Scheduling Meetings three easy steps


1. First, log into your account, at bluejeans.com/login.
2. Landing in your Meetings Room, click the Schedule Meeting button.

Scheduling Advanced Options


Encrypt Meeting requires each participant that connects to your meeting has encryption turned on. If they do not have it turned on, they will see a message telling them encryption is required to join the meeting. (Skype is encrypted by default)
Moderator-less Meeting enable if you want participants to meet without the moderator having to start the meeting: Meeting begins after first 2 participants arrive. The person scheduling the meeting has the moderator controls (mute all, drop, etc.) available for use, should they decide to join.

Click View Configuration to jump to two other options, located in Room Settings:

Disable Audible Alerts turns off the alert tone when participants arrive or leave the meeting. Note: you can disable alerts in the middle of the meeting. Disable Video Animations disables the active speakers animated video thumbnail (not recommended ).

Scheduling Meetings Ready to Use!


Thats it! Your scheduled meeting is now ready to use, at the scheduled time or anytime earlier.
Click the Meeting Bar to expand and show meeting details and edit/cancel options at the bottom: A. Edit meeting: change meeting options or invite additional participants

B. Cancel Meeting: terminate the meeting reservation entirely. Invited participants will be sent a meeting canceled email. C. Share Meeting info: copy and paste to send via email or IM.

Email sent to Participants


Participants receive an invitation to your meeting, with quick-links and instructions to attend meeting: Link to enter the Meeting Room, where they can then choose to join via one of six endpoints Skype participants quick link

Email sent to Moderator


Moderator (the person who scheduled the meeting) receives a similar email, with the following differences:

Note not to forward this email, as it contains the moderators exclusive passcode, and
The passcode displayed is used exclusively by the moderator to start the meeting: Meeting will not start until the moderator enters using this code. The exception is if the meeting was scheduled to be moderator-less. Moderators passcode can also be found in the Account > Room Settings section of their online account.

Moderator can enter the Meeting Room two ways:


1. When its time for the meeting to begin, the moderator clicks on the link in the email invitation that was sent to the Moderator (contains Moderators unique passcode):

Or, the moderator logs into their account and clicks the scheduled meeting bar, then Start Meeting:

Or, logs into the meeting room from the Blue Jeans web site (bluejeans.com), clicking Join A Meeting and entering the Meeting ID (and passcode):

Browser Access allows desktop users to join a Blue Jeans meeting by simply using a browser. No need to install or log into a client (such as Skype). Please note:
This feature is in beta. Please send product feedback to support@bluejeans.com. DTMF option is not available at this time. HD resolution will be coming in the future. Mobile device (for iPhone/iPad and Android) application is not available at this time. Equipment and Network specifications (click here for complete list): Operating System required: Vista SP2 and above, Windows7 SP1 and above (Windows) OS X 10.6 and above (Mac) Browsers that are supported include: Mozilla Firefox 4.0 and above Google Chrome 10.0 and above Apple Safari 5.0 and above Microsoft Internet Explorer 8 and above Network specifications: Minimum bandwidth of 384 Kbps Firewall ports: Open UDP 5000-5999 and TCP 443 Ports. Outbound to BJN IP space 199.48.152.0/22 and 31.171.208.0/21

1. In the meeting room, click the Browser bar to expand, then click Connect.

2. A new window will launch. Click the Download button to install the Plugin.

Youll only need to perform these download steps one time.

The message may appear different, depending on which browser you are using. (Firefox is shown in this example).

3. Follow the installation steps: Save the file Download the installer, if required. Click Run to start installation Done. Youre in the meeting!

