RE: Important Information about the Telephone Network

Follow these simple directions that are printed below and listen/follow the automated
prompts with each step. If you have any difficulties, please follow-up with Beth or Mary and
they will be happy to assist you.

TO PROGRAM YOUR VOICEMAIL FOR THE 1st TIME:


• Pick-up your telephone receiver
• Press VMAIL (lower left V8 button)
• Press * *, (wait for the greeting to begin)
• Press 9 9 9
• The prompt will ask you to “enter your user id.” Press your 3-digit extension
number # _ _ _.
If unsure of your user id., look for the extension number that follows your name on
the attached Phone Network 2007/2008 list.
• The prompt will ask you to “enter the password…” The password is the same
number as the 3-digit extension number # _ _ _.
• “Welcome to Quick Set-Up.”
Follow the prompts to customize your voicemail box.

Choose a Password:
Use the last 4 digits of your Social Security number.

Record Your Name:


First and Last Name

Record Your Personal Greeting: EVERYONE IS TO USE THIS STANDARD GREETING


“Hello, you have reached the classroom (or office) of Mr., Ms, or Mrs. (first and last name). I
am unable to answer your call at this time. Please leave your name, number and a brief message
and I will return your call as soon as I am available.” You may substitute ‘available’ with “end
of day” or a specific time, etc.
List Your Name With Directory Assistance:
IMPORTANT - Press the letters of your last name only.

Having trouble formatting your voicemail box and need to start from the
beginning? Let’s try it again but using the below directions…

TO ENTER QUICK SET-UP AGAIN:


Press the lower left button (V8) on the telephone,
Press * * 9 9 9,
Press 3-digit user id #_ _ _,
Press 4-digit password #_ _ _ _,
Press * 9 7 and follow the prompts to the end.
TO ACCESS YOUR VOICEMAIL FROM YOUR PERSONAL TELEPHONE:
1) #100 voicemail boxes
Press the lower left voicemail button (V8) on your own telephone,
Press your 4-digit password #_ _ _ _,
which will automatically retrieve your messages for you.

#200 voicemail boxes


Press the lower left voicemail button (V8) on any telephone,
Press * * 3-digit user id # _ _ _,
press 4-digit password # _ _ _ _.

TO ACCESS YOUR VOICEMAIL FROM A REMOTE TELEPHONE (within school or from


home):
1) When you hear the greeting, dial the following digits on your telephone pad:
9 9 9,
3-digit user id # _ _ _,
your 4-digit password #_ _ _ _.

VOICEMAIL OPTIONS:
DIAL –
1 to SAVE CURRENT MESSAGE AND ADVANCE TO NEXT voicemail message
2 to REPEAT voicemail message
4 to DELETE voicemail message

Any voicemail message that you do not delete will be saved to your voicemail box. In order
for our telephone/voicemail system to work properly, it is important to periodically clear your
voicemail box.

TO DELETE ALL MESSAGES AT ONCE FROM YOUR VOICEMAIL BOX:

TO FORWARD A MESSAGE TO ANOTHER DEPARTMENT:


As you are listening to the message…
DIAL
5 to forward,
7 to select the voicemail extension,
3-digit user id (desired recipient’s voicemail box)
1 to send.
The voicemail message will be marked by the voicemail system as being forwarded from
you.

TO DIAL A CLASSROOM:
Press the ICM button, 3-digit # of the staff member you wish to reach (you will find their
extension # under the column marked “Ext. #s” on the attached Phone Network sheet. All
extensions that start with 1_ _ will be a direct contact to the staff member. A staff
member’s voicemail extension # that starts with 2 _ _ will have a voicemail box only; that
staff member may not physically be at this location.

For example, if you wanted to speak in person with the Head Custodian, Bob
Whiteneck, you would dial ext. 138. If you wanted to leave a voicemail message,
you would use his voicemail extension 287.

TO LEAVE A PERSONAL VOICEMAIL MESSAGE FOR ANOTHER STAFF MEMBER:


Press the (V8) button on the lower left of your phone. Press * * 9 9 7 when you hear the
greeting voice. Then type in the 3-digit user id (voicemail extension number) for the staff
member you are trying to reach. Leave your message and hang-up.
TO TRANSFER AN OUTSIDE CALL TO ANOTHER STAFF MEMBER’S VOICEMAIL –
REMEMBER, most calls should be directed to voicemail during school/instruction hours.
DO NOT PUT THE CALLER ON HOLD, and follow the below instructions.
Press the TRF button, 2 0 0 9 9 7, then press the 3-digit user id (extension number) for
that staff member and hang-up.

TO TRANSFER AN OUTSIDE CALL TO ANOTHER STAFF MEMBER’S EXTENSION


(outside of instructional time): Press the TRF button and dial the 3-digit extension
number of the person they want to speak to and hang up. If the other staff member did not
answer and the call was incomplete, your phone will beep back at you with a quick flashing
light. You may pick-up the call again and transfer the call into voicemail (see immediate
above directions).

TO MAKE A LONG DISTANCE CALL USING YOUR CLASSROOM PHONES:

. Pick-up your telephone receiver and press 9 on the keypad. Either you will
immediately hear a dial tone then press 9 again and start dialing your number or
you may hear a busy signal which means you will need to try again and wait for
an open line. Don’t forget to use area codes even if dialing out in the Boxford area
(example = Press 9, after dial tone, Press 9 1 (Area Code) _ _ _ - _ _ _ _).

. Please be sure to use your own telephone credit card if making a personal long
distance call.
