Getting Started
In this chapter:
What is Athena CD Cataloger?
Requirements
Unlocking Athena CD Cataloger
Setting CD Cataloger options
What is Athena CD Cataloger?
Athena CD Cataloger is a cataloging tool that makes it easy for
you and your helpers to import MARC records into Athena
from Brodart Automations Precision One CD-ROM product.
What is Precision One?
Precision One is a CD-ROM database containing over one
million MARC records. Using MARC records from Precision
One is faster and more convenient than creating them yourself.
2 Chapter 1 Getting Started Requirements
Athena CD Cataloger Users Manual
Why use Athena CD Cataloger?
Although you can bring MARC records from Precision One into
Athena without Athena CD Cataloger, the process involves
numerous steps and can take time. First, you have to use the
Precision One software to locate the MARC records you need.
Then you have to export them. Finally, you have to import these
MARC records into Athena.
Athena CD Cataloger streamlines this process. Simply start
Athena, search the Precision One database for the required
MARC record, modify it as necessary and add it to the
appropriate Athena collection all using standard Athena
functions. You do not need to learn new software, worry about
exporting MARC records or even start Athenas Import feature.
Requirements
Athena CD Cataloger will run on any computer capable of
running Athena.
Unlocking Athena CD Cataloger
Before you use Athena CD Cataloger, you must unlock it using
Product Manager. For instructions, refer to Chapter 1 Getting
Started in your Athena Users Manual.
Setting CD Cataloger options Chapter 1 Getting Started 3

Athena CD Cataloger Users Manual
Setting CD Cataloger options
You can customize Athena CD Cataloger behavior by setting
these options:
Maximum number of records to retrieve. Use this option to
specify the maximum number of records that can be retrieved
per search.
Log reporting level. Use this option to specify the level of
detail to be included in the search log. Levels include general,
and detailed. The general level provides basic log
information. This is the level used by most libraries. The
detailed level provides more detailed information that may
be useful to a Sagebrush support analyst.
Wait time in seconds to stop search operations. Use this
option to specify the amount of time, in seconds, that Athena
CD Cataloger should wait for search results before ending the
search. If there are network difficulties or some other problem
that prevents Athena CD cataloger from retrieving results, the
search will automatically be cancelled after the specified time.
If you are using non-network drive, we recommend that you
set this value to 2.

Setting holdings parameters Chapter 2 Using Athena CD Cataloger 13

Athena CD Cataloger Users Manual
Setting holdings parameters
Holdings parameters are values that Athena CD Cataloger uses to
enter copy information into the new MARC record. There are
two types of holdings parameters: call number and general. Call
number parameters provide Athena CD Cataloger with the
information it needs to build call numbers. General parameters
provide Athena CD Cataloger with the information it needs to
fill in other pieces of copy information.
You enter holdings parameters from the Specify Holdings
Parameters screen.
To access the Specify Holdings Parameters screen:
From the Add Title from CD-ROM search screen, click the
HOLDI NGS PARAMETERS tab.

SAVE Click SAVE to save your changes and have
them apply to this and future cataloging
sessions. Note: if your library has Athena
zMARC, any changes you make will also
apply to the Athena zMARC holdings
parameters.
USE Click USE to have your changes apply only to
this cataloging session. If you exit and then
restart Athena CD Cataloger, the holdings
parameters will revert to their previous values.

This table describes the different call number parameters:
PARAMETER DESCRIPTION
Prefix This is the first component of a four-part call
number. Common prefixes are FIC, REF, etc. Enter
the prefix that you want Athena CD Cataloger to
assign copies.
Main This is the second and main component of a four-
part call number. You can choose Dewey, LC or
Other. If you choose Dewey, Athena CD Cataloger
will take this call number component from tag 082
of the Precision One MARC record.
If you choose LC, Athena CD Cataloger will take
this call number component from tag 050 or 055 of
the Precision One MARC record.
If you choose Other, you must tell Athena CD
Cataloger where in the original MARC record it
should look to find this part of the call number. Do
this by entering a tag number and subfield code.
You can specify up to four fields. Athena CD
Cataloger will check these fields, in order, and use
the first non-blank value it finds.
Setting holdings parameters Chapter 2 Using Athena CD Cataloger 15

