Instrumental tutorials will be held at the Sydney Conservatorium of Music. The Orchestra will be accommodated at the Sydney Harbour YHA, The Rocks for the rehearsal period and at the Oaks on Lonsdale in Melbourne. ACCOMMODATION ON TOUR Information regarding the hotels to be used outside of Australia will be provided at a later date, all participants will be accommodated in twin share hotel rooms.

WHAT YOU NEED TO DO NOW PASSPORT All AYO participants require a valid passport with a minimum of 6 months validity ie. Your passport must be valid until 20 February 2014. If you do not have a passport, or your passport has expired, please apply for a passport as soon as possible. Please advise AYO if you will not be travelling on an Australian passport for all or part of the tour. If you have dual citizenship and will be travelling on two passports AYO will require scanned copies of both passports. AYO requires you to bring your passport(s) to the AYO February season so we are able to make a scan of the passport(s). INSTRUMENT & HAND BAGGAGE Please think now about what you will be taking overseas for the tour, this includes instrument(s), bow(s), case, and other accessories. Full details of each instrument/item including description(s), make, value, weight, case dimensions (H, W, D) is required by April 2013. Airlines have tight restrictions on any hand carry baggage. AYO will seek permission from each airline for the following instruments to be carried on board the plane; violin, viola, flute/piccolo, oboe/cor anglais, clarinet/Eb, bassoon, French horn, trumpet, trombone, percussion mallets. Details of the contents of each case/bag you hand carry will need to be provided to the airline prior to travel. Reed making equipment and any liquid is NOT allowed to be hand carried; these items must be packed in your suitcase. If you will be hand carrying an instrument you will NOT be allowed to hand carry another bag on the plane. INSTRUMENT FREIGHT Instruments that will be freighted by truck and plane include; cello, double bass, bass clarinet, contrabassoon, tuba, timpani, percussion, harp. Please organise your instrument road case now. AYO will provide road cases for cellos; each case will hold two cellos. If you wish to purchase a seat for your cello please contact AYO asap as most flights have already been booked. The cost will be your responsibility and this will need to be paid when booking the flight. AYO will use temperature controlled trucks whilst on tour. Please note that the tour will be during summer in the northern hemisphere. Your instrument case may need a humidifier to prevent damage to your instrument. ATA CARNET The ATA Carnet is an international customs document that allows AYO to temporarily import goods into a country. The document will list full details of each instrument/item including description(s), make, value, weight, case dimensions (H, W, D). Each instrument/item travelling by FREIGHT must be listed on the ATA Carnet document. If your instrument travels by freight from Australia it must travel by freight at the end of the tour back to Australia. If you need your instrument in Europe after the AYO tour then your instrument cannot travel by freight as part of the AYO ATA Carnet document. This means you will need to check your instrument as baggage on each flight you travel on.

Please consider when, and where, you will need your instrument after the tour as freight clearance can often take several days once it arrives back in Australia and is in the hands of Customs. Once cleared your instrument may then need to be couriered to your home city from Sydney. INSTRUMENT INSURANCE You are responsible for your own instrument insurance. You will need to supply AYO with a copy of your valid instrument insurance policy by April 2013. TRAVEL AYO will book and pay for all flights required for the program. There will be flights and coach travel within Europe. TRAVEL INSURANCE AYO recommends that all musicians travel with travel insurance. AYO is able to organise travel insurance for you via our travel agent, AYO is unable to cover the cost of this travel insurance. If you are remaining overseas following the tour then the cost of your travel insurance will increase. Forms will be sent to you in May 2013. FLIGHTS AYO will be flying Singapore Airlines (SQ) from/to Australia. Krisflyer points are not guaranteed on group bookings, however if you have a Krisflyer membership please provide your details. Domestic flights in Australia You will be required to arrive in Sydney by 1pm on Monday 22 July 2013 for the start of the program. On the return trip to Australia, you will transfer onto a direct flight to your home city from Singapore. Those of you based in Hobart or Canberra will fly via either Sydney or Melbourne. International flights International flights are already on hold and will need to be confirmed by March 2013. Staying on after the end of the tour if you wish to stay on after the end of the tour all accommodation, travel and arrangements will be your responsibility from 06:00am Sunday 18 August. The final AYO performance is about a 2.5 hour coach trip from Zurich. You must provide your return travel date to AYO by the end of February 2013, you may choose to delay your return flight to Australia by up to 12 months, arriving back in Australia by 3 August 2014. Please find a travel form attached to this email. Please note that there may be extra costs associated with your return flight as you will not be part of the AYO group fare on your return and taxes vary depending on the date of travel and flight availability. August is peak summer time in Europe. SQ flies direct from Singapore to Berlin and returns from Zurich direct to Singapore. AYO will not be flying via London, therefore if you wish to remain in Europe you will need to organise and pay for flights, train etc from Zurich. SQ departs from most major European cities, visit www.singaporeair.com You will be required to pay any cost that is more than the AYO group fare cost. Any changes made to booked flights will also incur a change fee. LUGGAGE The maximum weight limit is 23kg on all domestic and international flights. Each person is allowed only one bag, it is recommended you have a bag with wheels as you will be responsible for your own bag and instrument whilst on tour. TRAVEL & ACCOMMODATION FOR FAMILY/FRIENDS AYO is not able to book travel or accommodation for any family or friends wanting to attend any of the concerts however we can put you in contact with either Singapore Airlines or Alumni Travel.

CONCERT TICKETS All concerts are now on sale. Any tickets required by family/friends will need to be purchased via each venue box office. AYO is unable to purchase tickets on your behalf. MEDICAL ADVICE & VACCINATIONS Attached are the Medical Schedules from your AYO Participant Agreement that provide further medical information in relation to this tour. Vaccinations are recommended as they help prevent illness spreading whilst travelling with a large group. AYO is pleased to welcome back Dr Alanna Burton as our Tour Doctor. Dr Burton travelled with us on the last tour in 2010.
