amount of time. I am distressed that poor health dictates I must quit my job. I searched a long time to find this kind of job that not only encourages use of my creativity and is intellectually stimulating, but also affords an opportunity to meet with a variety of people on a daily basis. I appreciate the opportunity I have had to work here and sincerely hope that I may return when I regain my health. Because my major projects have been completed, now is the best time for my departure. Except for a few minor tasks, there is nothing that demands my immediate attention. However, If problems should arise, please contact me at home and I will gladly assist you in any way I can. Sample 2: Effective immediately, I resign from my position as a counselor. I can no longer tolerate the high level of stress here at the Medical Center. I am, however, glad for the opportunity I have had to work here. This past year I have learned a great deal about my capabilities as well as my limitations. Now that I realize I am not well suited for this type of work, I intend to change my course of study. Fortunately, I discovered this before expending time and money in a field that is not right for me. I decided to quit last week when Jane Doe notified me that she wanted to return to work here as soon as we had an opening. Since Jane is a previous employee, training her is not an issue and she can assume my duties immediately. I hope this is a workable solution for all parties involved. Sample 3: Although I enjoy working here at Doe Realty, I am compelled to offer my resignation as a field representative, effective two weeks from today, or sooner if possible. I wish I could do otherwise but recent events have persuaded me to carefully examine the direction my life is taking. Unhappily, my position, which requires frequent entertaining of company clients, dramatically increases my exposure to alcohol, which has become a serious problem. Because my health and family are top priority, I must remove myself from all circumstances which could threaten my full recover from this addiction.

But my job has been a wonderful experience. In addition to fostering intellectual growth, it has afforded opportunities of travel and adventure. I cherish the relationships I have had with my colleagues and I will miss all of you, but it is time to change the direction of my life. I am confident that the expertise I have acquired will enable me to find a good position elsewhere. I expect to complete all of my outstanding obligations within the next week. Furthermore, I have arranged for my colleagues and my assistant to assume my responsibilities should it take longer than is expected to find a replacement. Sample 4: With much regret I advise you of my intent to resign as Director of Marketing as soon as a replacement is hired. Let me assure you, my decision to retire early is as unexpected for me as it is for you. I was recently diagnosed with a severe illness and advised by my doctor to decrease my work activities immediately. Although my responsibilities here bring me a great deal of satisfaction, they also cause a considerable amount of tension and anxiety. Hence, it is imperative that I contemplate my retirement and plan for a more serene lifestyle. Please accept my heartfelt thanks for your support, encouragement, and cooperation over the years. I have been fortunate, indeed, to work for a company that provides a challenging yet pleasant atmosphere. Close ties cultivated with my co-workers have greatly enriched my life. My admiration and respect for them make it that much more disappointing to end my career with Doe Corporation. It is truly disheartening that the condition of my health must govern my decision to retire. Because I understand that my precipitous departure could leave you in disarray, I want to assure you that I will do everything possible to see that my duties are efficiently assumed. I plan to thoroughly orient each co-worker with a portion of my territories so that they, in turn, can train my replacement. Despite my doctors directive, I anticipate consulting on a part-time basis during the busy seasons. If you are interested, I am available to help out on those occasions. Knowing that the door is open will help make my obligatory retirement a little more appealing. Sample 5: It is with great sadness that I submit my resignation as Executive Vice-President of Doe Co. as of December 23, 2009. My health is failing, and I am unable to commit myself physically to the position. This was a trying decision for me and my family, but necessary in order to maintain my health. Thank you for the experience,

opportunity and challenge of working at Doe. I have enjoyed it, and it has made life possible for my family and me. We will always be grateful.

As of Jan 31, 2009, I will no longer be chief engineer. With the decline in government contracts, I have decided to accept Does enticing offer for early retirement. My wife and I are looking forward to some excursions in our motor home, while we still enjoy good health. I have thoroughly enjoyed my work and my associations with you. As soon as I know who my successor will be, I will be happy to explain the status of each active project and orient him or her to the chief engineers managerial assignments. Once again, thank you for these rewarding years with Doe. Sample 2: I have decided to take early retirement effective Jan 31, 2009. There is just too much I want to do before I am too old to do it. I have never made a more difficult decision, but now that I have made it, I am very excited about the future. My time with Doe has been enriching and enjoyable. I will miss everyone here and want to do whatever is necessary to make the transition smooth. I also want you to know that I am interested in consulting on a part-time basis, if the need arises. Sample 3: With apprehension and yet a sense of excitement, I wish to advise you of my intention to retire from my position as Marketing Director without delay. My announcement may seem rather sudden, but in all honesty, I have been contemplating early retirement for some time. Thus, when investments of mine recently profited generously, it strengthened my resolve to do the traveling my husband and I have long dreamed of. Despite my intention to retire early, I still feel a deep sense of gratitude for the opportunity I have had to work at Doe Associates. The substantial support I consistently received from management contributed immensely to many productive and prosperous years here. Many of my closest friendships were made while working on special projects or training others in the department. You are a dedicated group. I hope your future efforts meet with great success. Although I would like to leave as soon as possible, I will gladly stay for a reasonable amount of time to tie up loose ends and train my successor. However, I strongly recommend promoting my assistant who has done a stellar job of assuming my responsibilities in my absence.

