Westlake Estates Owners Association Meeting

February 19, 2008

The meeting was called to order at 7:35 PM in the meeting room at Lakehouse West.
Board members present: Bill Tarpley, President; Tom Witter, Treasurer; Rick Battaglia,
Director. Absent: MaryBeth Crockett; Michael Golk.
Proof of Notice of meeting: Signs posted at entrance to Westlake Estates.

• Minutes of January 15, 2008 meeting read and accepted.


• Treasurer’s Report: Balance as of February 17, 2008 - $21,167.32. Accepted.
Old Business
• Road repair. Payment needs to be sent to vendor.
New Business
• Directors’ and Officers’ Insurance
It has been proposed that, to protect a homeowners’ association board of directors in
the case of a lawsuit, Directors’ and Officers’ Insurance be purchased. There was a
motion and a second to accept the proposal. Al Purmort, our present insurance agent,
submitted a quote of $882. Brown & Brown also submitted a quote. It was agreed
that one more quote needs to be obtained. Betsy Abreu suggested Valek Insurance.
Bill Tarpley will follow up. Although a low risk over the years the Association has
been in existence, it was agreed that the litigious nature of today’s society makes this
purchase essential. Ms. Abreu moved to move forward after the third quote is
received, leaving it to the Board to determine which agency will write the policy.
Bill stated that Marybeth and Michael had already agreed verbally to the plan. Bill
will investigate whether their agreements need to be documented and signed by each
of them.
• Palm tree trimming
Brianda Enterprises submitted the lowest bid ($270) of three received for trimming
the palm trees along the south side of Fox Run Road. The other bidders were Total
Tree and Affordable Tree Service. Chris, our lawn maintenance provider also
expressed interest in the job. If she is able to trim the trees for less than $270, she
will be given the job.
• A discussion of Board members’ responsibilities was discussed in response to Ms.
Abreu question about the various tasks assigned to the positions. She agreed to be
included on the Proxy Ballot as a potential Board member.
• Marybeth Crockett has resigned her Board position related to personal matters. Lee
Ruggles has agreed to assume the secretarial duties.
• Michael Golk has resigned his Board position related to his move out of State.
• The annual mailing of the Proxy Ballot; 2007 Statement of Income and Expenses;
2008 Proposed Budget; and 2008 Statement of Annual Assessment will be mailed to
Homeowners within the next three weeks.
• The issue of resealing Fox Run Road has been tabled. It will be discussed with
Lakehouse West’s Administrator vis a’ vis sharing the expense.

• Rick Battaglia posed a question about the possibility of re-planting palm trees on the
Fox Run Road median. The issue was tabled for the present.
• Tom Witter announced that the Association’s tax accountant is retiring. Rick
Battaglia has suggested a replacement and will follow up.

Annual Meeting
The annual Association meeting has been scheduled for Tuesday, April 8, 2 008 at
Lakehouse West.

There being no further business a motion to adjourn the meeting was entertained, made,
and seconded.

Meeting was adjourned at 8:20 PM.
