Dear Potential MAPS Volunteer, Thank you for your interest in our volunteer program Measuring to Achieve Patient

Safety (M.A.P.S.) at the Ronald Reagan Medical Center (RRMC). We are one of the most popular and prestigious volunteer programs at the RRMC. Our volunteer program exposes our volunteers to practically all areas within the RRMC and as a result, allows invaluable volunteering experiences for our volunteers because they are able to interact with all different types of staff in the RRMC. As a volunteer, you will conduct safety observations within the RRMC on general floors, intensive-care units, emergency room, post anesthesia care unit, and much more. You will have the opportunity to shadow doctors, nurses, care partners, phlebotomists, respiratory technicians, and physical therapists. Our MAPS Leadership Team guarantees that your involvement with our volunteer program will highly be satisfying; you will discover whether or not you will like the health care system and if so, what profession will best be suited for you since you will have the opportunity to interact with all types of staff members. The MAPS Program is one of the best patient-contact volunteer programs at the RRMC. We cannot wait to have you on our team and are very excited to be working with you! In the following paragraphs are the steps required for you to volunteer with us. Just follow them chronologically.
1. First of all, if you havent checked out our website please do so at

http://uclamaps.wordpress.com/ before you send in questions. For all inquiries please email us at uclamaps@gmail.com. We welcome all volunteers including adults and students from UCLA, USC, LMU, SMC, etc. There are several steps required before you can completely volunteer independently with us.
2. Your first step is to visit our APPLY section on our website to see the

outlined steps. With so many steps, volunteers are usually able to volunteer independently with us within at least 2-3 months. First of all, you will need to complete all the steps required by the UCLA Health System at http://www.uclahealth.org/body.cfm?id=66&oTopId=1. The only step that you will not need to complete is attending the General Volunteer Orientation. The reason why you do not need to attend this General Volunteer Orientation is because you already know what volunteer program you want to be a part of: our MAPS Program! Therefore, you are now a Pre-Assigned Volunteer. In order to bypass the General Volunteer Orientation, you will need a MAPS New Volunteer Acceptance Letter (also known as the "Job Description"

document). You can obtain this letter on our website in the APPLY section. Open the Word Document, Add in your Full Name, Print it out, and then later, give it to the Volunteer Coordinator in RRMC Volunteering Services. All you have to do now is to complete all the other processes and requirements from the UCLA Health System Volunteer Office, such as the Volunteer Student Application posted on the website above. Yes, you still have to write the 500-word essay! You will turn this in real life at your Pre-Assigned Orientation. Your next step is to attend a Pre-Assigned Volunteer Orientation instead of the General Volunteer Orientation. This Pre-Assigned Volunteer Orientation is about 30 minutes (instead of the typical 3 hours). This Pre-Assigned Volunteer Orientation is held every Monday from 2:00-2:30PM and Thursday from 11:00-11:30AM in the Volunteer Office (Room B791) at the Ronald Reagan UCLA Medical Center (RRMC). Please call a Volunteer Coordinator at RRMC Volunteering Services at (310) 2678180 to schedule an appointment for the Pre-Assigned Volunteer Orientation. Remember to give the Volunteer Coordinator your MAPS New Volunteer Acceptance Letter. At this meeting with the Volunteer Coordinator, you will be able to turn in your Volunteer Student Application, receive all the necessary and important information about volunteering at the RRMC, and ultimately be given a REFERRAL SLIP for Cait Walsh or Petra Fritz to sign. Stop by their office at B-790-B (B-790 is the Nursing Administration office on the right side across from the Volunteer Office in the Ronald Reagan; their office is in Room B next to the mailroom/xerox machine. If Cait or Petra is not there, then please email both of them at CaWalsh@mednet.ucla.edu and PFritz@mednet.ucla.edu to schedule an appointment. Cait works days, Petra works nights, so one of them should be there throughout the day/night. After your referral slip is signed, please contact us at uclamaps@gmail.com so we can know that you will be joining our team and program. Email us your UID and Phone Number. 3. Next, Please print out the MAPS Training Manual and thoroughly read it. After carefully reading the MAPS Training Manual, you will be able to answer questions on our MAPS Training Quiz. We request that you email us your responses on a separate word document at uclamaps@gmail.com. Please completely read the MAPS Training Manual in order to completely understand what our program is about! To set up an appointment with a MAPS Intern Coordinator, please email

us at uclamaps@gmail.com your schedule of availability (all dates & times in the current week or following week) as well as the locations that you could meet at (for example, in the dorms or Westwood apartments or location on campus). Last but not least, dont forget to bring a copy of the MAPS Training Manual with you at the time of your appointment and please fill out the Safety Observer Volunteer Contact Sheet included at the end of this letter and email it to us. 4. After your appointment with a MAPS Intern, you will go through a series of steps to complete your training. This second major part of your training will take approximately 4-10 weeks to complete, depending on the schedules of availability between you and your trainer. You will be trained in 3 general areas to gain sufficient experience to volunteer all over the hospital. These three areas include General floors, Intensive-Care Unit, and Phlebotomy. You will also be trained on how to do the MAPS paperwork and other administrative work required of you in our MAPS volunteer program. Each training process will help you familiarize yourself with the volunteering process as well as help you gain techniques necessary to conduct safety observations during your volunteering for our program. Please email your schedule of availability (dates and times) to your trainer to set up a date & time for training. Also include where on UCLA you would like to meet (i.e., in front of the LS Building or RRMC Valet Parking) so we can show you where our main office is located at. Dont forget to bring the MAPS Volunteer And Superior Contract with you to your training appointment. Please remember to be in your uniform: Volunteer Jacket, Khaki pants, White shirt/polo, and ID Badge.
5. After you have completed your training at the RRMC, have become

extremely comfortable with the volunteering process, & have mastered the techniques required to conduct safety observations independently, you will need to complete the last part of the process. Please answer the questions on the MAPS Post-Training Quiz and email it to us at uclamaps@gmail.com on a separate word document. After you have passed this step, you will be given a schedule of assigned floors. This is the mark of the beginning of your independent volunteer experience. After this step, you will be responsible for completing your duties and requirements as a MAPS RRMC Volunteer. Please review these duties and requirements listed in the MAPS Training Manual as well as the APPLY section on our website (http://uclamaps.wordpress.com/apply/).

***Questions and concerns should always be directed to the MAPS Leadership Team at uclamaps@gmail.com. Do not hesitate to ask us about anything such as certain situations you witnessed or certain scenarios that were out of the norm. If you have a question then someone else in our program will most likely have that question. Definitely ask us if you are confused or unclear or even only 90% sure about a situation; the hospital is a constant changing environment and there are always tons of variable situations. With collaboration and teamwork, your activism, dedication, and participation in our program will make our program even better! Once again, thank you for your interest. Remember, the MAPS Leadership Team really cares about you and we really want you to have the best volunteering experience possible. We cannot wait to work with you! Please fill out the form attached below and email it to us.

Best Regards, The MAPS Leadership Team