Browser Controls

Joining a Meeting using Skype from your laptop


1. Sign into Skype on your computer.

2. Click the Skype bar in the Blue Jeans Meeting Connect panel to expand, then click the Call button.

3. Skype will start ringing, with call coming from Blue Jeans. Click the green Accept button in the Skype panel to connect into the Blue Jeans meeting:

4. You are now in the audio portion of the meeting, via Skype! The BJN Active Meeting View Welcome page is displayed.

Sharing Content and Presentations from Skype on laptop


1. Click the Skype menu icon, 2. Click "Share Screens," and 3. Click the Start button when you're ready to share. The screen layout will automatically change to a presentation-friendly mode. 4. Note: from the convenience of your laptop web interface, you can enable Blue Jeans to connect with Skype on your Mobile device. Click the check box, then follow the provisioning steps to add Blue Jeans in your Skype contact list.

1. Click the Room System bar in the Meeting Connect Panel to expand the dialing instructions.
2. Per the first instruction, from your Room System monitor dial the listed IP address, or bjn.vc

3. Blue Jeans delivers, into your room system monitor, an input field for Meeting ID and Passcode, and displays a pairing code at the bottom: 4. In the final step, you connect into the meeting one of two different ways:
1. Enter Meeting ID and Passcode (if required). Press # to submit:

- OR 2. Enter the displayed Pairing Code in the Meeting Room Web field (using your laptop):

Sharing Content and Presentations from H.323 Room System


Room systems can share by connecting laptops to the system, and enabling screen sharing from the room system remote control. Connect your laptop to the room system via VGA/DVI/HDMI interface and enable sharing on that end. Blue Jeans will automatically relay the content sharing across to remote participants.

Participants tab in the Meeting Room


Participants meet in the Blue Jeans Active Meeting View window:
Participants tab (in online Meeting Room) can be seen by everyone:

As the Moderator, John Smith can click any participant icon to control the meeting (mute their audio or video, drop them, etc.).

John Smiths view, from his PC (he will not see his own video in the BJN window).

Participants, however (Bob Singh, for example), only have access to their own icons.

Click to end the meeting, and choose to: Leave, but allow participants to finish, or Leave, and end the meeting in X minutes, or Leave, and end the meeting immediately

Quality alarms
When Blue Jeans sees very poor network quality , we post a quality alarm indicator, along with problem description, into the Active Meeting View and Meeting Room. Please note: If you connection/bandwidth is too low, Blue Jeans will only keep your audio path open into the conference.

Meeting Layouts
Click the layout tab to choose three options: Active Speaker only is displayed, Active Presence displays all participants, with the active speaker enlarged at the top (with up to 5 thumbnails on bottom), or Constant Presence Up to 9 participants (most recent talkers) are displayed equally. Active speaker is outlined in yellow.
Click the Pinning pin to force a participant to constantly be seen as the main speaker (or main image), regardless whos talking. Click here for more instructions.

Tip for Moderator: Click the Push button and all participants will have the same layout youve chosen displayed in their Active Meeting View.

Screen Share Layouts


When a screen is being shared, the meeting participants have six views to choose from:
Presentation PiP (picture in picture) Presentation centered / presenter in corner.

Active Speaker PIP - Presenter is centered, with presentation in corner.


Shared View - Presentation shared at 60% and presenter is at 40%. Presentation View - Only the Presentation is seen. Active Speaker Only the Active Speaker is displayed.

4. Personal Meetings
Instead of scheduling a meeting, you can also use a Personal Meeting for quick, one-time, on-the-fly video conferences.

1. Click the Personal Meeting bar to view ID, passcode and joining instructions.

2. Then, click the Start Meeting button.


Personal Meeting details can be shared with anyone to join your meeting from the Blue Jeans website. Your Meeting ID and Participant passcode are all you need to share with users to give them access to your meeting room. Click to copy meeting instructions to clipboard, then send onto participants via IM or email.

3. John starts the meeting by clicking one of the Connect options (the device hell use to enter the meeting, such as Room System, in this example).

Hell deliver Meeting login instructions to the participants via email, IM or phone. Tip: click the Invite Participants bar, enter the email addresses, and Blue Jeans will deliver the invitation.
