OVERVIEW OF DLMS & CATERPILLAR PERFORMANCE CENTER


Caterpillars Dealer Learning Management System (DLMS) is a powerful tool that assists dealer employees, managers, and training administrators in managing personal growth and development. To access DLMS, a dealer employee will need to connect to a Caterpillar Performance Center (also referred to as a Campus). The Campuses are dealer interfaces for utilizing DLMS. There is also a DLMS Landing Page that enables navigation from one location to all assigned Campuses at https://dlms.logicbay.com.

Note: The term Performance Center will be referred to as Campus through the remainder of the training manual.

Each campus provides access to learning, manager tools, and training administrator tools based upon the individuals job role within the dealership. The Campus is web-based and can be accessed from any personal computer with Internet access, provided you have a Caterpillar Corporate Web Security (CWS) ID and password. Once a dealer employee is connected to the Campus, they can easily register and manage their course offerings, certifications, and curriculums. They also benefit from access to tools and resources and Campus specific news from Caterpillar regarding dealer related learning.

ABOUT REFERENCE MANUAL


The DLMS Administrator Reference Manual is a step-by-step guide for DLMS Administrators to use for DLMS core functionality based upon the three primary roles (Learner, Manager, Administrator) within the system. The manual covers the following topics for each role:

GETTING STARTED
1. 2. Click your web browser. Type https://dlms.logicbay.com in the URL address line to access the Caterpillar DLMS Landing page.

Note: You can also go directly to the campus of your choice by typing its web address. See Page 2 for a list of campus links.

3. Type your CWS Login ID and Password in the appropriate fields and click the Click Here to Login button. (If you do not have a CWS account or if your CWS account has expired due to inactivity, contact your IT Dealer Security Coordinator).

Note: -If you have already logged on with Corporate Web Security (CWS), the DLMS Landing page will display. -If your account has been disabled, Click the New Account/Help link on the CWS page. -If you forgot your password, Click the Forgot Password? link on the CWS page.

Enables customization of Locale preferences (language & timezone), and Catalog Search preferences (location, language, delivery type, search results).

Front Page News


Displays campus specific updates, announcements, and celebrations.

Log Off
Used to exit the DLMS Campus. The DLMS session will not terminate until this link is utilized.

SEARCHING
The Search feature is intended to help the user find DLMS Campus documents and courses. The next section covers the two types of searches available to a learner (Home Page Search and Course Catalog Search images shown below) in addition to the functions available to once search results are obtained (i.e. printing, exporting, column sorting, and others). Using Home Page Search


You can utilize the Home Page Search to quickly find documents or courses by clicking on the appropriate radio button. You can search for a course by typing in a part of a word, a word within the title, a keyword, course number, or offering ID.

Home Page Search for courses is demonstrated in steps 4 & 5 below using the same keyword of sales.

Select the Courses radio button Click button next to Search field A separate window opens and performs a search of the DLMS course catalog using sales in the course title field.

Using Course Catalog Search


The Catalog Search allows you to narrow your search by supplying more specific information such as Location, Facility, Course Number, etc

Highlight the MY LEARNING tab. Click on Search Course Catalog.

2.

Once the Course Catalog screen is displayed you will need to enter search criteria.

Note: The value entered in the title field defaults to a starts with query. If you add a % sign preceding the value, it builds a contains query.

Type in a keyword or value (i.e. %business in Title field). Click Search Course Catalog. The Learning Offerings and Packages section of the screen will appear with your search results.

Searching Course Catalog When Registering Learners (Manager / Admin)


1. During the process for a manager or administrator registering learners for a course the system defaults to a full text Simple Search of the Course Catalog.

Note: You can click on the Advanced Search link to switch to the default course catalog search.

You can type either the course title, part of the title, or course number in the Search field; or leave the Search field blank. Click the Search Course Catalog button. The system will return all available offerings, sorted by Course Title, where your search text was found in one of the following: Course Title Course Number Course Description Learning Objectives

Features Available on Search Results Screen


You can perform a variety of tasks once Learning Offerings and Packages are returned from your search.

