GULGBTQ+ Committee Meeting Minutes - 16th May 2013, Committee Room 4

Meeting Started: 18:50 Meeting Adjourned: 21:30 In Attendance: Rian Devlin, Jen Williams, Colvin Stewart, Amy Koyman, Iain French, David Wheeler, Andrew McCartan, Kim Middleton, Liam King, Craig Smith, Charlie Browne. Apologies: Peter McCluskey. Committee Business: 1. Lunch-time Drop-ins Needs to be organised, need to figure who is running it. Amount going to the lunchtime drop-ins is still quite low. Rian has no problem running it, and will give notice a couple of days in advance if he can't. We need to get the keys for committee room 1. Lunchtime drop-ins will be finished now exams are finished. How can we improve drop-in? Amy suggested setting up board games, so that there were ways of connecting, or having something to do. However David said that he felt he enjoyed drop-ins because he could do nothing. It is up to the committee to be approachable and make conversation. Tea/coffee at drop-in? Decided no. STILL NEED TO GET LOCKER KEYS. 2. Sports Day Arrangements David suggested that we could use this as an opportunity to contact GUSU - we could borrow some of their gear and get in touch with them. Only problem is it's late notice? - Iain said he could raid his shed to find things, he said that he may have a big rope. - Kim has tennis balls for rounders. - Jen can bring bandanas! - Charlie will contact his GUSU contact - cones, balls, bat, rope, bibs... etc Teams - pick numbers, two big teams. Teams should have names. All game suggestions: egg and spoon, throwing and catching eggs; three-legged race; [gold medals being bought from Tesco] tug-of-war (if we have rope); capture the flag; GULGBTQ scavenger hunt with time limit; tag; 'ships across the ocean/bulldogs'; rounders; award ceremony. 1: Egg and spoon 2. Three-legged Race (More people you're tied to, the more points you get.) 3. Bulldogs 4. GULGBTQ+ Scavenger Hunt (Need to sort out what we're going to do - to be sorted on facebook committee page) 5. Tug of War (Iain has a rope - nominate team members) 6. Rounders. 7. Award ceremony Need to book tables for brunch - Amy will book them tomorrow. 2 hours. 3. June Open Day Rian has had an e-mail saying that we can set up a stand at the open day - part of a student experience fair - which is around the 12th. Half 9-3pm - those in Glasgow and available to use the stand: Colvin, Kim, Iain, Pete, Andrew, Lauren. Can rotate between them.

Stand will be in the GUU dining room(!) We will need flyers/leaflets for the stand. (Break: 19:50-20:05) 4. Freshers'/International Week International Orientation Week - Have a small, low-key event (perhaps drinks/info event - sort out closer to the time) on campus and let them know that they are welcome to the freshers' events. Freshers' Stall. Freshers' Fair, Freshers' LGBT Tea, committee need to make sure they make an effort to welcome people, and make sure that we have their t-shirts, cakes - get a few committee members to bake for us. Could we have stalls or a welfare presence at the Freshers' events? Contact the SRC - drop Jess an e-mail. FOR MEET AND GREET - games, organised fun, keep a similar structure to last year but with different activities. We could keep the quiz, but change questions, cake, party bags, etc. FOR LAUNCH NIGHT: We will keep Hillhead Library, and we need a licence 6 weeks in advance. There is a security guard for the library, just in case there is a homophobic event, as there was a small incident last year. We need Gay Men's Health for the stall - Rian will e-mail him, or Andrew. Chris Young did have a job there, so maybe ask him? (Peter McCluskey arrived at 20:33) 5. Website/Social Networking Colvin said that the trans* stuff needs updating, some is quite vague, terminology needed changing. Iain has worked out how to add new pages. On the domain name: could we look into changing the name to gulgbtqplus.co.uk and then having gulgbt.co.uk redirected? On the aesthetics of the website: should we change the colours so that they are less pastel, so that we use block colours? Something to think about, however we need to focus on the name-change, logo-changes. - Buy second domain name - Keep having a look over it, and see what people want to edit. - Liam commented that the clubs need to be updated. - Get Tumblr details from Lauren, then reset them. Amy will answer the Queer101 questions. - Fellows/Honoraries page. - Twitter will be run by all committee, but Jen will update events. - Facebook - who will reply to messages? Open to all members, but remember to sign off with your name. With friending, try to make sure that we are adding students that will be attending the university, have mutual friends, or are organisations that are genuine. - Make one of each type of Facebook page - a group, a human profile, and a page that people can follow/subscribe to? 6. Ceilidh The Classic Grand venue - we need to contact it to arrange a viewing. Kim can ask her stepbrother. 7. Logo

We're keeping the logo, adding the q+ on the end. E-mail Mahdi out of courtesy, and so we will then update the website when we have the logo. 8. Pride Glasgow pride is the 10th August. Jen and David will not be present for the Glasgow Pride march Rian has booked a place in the march. Sophie e-mailed to say that we should wear committee t-shirts during the pride march, so that we are approachable. We should contact GUST to see if they can film us in the parade. We should however ask permission. 9. GUU Rian and Amy went to a meeting that the GUU held for potential affiliating clubs. They are still very vague - they said that they are having a review, and they're holding that in the summer. Rian has arranged a meeting at 5pm in the drawing room with Gavin, Imogen and Owen from the GUU. We want them to make it a safe space. They're putting all board-members and staff through the SRC Equality Training on Moodle. However, at the SOEG meeting, it was complained about - it is not compulsory, it is optional, therefore not many people do. David suggested that perhaps we should make our own test with different scenarios. What do we want from the GUU in order to create a safe space? Put it on Facebook/Twitter/Tumblr. Could we find them alternative training, or ask Jess about equality training? Maybe we should go through the training, and then suggest ways in which it can be improved. E-mail Jess and get this sorted. Kim, Colvin, Amy and Rian will be attending the GUU meeting on Sunday at 5pm. Any other business: Charlie has a list for men's events ideas! Action Points - remind committee that e-mails are not to be abused, they should not be used for personal reasons. - get the minutes from the SOEG meeting. - We have the key for the Boyd Orr Building's Noticeboard, so we need to get that, and sort that out! - decide whether lunch-time drop-in should be on/not.
