Apologies: Craig Smith Committee Business: Reflection on Previous Action Points and Previous Weeks Events

Individuals action points from last week Rian will e-mail us all. Welfare sex event reflection Really good, it met our expectations. Amy said that it is a shame that our events seem to always start later, but it was necessary this time as only one member showed up in the first hour, most members turned up an hour later. Welfare drop-in timing? Lunch time drop-in new format? The new format was not enforced, so we didnt have a chance to try it out but this was because there was an incredibly low turnout at the drop-in today. It will be done next week. Having the welfare supplies actually in the room did work really well, and people did come and took some. It would definitely encourage people to come if we alter the blurb and state that we have magazines, music, games, etc

Complaints Knitting group. Someone told Amy in Polo (unofficial complaint) that Kirsty was a bit frustrated at members for not knowing how to knit. Possible because there were so many people that it will have been a frustrating atmosphere. Moving the knitting to Offshore will be easier as there is not enough room in Tchai Ovna, last weeks group had to move to Offshore as it was so packed! 15 people were at the event last week! Sex workshop incident There was an incident at the sex workshop where we had to ask one member to leave after an incident that occurred at the Meet and Greet between two members. We cant ban people. Liam did say we could revoke membership, and Lauren said it had happened before. However, the way Andrew dealt with it seemed fair emailing them both, and giving the member another

chance. If he does something again however, we will ask him to leave. We can make sure theyre separate at small events, but they will be together at large events and this shouldnt be too much of an issue. QMU M&G complaint. Amy has written a complaint to the QMU. Rian thinks it needs to be more formal, and Iain thought it read well until the end. QMU has not contacted about the invoices yet, but we should definitely send it soon. Amy doesnt want to send it so either Rian or Jen will e-mail the QMU it. Amy would like folks to give her some advice on how to edit it. Action Point: Check out Amys e-mail complaint and give her some advice on how to change it! Ceilidh Any more on venues? Kims stepbrother wants to know how many people will be at the event (180-200) at Grand Central. Iain thinks the Marriot will be out far too expensive, it would be 1,500. Lauren has said that due to Launch Night profits being quite small, we should perhaps look at downsizing the ceilidh! Date of the ceilidh is in debate, as 27th November is not the end of the semester. Lauren knows people who have booked that week off work for the ceilidh, and members old will know it as the last event. It is going to be the last week the last Wednesday of the semester, which is the 4th of December. Time will start at 7. Band 8:30-10, 10:15 11:45. (3 hours). Normally want a break in the middle. Coila did cost 450 last year, but 480 this year. Charlie thought that we should contact a uni music band, and Im sure theyd be cheaper. Andrew contacted the Piping Centre it would usually be 500, will cost 250, however their capacity is just 150 people (could be a problem). Action Point: Charlie contact the music band. Kim give your stepbrother the numbers. Website When can we all meet up to start editing it? We will be meeting up for the layout of the website and not re-writing it, and we can do the re-writing of the pages in our own time at home. So we will go away and write the pages ourselves. If someone could go away and look at the website and then delegate pages between members. See if theres anything you want to add, remove, etc. - We should plan when were having a meeting next week on Monday. Charlie suggested printing out pages of the website, though Andrew thought we should start completely from scratch, brainstorm ideas. - New members could write about why they ran for committee. - Charlie will book the room in the library (for 5pm).

- Have website as first on the agenda - Go over the website when youre home. Scene Tour Tour routes Our route is... Meet in committee room1 at 7:00, leave at 7:15, in two different groups. Get into teams by halving the room in two. Two groups alternate (1 in speakeasy/katies bar, then switch, then Dels/Riding room, then switch) (about 40 mins each one). We will then come together as one group meeting in Club X at half 10. Have one committee member that stays behind at the QMU to catch late members and tell them about the phone. Teams Teams did overlap last year as sometimes it can be quite busy, especially in Speakeasy. What will we do if people get too drunk? Just encourage members to drink water and make sure you look after members. Challenges. Kim and Amy have brainstormed a few and will post them up on the facebook committee group and we can comment on them. We can sort out prizes next week. Committee photo. Rian wants a photo of the 9 of us make sure we get it on the Wednesday. Book Club What's happening on the 28th? Colvin will e-mail blurb for next weeks newsletter. Colvin will post something up on Facebook. There should be a section on the website for the e-mail. PS. Tell your friends to make sure they confirm their place on mailing list. Descriptions of EGM positions that are free to go into the newsletter. Gender Neutral Toilets get contacting student bodies meet up and write e-mail (Rian and Jen). Talk about Rian's meeting with other societies. Rian went to a formal meeting. The campaign is International Womens Week. The campaign was for gender neutral toilets just to make sure were all for it, and that we bring it to committee. Makes sense for us to lead the campaign. Information on Gender neutral toilets? We should get literature a pamphlet about gender neutral toilets, still need to create a map of the uni with gender neutral toilets on it. Perhaps put it on website? Sponsorship AXM. 1000, 200 for Meet and Greet and then 800 on top of that - 200 for general sponsorship, 300 for November, 200 for December. Polo. Seemed really keen, asked for a specific figure Amy said we dont really have a figure. Theyre keen to give us event sponsorship, but just to let them know what events we need sponsorship for. Stick to 50 per small Wednesday event/ 2-300 for big events. Issue was that we didnt want to have Polo on our publicity Amy says

we need to coordinate it all, make sure we have GMH, AXM, etc. We need to make sure theyre all aware of that. GMH. Giving us 150, we have that confirmed and that is done. Katie's Bar giving us sponsorship but Rian doesnt know how much as they need a meeting. Action Point next Monday meet with the SRC (will be 20 mins). Lauren Finances - Profit is 4.54 before sponsorship (quite appalling...) Be SENSIBLE with the LGBT account, money is not infinite. We do have booze that can go back though, so that should bolster us back up a bit. - Bookers receipts need to be sorted. 461 in the account needs to go to Diversity Role Models. - Make sure you know whats going on with sponsorship before you book ceilidh venues. Could split funds for charity/LGBT. Members will be charged 5. Rian has bank statements... - RIAN: Give Lauren the bank statements before cheques go out. Money that is owed from LGBT soc to committee members: KIM: 67.97 AMY: 180.69 CHARLIE: 112.46 RIAN: 65.30 ANDREW: 17.95 Other Business: Stag have e-mailed Iain to offer discount for their show as a society Friday 6th December, can be run as a fringe event. Gay Mans Health Student Connect Friday 18th October, it is at their HQ in Bell Street. Looking for 2 reps to be at their launch night. Rian can go for an hour. Anyone can go, it is not male-exclusive. Therell be free cocktails and a wee bite to eat. Kim and Iain have decided to go. Facebook Events Make sure we put up events for our Wednesday events. Make sure Rian puts in events calendar. Have Wednesday event first. Ask Hannah Curley. Change the layout of the newsletter and make sure we have our coming-up Wednesday events .
