ERROR MESSAGE: YOU DO NOT HAVE THE APPROPRIATE PERMISSIONS TO CREATE A PROJECT IN SAP.

ERROR MESSAGE: YOU DO NOT HAVE ACCESS TO SAP AT THIS TIME .

SOLUTION: ASSIGN APPROPRIATE SAP ROLES AND AD GROUPS BASED ON THEIR JOB RESPONSIBILITY (SEE LISTS BELOW)
Remember that a user can have more than one of the following responsibilities. Contact your LSA to verify that you have all
of the necessary roles for your responsibilities.

Active Directory roles can also be assigned by the LSA sending a ticket to security or by the user directly using the following

In SAP click in upper left address bar, enter /nsu3 and click on green checkmark

Click on Parameters tab and navigate down to the first empty field. Enter the Parameter ID and Parameter Value
information highlighted below Click on the Save icon at top of screen.
Engineers should have the parameter set to ZENG_ACT.
Administrators using the $40/hour rate should add the parameter value ZENG_ADM.
Note that Short Description field will auto populate.

2. NO ROWS TO ENTER TIME IN TIME SHEET RECORDING TAB


SOLUTION: CHANGE USERS RESOLUTION TO 1024X768 OR ABOVE
The user logs into portal, selects time sheet recording, and doesnt see any rows to enter time.
Cause: The users resolution is set to something less than 1024x768

3. CORRECT ACTIVITY TYPE NOT DEFAULTING ON WORKLIST


SOLUTION: ADD OR CORRECT CVR PARAMETER TO USERS PROFILE

PROJECT SETUP
1. USER UNABLE TO ENTER TIME AGAINST A SPECIFIC PROJECT MARK NUMBER; ERROR MESSAGE
"ENTER A WORK CENTER AND A PLANT"
SOLUTION: ADD WORK CENTER AND PLANT TO THE NETWORK ACTIVITY IN CJ20N.
Cause: Network activity is not set up correctly in CJ20N.

2. INVALID INFORMATION ERROR


SOLUTION: VERIFY THAT ALL OF THE DATA ENTERED INTO CMT IS CURRENT , VALID AND CORRECT .
If you are unable to determine what piece of data is invalid, create a Remedy ticket with a screenshot of the error message
and send it to the Engineering Applications Support group.
Cause: Invalid data was entered into CMT/SAP.

3. MARK NUMBER DOESN'T APPEAR IN EMPLOYEES WORK LIST


SOLUTION: CONTACT CIA OR PROJECT MANAGER TO CREATE/ENABLE THE MARK NUMBER
Here are some OPLs that they can use:

Cause: Mark numbers must be created, enabled and then assigned on an individual basis. One or more of these
steps did not occur for your mark number

If these OPLs do not solve the problem, send a remedy ticket to the Engineering Applications Support group.

4. USER DOES NOT HAVE ANY PROJECTS IN WORKLIST


SOLUTION: CONFIRM USER IS ASSIGNED TO PROJECTS IN CMT
If the user is assigned to projects in CMT and still does not have any projects in their worklist, submit a Help
Desk Ticket.

5. ERROR "MRP CONTROLLER PRS DOES NOT EXIST IN PLANT XX (CHECK ENTRY)" WHEN CREATING
PROJECT IN CMT
SOLUTION: SEND EMAIL TO "SCSAP COE" MAILBOX (SUPPLY CHAIN LOGISTICS PLANNING) TO HAVE THEM CREATE THE
MRP CONTROLLER IN THE APPROPRIATE PLANT.
Once the MRP controller has been created, the project can be created in CMT.

6. INCORRECT APPROVER ASSIGNED TO TIME CARD


SOLUTION: DEPENDS ON ISSUE ; SEE DETAIL BELOW
After the time card is released for approval and placed into status 20 in CATSDB (field STATUS), the time card record is
processed to assign approvers by the ZCARCATSAP program on a nightly basis. This is a shared program that processes all
time cards (internal, external, capital, expense). Here are some common reasons why the ZCARCATSAP may assign the
wrong approver:

USER DOES NOT HAVE THE CORRECT COST CENTER /ORG HIERARCHY

This can be checked with the PA20 transaction. HR data is updated from HRP on a weekly basis, and all changes to org
hierarchy & personnel records should be initiated by HR (except the 315 record, which is maintained by Engineering
Support).

CONFIRM WBS ELEMENT IS SET UP AS CAPITAL MARK NUMBER


If the time card entry is for capital time (activity type ENG), but it is being assigned to the users org supervisor for approval,
there may be a problem with the WBS element setup. Check the WBS element with CJ03 or CJ20N to verify that the WBS
element is setup as a Capital Mark Number (see screen shots for an example).

DATA ENTRY
1. THIS TIME SHEET CONTAINS ERRORS. YOU CANNOT SAVE. CREATE A MASTER RECORD FOR (COST
CENTER)/(ACTIVITY )
SOLUTION: VERIFY USER HAS ENTERED CORRECT COST CENTER AND ACTIVITY TYPE
If both the cost center and activity type are correct, create a remedy ticket with a screenshot that will be sent to the SAP
Projects Orders team.

Cause: Your cost center hasn't been set up for the activity type that you used (ENG/ENGADM/ENGOFF).

