Shortcuts of Office fast!


• And save it
fast!

Shortcuts. You can’t live without them, right? Right!


Anyway, Windows XP isn’t the only one to have them.
Microsoft Office has them too. This chapter will help you
get your reports going. (Ok, they’re not going
anywhere!)

Bold, Italic and Underlined!

Do you always get tired moving your mouse cursor to


the B logo (Bold)? Yes. We can speed this process up by
pressing Ctrl + B. Now, it’s much faster!

Figure 1-2: If you put your cursor to the B logo, it will show the shortcut to
it.

The others, Italic and Underlined, their shortcuts are Ctrl


+ I and Ctrl + U respectively.

Alignment shortcuts

If you have the same reasons for alignment, for example,


Align Left, just press Ctrl + L. Center is Ctrl + E, Justify is
Ctrl + J and Align Right is Ctrl + R.

Saving & Opening shortcuts

To save your documents, you know you had to go to File,


then click on ‘Save’. But, isn’t that a little tiring? Don’t
fret; the shortcuts are here to help. Just press Ctrl + S.

Other shortcuts

• Want to change the font? Press Ctrl + Shift + F.


• Want to change the font size? Press Ctrl + Shift + P.
• Oops, made a mistake? Just press Ctrl + Y to undo it.
• Want to redo it? Press Ctrl + Z.

Charts

If you have done a report like the above, you need a


chart, right? Right! So, to add a new chart, just click
Insert Chart.

You can put any chart you like, bars, cones and much
more. Now, it looks much nicer.

Functions

Have you ever wanted to add a series of numbers in


Excel but don’t know how to? Just type ‘=SUM’ with the
cells which has the numbers to be added.

Other functions

• To make an average of the numbers, just type’=


average’.
• To make the maximum of the numbers, just type
‘=max’.
• To make the minimum of the numbers, just type
‘=min’.

Word art and auto shapes

Hey, I thought these functions are only for Word and


PowerPoint. Nah, this can be used too. Need proof?
Here’s one.

Writing Word Documents

Anyway, this chapter will help you get your reports to be


the talk of the town. Move on!

Make your text box look colorful!

You have seen the text boxes used in this book are filled
with color. Don’t know how to? Just right click the
textbox and click on ‘Format text box’.

Insert pictures in the document

If you were wondering how I got those screenshots here,


here’s how. Click Insert, then Picture and finally, from
file.

Using clipart in Word

Alternatively, you can use Clipart to express your reports.


However, you can download more of them at Microsoft
website.

Hidden Secret! (In the end, it wasn’t!)

Want to know a secret? If you spread this, I will send you


to Osama Bin Laden, just kidding (Must be frightened,
eh?).
Anyway, you can tweak the style of a paragraph. Here’s
how. See those black arrows? Click on them. Then, you’ll
see a box. That’s the secret. Hey, wait. If you open a
Word doc, it will come out on the editing toolbar.

Inserting Tables

This may be crazy but you can create tables in your


report. Here’s how. Just click on ‘Table’ and then click on
‘Draw Table’.

Paragraphing

If you remember your primary (elementary) school days,


you had to leave two fingers of space before making a
paragraph in your essay, right? Right! In Word, you can
do that too! Just click on ‘Format’, and then click on
‘Paragraphing’.

Word art secrets!

Do you know that you can adjust a Word art? I’m sure
you don’t! Do a word art and drag the yellow shape to
adjust the size. Not happy with your writing? You can
change the font and size of it. You can even change the
color of it!

PowerPoint shorcuts!

There are some shortcuts that can only be used for this
program.

• Ctrl + M: Make a new slide


• F5: Slide Show
• Ctrl + P: Print

Hyperlink in a slideshow!

You must be saying, “You must be kidding!” But, it’s


true. Here’s how. Just go to ‘Insert’ and click on
‘Hyperlink’ (Shortcut: Ctrl + K). Type anything and attach
it to a website or anything else. You’re done!

Making animations in a slide show

In our last tip, I will show you how to animate your


words. It’s for real. Here’s how you do it. Just click
Slideshow and click on ‘Custom Animation’. And, you do
whatever you want with your slideshow.