You can: 1. 2. 3. 4. Click Modify Table link to change columns for Learning Offerings (See Figure 1). Click Export to export your results to a .CSV file that you can open in Microsoft Excel. Click Print to send your results to a printer. Click Calendar View link to view offerings in a calendar format (See Figure 2).

To View Detailed Course Information

1.

You can view more detailed information about a course once its displayed under Learning Offerings and Packages by clicking on the specific course title. The Learning Details screen is displayed.

From the Learning Details screen you can do the following: Note: Information provided on the Learning Details screen may change based upon the delivery type of the offering you have selected (i.e. Web Based, Instructor Led, etc). 2. 3. 4. 5. 6. 7. 8. 9. 10. To Register for a Course Offering


Note: If you are unfamiliar with how to search for Learning Offerings and Packages, review the Search section of the manual.

1.

Click the Register link next to a course listed under the Learning Offerings and Packages display. The Registration Confirmation screen is displayed.

Note: Since this course didnt require manager approval the Status field shows a value of Confirmed.

You can now click on any of the following features from the Registration Confirmation screen. 2. 3. Click the Print link to print a copy of Registration Confirmation. Click the Launch Content link to launch the course. Note: Only if Delivery Type is Web Based Training

Click on Go to My Courses to view this offering in your list of course enrollments.

To Register for a Course Offering that Requires Manager Approval


Note: If you are unfamiliar with how to search for Learning Offerings and Packages, review the Search section of the manual..

1.

Click the Register link for a course listed under the Learning Offerings and Packages display.

The Registration Notices screen is displayed.

2.

Click the Continue with Registration button. The Create Order screen is displayed.

Note: Since this course requires Manager Approval the Status field shows a value of Pending Approval. 3. Click the Place Order button.

The Registration Confirmation screen is displayed.

Click the Print link to print a copy of Registration Confirmation. Click on Go to My Courses to view this course in your listing of your course enrollments.

Check your e-mail for a system-generated message notifying you that the course offering is pending your managers approval.

To Cancel an Enrollment

1.

Highlight the MY LEARNING tab. Click on View My Courses. The My Courses screen is displayed.

Locate the course you want to cancel. Click the Drop link next to the title of the course you want to cancel. The Drop Offering screen is displayed.

Click the Drop button to confirm your cancellation. The My Courses screen is displayed with the learners current enrollments.

To View My Course History

1.

Highlight the MY LEARNING tab. Click on View My Course History. The My Course History screen is displayed. Note: The Course History defaults to one year.

2.

Select a date range for viewing your course history; you can use the icons to launch a calendar applet for choosing a date. Click the Search button once you have selected a date range. All completed courses display under Course History for the chosen date range.

Viewing your Certification Details

Highlight the MY LEARNING tab. Click on View Certifications The My Certifications Screen is displayed.

Click name of Certification (i.e. Machine Sales Manager Foundational Level Certification) Certification Details screen is displayed.

Click the Switch to Detailed Status View link from the Certification Detail screen. The Detailed Status View screen is displayed.

Click Switch to Detailed Status View from Curricula Detail screen. The Detailed Status View screen is displayed.

Viewing Learning Plan

1.

Highlight the MY LEARNING tab. Click on View My Learning Plan. The Learning Plan view is displayed.

Click View Activities button to view all of your current Learning Plan Activities (See Figure 3).

In addition to the Learner functionality, a Manager also has a My Team tab where she/he can: View Team Courses View Team History Register learners in a class View, approve, and cancel an enrollment for a learner View Manager Reports

To Register Learners in a Course Offering

1.

Highlight the MY TEAM tab. Click on Select Courses for Team. The Course Catalog screen is displayed.

Note: If you are unfamiliar with how to search for Learning Offerings and Packages, review the Search section of the training manual.

