ONLINE COMMON SEAT ALLOTMENT

LITERATURE REVIEW The first phase of allotment of seats to Engineering colleges in the State has been completed. While 1,36,000 students were allotted seats in different colleges, more than a lakh seats in convenor quota were still vacant. According to Mr Ajay Jain, Commissioner, Technical Education Department, SMSs were sent to the students concerned and they have to report to the respective colleges by September 20. Common Seat Allotment System is windows application in which students can register with their rank number for the entrance examination and the administrator can allot the seats for the students. Administrator can add the college details and he batch details. Using this software the entrance seat allotment became easier and can be implemented using system. The main advantage of the project is the computerization of the entrance seat allotment process. Administrator has the power for the allotment. He can add the allotted seats into a file and the details are saved into the system. The total time for the entrance allotment became lesser and the allotment process became faster.
HUMAN COMPUTER INTERFACE

This involves the study planning and design of the of communication between people and computers.and it is regarded as the intersection of computer science, behavioral science,design and several other field study the term was popularized by by CardMoran and Newel intheir seminal 1983book"The Psychology of Human-Computer Interaction". Attention to human-machine interaction is important, because poorly designed human-machine interfaces can lead to many unexpected problems.
Design principles

When evaluating a current user interface, or designing a new user interface, it is important to keep in mind the following design principles:

Early focus on user and task Establish how many users are needed to perform the task and determine who the appropriate users should be Define the tasks the users will be perfoaming and how often the task needs to be perfoamed

Empirical measurement

Test the interface early on with real users who come in contact with the interface on an everyday basis. Keep in mind that results may vary with the performance level of the user and may not be an accurate. Iterative design

DESIGN METHODOLOGIES A number of diverse methodologies outlining techniques for humancomputer interaction design have emerged since the rise since ages. Most design methodologies stem from a model for how users, designers, and technical systems interact. Early methodologies, for example, treated users' cognitive processes as predictable and quantifiable and encouraged design practitioners to look to cognitive science results in areas such as memory and attention when designing user interfaces. Modern models tend to focus on a constant feedback and conversation between users, designers, and engineers and push for technical systems to be wrapped around the types of experiences users want to have, rather than wrapping user experience around a completed system.

Activity theory

This is used in human computer interface to define and study the context in which human interactions with computers take place. And Activity theory provides a framework to reason about actions in these contexts, analytical tools with the format of checklists of items that researchers should consider, and informs design of interactions from an activity-centric perspective

User-centered design: This is a modern is , widely practiced design philosophy rooted in the idea that users must take center-stage in the design of any computer system. principal of user interface design these are principles that may be considered at any time during the design of a user interface in any order: tolerance, simplicity, visibility, affordance, consistency, structure and feedback

Using computers involves a large number of actions on the part of the user which is often performed at a very rapid rate. Actions such as pointing, clicking, dragging, placing have to be done in repeated cycles by the user. This often leads to forming a habit for a given interface environment. If the dialog between the user and the interface consists of random patterns it leads to increase incognitiveload It is therefore important for interactions to be not only reliable but alsoconsistent across all interfaces constituting a task. Inconsistency leads to unpredictability contributing to inefficiency. Errors could creep in. In this experiment you will experience the need for being alert, attentive and quick in reacting to stimuli from a computer screen.

RULES FOR CREATING AGOOD USER INTERFACE


Strive for consistency . Consistent sequences of actions should be required in similar situations and identical terminology should be used in prompts, menus, and help screens; and consistent commands should be employed throughout. Enables frequent users to use short cuts

As the frequency of use increases, so do the users desires to reduce the number of interactions and to increase the pace of interaction. Abbreviations, function keys, hidden commands, and macro facilities are very helpful to an expert user.

offers informative feedback For every operator action, there should be some system feedback. For frequent and minor actions, the response can be modest, while for infrequent and major actions, the response should be more substantial.

Design dialogue yield closure

Sequences of actions should be organized into groups with a beginning, middle, and end. The informative feedback at the completion of a group of actions gives the operators the satisfaction of accomplishment, a sense of relief, the signal to drop contingency plans and options from their minds, and an indication that the way is clear to prepare for the next group of actions.

5. Offers simple error handling As much as possible, design the system so the user cannot make a serious error. If an error is made, the system should be able to detect the error and offer simple, comprehensible mechanisms for handling the error.

6. Permit easy resersal of action This feature relieves anxiety, since the user knows that errors can be undone; it thus encourages exploration of unfamiliar options. The units of reversibility may be a single action, a data entry, or a complete group of actions.

7. Support internal locus of control : Experienced operators strongly desire the sense that they are in charge of the system and that the system responds to their actions. Design the system to make users the initiators of actions rather than the responders.