Athena CD Cataloger Users Manual
PARAMETER DESCRIPTION
Cutoff Enter a value for this parameter only if you have
chosen Dewey call numbers. The Dewey Cutoff
refers to the number of Dewey classification sections
to include in the call number. The sections are
separated by forward slashes. Usually this value is
1.
If you leave this parameter blank or set it to 0 (zero),
Athena CD Cataloger will not assign a main call
number component. If you set this parameter to -1,
Athena CD Cataloger will use all available Dewey
classification sections.
Cutter This is the third component of a four-part call
number. In Dewey call numbers, it is usually the
first three letters of the authors surname or the
author Cutter taken from a Cutter table. In LC call
numbers, the Cutter is usually blank.
If you want Athena CD Cataloger to enter Cutters,
you must tell it where in the original MARC record
it should look to find this part of the call number.
Do this by entering a tag number and subfield code.
You can specify up to four tags. Athena CD
Cataloger will check each tag, in order, and use the
first non-blank value it finds.
Length Enter the Cutter length. If you leave this parameter
blank or set it to 0 (zero), Athena CD Cataloger will
not assign a Cutter. If you set this parameter to -1,
Athena CD Cataloger will copy the entire contents
of the specified MARC tag.

18 Chapter 2 Using Athena CD Cataloger Copying a Record from Precision One
Athena CD Cataloger Users Manual
Copying a Record from Precision One
Before Athena CD Cataloger can copy a record into Athena, you
must find the record in the Precision One database.
Quick start
1. From the Add Title from CD-ROM search screen, enter your
search terms in the appropriate boxes. For example, type
subject search terms in the Subject box, author search terms
in the Author box, etc. If you want a search term to apply to
all areas of the MARC record, enter it in the All Indexes box.
2. Click SEARCH. If there is only one matching title, Athena CD
Cataloger will copy it into Athenas Add Title feature. (In
this case, you can ignore the rest of these quick start
instructions.)
3. If there is more than one matching title, Athena CD
Cataloger will display the first seven matching titles in the
search results. Move through the search results using the
NEXT and PREVI OUS buttons. When you see the title that
you want to copy, click it. You will see its full description.
4. Click COPY TI TLE. Athena CD Cataloger will copy the title
into Athenas Add Title feature.
Copying a Record from Precision One Chapter 2 Using Athena CD Cataloger 19

Athena CD Cataloger Users Manual
Copying a record detailed instructions
The first step is to search the Precision One database for the
record that you want to copy.
Searching the Precision One database
The Add Title from CD-ROM search screen contains five labeled
boxes. You enter your search terms in these boxes.

Limiting search terms
Most often, you will want to specify that a particular search term
applies to only a certain type of bibliographic information. This
is called limiting the search term.
For example, you might want to locate titles written by someone
whose surname was Wolf. Since you are not interested in books
about wolves, or books with the word wolf in the title, etc., you
should limit the search term to author. This way, Athena CD
Cataloger knows that it need only search author information.
Notice that four of the five boxes on the Add Title from CD-
ROM search screen correspond to parts of a standard
bibliographic record: ISBN/LCCN, title, author and subject. You
limit a search term by typing it in the appropriate box. For
example, to limit a search term to author, type the search term in
the Author box.
20 Chapter 2 Using Athena CD Cataloger Copying a Record from Precision One
Athena CD Cataloger Users Manual
This table describes the type of information that can be entered
in the various boxes:
BOX DESCRIPTION
ISBN/LCCN Type an ISBN or an LCCN with or without
punctuation. Athena CD Cataloger will find
any records in the Precision One database that
have this ISBN/LCCN.
MARC fields searched: 010, 020, 022.
Title Type a title. Athena CD Cataloger will find
any records in the Precision One database that
have these words in their title.
MARC fields searched: 130, 210, 211, 212, 222,
240, 241, 242, 243, 245, 246, 247, 740, 753.
Author Type a complete authors name or individual
words from the name. Athena CD Cataloger
will find any records in the Precision One
database written by this person.
MARC fields searched: 100, 110, 111.
Subject Type a subject. Athena CD Cataloger will find
any records in the Precision One database that
are about this subject.
MARC fields searched: 600, 610, 611, 630, 650,
651.
All Indexes If your search term does not apply exclusively
to an authors name, an ISBN, an LCCN, a
subject or a title, enter it in this box. Athena
CD Cataloger will search the Precision One
database for MARC records that contain your
search term somewhere in their bibliographic
information.
MARC fields searched: 100, 110, 111, 245,
260$c, 261$c, 261$d, 262$c, 600, 610, 611, 630,
650, 651, 700, 710, 711.

