1. Introduction
1.1. Presentation This document is the User manual for the DemPubWeb application. Aimed at users of the DemPubWeb application, the manual sets out to describe all available functionalities. 1.2. Principal functionalities of the application The DemPubWeb application is geared to the creation or amendment of requests for publishing services. To this end, the following functionalities have been put in place: inputting of administrative information; inputting of general and technical information regarding the particular publishing service; submission of the request to the Publications Office; link to the help desk.

2. Using DemPubWeb
2.1. Starting page The starting page enables the application to start and can be closed as soon as the homepage is displayed. To close this page, the user simply clicks on the or button.

Remark: when starting the DemPubWeb application, this page appears behind the homepage and can be closed at any time (before, during or after using the application).

2.2. Homepage

The homepage enables the user either to: create a new request, by pressing the related button (see section 2.2.1) create a new request based on a previously downloaded request that will be used as a template, by pressing the related button (see section 2.2.2) edit an existing request (i.e. a previously downloaded request), by pressing the related button (see section 2.2.3) change the language of the user interface to French by clicking on the link , located at the upper left corner of the page.

2.2.1. Create new request

Create a new request by making a selection from a drop-down list: the options are as follows: o Complete technical production (paper and PDF) o Publication on demand (POD) o Dissemination/storage only o Graphic design only o Technical and/or commercial advice o Supply of identification numbers only o Correction only o Internet site o Complete technical production (CD-ROM) o Price estimate request o Advice on copyright issues o Search for editorial partnership Once you have made your choice, all you have to do is click on the create the request. To return to the home page, just click the

Create a new request based on a template by selecting the appropriate XML file after clicking on the button.

Edit an existing request by selecting the appropriate XML file after clicking on the button. Once you have made your choice, all you have to do is click on the edit the request. To return to the home page, just click the button to button

2.3. Request Search for editorial partnership initial page This section applies only to Search for editorial partnership request. When a new Search for editorial partnership request is created via the Create new request functionality (section 2.2.1), the following page appears.

Select European Union Publishers Forum and click button to create a new Search for partnership with private publisher request The selection Co-edition is not functional in version 1.5 of the DemPubWeb application To return to the Create new request page, just click the button

2.4. Administrative information After the user has clicked on the button on any of the Create new request, Create a new request based on a template or Edit an existing request pages, the form appears:

This form enables you to enter the following details of the contact person, the author, the authorising official and the recipient of the invoices: DG of the Commission, or institutions, bodies and interinstitutional services or agency DG/division/unit/service last name of official responsible first name administrative address telephone fax e-mail Completion of certain of the Contact person details is compulsory; all the mandatory fields must be filled in to enable the request to be processed. An asterisk indicates that fields are compulsory and must be completed in order to proceed. Links are provided for rapid copying of information already entered:

Navigation links make it easy to move around the site by simply clicking on the various headings:

Once the compulsory fields have been completed, you can proceed to the next stage by clicking on the button leading to the Service requested form. tab or on the

2.5. Publishing service request This form corresponds to the publishing service chosen on the homepage.

In order for a request to be processed quickly and efficiently, it is essential to complete the various fields as precisely as possible. The form contains General characteristics and Technical specifications sections, with links providing rapid access from one to the other:

Once the data have been input, you can submit your request by clicking on the button (see 2.10 for more information) or return to the Administrative information form by clicking on the tab marked on the button. or

Language versions/combinations management This section relates to the following service requests only: Complete technical production (paper and PDF) Publication on demand (POD) Dissemination/storage only Correction only Complete technical production (CD-ROM) Search for partnership with private publisher Internet site

The language versions management interface is accessed by clicking on the button marked , enabling additional languages to be chosen. Access to the language combinations management facility is obtained by clicking on the button, enabling language combinations to be added or changed.

1. Select the new language version and click on the button. 2. Repeat the operation if you wish to add another language version or click on the button marked to return to the main form.

1. Select the new language combination and click on the button. 2. Repeat the operation if you wish to add another language combination or click on the button marked to return to the main form.

2.7. Identification number management This section relates to the following service request only: Supply of identification numbers only The identification number management facility is accessed by clicking on the button, enabling identification number requests to be added or edited.

2.7.1. Identification number management interface

1. Enter the new identification number request and click on the button. 2. Repeat the operation if you wish to add another identification number request or click on the button marked to return to the main form.

2.8. Download the request The request can be downloaded as an XML file after validation (described in section 2.10) or any time via clicking on appears. button. Upon clicking this button the following page

To download the request as an XML file click on the button; a new window will appear enabling you to open or save the XML file. We advise you to save the file.

You can edit the downloaded request at any time using the functionality described in section 2.2.3, or you can use the downloaded request as a template to create new requests, as described in section 2.2.2. To return to the previous page, just click on the button

2.9. Creation of a PDF file

The application permits the creation at any time of a PDF file containing the information entered. To generate a PDF file, all you need to do is click on the button marked . The file is loaded in a new window (if the user does not have a plug-in enabling him to read PDF files, the navigator will prompt him to save the file, which he can then open using an appropriate tool). After opening the file, the user can print or save it as required.

2.10. Validating the request You can click on the button marked at any time to submit your publishing service request to the Publications Office. A message will appear, asking you to confirm:

Confirmation triggers submission of the PDF and XML files to the Publications Office. A copy will also be sent to the e-mail address specified for the contact person. After confirmation, the screen below acknowledges submission of the users service request:

It also enables you to: Open and print the PDF file:

When you click on open the generated form, a new window opens containing the PDF file (please refer to Section 2.8 for more details). save the XML file:

When you click on the save the file link, a new window opens enabling you to open or save the XML file. We advise you to save the file.

You can edit the downloaded request at any time using the functionality described in section 2.2.3, or you can use the downloaded request as a template to create new requests, as described in section 2.2.2. prepare the e-mail for submission of additional files, on request:

When the link is clicked on, the users e-mail software is opened and a new e-mail is prepared containing the following information (provided the users e-mail software has this capability). o The address of the recipient Office e-mail address : the Publications

o the copy-to address : e-mail address specified for the contact person in the Administrative information form o the subject number

2.11. Cancelling the request At any time, you can cancel the ongoing request by clicking on the message then appears, asking you to confirm: button. A

Confirmation cancels the ongoing request and takes him back to the homepage.

2.12. Who to contact in the event of difficulties link at the top and bottom of the page enables you to open a new window The indicating who to contact in the event of difficulties:
