Typical Project Kick-Off Process


Step 1
A. Project manager meets with sales team to review entire project and begin understanding a. If there are any questions that the sales team cannot answer, write them down and include them in your kick-off phone call B. Project manager (maybe sales team) has initial phone conversation with client to discuss the tasks and ensure everyone is on the same page with the tasks and our process a. Refer to the pre-quote questionnaire for a list of questions to ask b. Each line item should be reviewed with extreme detail. For example, what data to display on listing pages, forms, field to validate, etc. c. When doing the above, project manager will ensure what the sales team has quoted falls in line with the client expectations. d. Update the scope of work with the above comments/revisions C. If client requests any items that are out of scope, see out of scope document D. Identify any items in the scope of work that may be reusable from a previous project OR within the same project. Identify these to the team in the meeting E. Project manager reviews project with team including designer. The meeting should cover the entire scope of work as well as the answers to the questionnaire above to help the team understand the project F. If necessary, design meeting with client, designer, and project manager G. Identify hosting requirements; attempt to match our development environment. If there is an existing environment get the full details from the client to ensure anything new we do will work on their server. H. Identify maximum time in turn-around for approvals. If approvals take longer, the project timeline will be immediately adjusted

Step 2
The following steps with multiple team members may be completed concurrently. A. Create sitemap B. If we are doing design, begin graphic design

A. Have client approve sitemap with written approval a. Create standard email to send for approval B. Have client approve design with written approval a. Create standard email to send for approval C. If client requests additional work, see Out Of Scope Process

Step 4
A. Set up development environment B. Create wire frames/click-through from sitemap; follow guidelines C. If design is approved, implement design into the site

Step 5
A. Have client approve wire frames/click-through a. Ensure to receive written sign off before proceeding to next step b. See the guidelines for what type of changes are covered and what type of changes or not B. Make any notes/changes to the wire frames C. Have client approve again if many changes were required D. If client requests additional work, see Out Of Scope Process

Step 6

Typical Out of Scope Process


Step 1
A. Gather details from client to begin quoting process B. If sales team is required, pass information to them to quote C. Complete quote, review with technical specification archictecture team to ensure numbers are accurate (audit process)

Step 2
A. Review quote with client B. If client approves, update scope of work and payment schedule C. Discuss updating of due date with client OR if client doesnt want to alter the due date inform them it will be completed in a second phase D. Written approval is required, if client providers verbal confirmation ask for written approval with a witness signature

Step 3
A. If necessary, modify sitemap a. Retrieve written approval B. If necessary, modify database design C. If necessary, modify graphic design a. Retrieve written approval D. Review with team and make modifications as required

Step 4
A. If necessary, update database with new tables/fields B. If necessary, update OR add wire frames/click-through with additional work C. Have client approve the wire frame changes/additions a. Written approval is required, if client providers verbal confirmation ask for written approval with a witness signature

Step 5
H. Go back to appropriate step of typical project kick-off process