Search course catalog in order to find a course(s). Click the Register link for the desired course offering. The Create Order screen is displayed.

Click the Add Learners link to register a learner.

The Search for People screen is displayed.

Type the Last Name and/or First Name of the person you want to register, or you can leave all the fields blank and look at all of the people who report to you. Click the Search button. Based on your search criteria, the People display at the bottom of the screen.

The Create Order screen will display.

Click the Remove From Cart link to remove the No Learner Assigned. Click the Place Order button to confirm the order. After clicking the Place Order button, the Registration Confirmation Screen Is displayed.

To View, Approve, and Cancel an Enrollment for a Learner

1.

Highlight the MY TEAM tab. Click on View Team Courses. The Team Courses screen is displayed.

2.

Click the name of the learner you want to view and approve enrollments for, or to cancel from a course. The learners Courses screen is displayed.

Note: The View Courses By dropdown menu defaults to courses that are Pending Approval.

Click the Approve link under the Actions column for the course you wish to approve.

Select All from the View Courses by dropdown menu if you would like to view all course enrollments for a learner. To drop a learner from a course, Click the Drop link next to the title of the course you want to cancel. The Drop Offering screen is displayed.

Click the Drop button to confirm the cancellation. The learners Courses screen is displayed with the learners current enrollments.

To View Team History

1.

Highlight the MY TEAM tab. Click on View Team History. The Team History screen is displayed.

Click the name of the learner to view their learning history. The learners Course History screen is displayed.

Select a date range. The system defaults to one year from the current date. Click the Search button All completed courses display under Course History.

A Dealer Manager can use the My Team Tab for Viewing Learning Plans for learners and Viewing Certifications for learners.

To Assign a Certification for a Member of Your Team

1.

Highlight the MY TEAM tab. Click on View Team Certifications The Team Certifications Screen is displayed.

2.

Select the Team Members in which you would like to assign a certification (single or multiple selection).

Note: Prior to Step 3, you can also click on the name of a team member in order to view the current certifications for the selected learner.

Click the Add Certification link. The Add Certification Screen is displayed.

Click the Search button.

The Certifications are displayed at the bottom of Add Certification screen.

Click the box in the Select column corresponding to the Certification you wish to assign. The selected certification will be assigned to all team members you have selected.

Note: The selected learner now has an additional certification added in the Assigned column of the Team Certifications screen.

Here are explanations of each column (from left to right) for the Certifications table listing. Select: Check box for selecting a certification from the list. Name: Displays the name of the certification Available From: Indicates the date in which the certifications were made available. Discontinued From: Indicate the date in which a certification was discontinued Target Days: Indicates the number of days the learner has to complete this certification. Expire in: This indicates how many days this certification is available for use. Notify before (days): Specifies the point in which a Target Days notification should be sent.

To View Certification Path Details for a Member of Your Team

1.

Click a name listed under Team Member column. My Certifications screen is displayed.

2.

Click on certification assigned to learner Certification Details Screen is displayed.

3.

Scroll down to see details of the learners progress within this certification path.

To Manage Learning Plans for a Member of Your Team

1.

Highlight the MY TEAM tab. Click on View Team Learning Plans The My Team Plans Screen is displayed.

To Register Learners in a Course Offering

Highlight the TOOLS & RESOURCES tab. Click on Dealer Admin Tools and Create Order. The Create Order Screen is displayed.

DLMS Training is a required before obtaining the DLMS Administrator and DLMS ILT Offering Creator role.

OVERVIEW OF RELATIONSHIP BETWEEN DLMS & IMAP


In order for a person to receive access to the DLMS, the following data is necessary information to supply the IMAP Administrator or Security Coordinator within your dealership. Certain DLMS privileges and information will not be provided, nor be accurate until this information is updated for each person who will be accessing the DLMS. Once the IMAP data is changed through the IMAP function, it will update the Caterpillar Global Directory Service (GDS). The Caterpillar Global Directory will sync with DLMS within three business days after you make the change in IMAP.

