How to use the automatic timetabler

1. Enter the start time in cell F40, using the 24-hour format: HH:MM . You can change this time at any time while entering student names and the code for their levels or later. 2. Always timetable candidates in groups according to level, lowest to highest. If you also have ISE candidates, timetable Portfolio marking (Codes m0 -m4) first - see Handbook for full instructions 3. You can copy and paste names from another EXCEL spreadsheet or enter them direct below. Begin at cell A42 Make sure you include the correct exam code for each candidate in column C 4. To show breaks, use the code 'b1' or 'B1' or 'b2', 'B2' in Column C.

5. To move names and codes from one part of the sheet to another, use this method only: Highlight all the names and codes you wish to move and COPY. Then PASTE the one or more lines into the spreadsheet where you need them. You can then safely DELETE the unwanted lines you have just COPIED. NEVER USE 'CUT' and PASTE because it destroys the calculation formula

6. Remember to include a 15 min break every 2 hours and a minimum 60 mins break if the examiner is with you for more than 4 hours. A short break of 15mins = b1, longer breaks of 60 mins= b2. Full details in the syllabuses.

7.If the examiner is with you for a full day, use code 'f' or 'F' in column C to timetable FEEDBACK 8. You MUST include Portfolio marking in your timetable for the examiner (m0 - m4). NB: The '0' is key 'Zero'

9. If you find your session is ahead or behind, you can adjust the 'next candidate' time in column F by entering the new time for the candidate. The rest of your examining day will be re-calculated. Please note: this destroys the formular in this cell so you should re-load the timetabler to do another timetable e.g. for a second examiner. 10. This revised timetable includes timings for the SEW examinations.

How to use the automatic timetabler

To show breaks, use the code 'b' or 'B' in Column C. For breaks longer than 15 mins enter the code as often as needed in column C. e.g. 1 hour = 4 lines of 'b'. 5.
