Speed-Dial number

This chapter describes how to setup and use the speed-dial number,
one-touch key, group dialing. Directory dialing, also described in
this chapter, allows you to locate a fax number or an e-mail address
by searching names registered in the speed dial number.
1-2 Getting Started
Setting up speed-dial number
Speed-dial number allows you to retrieve the other partys fax number and/or
e-mail address from the shared address book by pressing the <Speed Dial
/Group> button followed by a four-digit code.
The shared address book can be edited by setting up the speed-dial number on
your machine, or using the Admin Tools on Message Board web page from PC.
Setting up speed-dial number

Press <Menu>, <1>, <2>, <1>, then <Enter>.

Specify the speed-dial number that you want to register or edit.
Use the numeric keys to enter a four-digit code (00011000).

NOTE
If a speed-dial number is already registered for a four-digit code, you
will see the registered name displayed.

With the code you want to register displayed on the LCD, press <Enter>.

Use the numeric keys to enter the name for the number.
The name can hold up to 30 characters.
To change the name, press <

NOTE
After you set up the Speed-dial numbers, we recommend that you occa-
sionally print a list of all destinations registered in the shared address
book and store it for reference.
To print a list of shared address book, press <Menu>, <5>, <1>, <0>,
<8>, <Enter>.
Erasing a speed-dial number

Press <Menu>, <1>, <2>, <2>, then <Enter>.

Specify the speed-dial number that you want to erase.
Use the numeric keys to enter a four-digit code (00011000).

Setting up group dialing
Group dialing allows you to dial a group of registered speed-dial number.
By registering each fax number and e-mail address registered in the speed-dial
number, you can send the same document to several location only pressing a
few buttons.
Setting up group dialing

Press <Menu>, <1>, <3>, <1>, then <Enter>.
If a group dialing is already registered, you will see the registered name
displayed.
If you want to setup a new group dialing, press <

> or <p> until the fol-
lowing display appears.

The name can hold up to 24 characters.
To change the name, press <

Setting up one-touch key
You can setup one-touch key as a shortcut key so that you can specify a desti-
nation by pressing only one button.
You can register the following item to a one-touch key:
Speed-dial number
Shortcut of Shared Folder
Shortcut of FTP server
Shortcut of Message Board users scan box
NOTE
By registering a speed-dial number to a one-touch key, you can reduce the
procedures of the speed-dial number operation.
To register a speed-dial to a one-touch key, you must rst setup a speed-
dial number.
To use a one-touch key as a shortcut key of Shared Folder or FTP
server, you must rst create a shortcut with PC.
To create a Folder shortcut or FTP shortcut:
1. Access Message Board through the browser from PC.
( Type the IP address of Message Board in the URL address eld on a
web browser.)
2. Click [Folder Shortcuts] or [FTP Shortcuts] in the Admin Tools tab.
3. Create a shortcut.
( For more information of creating a shortcut, refer to the Message
Board PC Users Guide located on the Message Board CD.)
Setting up one-touch key
To set up a one-touch key:

shows Folder shortcut number (such as F01).

Follow this procedure to send a document at the press of the <Speed Dial/
Group> button followed by a four-digit code.

To use this feature, you must rst register a fax number or e-mail address
to Speed-dial number. (See page 1-2.)

Using group dialing
Follow this procedure to send a document to several destinations with a speed-
dial number registered for group dialing.
NOTE
To use this feature, you must rst register a group of destinations for
speed-dial number.

In the scanner mode, the one-touch key where the speed-dial that contains
only a fax number is registered cannot be entered.

Using directory dialing
Follow this procedure to look up the other partys name and retrieve the num-
ber for dialing. This feature is convenient when you know the other partys
name but cannot recall the Speed-dial number, Group dialing or One-touch key
where the number or e-mail address are registered.

Scroll through the listings to nd the desired contact by using the cursor

Contrast
Adjusting the scan contrast allows you to compensate for any excessive light-
ness or darkness of the documents you are scanning.
NOTE
This function is not available when scanning a color document.
To change the scanning contrast:

Scan size
To change the scanning size:

Press <Doc. Size> repeatedly to select your desired scan size.
The available setting is as follows:
Available document size
A4 (210 297 mm), A5 (148 210 mm),
F4 (216 356 mm)
NOTE
When you use the automatic document feeder (ADF), you can also select
Auto. When you select Auto, custom size documents (up to 900 mm in
length) can be scanned.

Scan to folder
Scanning documents into a folder
You can send a document directly into a shared folder on a network PC.
NOTE
To use this feature, you must rst register a folder shortcut using Admin
Tools on Message Board web page. (See Registering folder shortcut on
the next page.)

number (0120).

Creating or editing Folder shortcut
NOTE
To register the folder as a shortcut, it should meet the following conditions:
The folder name should not contain other ASCII code.
The folder should be a shared folder or a folder under the shared folder.
The shared folders name should be within 12 characters.
The full path should be within 100 characters.
The folder should be in the same segment with your machine (13/19ppm
MFP).

A list of folder shortcuts will be displayed.

Item Description
No The folder shortcut number.
Name The folder shortcut name.
[Initialize] To delete a folder shortcut, select the box next to the
folder number and click [Initialize].

Select a number (01 to 20) you want to create or edit.
The Folder Shortcut Settings dialogue appears.