Copying a Record from Precision One Chapter 2 Using Athena CD Cataloger 21

Athena CD Cataloger Users Manual
Note: Each Search term must include at least one word that is
three characters or longer.
Word order is not important when you specify a search.
For example Whale Brother and Brother Whale would yield
the same search results.
Athena CD Cataloger will ignore any punctuation in your
search terms. It will also ignore words less than three
characters long. You cannot use Athena CD Cataloger to
search for these words:
and der eine
das des les
dem ein the
den

To perform a limited search:
1. From the Add Title from CD-ROM search screen, enter the
search term in the appropriate box. For example, to limit a
search term to subject, type the search term in the Subject
box.
2. Click SEARCH. Athena CD Cataloger will perform the search
and display the first seven matching titles. Note: if there is
only one matching title, Athena CD Cataloger will not
display the search results. Instead, it will copy this title into
Athenas Add Titles feature.
Tip To perform an unlimited search, type your search term in the All
Indexes box.
22 Chapter 2 Using Athena CD Cataloger Copying a Record from Precision One
Athena CD Cataloger Users Manual
Truncated searches
Athena CD Cataloger can perform two types of searches: exact
and truncated. In an exact search, Athena CD Cataloger finds
only those titles that contain your exact search term. For
example, to specify an exact search to find information about
whales, you must type the entire word whales. Typing WHAL is
not sufficient.
In a truncated search, Athena CD Cataloger searches for titles
whose specified bibliographic information starts with your
search term. This is helpful if you want to search for a term and
all the possible endings for that term. For example, if you
specified a truncated search on WHAL, Athena CD Cataloger
would find titles about whales, whaling, whaleboat, etc.
Note: By default, Athena CD Cataloger performs exact searches.
This is true even if Athenas Default Search Behavior
parameter is set to Truncated.
To specify a truncated search:
Add an asterisk (*) to the end of the search term.
Examples:
TO SPECIFY A TRUNCATED
SEARCH ON
TYPE
librar LI BRAR*
whal WHAL*
compute COMPUTE*

Note: You must enter at least four characters before the asterisk.
Copying a Record from Precision One Chapter 2 Using Athena CD Cataloger 23

Athena CD Cataloger Users Manual
Using wildcards
If you are unsure of how to spell a particular word, you may
find that using the wildcard symbol helps. The wildcard symbol
(?) replaces a character within a search term and tells Athena CD
Cataloger to accept any character in this position. For example,
you might not remember whether an authors name is McGowan
or McGowen. You can get around this problem by searching for
MCGOW?N. Since this search term finds both McGowan and
McGowen, the search results will likely contain the title you
want.
Note: You cannot use the wildcard symbol in any of the first four
characters of a search term.
Using multiple search terms
You can combine search terms to specify a more precise search.
If you do, Athena CD Cataloger will locate only those titles that
contain each of the search terms.
Note: Whenever you use multiple search terms, Athena CD Cataloger
searches as if the terms were combined with the AND Boolean
operator. In other words, Athena CD Cataloger will find only
those MARC records that match all of your search terms. This
is true whether your search terms are limited to the same part
of the MARC record (entered in the same box) or limited to
different parts of the MARC record (entered in different boxes).
Multiple search terms are useful in many situations. For
example, you might want to find a title written by Louise Martin
that is about rare animals.
24 Chapter 2 Using Athena CD Cataloger Copying a Record from Precision One
Athena CD Cataloger Users Manual
Here is a diagram that will help you visualize this search:

The circle on the right represents all the items in the Precision
One database about rare animals. The circle on the left
represents all the titles in the database written by Louise Martin.
The shaded area where the two circles overlap represents items
about rare animals written by Louise Martin.

To search with multiple search terms:
1. From the Add Title from CD-ROM search screen, type your
search terms in the appropriate boxes. For example to find
materials that were written by Louise Martin about Whales,
type LOUI SE MARTI N in the Author box and WHALES in
the Subject box.
2. Click SEARCH.
Tip To limit two search terms to the same type of bibliographic
information, enter them into the same box. For example, to
search for items about both whales and dolphins, type WHALES
DOLPHINS in the subject box. Note that the search terms are
separated by a single space; no punctuation is required.

Viewing the search results
After you specify a search, Athena CD Cataloger will search the
database and list the titles that match your search criteria.
Note: If there is only one matching title, Athena CD Cataloger will
automatically copy it into Athenas Easy Entry or MARC Entry
feature. You can then make any necessary changes to the record
before saving it into an Athena collection. For instructions, see
Modifying and saving the MARC record starting on page 32.
If there is more than one title that matches your search criteria,
Athena CD Cataloger will list the matching titles.