To update the following information, go to https://imap.cat.com. The data fields that need to be up-to-date for each person are:
First, middle, and last name of person o Preferred name, if different from official legal name. Email address o Email address will be used for notifications from the Performance Center regarding learning activities. Who the person reports to o A persons reports to is necessary if a manager or supervisor wants to approve learning for their team and receive email notifications. It is also necessary to list the persons reports to information for a manager to receive accurate details on their teams learning, especially through system-generated reports. Job Role o There can be no more than three job roles associated with a person within the DLMS. The most accurate job role(s) should be selected through IMAP. A job role will be beneficial to have when: Using competencies Using certifications Using reports Managers and Training Administrators push learning out to learners

Creating New Identities & CWS IDs


Note: These Instructions are for a Dealer IMAP Administrator or Security Coordinator.

The following steps detail how to create a brand new identity and CWS ID through the Caterpillar Identity Management & Account Provisioning (IMAP) website. IMAP can be accessed via the web at https://imap.cat.com.

To create a New Identity


1. Access the IMAP website at https://imap.cat.com. 2. Sign on using your Caterpillar CWS ID and Password. 3. Click Create located under Identity Management on the left-hand side.

4. Type the persons First Name and Last Name, as well as their Preferred First Name, if applicable. 5. Click Submit.

6. Type their Middle Name, or click the None checkbox.

7. Choose the correct Affiliation Description for the person.

9. Important: Type a valid Email Address.

IMAP Account Management (for revising existing accounts)


The following steps detail how to modify an existing identity through the Caterpillar Identity Management & Account Provisioning (IMAP) website. IMAP can be accessed via the web at https://imap.cat.com. People who currently have an identity in IMAP may need two fields updated in order to access DLMS: 1) Job Role 2) Manager. Certain DLMS privileges and information will not be provided, nor be accurate until this information is updated for each person who will be accessing the DLMS. Note: Whenever changes need to be made to a learners identity (Name, Organization Code, supervisor, etc..) the identity should be modified instead of creating a new identity. Creating a new identity will cause the dealership to have multiple user accounts in DLMS and fragmented training records.

To Modify an Existing Identity


1. Access the IMAP website at https://imap.cat.com. 2. Sign on using your Caterpillar CWS ID and Password. 3. Click Modify located under Identity Management on the left-hand side.

4. From the center dropdown menu choose the method in which you would like to search for a person to modify. (Searches can be done using a CWS Login ID, First and Last Name, etc.)

Second Level Support for Dealer Employees:


If the DLMS Administrator is unable to resolve the issue they should contact a Caterpillar DLMS Campus Administrator. Before contacting a campus administrator (See Table 2 Caterpillar DLMS Campus Administrators) it is important that the DLMS Administrator performs troubleshooting in order to diagnose the technical issue. Here is a list of preliminary questions and troubleshooting techniques for a Dealership Administrator to review and apply prior to calling the appropriate Campus Administrator with any issue. Does the learner who is reporting the issue experience the same problem on a different computer? Can you reproduce the problem? What happens when you try the exact steps that gave the learner an error? Confirm the technical requirements for the learners PC. (See Table 3 DLMS Technical Requirements). Has this error occurred in the past or did the learner just start experiencing issues with DLMS courses or functions? Does the learner have the correct campus assignments? (Critical evaluation when experiencing errors registering a learner for courses). If a course will not launch, o Validate that all pop-up blockers are disabled o Have the learner close ALL browser windows and try again. Document results. When a course isnt scoring, validate if the learner exited the course appropriately. What URL is the learner going to? Is this correct?

When reporting any issue the Dealer DLMS Admins should at a minimum give the following pertinent information for the most efficient response: Learner name & CWS Id Course name & number Exact step by step details that result in the issue (if possible) Any screenshots that may be of use (if possible) Date and Time issue occurred (be specific as possible) Location where the learner accessed the system (i.e. from the dealership, from home, etc).
