President
This is an elected office. This person must have a vision and plan for the booster club as
well as ideas to implement those plans. Responsibilities include:
Oversee all activities of the booster club
Set up and conduct meetings (provide calendar and agendas for each meeting)
Be accessible during most practice times (establish regular office hours so that
parents on all teams have access to you)
Deal with parent complaints and concerns and work with booster board and
coaching staff to resolve
Set up and participate in committees to handle Booster Club matters (banquet,
spirit, budget)
Work closely with the Treasurer to resolve problems with individual accounts as
well as the general fund. Ensure that the budget is being adhered to.
Vice President
This is an elected office. This person must be very organized and able to multi-task.
Responsibilities include:
Fit, order, and distribute uniform/warm-up orders to cheerleaders and parents in a
timely manner
Establish a Spirit Wear program for parents/siblings to purchase cheer apparel and
merchandise and oversee ordering and distribution of the products
Work closely with the Treasurer regarding payment for all apparel and uniform
pieces
Establish, organize and maintain records for the rental program for extra uniforms
in stock
Set up a committee of parent volunteers to help with job duties and assign tasks as
needed.
Secretary
This is an elected office. This person should be very organized and accessible at the gym.
Responsibilities include:
Attend, report and record minutes for all board meetings and general booster club
meetings and make them available for public viewing
Provide information for distribution to parents, team reps and coaches via
mailboxes
Collect and organize cheerleader documents (physicals, medical release forms)
Maintain accurate roster information and provide a mailbox for each family
Ensure that registration and payment for each competition is completed in a
timely manner
Work with Communications to produce a directory of all cheerleaders at the gym
Organize a committee of parent volunteers to help with job responsibilities and
assign tasks as needed
Treasurer
This is an elected office. A strong accounting/bookkeeping background is necessary. A
resume will be required in addition to the information sheet. Knowledge of Excel or
QuickBooks is a big plus. Responsibilities include:
Collect all money for the booster club (from parents, fundraising, and other
sources)
Create, maintain and distribute accurate individual account statements for each
family on a regular basis (monthly)
Make bank deposits
Maintain the general fund and monitor expenditures
Pay all booster club bills in a timely manner, dispute any billing errors
Balance the bank account
Provide financial reports and information at meetings
Create a budget plan with board assistance
Monitor delinquent accounts and contact parents and coaches with problems (with
president)
Be available at most practices for parent questions and concerns. Set up regular
office hours where parents can speak with you regarding their accounts.
Maintain the financial records of the general fund and be able to present them to
any member upon request
Fundraising Coordinator
This is an elected position. This person should be willing to work hard and present ideas
to the board to raise money for both individual and booster club accounts. Previous
experience planning/organizing events would be very helpful, but is not a requirement.
Responsibilities include:
Plan activities for individuals to raise money for their accounts
Plan activities for fundraising for the booster club’s general fund
Participate on all committees regarding general fund fundraisers
Work with the Treasurer regarding individual payments for fundraisers and
oversee payment of profits to individual accounts from all sources
Handle (or appoint someone to handle) Avon sales/profits, Kroger/Meijer gift card
sales/ profits, Thornton Oil card sales/profits,
Monitor fairness in fundraising opportunities to insure that anyone who would
like to participate is given the opportunity
Establish a committee of parent volunteers to help carry out all job duties and
assign tasks as needed
Communications Coordinator
This is an appointed position. This person is responsible for keeping the parents,
cheerleaders and coaches informed about all matters at the gym (important dates,
meetings, committees, birthdays, competitions). This person should possess some
knowledge regarding web page design. Responsibilities include:
Gather and distribute information from all sources to parents and coaches on a
frequent basis (competitions, fundraisers, payment due dates)
Produce the monthly newsletter and distribute
Maintain the website information
Work with the secretary to create a directory that will include cheerleader
information for distribution to all booster club members and coaches
Establish a committee of parent volunteers to help with job duties and assign tasks
as needed
Team Representative
This is an appointed position. This is one of the most important positions at the gym. There will be one
representative from each squad. The team rep will have a voting right in each matter that is presented to
the board at booster meetings. Responsibilities include:
Communicate with every coach/parent/cheerleader on your team to learn of complaints, concerns
or problems
Present the result of communications to the board for discussion and resolution
Work with the coaches regarding distribution of practice schedules and be sure every family is
informed of any changes to the schedule
Gather information from parents at the board request (sometimes in a moments notice)
Work to insure that each team actively participates in supporting the other teams at the gym during
competitions
Plan activities to promote team spirit and bonding
Plan activities that will allow the team to associate outside of the gym especially for holidays
Assist all officers in their duties as needed
Travel Coordinator
This is an elected position. Previous group event planning or travel agent experience would be a big help
in this position, but is not a requirement. Responsibilities include:
Obtain quotes and availability of hotels and transportation options
Make reservations for all hotels (can be done through a board approved travel agent)
Publish due dates for payments and cancellations so that parents will be informed
Make any necessary changes to room requests whenever possible before due date
Provide the Treasurer with an accurate list of charges for each cheerleaders account and notify
promptly of payment problems
Communicate with the Travel agent regarding past due accounts and ensure payment is received
before departure (must communicate findings with coaches and president)
Gather information for competitions and distribute to parents (maps, costs, performance times,
meeting times, apparel to be worn)
Assist parents with any travel related questions or concerns
Compile rooming lists and ensure that each cheerleader is assigned a room
Set up a committee of parent volunteers to help with job duties and assign tasks as needed.
Spirit Coordinator
This is an appointed position. This person will promote TEAM spirit among all cheerleaders and parents.
Responsibilities include:
Chair a spirit committee where all teams are represented
Plan and oversee activities for the cheerleaders before/during competitions
Set up and maintain Big/Little sister program
Plan and participate in a fun activity for each day during camp
Initiate activities to encourage team spirit over squad spirit
Establish a committee of parent volunteers to help carry out all job duties and assign tasks as
needed
