Overview

The perspective of this Congressional National High School Library Management System which is being developed by our team is a Computerized Library Management System. This System will provide a search functionality to facilitate the search of resources. This search will be based on various categories, example book name or the ISBN. Also Advanced Search feature is provided in order to search various categories simultaneously. Further the library staff personnel can add/update/remove the resources and the resource users from the system. Data that are entered to the system is organize and neatly recorded and tabulated. Security is also assured in this system.

Programming Language Used

The Congressional National High School Library Management System provides identical routines for the supported language used. The Programming Language used by the team for CNHS Library is Microsoft Visual Studio Express 2010 or popularly known as Visual Basic .Net (VB .Net).

Visual Basic .NET (VB.NET) is a Microsoft object-oriented programming (OOP) language. It evolved from Visual Basic 6 (VB6) to meet an increasing need for easy web-services and web development. VB.Net was designed to take advantage of the .NET framework-based classes and run-time environment. It was re-engineered by Microsoft as part of its .NET product group.VB.NET supports abstraction, inheritance, and polymorphism.

VB.NET has the ability to create very powerful and sophisticated applications. VB.NET is a great place to start because of how easy and straight forward it is. The syntax is easy and you will not find yourself writing hundreds of lines of code as there are many shortcuts that make coding so much easier in this language.

Database: Microsoft Access Application: Visual Studio 2010

This software application is easy to install. Just like normal application that we install in our personal computers. CNHS Library Management System has two installation packages. One is for the client/admin side and the other one is for the student side use for searching. Client/Admin side: 1. Just run the setup.exe to install the software. 2. Follow the steps shown on the dialog box. 3. Wait until its done. 4. Click Finish if its done. Then you can now finally use the system. Student Side: Installation of student side is also the same to the client/admin side. CNHS Library Management System have two software packages, the organization should have two or more unit. One is for the client/admin side which is server as the server of the whole system and the other computer units is for the student side. Every time that there is something change to the records of the books on the client/admin side, the changes should also inherit by the student side. To solve this scenario, we need to network the entire computer units.

To network the entire system, you need the following: Router UTP Cables To share a database by using a network folder, do the following: 1. If one is not already available, set up a shared network folder. For help with this step, see the help system for the operating system of the computer that you want to use to share your database. If the shared folder is on a network server, you might need assistance from the network administrator. 2. Make sure that Access is set to open in shared mode on all of the users' computers. This is the default setting, but you should check to be sure if a user opens the database in exclusive mode, it will interfere with others' use of the data. Perform the following procedure on each computer: a. Start Access. a. Click the Microsoft Office Button , and then click Access Options.

b. In the left pane of the Access Options dialog box, click Advanced. c. In the right pane of the Access Options dialog box, in

the Advanced section, under Default open mode, select Shared. d. Click OK, and then exit Access. 1. Copy the database file to the shared folder. After you copy the file, make sure that the file attributes are set to allow read/write access to

the database file. Users must have read/write access to use the database. 2. On each user's computer, create a shortcut to the database file.

Client/Admin side

This part of the system is the most important part of the whole system. The client/admin side is where all the records of CNHS Library entered. This is where all the transactions that the student does were being saved. The admin side can do the important function of a system: add, edit or update and delete. Only authorized personnel have the access in this part of the system to secure records and retain transparency and confidentiality.

User Verification Only the client/admin side can add and verify personnel who will have an access to the whole system.

Logging In

Having a logging in thing on the system is way to secure the whole system. There is an authorized personnel which probably the librarian who has the access to the entire system. The authorized personnel have assigned username and password.

Creating Records Only the admin can create new book, student records. The admin is the entire one who can do transaction such as borrowing and returning books. The admin is also the one who can generate reports.

Adding Books

On the menu bar of the main screen, Click File and choose Add Books. Add Books dialog box appear. Enter the following field on the dialog box. After you enter all the fields, choose a book cover for the book that you entered. Click Browse and a picture dialog box appear. Choose the cover of the book that you entered. Having a book cover is optional. You may or may not have a book cover.

Adding Student

On the menu bar of the main screen, Click File and choose Add Student. Add Student dialog box appear. Enter the students information on the following field on the dialog box. And Click Add.

Creating Users

It is use to create account to the new users of the client/admin side. Just click Users in the main screen main menu and choose Create Account.

Updating and Deleting Records The admin is also taking this part of the system. Updating and deleting records are very important to a system. The admin can do this. The admin can manipulate the entire system as much as the personnel want to.

Editing Book Record

Click Edit on the main screen menu bar Choose Edit Book Record. Edit Book Record dialog box appear. Search the book you want to edit.

Click the book on the result Start editing Book Record.

Editing Borrowers Record

Click Edit on the main screen menu bar Choose Edit Borrowers Record. Edit Borrowers Record dialog box appear. Choose the Library Number on the student on the drop down list box. Start editing Borrowers Record.

Changing password

Click Users on the main screen menu bar Choose Change Password. Change Password dialog box appear. Enter your old password, your new password and confirm your password. Click Save. [Note: Please remember your password.]

Borrowing and Returning Books The main transaction does a library encounter is the borrowing and the returning of books. In this software, our team manages who to organize all the transactions in borrowing and returning books. There is a rule that a student can only borrow one book at a time.

Borrowing Books

Click File on the main screen menu bar Choose Borrow Book. Borrow Book dialog box appear. Enter the Library Number of the Borrower and click Search Search the title of the book, Set the due date of the book. Select the results on the data grid and click Borrow This Book. Click Done.

Returning Books

Click File on the main screen menu bar Choose Return Book. Return Book dialog box appear. Enter the Library Number of the Borrower and click Search Set the Date Returned Check if there is penalty. If there is, that is the amount of fine that the student should pay. Select the results on the data grid and click Return Book.

Viewing of records and Generating reports The admin is also the only one who will generate report. Generating report is very important for an organization. It is the records of all the transactions done by the library. And it is recorded as what the personnel want. Viewing of Student Records

In this part, all the students who have records to the library are listed. On the main screen menu bar, Click View. Choose View Student Records. Student record dialog box appear. Search the Library No. of the student to see his/her student information.

Viewing of Book Records

This is where all the book records are listed. On the main screen menu bar, Click View. Choose View Book Records. Book record dialog box appear. Search the title, author or subject of the book to see the information of the books. You may also filter the searching by title, by author, or by subject for more efficient searching of books.

Viewing of Transaction Records

In this part, you will see the history of all the transaction that the system made. From the borrowing of books up to the returning of the books with the information of the student who had a transaction to the system. On the main screen menu bar, Click View. Choose View Transaction Records. Transaction record dialog box appear. You can now see all the transaction made by the system.

Generating Reports

This is the reports looks like. The logo of the CNHS is included. On the main screen menu bar, Click View. Choose View Reports. Choose the reports you want to generate On the example above, it is the reports of list of books. If you want to print the reports, click to print.

Student side

The student side is the front end of the system. It serve as searching device for students references. The results are in a virtual card catalog like the

traditional thing. It is the software where they can explore the whole library virtually. Searching

It is the only function of the student side. It just the front end of the whole system. What changes done on the admin side must be reflected here in the student side. Searching is its main function. Can also filter by book title, book author and book subject.

When results show click the result and the card catalog dialog box appear. It is shows the basic information of the book that you search and the book cover if there is.