8. Reduce short-term memory load The limitation of human information processing in short-term memory requires that displays be kept simple, multiple page displays be consolidated, window-motion frequency be reduced, and sufficient training time be allotted for codes, mnemonics, and sequences of actions.
ONLINE SEAT ALLOTMENT PROCUDURES

This section provides an overview of the steps involved in counselling and admission process

ONLINE REGISTRATION
1. Candidate should visit websit e.g www.kuk.ac.in 2. Candidates should go through prospectus for gathering information and instruction and Softcopy is available on the websites 3. For phase-I and phase-II candidates will register themselves as per key dates mentioned in the admission schedule. 4. For participation in online admission process, a candidate has to register by submitting personal data correctly in the online application form. On submitting this data/ information user Id and password will be generated/ created for use in future logins by the candidate. 5. For subsequent logins, candidates will be able to login directly with their user Id and password. Candidates should remember to logout at the end of their session so that the details filled by them cannot be tampered with or modified by unauthorized person. 6. Candidates are advised to record/remember their password for future logins and not to disclose or share their password with anybody. 7. It is solely the responsibility of the candidates to verify that their personal data including Category, Subcategory, Group (Science/ Arts with Maths & Art/Commerce), Residential Status, gender etc are consistent with documentary evidence. 8. If the personal data submitted /entered by the candidates are found to be wrong at the time verification of certificate either during reporting or at a later stage, the allotment of seat/ provisional admission is liable to be cancelled. 9. Candidates should take a print out (hard copy) of the online application form containing the above personal data for future use. PAYMENT OF COMMON SEAT ALLOTMENT FEE 1. For depositing fee for seat allotment General Candidates pay 500 (non-refundable), visit website and click on Payment and generate E-slip of bank of your choice for cash payment or select any other mode of payment available on above website for the deposition of registration and counseling fee. 2. The bank charges @ ksh. 10/- per candidate shall be paid by candidate separately. 3. For fee paid in cash in the bank the payment status of the candidate will be updated on the website with in 48 hours of fee deposition in bank. Candidate can fill his/ her choices after updation of fee payment status. 4. Last date for payment of Registration as well as counseling fee for mentioned in the admission schedule. 5. Remember you have paid your counseling fee before proceeding for online counseling, otherwise your allotted seat can be CANCELLED at any stage and candidate would not have any claim on such allotted seat. . Online Choice Filling & Locking 1. Online choice filling & locking by the candidate can be done as per key dates mentioned in the admission schedule .

Candidates are advised to go through the updated list of Colleges of Education in the website and should prepare a list of Colleges in order of preference in which they are interested in seeking admission. 3. Candidates can fill in as much number of choices in order of preference as they wish to. 4. Candidates are allowed to change or re-order their choices, delete earlier choices and add new choices any number of times until they lock their final choices. 5. All the candidates must lock their final choices as per key dates mentioned in the admission schedule. 6. Candidates will not be able to unlock their choices once they are locked. 7. If candidate fail to explicitly lock their choices by the last date, their last saved choices will be automatically locked and allotment will be done on this basis. 8. Candidate must take a print out of their locked choices. This print out has to be signed and submitted at the time of reporting for admission. 9. Registered candidates who do not fill choices or fail to save the same cannot be considered for admission and seat allotment.

Indicative seat Availability Based on the number of registered candidates who have submitted their choices before the key dates mentioned in the admission schedule, the system will be able to provide an idea of the seats that candidates may be offered. The indicative seat availability will be displayed on the website as per key dates mentioned in the admission schedule. Candidates are advised to visit the website for this purpose. The final allotment of seat, in the allotment rounds may be different than the indicative seat availability.

Online Seat Allotment First Round

Seats will be allotted in the order of merit and preference admission schedule for different phases. The allotment result will be available on the website individual allotment letters will not be sent to the candidates However, candidates may get a print out of the allotment details from website . Candidates who are allotted seats will have to personally report to the allotted college.

Second Round Seat will be allotted against vacant seats available after the first round of allotment and reporting.

Registered candidates will not be allowed to alter or resubmit their choices. Eligible candidates for allotment against vacant seats fall into one of the following two groups: Candidates who reported at the allotted college after first round of seat allotment and opted for all the choices of preference higher than the currently allotted seat to be considered in the subsequent rounds Registered candidates who were not allotted any seats in the first round of seat allotment.

Candidates who, at any stage, cancel their provisional admission will not be considered for the subsequent round of counseling. Also, if candidates fail to satisfy the minimum educational qualifications prescribed, their allotment of the seat shall automatically stand cancelled and such candidates will not be considered for the subsequent round(s) of counseling.