Because the weather here is so beautiful during the summer, I plan to stay in town. During those months, if you are interested, I would be happy to consider consulting for you on a limited basis. Please let me know as soon as possible if you plan to accept my offer. Sample 4: After careful thought, I have decided to accept the early retirement package offered me and am therefore resigning from my position as Head of Design. Having made the decision, I would like to leave as soon as possible, but will, of course, be willing to stay for a reasonable amount of time to allow you to find and train a replacement. My memories of twenty-five years here at Doe are very happy ones, and I wish the company and my coworkers all the best for the future.

Letter Asking for Promotion

8 Sep, 2010 No Comment This letter is from a certain person who has been an employee in a company for more than six years. He asks his superior that he be considered for promotion in the coming year, as he has held the same position in a span of six years being a company employee. He also requested for an increase in his salary as he is earning the same rate for the past six years in the company. 2nd March 2010 From: Johnny Walker Accounting Clerk Drafts and Arts Corporation To: Sheila Dwight HR Head Drafts and Arts Corporation Sub: Promotion Request Dear Ms. Dwight,

I am writing this letter to you as I have served the company for more than six years as an accounting clerk. I know that at the end of each year, you are taking time to review your staff, their positions as well as their rates and I would like you to consider me for promotion in this coming year. I would also like to take this opportunity to remind you that I am still receiving the same rate for my salary. Hence, some employees and staffs that had recently worked for the company have higher rates. If you will check my employment record, I can then prove to you how dedicated I am in my work, and in a span of six years I have only taken a week leave because I was sick. Therefore, I am requesting you to consider me for a promotion, with increase in my present rate in the company for this coming year. If my request would not be granted in any way possible then I will be left with no choice but to leave my job in the company and search for better opportunity. Especially these days that my wife has recently lost her job so I have to gain larger amount of money for my family. I hope to hear good news from you. Thank you very much. Yours truly, Johnny Walker

The staff should allot work for the operators in such a way that work is not lagging and the machine is not idle at any point of time. The staffs and operators working in the morning shift this week will work in the night shift the next week and vice versa. The staffs and operators working in one machine should not at any cost operate an another machine as each machine is different and any mishandling will lead to major repair and misfunctioning. Taking leave without prior intimation is not recommended. If any operator needs to take leave he should inform his machine setter so as to substitute with another person. The machine should not be idle due to lack of operators. Leave often is not advisable. Leave will not be sanctioned without any valuable cause. Machine Efficiency and Production Efficiency should be maintained by the setters who organize the work with the help of operators. So far your cooperation had made our company climb the steps of development. We expect your cooperation to be continued.

Thanking You, Sincerely, Jaime M . Leday

Letter of Intent
9 Sep, 2010 No Comment This letter is written from one business to another, to state in writing the intent of a merger between the two companies, and to outline how the merging will come into place and work. The letter is drawn up before the details are finalized, once finalized the details both parties signing the official legal binding agreement. 1st November 2010 From: Mr D Smith Whitehaven Paints CA23 4RF To: Mr F Jones Stevens paint works Whitehaven CA23 4RG Subject: Letter of intent Dear Mr Jones,

I am writing you this letter of intent to outline once more the proposal I put to you and your company last month. We were at the time in full agreement that we are two companies in a small locality that are fighting against one another to win business, the result of this being that we are both constantly selling our products at reduced prices. In our discussion last month, we came to the obvious conclusion that to merge the two companies would make logical business sense, as our outgoings would almost be halved by only needing one set of premises, as well as therefore completely holding the market for paint in the locality, as there are to date no other competitors. I ask that we arrange a meeting to personally go over the finer points of the merger, as we agreed the merger will not mean any job losses to either of our present companies. Please let me know when would be a good time to meet to finalize the details before we sign the agreement, Yours faithfully Mr D Smith

They are both optimistic people, full of love. They deserve to be parents. Kindly ask you to consider them as candidates. Thank you Sincerely, Barbara Verd

Proposal Rejection Letter

Rejection letters are obviously bad news to people who have proposed a project or services to a certain company or organizations. However, if you have been in the business industry for so long then you might be very familiar with this kind of letter. Maybe you even tried sending one to a certain company that you think didnt meet your standards and deserves to be rejected for their proposal. After all, the reasons behind a rejection letter are rarely personal instead merely business only. From: Catherine Walker Proprietor, BDS Sewing Factory 2117 Sampson Street Aurora, CO 80014 To: Thea Flynn Manager, Kansas Textile Incorporation