2. INVALID TIME CARD ENTRIES STEUS ERROR MESSAGE

SOLUTION: DELETE AND RECREATE AFFECTED TIME CARD ENTRIES


A CATS Approver may encounter an error message that states System error: STEUS when try to save an approved time
card entry in the CAPS transaction (see first screen shot below). This error is generated when the time card entry being
approved is invalid. To date, the only time this has occurred is when the Activity (i.e. mark number) to which the time card
entry was made was deleted after the time card entry was released for approval but before the entry was approved.
NOTE: This can be verified by using the CAT2 transaction (only Admins have this transaction) to view the time card entry in
question. The time card entry when viewed in CATS should have four asterisks (****) in the Activity field (see second screen
shot below).
The affected time card entries must be deleted and re-created by the user. Once this is done, the system will re-generate a
workflow item for the approver to approve the new time card entries.

SYSTEM SETUP
1. TIME GOING AGAINST THE WRONG COST CENTER
SOLUTION: CHECK TYPE OF TIME (ENG VERSUS ENGOFF) AND PROJECT TYPE (EXPENSE VERSUS CAPITAL ) TO MAKE
SURE CORRECT ENTRIES ARE BEING MADE
If the project is a capital project and the time being entered is ENG, the time should be charged against the responsible cost
center for the WBS element of the project.

If the project is a capital project and the time being entered is ENGOFF, the time should be charged against the cost center
of the employee.
If the project is an expense project, the time should be charged against the cost center of the employee. NOTE: Only
ENGOFF time should be charged against expense projects.

2. PRICE NOT SET


SOLUTION: USE TRANSACTION SE16 TO CONFIRM THE COST CENTER HAS AN ASSOCIATED VALUE .
Enter SE16 in the command field and press enter.
Enter CSSL in the table name and press enter.

Enter the cost center in question and click the execute button.

Confirm there is an entry in the table for each activity type (typically ENG and ENGOFF) for the current fiscal year.

If there are no entries, enter a Help Desk ticket requesting the cost center be set up in KP26 for the fiscal year. You will
need to provide the Help Desk with the cost center, activity type(s) and rate. Have the ticket assigned to the Projects
Orders Team.

PROCESS ISSUES
1. CATS TIME NOT SHOWING UP IN CAPITAL PROJECT
SOLUTION: CONFIRM TIME HAS BEEN APPROVED
Only approved time will settle to the project. Confirm time is in approved status (status code 30) using transaction CADO.
All CATS approvers have access to this transaction.
Enter Personnel Number for person who has time in question. Click in the Personnel Number field then click the detail
button to search for a personnel number by name.

Select a radio button for reporting period to narrow the time period in which to search.
Execute transaction.
Time should be in a status 30 to be settled to a project.

2. EMPTY LIST IN UNIVERSAL WORKLIST TAB


Problem: The user clicks on worklist and sees an empty list.

SOLUTION: CLICK THE EXPAND TRAY ICON (HIGHLIGHTED BELOW )


If the worklist is collapsed the user will see the following:

Click on the Expand Tray icon (highlighted below) to display the contents of the UWL.

1. CLEANING UP OLD UNRELEASED TIME


Use transaction CAT2 to clean up old time for each person with outstanding time. Transaction CADO can be used to find old
time. If the time is to be zeroed out go onto each line and change the actual number to zero. Do not add a new row with a
zero. Since this time was unreleased you do not release it after you enter zero just click save.
In the event that the following error message is shown when trying to change time to 0 you must first go into CJ20N and
complete a resource assignment (reassign that individual to the project listed CTRL F11). Then go back to CAT2, remove
and save the time. Once it has been saved go back into CJ20N and remove that resource assignment.

DIRECTIONS FOR CLEARING UNRELEASED TIME :


Use transaction CADO with variant CHK OPEN HRS to find unreleased time. The report that runs will show the number of
hours that are not released.

Next, go into transaction CAT2.

Enter the date listed into the Key Date field


Enter the personnel number for an employee with unreleased time
Click the pencil to go into the time card
Change the number of hours on that given date to zero and click enter (the total hour may be all on one line or split
across multiple lines for that date)
Click the Save icon

In the event you try and change one and it gives you an error that the project is closed, make a note of that entry and
contact the Help Desk (send request to Projects Orders team) to do further research into that item.

2. REPORTS USED TO VERIFY CATS TIME


The following transactions can be used to verify time in CATS.
Time that has not yet been approved

CADO Lists all time entered by employee and current status

Project Costs Time shows after it has been transferred via CAT5/CAT7

3. ADD/MAINTAIN RESPONSIBLE PERSON


Solution: This is done by the Master Data Team and coordinated by Maureen Bjerkenas. If a new responsible person
(project manager) is required, contact Maureen.

MISCELLANEOUS
1. USER IS LOCKED OUT BY THEIR OWN ID
SOLUTION: CLOSE OUT ALL SAP RELATED WINDOWS , INCLUDING SAP PORTAL FOR 20 MINUTES
If the message appears again, contact the help desk.

2. APPROVER OF TIME IS NO LONGER WITH COMPANY


SOLUTION: CORRECT RESPONSIBLE PERSON FOR PROJECT IN CMT. SYSTEM WILL CORRECT ALL ENTRIES OVERNIGHT .
Once the correct Responsible Person is added in CMT, a job runs over night that updates the approvers in SAP and sends
the new approver an email that they have time to approve

3. CATS EMAIL:
SOLUTION: THERE IS NO SOLVE

Cause: Your plant chose not to enter non-capital time, and there was a week where you didn't submit any capital hours to
the CATS system.