Candidates opting for auto up gradation shall automatically forego his/ her claim on the seat previously allotted

Reporting At Allotted College 1. The outcome of the different rounds of seat allotment will be displayed on the website . Individual allotment letters will not be sent to the candidates by the university. 2. All the candidates who get an allotment should take print out of this provisional seat allotment and will report to the allotted College/Institute as per specified reporting dates for taking admission, failing which their seat allotment shall stand cancelled. Also, they will not be considered for further rounds of seat allotment. 3. Candidates will produce all the relevant certificates in original including registration and counselling fee receipt for verification along with provisional allotment letter, a signed print out of their online application form, their locked choices generated from the website at the time of reporting. 4. At the time of reporting if documents are found correct on verification and the fee is paid by the candidate, then a provisional admission letter generated online will be issued to the candidate by the concerned college. The candidate shall check all the entries in this provisional admission letter and should sign it and preserve it for further reference. 5. At the time of reporting if documents are found correct on verification and candidate opt for auto upgradation, then a provisional auto up-gradation letter generated online will be issued to the candidate by the concerned college. The candidate shall check all the entries in this provisional auto up-gradation letter and should sign it and preserve it for further reference. 6. The allotment of their seats is liable to be cancelled, if the personal data submitted by the candidates at the time of registration is found to be wrong at time of verification of the original certificates at allotted Institutes, But, if the candidate is found to be eligible after

the correction in personal data, the candidate may be considered for subsequent rounds of counseling, if any, against the vacancies only. 7. If a candidate is admitted on the basis of the information submitted by him/ her, which is found to be incorrect or false at any stage then his/ her admission shall be cancelled and all fees and other dues paid by him/ her shall be forfeited. The College may take further action, as deemed fit, against the candidate in accordance with law. 8. The allotment of the seats to candidates who do not report within the stipulated period to the allotted college will be cancelled and these candidates will not be considered in the seats allotment in the subsequent rounds List of documents to be brought at the time of reporting in the institute:

The candidates, at the time of reporting must bring the following Original Certificates alongwith two sets of duly attested photocopies of these with them. Any candidate, who fails to produce any of the required Certificate / Document /Testimonial at the time of reporting the institution, will forfeit his/her claim to admission. 1. 2. 3. 4. Qualifying Examination certificates Matriculation/ High School Certificate Senior Secondary School Examination Certificate & Detailed Marks Card. Character Certificate: Regular Candidates: The candidates who have passed their qualifying exam from College/Department as regular students are required to submit the Character Certificate. Private Candidates: Male candidates, who have passed the qualifying examination as private candidates should submit their Character Certificate. Candidates, who have passed their qualifying examination from a university will be if applicable. Note: 1. All Original documents, 4 latest passport size photographs and 2 sets of attested photo-copies of all applicable documents/testimonials/certificates must be brought at the time of reporting. 2. The original certificates shall be returned back after verification by the College 3. 2 sets of attested copies of certificates/documents/testimonials will be verified & signed by the Director-Principal or his authorized representative & will be retained for registration purposes in the University. If the original certificates are not in Hindi/ English, duly certified Hindi/ English version/ translation of such certificates will be required

STUDENTS INFORMATION
A candidate who is satisfied with the allotted seat, and has clicked on option 1which is provided, will have to take a printout and report to the helpline centres where they have verified their documents.

Such candidates have also been advised to immediately login to their option account and report to colleges that they have joined. If a candidate fails to report back ,then the seat will be cancelled even though the candidate might have joined physically. If a candidate has clicked on option 2, then the earlier allotted seat will be cancelled automatically. If fresh option seats are not allotted, then earlier allotted seats will remain in the candidate's favour. And the option is being utilized to the maximum by candidates.

"I changed my option in mock allotment and was worried if it will work fine. But I am happy to see that the change is being reflected in the real allotment list. Although the college that I have got is fairly good, I am opting for the second allotment. If I get a seat in the second allotment, I will go with the option, else the first allotment will stand valid for me," said Monica CH, a student of St Anne's College. If a candidate is not satisfied with the seats, but wishes to participate in the next round by surrendering the already allotted seat, he/she should click option 3. Those who have got seats elsewhere and are quitting, should click option 4. Such candidates will not be considered for allotment of seats in any other rounds. Moreover, if a candidate fails to exercise any of the four choices, the seat allotted will be cancelled. The online mock allotment and real allotment has worked well as many said the process was very smooth. "The process was smooth after a few initial hiccups. I am going with option 1 as I

am happy with the college that I have been allotted. I will go to the college and get my admission verified," said Viren, a student.

HOW TO GO ABOUT IT Candidates opting for seats should reach out to colleges helpline centre with a verification slip, acknowledgment card , printout for having exercised Choice 1 and prescribed fees in the form .

How to use registration and Choice filling form on website Candidates will have to log on to website to get registered and then fill in choices. It is advised that after going through the seat matrix, a tentative list may be prepared first as per your preference of colleges, before attempting to fill choices on-line.
