The Project Development Cycle

The project development cycle be used to ensure the participants produce quality products and systems. The diagram below demonstrates the interrelationships of each stage of project development.

Defining The Problem


A problem definition is a clear statement about what the information system, digital product or piece of software aims to achieve when it is implemented. Digital images are needed to be used on your event invites. Record a problem definition for the situation described The problem is to create a database with the guest list for the Thrills and Chills extravaganza on Microsoft Access, create an invitation either using Microsoft Word or publisher with digital editing, envelopes with labels of the guests name and address created on either Microsoft Word or publisher, name tags or lanyards with the guests name created with either Microsoft Word or Publisher, take screen shots of a mail merge for the invitations and hand in a portfolio all due on the 9th of November 2012 before 8.40 in the morning.

Why would you use Microsoft Access to create a database? I would use Microsoft Access to create a database as it is a program specialised to create a database that is easy yet effective in achieving my goal of what my ideal database would look like. In class we also learnt how to create a simple database using Microsoft Access following the steps on a one note page.

Analysing The Problem


In order to understand the problem, each component must be analysed and questioned. It can be quite expensive to implement a system if the parts are not properly understood or considered. For example: Does Microsoft Access allow you to implement your information Think of some of the constraints which may affect your invite Constraints Technical Constraints There could be false information written on the database, if all the information is mixed up Program failure Saving problems or incorrect data written. Will the invite have all the appropriate content needed Will there be enough invites to give out The invites can be expensive and time consuming. Example In Microsoft Access the invitees might have the incorrect information The database might not save properly The database dictionary might not be saved properly or filled our correctly. The invite could have the wrong name, date, time or RSVP on it. Will all the invitees be given an invitation or could they be mixed in the process of the mail merge The invites could be expensive to print, ensemble and send out. The invite can be found by an unwanted person who the school do

Producing the Solution (Practical Task)

You will be required to produce an invitation using Microsoft Word or Publisher (10 Marks)

You will also be required to produce screen shot evidence of the steps taken to complete a mail merge of your invitation, envelopes and name tags/ lanyards (10 marks)

I clicked on the tab called Mailings (at the top of the screen) , then clicked on the arrow pointing down on the button Start Mail Merge which comes up with a drop down menu and I clicked on the last option called Step by step Mail Merge Wizard. Then a menu comes up on the right hand side of the screen and I selected

the circle for the select document type option letters and clicked on the hyperlink at the bottom of the menu called Next: Starting Document

3. After following step 2, another step will come up on the right hand side of the screen and to complete the step I clicked on the circle next to Use the current document under the heading called Select starting document the circle then turns blue as it has been selected. I then clicked on the hyperlink at the bottom of the menu called Next: Select recipients

4. After following step 3, another menu comes up with the heading Select Recipients and I clicked on the circle next to use an existing list which then changed to the colour blue. I clicked on the browse button under the heading Use an existing list. A screen popped up and I clicked on my selected file where I had all my information from and then I click on open. (look at the image below)

5. After following step 4, another screen came up to select the different names on my database which I want for the mail merge, but I left all the boxes ticked and clicked ok. You should then be returned to the previous screen (picture below) and click on the hyperlink at the bottom called Next: Write your letter

6. After following step 5, another step should come up on the menu (picture shown above) I then clicked on the hyperlink called more items (Picture below) a box should appear and I chose the appropriate format which I wanted the mail merge to complete. Once I chose my layout I clicked on insert then exited out of the box. Which then took me to my original screen (look at the image 2 down). Then I clicked on Next: Preview your letters which took me to the next step.

7. After I followed step 6, I was then taken to the next step on the menu (shown above) and I went through the different recipients by clicking on the arrows under the heading called Preview your letters then I clicked on the hyperlink at the button of the screen called Step: Complete the merge

8. After following step 7, the mail merge is completed and ready to be printed with the different names

Evaluating The Solution


Peer and Self Evaluation (9 Marks)

Finally youve finished your database, invitation, lanyard and envelope. Feedback as to whether its met the objectives started in the Problem Definition (Defining the Problem) is a really important part of system development. Use the following table below to evaluate your final product (self-evaluation) and someone elses product. E.g. The table below is the criteria used for the evaluation of a video. This is an example only- you need to devise questions as they relate to the Invitation scenario.
