Organization Background I will be conducting my communication audit research at System One, an outsourcing organization which provides skilled and

professional workforce for the energy, engineering and scientific industries. System One not only provides recruitment solutions to clients, but also assists professionals in their career path. By doing so, System One can effectively match the workforce to its clients needs. Interviewee I will be interviewing Paul Viehmann, the Vice President of Energy Services. Paul manages the Renewable Energy and Engineering division. At the moment, he is overseeing five Business Developments and three recruiting professionals. My Connection to the Organization I am currently working at System One as Field Operations and Recruiting Manager. My responsibilities include coordinating and directing field operations, recruitment, technical training, strategy development and mentoring efforts to ensure proper enlistment and retention of quality personnel. Primary Research Instrument Introduction To fulfill the requirements of a course which I am taking, I am required to interview an individual from this organization, in order that I may assess and understand the organizations internal and external communication system.

I will be taking some notes to avoid missing out any important information from this interview. This interview would take roughly half an hour of your time. I greatly appreciate that you are willing to spare some time for this interview. Your participation in this interview is completely voluntary for research purposes. You have the right to decline answering any question or to drop out from this interview anytime. Questions 1. What would be the current goals and objectives for communication in the organization? Are the messages communicated clearly to employees? How do employees perceive them? How do you know? Can you describe an incident when the companys goals were not clearly communicated? What was the outcome? 2. How do the communications support the organizations overall strategic plan? Please give detailed examples. 3. Now I would like you to talk about the formal communication channels in the organization, such as emails, memos, meetings, companys website, intranet and videoconferencing. What kinds of information flows through such channels? From where and whom does such information flow? How would you describe the effectiveness of these communication channels? What would you suggest to improve these channels? 4. Now I would like you to talk about the informal communication channels in the organization, such as lunchtime at the cafeteria, instant messaging or verbal exchanges. What kinds of information flows through such channels? From where and whom does such information flow? How would you describe the effectiveness of these communication channels? What would you suggest to improve these channels?

5. What would be the major form of communication channels within the organization informal or formal? 6. What do you think are the communication strengths in the organization? 7. Could you describe an incident when the company received a customer complaint about the communication channels? What was the outcome? 11. In your opinion, are there any existing communication barriers between the organization and the clients? What are they? How has the organization dealt with these communication barriers? What has been the outcome of these interventions? 12. What are the available communication channels with job seekers? 13. In your opinion, what is the hardest part when it comes to communicating with job seekers? 14. Is the organization missing out any communication opportunities with the job seekers? What are they?