2329 Williams Lane Wichita, KS 67226 Sub: Rejection Letter for Proposal Dear Ms. Flynn, We are very pleased by your proposal about the textile that we essentially need in designing various types and style of gowns and casual wear. We are also very thankful to you for showing your interest in presenting to us the best textiles that we need. However, the board of directors of our company has decided to acquire supplies from a single company that can deliver all the supplies on a weekly basis. Based on the quotation and proposal that you have submitted in our office, you are only capable of delivering supplies on a monthly basis hence the amount of the supply that you have included in your proposal can only be good for a week in our sewing factory. In this case, we have chosen another supplier that can perfectly meet the needs of the factory. I hope this is not the last time that you will submit quotations and proposal to our factory. We promise to call you once we need more suppliers. Thank you very much. Yours truly, Catherine Walker

Public school of England and Wales London N2 3ED Head masters and high school principals England and Wales Subject: Pattern recognition Dear Principals, I am writing you this letter after the national release of the results of graduation of all pupils who are publicly educated throughout England and Wales, a rather disturbing pattern emerging. In general, as in all previous years, the pass rate for pupils has increased, leading once again to the question of if the examinations are dropping in difficulty levels. But more disturbingly is the every increasing difference between schools in underprivileged areas. A disturbing pattern is developing to the higher failure rate for disadvantaged pupils, and an increased pass rate for children from privileged backgrounds. It is our aim as public schools to give equal opportunity to all children, and this situation must be reviewed with some urgency. I therefore propose a meeting of the board of governors, I will disclose a date soon, Yours Faithfully, Mr Edward Johnson

Noise Complaint Letter

28 Sep, 2010 No Comment In a world like ours that is so full of cars, planes and heavy machinery, noise pollution is becoming a major problem in various cities of the world. In a case where an organization or company is generating too much noise, which causes discomfort to you, you can write to the organization or your local authority. From: Angelina Pitters, 5873, Umbers Lane, Drekinson, KP 472 To: Mr. Emma Smith, Officer-in-Charge,

Drekinson Local Health Authority, 5839, Lopad Layout, Drekinson, KP 753 21st November 2010. Dear Sir, NOISE COMPLAINT LETTER On behalf of my family and the neighbourhood of Drekinson County, I wish to draw your attention to the unbearable noise that is being generated by the Plymouth Agricultural Industry to the discomfort of the inhabitants of the County. The noise problem is always worse at night when residents come home to rest after a long days hard work. In this regard, a lot of things are clearly improper, as the county of Drekinson has been delineated as a residential area. Why such a large agricultural complex will be situated there baffles the mind. All appeals to the companys management to lessen the noise have fallen on deaf ears. We pray that you will promptly before we all become deaf. Thanking you in anticipation of your positive response. Yours faithfully, Angelina Pitters, Concerned Resident of Drekinson County.

This letter is to outline the action to renew to PCs at our head office. It is almost four months since they had been broken but there has done absolutely no actions to solve the problem despite numerous requests to your manager for the renewing. To think about the convenience of the workers must be a priority for you. Using only four PCs our work has become much slower and uncomfortable as we already begin to lose our profit. It significaly cuts our work hours and causes a discontent of the employees. I agree that renewing of our PCs will make our work faster so if you will not take any steps to support our company I will have to deal with the headquarters. Yours, David K. Arthur

Get Well Letter

26 Jul, 2010 No Comment This letter is more like a sympathy letter for a sick friend or relative. It is a formal way of saying that you are sympathizing with the worse situation of a certain individual at the same time as you are wishing her good health ahead. This letter should be lighter and as much as possible should not mention even the slightest problem especially if you are to write for a very sick person. From: Laura Fisher 4477 Ferry Street Huntsville, AL 35816 To: Candy Salas 2323 Alexander Drive Mineral Wells, TX 76067

Sub: Get Well Letter My dearest Candy, I have heard that you are presently at the hospital because you were attacked by your hyperacidity. I am very sorry I cant come to visit you my dear because I am very busy these past few days at work plus the fact that I have been temporarily destined here in Alabama. On the other hand, I am perfectly fine here and I hope you too sooner. Your dad told me that you were also too busy there that is why you forget eating some of your meals in a day. I think it is the main reason why you were attacked by your hyperacidity. Please find ways to not miss your meals or you could take at least ten to fifteen minutes out of your busy day to eat some. It is better to eat a little amount of food even for a little time than to eat nothing. Work is always there my dear cousin hence you need to eat and look out for your health so you can work efficiently. Get well soon and I miss you guys there. Love, Laura

This new policy has been introduced in the previous year to benefit the local community, particularly with the night time services that they necessitate to purchase medicines by urgent needs. On the other hand, it is much regrets that I must draw your attention that in the past months there has been two violent incidents on two of our 24/7 open drug stores. The two drugstores was been hold up and four of our employees there are in the hospital at this moment because of the injuries that they got from that incident. Again, this extended service has been introduced for the benefit of the public and should be treated with a least a little respect. Even the most notorious person can experience the need for a medicine in the most urgent way, so, please let us work together to avoid such incidents in our drugstores. Sincerely yours, John Lawson