Item Description
Shortcut Name Enter the folder shortcut name.
Folder Path Enter the exact folder path.
Folder Browse If you do not know the exact folder path, select [Browse]
to browse the network.
User Name If the folder requires authentication, enter the user name.
If your machine (13/19ppm MFP) is on a windows domain
controlled network, add the domain name after the user
name with an @, like sam@dom_abcd.com.
Password If the folder requires authentication, enter the user pass-
word.

Congure the settings, then click [Save].

Scanning documents to an FTP server
You can easily send a document to an FTP server.
NOTE
To use this feature, you must rst register a FTP shortcut using Admin
Tools on Message Board web page. (See Registering FTP shortcut on the
next page.)

(Type the IP address of Message Board in the URL address eld on a web

[Initialize] To delete an FTP shortcut, select the shortcut and
click [Initialize].

Select a number (01 to 20) you want to create or edit.
The FTP Shortcut Settings dialogue will appear.

Shortcut Name Enter the shortcut name for identication pur-
poses.
Host Name Enter the FTP server name.
Folder Name Enter the folder name on the FTP server.
User Name Enter the user name for the FTP server.
Password Enter the user password for the FTP server.

Color scanning is not available in this feature.
The document will be uploaded with TIFF format even if you selected
PDF format by File format setting on page 2-16. However, the Mes-
sage Board users can download the document from their scan box by
TIFF or PDF format, which is specied in Initial Settings on the
Admin Tools tab of Message Board web page.

Adding a text message to your e-mail
When you send a document to an e-mail address, the following xed subject
and text are inserted automatically.

However you can change it to the e-mail subject line and text you have regis-
tered.
Using a registered template
You can select a registered template to simplify the entry process.
NOTE
To change the e-mail template, you must rst register the e-mail template.

Sending a document using the redial history
The last 20 manually entered e-mail locations you sent will be stored in the
redial history. You can send documents to these locations by simply selecting
them from this listing.
NOTE
E-mail addresses registered in the speed-dial number will not appear
in the redial history. Only the last 20 addresses entered manually will
be displayed in the order in which they were sent (most recent location
listed rst). The same location will not appear multiple times on this list,
the last time in which it was used.
If there is no e-mail address that you have previously entered manually,
you cannot use the redial history feature. The LCD shows the e-mail
address entry.

Selecting the le name
NOTE
To use this feature, you must rst register a le name using Admin Tools on Mes-
sage Board web page. (See the Message Board PC Users Guide located on the
Message Board CD for instruction.)
You can select a pre-registered le name to the document prior to scanning.
If you do not select a le name prior to scanning, the scanned date and time
will be used as the le name. For example, if the document is scanned on 15
August 2008 on 13:30 30 second, the le will be named 20080815133030.
Also, if the name you use for the le already exists, the scan date and time will
be added to the end of the le name to give it differentiation.

Batch scanning
When the Batch Scan function is on, it means that all scanned pages will be
saved as one le. If you turn this function off, each scanned page will be saved
as an individual le.

3-6 Internet fax functions
Manual reception from POP server
The Message Board offers you a choice to receive Internet fax or e-mail mes-
sages via LAN unattended or manually when subscribing to a POP mail server.
The received Internet fax or e-mail is printed or stored in a specied electric
box according to the Received Fax Forwarding setting. (Refer to the Message
Board PC Users Guide located on the CD for more information of Received
Fax Forwarding settings.)
On the SMTP/POP setting on the Message Board web page, when the Check
for new mail interval setting is set to a value between 5 seconds to 99 hours,
59 minutes and 59 seconds, the machine will query the POP server at the
specied interval for new mail.
Any mail on the POP server will be retrieved unattached.
When the Check for new mail interval setting is set to 0 hr 00 min 00 sec,
the machine will not query the POP server and the Internet fax or e-mail will
not be retrieved automatically. With this setting, Internet fax or e-mail must
be retrieved manually from the POP server.
To receive Internet fax or e-mail manually from the POP server:

Specifying the attached le format
You can select the le format for the scanned document.
The following formats are available:
Available le format Note
TIFF-S This form is for ITU-T T.37 simple mode. The
scanned document is converted into A4 size at
200 dpi. Select TIFF-S when the remote Inter-
net fax machine cannot receive a TIFF.
TIFF This form is for ITU-T T.37 full mode. The
scanned document is transmitted in its origi-
nal scanned parameter. TIFF le format is the
approved standard for Internet Faxing.
PDF PDF is only available when sending to a PC.
NOTE
Color scanning is not compatible with Internet faxing. If you want to send
a color document to an e-mail address, use the Scan to e-mail feature
described on page 2-13.

Adding a text message to your e-mail
When you send a document to an e-mail address, the following xed subject
and text are inserted automatically.

However you can change it to the e-mail subject line and text you have regis-
tered.
Using a registered template
You can select a registered template to simplify the entry process.
NOTE
The template should be registered in advance. (See the Message Board PC

Soft keys
The soft key is a shortcut key. You can assign a frequent-use function to a soft
key which then activates or deactivates that function by pressing the key.
NOTE
This feature works on the soft key 1 and 2 only. For soft key 3, once Message
Board is installed, fax and e-mail entry mode is automatically assigned to the
key and xed (not changeable to other functions).
When you unpack the machine, you will nd Combine has been indicated
above soft key 3. For easy reference, place the Address Entry label over
it after installing the Message Board. (The label is supplied with your
machine.)
The following functions are the default settings:
