3 Purpose of Document The purpose of this document is to define the project, to form the basis for its management and the assessment of overall success. This aims to evaluate the requirements needed to complete the project management plan for the project deliverables on Public education on system optimization using Virtual Desktop Infrastructure (VDI). 4 Background Virtual Desktop Infrastructure is a modern edition of thin client movement used in the 1990s. It involves running desktop operating systems and applications on a virtual machine that resides on a centralized server. These desktops residing on the centralized serve could also be called virtual desktops. Users who access the virtual desktops from a desktop (PC) or thin client via a remote display protocol get full features as though the applications were resident on their local system(PC) with the only difference being that all applications are in this case centrally managed. This work explains the benefits of Virtual Desktop Infrastructure and the wealth of advantages it has to offer any company that may adopt its use. Some of such advantages include reduction in end user computing cost, simplified client management, memory, content storage, delivery as well as software maintenance cost/expenses.
This project arises based on the need of the University of Bedfordshire to create awareness about emerging technology (VDI) amongst students and casual users. Also, this project focuses on facilitating public education on system optimization Virtual Desktop Infrastructure. 5 Project Definition 5.1 Project Objectives
The aim of this project is to: Develop a short video on VDI that can be used as an educational tool. Develop a VDI educative virtual showcase that is inspiring and informative Design a Social media presentation that will help raise public awareness about VDI 12 page slide show PPT Presentation on VDI
5.2 Defined Method of Approach The project will be managed and co-ordinated using the Prince2 methodology and the educational artefacts will be developed by the team members of the group. The techniques of this methodology are

5.3 Project Scope The Project scope will contain the following -
Embedded Video Recorded using Video Camera Record and upload videos onto YouTube. This will involve some role play from the group members Video content This will be provided by the group members The video will be limited to 5 minutes Audio elements for the video
Interactive Virtual showcase using Reaction Grid Develop an avatar who will act as an interactive guide in the virtual world. Provide a link from the virtual showcase to the Video
Social media Presentation using Facebook Create a Facebook account for VDI Record groups presentation on VDI and upload to Facebook
Slideshow Presentation PowerPoint content will be researched The use of animation to make it engaging

At the end of project: A PowerPoint presentation is used to discuss VDI technology, its benefits and future use. A short Video on VDI and social media presentation which can be utilized as educational tool that offer clear overview of the VDI technology An interactive virtual Showcase demonstrating Virtual Desktop Infrastructure A Final Project Report that gives a clear overview of how the project was managed and the lessons learnt. 5.5 Exclusions Design of Virtual desktop infrastructure technical aspect Development of VDI Maintenance of VDI virtual showcase. 5.6 Constraints The following constraints are identified in the project:
Budget commitment and the deadline of delivery of 10th May, 2013 Quantitative constraint - Limited map space on the reaction grid Qualitative constraint Virtual showcase must be visually appealing & interactive Unavailability of meeting pods at UOB Scarcity of project resources Technical knowledge and expertise within group members 5.7 Interfaces None 5.8 Assumptions Team members have sufficient knowledge about virtual desktop infrastructure. University of Bedfordshire will make use of the VDI project by implementing it on their website. All important infrastructures will be provided for the team in order to complete the project within the desired timeline. Internet access within the university is available as it will be required to facilitate work in the virtual world.

ReactionGrid Member Shall be responsible for learning and using ReactionGrid to build a show case of technology under review in a virtual world. Shall submit the completed ReactionGrid product for Testing by the quality team within the specified time. Shall report to the ReactionGrid Manager all arising challenges towards the actualization of their task.
Video Team Shall be responsible for the planning and implementation of the Video product of the technology under review.

