JOB DESCRIPTION OF COORDINATION EXECUTIVE

Country Director Islamabad PKR 50,000 per month 01x Year renewable

PURPOSE OF THE POSITION: Coordination with Country Director and Program Department, Donor meetings & followup, coordination in employee reports i.e. weekly, monthly, quarterly and annual. SCOPE: Coordination Executive is responsible for overseeing and producing all major internal & external Liaisons in close collaboration with all program teams as well operation departments, which include the development of all coordination strategies and their successful implementation. RESPONSIBILITIES: Major Responsibilities: Overseeing and producing all major internal & external Liaisons in close collaboration with higher management, which includes the development of all coordination strategies and their successful implementation. Plan and organize internal & external meetings with Donor Organizations, Stakeholders & Partner Organizations, and preparation of meeting minutes, proper follow-up & Action plan. Develop timely customized communication for External & Internal stakeholders about the ongoing Muslim Aid projects, updates and activities. Coordinate with Country Director in Internal and External communication and work as per guidance, vision and strategy of the organization. Develop reports that highlight both qualitative and quantitative results of coordination work in both the external and internal communication arena. To regularly update Higher Management and Board members regarding Performance and developments taking place at the Field Office level. Develop and update report (Weekly, Monthly, Quarterly, and Annual) templates as per job responsibilities and nature of work by individuals. Maintain a complete record of all HQ and donor funded projects report in close coordination with Program Heads of respective projects and in time submission of reports to the respective funding agency as and when required. Attending external meetings on behalf of Country Director and other Program Heads in their absence, where and when required. Scrutinizing all the EOIs (Expression of Interests) and maintain its record at all stages from initiation till finalization.

Any other duties commensurate with the accountabilities of the post.

Required Qualification: Masters in Mass communications / English Literature or Social Sciences from HEC recognized University. Required Experience: 2-3 years of related experience at any Govt / Semi Government/ MNCs / International NGOs. Experience with an International NGO will be preferred. KNOWLEDGE, SKILLS AND ABILITIES: Computer literate and knowledge of MS Office, Internet and email packages. Possess high level of knowledge in grammar, punctuation, and language usage. First rate communication skills, including ability to write clear and concise. Good interpersonal and relationship-building skills. Excellent time management skills with ability to work quickly to meet the deadlines. Ability to take initiatives and utilize innovative techniques and ingenuity in developing communication plans, processes & procedures. Ability to gather, analyzes, and evaluates a variety of data. Ability to develop team plans and work to strategic goals. Ability to think creatively and inspire others in the team to do so.

Ability to interact with good interpersonal skills and communication tactics.