SocialMedia Presentation Team Shall be responsible for the planning and implementation of the podcast product of the technology under review. Documentation Team Shall be responsible for preparing all priority records and documents inherent in all the stages of the project. Shall ensure that all documents are securely stored for reference sake. Shall maintain both soft and hard copy backups of every document to cover for any possible loss. Shall present for checks and approval any product prepared to the documentation manager. Shall report all impending problems affecting their responsibilities to the documentation manager.
Quality and Testing Team Shall perform measurement and testing for any product against specified requirements. Shall be responsible for product validation in line with specified requirements, and provide justification for product acceptance by board and users. Shall report any quality anomaly and other challenges to quality attainment for control to project manager. 7 Communication Plan This plan defines the communication requirements for the project and how information will be distributed between the project stakeholders and other appropriate audiences throughout the duration of the project. 9 Project Controls
Control has been exerted on the project such that technical and managerial areas of the project have been assigned to respective team members according to their technical and managerial expertise.
Management of the overall project will be done by Damilola Yusuph all team managers must report to her.
Video production issues will be managed by Zayyan Bello - all problems relating to video production shall be reported to him.
Social Media Presentation issues will be managed by Nalini Chawla all problems relating to the Social Media production shall be reported to her.
Reaction Grid issues will be managed by Samuel Mpkaru all problems relating to ReactionGrid shall be reported to him.
Issues relating to Product Quality and Testing will be managed by Harish Kumar - all problems relating to Product quality and testing shall be reported to him.
Documentation issues will be managed by Salima Ali Mohammad - all problems relating to Project documentation shall be reported to her. 10 Initial Business Case This project will create enviable business strategies and plans as it will aim at improving organisational management, reduced cost as well as improved productivity. Changing to a virtual operating system and replacing a PC with thin client hardware is Virtual Desktop Infrastructure entails; this helps in solving series of problems facing many organisations today, such as resource availability needs, performance expectations, data security, on-demand storage, patch management and lost information recovery. This elucidates the need for this project, in which the concept of virtual desktop infrastructure (VDI) is explicitly explained.

11.4 Product Flow Diagrams Project flow diagram is used to describe the architecture of the flow in which all the tasks are going to be accomplished. It can be in one way and two way task.
11.4 Financial Budget The specific amount of budget should not be exceeding more than B$10000(in Bedfordia-Dollar). This budget is given by the project board for our showcase in the reaction grid. 11.5 Resource Requirements The major resources which are going to us be used to develop the VDI project deliverables are as follows:

7.5 Communication Communication Frequency Communication will be conducted verbally during face to face meetings. Outside of meetings; all group members will communicate via email (Google mail) and smart phones. We will also communicate on BREO via group discussion board (Team 10).
We will communicate on a regular basis or whenever the need arises and at the end of each key phase of the project. Mandatory Group Meetings will be conducted twice a week; Tuesday and Thursday.

7.6 Communication Method Internal Communication
The Project meetings are been held on a weekly basis to ensure the project is on the track and required deliverables are being achieved as per project plan. We will use different internal communication methods e.g. e-mail, text messages and phone calls.
Group discussion/ meetings will take place according to the schedule to review the project status or whenever it is required. Additionally, task distribution will be done in advance to ensure deliverables will be completed on time. The team shall maintain communication and record keeping throughout the project lifecycle.

At each stage of the project, different project status reports will reflect the milestone that has been achieved and possible communication should be directed through the Project Board whenever it is required.

8.5 Applicable Standards All artefacts produced must conform to the specification and quality criteria stated for them. Standards for creation, development will be agreed before work commences. 8.6 Quality Control and Audit Processes Quality Assurance and technical Officer tests the quality of the virtual showcase, slideshow presentation, social media presentation and video against the customer quality expectation. Virtual showcase would be tested in reaction grid to ensure it meets the requirements of university of Bedfordshire. Virtual showcase will be tested to ensure LSL scripts are working perfectly The embedded video will be tested in Windows Media Player and Flash player to ensure wmv/flv video format is compatible. The video will be tested on the Web using YouTube, or any other Web 2.0 applications to ensure compatibility.
